Enter Task and Resource Documentation

In this exercise, youll create notes to explain changes made to different parts of the project plan.

1. Open Home Construction Project 4B.

2. Choose task 44 Paint interior walls and ceilings.

3. Choose Task >Editing >Scroll to Task to display the Gantt bar for Task 44.

This task will be delayed because resource Tracy Lynn will receive training that overlaps with it.
You want to capture a note for this resource to explain the absence.

4. Switch to the Task Usage view by choosing View>Task

Views>Task Usage.

The Task Usage view arranges resources under the tasks to which they are assigned.

5. Under task 44, right-click on resource Tracy Lynn.

6. On the shortcut menu that appears, click Information.

The Assignment Information dialog box appears.

7. Follow the steps below to add a note for resource Tracy Lynn:

A. Click the Notes tab at the top of the page.

B. Enter the assignment note shown here in the body of the Notes space.

C. Click OK, at bottom right.

Return to the Task Usage view. Note the icon displayed in the leftmost column for resource
Tracy Lynn. Pointing to this icon with your mouse displays the assignment note you just
created.

8. From the Task Usage view, choose Task 41 Install electrical infrastructure.

You earlier assigned electricians to this task and decided to accept overtime charges in order to
complete the task in four days. Next, youll create a note to record this decision.

9. Right-click Task 41.

10. From the shortcut menu that appears, click Notes.

The Task Information dialog box appears with the Notes tab selected. This dialog box differs
from the Assignment Information dialog box in previous steps. The Task Information dialog box
is used frequently to control the behavior of individual tasks.

11. Type the following note: Decision taken to accept overtime charges, to keep the
duration of this task to four days.

12. Click OK to close the Task Information dialog box.

13. Save and close the file.
