HR POLICY

Overtime policy:
A. Any overtime requirement must be pre- plan and a prior approval must be obtained from
management.
B. Request for approval must have details explanation form reason for the overtime
proposed.
C. Pre-order, orders or production plan must be attached with the request.
D. Overtime for works will be based on shifts.
E. Overtime at HO on Sunday will be based on number of hours.
F. Approved sum shall be the maximum lunch/dinner allowance for overtime for entire shift.
G. Snacks allowance of rupees 20/- maximum for more than half shift overtime duty per
person.
H. Respective dept. will be held responsible to comply on the said policy.
I. Any recreational activity expenditures must have prior approval.

Leave approval, early going & late coming & dress code policy:
A. Any leave must be pre- approved by respective dept. head.
B. Leave without prior approval will be treated as leave without pay.
C. Upon compliance on all given policies employee may earn 2 times half day leave for next
month.
D. Early going between 4 hours to 5 minutes will be treated as half day.
E. Resumption time will be 9:00 hours & closing time will be 18:00 hours for general duty.
G. Late coming is allowed only 2 times in a month, up to 09:20 am.
H. Late coming or early going more than approved numbers will be treated as LWP (half
day).
I. Wearing dress code is mandatory prior approval must be taken before resumption in case
of unavailability.
J. Resuming office without dress code & prior approval may attract half day (LWP), allowed
maximum twice a month.
K. Free dress on Saturday.
L. While visiting any customer or vendor company dress code is mandatory.
M. Wearing identity card of company while on duty is mandatory.
N. Shift duty hours at plant as agreed during employment.

Advance salary or loan policy:


A. No advance salary shall be paid before completing 6 month of probation period.
B. Loan shall be considered only for health or medical requirements.
C. Any loan will be recovered within maximum 6 month of salary & not more than 2-month
salary as advance.
D. No salary advance for anyone proceeding on long leave.
E. Minimum 15 days of prior intimation must be given for any loan request.
F. Pending salary while on leave must be payable only after the resumption.
G. Loan request must get approved by respective dept. head.
H. Advance or loan shall be availed only once in year.

Resignation/Termination policy:
A. Minimum 1 month notice period must be provided by any confirmed staff & vice versa.
B. Staff under probation (6 months) must provide minimum 15 days of notice period.
C. No leave must be taken during notice period.
D. All the advances & loans must be paid back before getting relieved.
E. All the company assets that has been issued must be handed over intact.
F. Computer & mobile data or other details must not be removed.
G. Full & final settlements will be paid during next salary cycle.
Company Vehicle Policy

Overview:
As an authorized driver of a company vehicle, you have been given certain privileges. You

Company vehicles are provided to support business activities and are to be used only by

Driver licensing:
Company drivers and anyone authorized to drive the company vehicles must have a valid drivers
license issued for the class of the vehicle being operated and must be able to drive a vehicle.
Obtaining a drivers license will remain a personal expense.

Driver qualifications:
Driver qualifications are as follows:
1. Authorized employee of company are only allowed to use the vehicle.
2. Must be at least 18 years of age.
3. Must have at least one year of experience in the class of vehicle operated.
4. Must meet licensing requirements.
5. Will not qualify for a company vehicle if, during the last 36 months, the driver has defaulted by any
of the laws.

Vehicle allocation:
Company vehicles are provided primarily for business purposes, however, personal

Rules applying to use of company vehicles:

Only authorized employee, those who meet all driver qualifications and rules in this agreement.
Personal trailers, including boat and recreational vehicles, are not to be pulled.
Company vehicle is not to be driven while under the influence of alcohol or any
controlled substance, if found then employment may be terminated with immediate effect.
Possession, transportation or consumption of alcohol or illegal drugs by anyone in the
vehicle is not allowed.
Driver and all passengers must wear applicable PPE, helmet & seat belt for driver & passengers
seats.
Report any accident immediately to admin officer.
Any exceptions to these rules requires advance, written approval by approved company manager
Or officer.
Before bringing the vehicle on the road, all the documents must be properly check driving
licence, pollution under control certificate, valid insurance.
Do not board the passenger more than permitted for that very vehicle.

Maintenance:
Authorized drivers are required to properly maintain their company vehicles always.
Vehicles should not be operated with any defect that would inhibit safe operation during
current and foreseeable weather and lighting conditions.
Preventive maintenance such as, but not limited to regular oil changes, lubrication, tire
pressure, tire replacement, brake pad & rotor replacement and fluid checks determine to a
large extent whether you will have a reliable, safe vehicle to drive and support work activities.
You should have preventive maintenance on your vehicle, as required in the owners manual,
performed by a certified dealer.

Traffic violations:
Fines for parking or moving violations, towing storage or impoundment are the personal
Responsibility of the assigned driver. The company will not condone nor excuse ignorance of
any motor vehicle violations that result in court summons being directed to itself as owner of the
Vehicle.
Each driver is required to report all moving violations to admin officer /manager within 24
Hours. This requirement applies to violations involving the use of any vehicle (company, personal
Or other) while on company duty.

Cellular/ mobile phones:


Cellular/mobile phones should not be used while driving a vehicle. Using a cell phone while
Driving leads to an increased risk of having an accident through a lack of attention to driving.
Inattention is the #1 cause of vehicle accidents. Inattention can also involve adjusting
The radio, eating, smoking, daydreaming, talking to passengers, things outside the vehicle, and
Other distractions.
Allow voice mail to handle your calls and return them at your safe convenience.
If you need to place or receive a call pull off the road to a safe location.
Ask a passenger to make or take the call.
Inform regular callers your driving schedule, and when you will be available to talk.
Keep your hands on the wheel and your eyes and mind on the road while driving.

Accidents involving company vehicles

In the event of an accident:


Call the admin officer/manager on all accidents and do not engage into any conflict
with third party or law enforcement bodies.
Do not admit negligence or liability.
Do not attempt settlement, regardless of how minor.
Get name, address and phone number of injured person and witnesses if possible.
Exchange vehicle identification, insurance company name and policy numbers with the

Take a photograph of the scene of accident if possible.
Complete the accident report in your vehicle.
Turn all information over to admin officer/ manager within 24 hours.

Thefts:
In the event of the theft of a company vehicle, notify admin officer/manager immediately.

Driver responsibilities
Each driver is responsible for the actual possession, care and use of the company vehicle in their
Possession. Therefore, a drivers responsibilities include, but are not limited to, the following:
Operation of the vehicle in a manner consistent with reasonable practices that avoid
abuse, theft, neglect or disrespect of the equipment.
Obey all traffic laws.
Clean the vehicle on daily basis & wash with water & soap (foam) on every Monday.
Ensures that tyre pressure is as recommended & the fuel is not below reserved level.
All the documents related to the vehicle must be kept up to date & must not be misplaced or
lost.
The use of seat belts and shoulder harness is mandatory for driver and passengers.
Adhering to manufacturers recommendations regarding service, maintenance and Inspection.
Vehicles should not be operated with any defect that would prevent safe operation.
Restricting the use of vehicles to authorized drivers only.
Reporting the occurrence of moving violations.
accurate, comprehensive and timely reporting of all accidents by an authorized driver and
thefts of a company vehicle to the company admin officer/manager.
In case of any abnormality in the working of the vehicle admin officer/manager must be
inform while the vehicle must not be used.
All the certification & services of the vehicle must be concluded before the due dates.
Vehicle movement must be precisely recorded & maintain along with the kilometres
destination & driver details.
Parking of vehicles must be done in allocated parking zone only, company shall not remain
accountable for any legal action against the driver for noncompliance on the same.
Maintain fuel consumption/filling details accurately & get it verified by admin
officer/manager.

Note: Failure to comply with any of these responsibilities will result in disciplinary action, up to and

Do not follow too close.
Do not drive too fast for conditions.
Do not fail to show proper indicators.
Do not fail to observe clearances.
Do not exceed speed of 50 kilometres per hour for 2 wheelers & 80 kilometres per hour for

Do not fail to obey all traffic rules & signs.
Do not make improper turns.
Do not fail to observe signals from other drivers.
Do not fail to maintain the lane.
Do not park improperly.
Do not pass improperly.
Do not drive at night with high beam.
Do not exceed the posted speed limit.
