Entering K-8 ALPs 2017-18

The newly designed 2017-18 ALP will consist of the following working tabs listed in the order in which they appear
in the in EWS and within the ALP. Below, step by step instructions are listed for each tab. Teachers may complete
the ALP Teacher Worksheet prior to ALP entry, which will increase efficiency by compiling the required ALP
student information.
Useful EWS tabs:
MY DASHBOARD - displays student information
VIEWS - will have gifted data filters created by AAGS
INTERVENTION - this is where teachers will access the ALP
Teachers will enter ALP information on the following tabs:
Assess - (no entry) displays assessment data: achievement, cognitive, behavioral
Plan - goals, strategies, goal attainment
Monitor - progress monitoring and task list
Contact - (optional entry) record of parental contact (behavior, grades, health, counseling, etc.)
Observe - parent and student input
Transition - close the ALP for transition
Team Members - record of contributors to the ALP
Teachers will receive automated notification emails every Wednesday if there are missing components in a
students ALP. The notification will state which component is missing. Teachers will need to complete every
required component for the ALP to be considered complete. ALPs will be available for families through the Parent
Portal so it is crucial that all required components are completed. ALPs update every 24 hours.

9/30 Early Access Final ALP
10/2 Draft for Parents
10/31 Final ALP (parent signature- electronic)
12/20 Winter Mid-Year Progress Monitoring (enter in ALP)
2/15 Spring Mid-Term Progress Monitoring (communicate to parents - optional EWS entry)
5/18 End-of-Year Annual Review: Goal Attainment and Transition (enter in ALP)

Begin ALP Entry by logging into EWS
1. Locate the student you will be entering ALP information for by searching last name
2. Click the INTERVENTION tab located at the top. The current years ALP will be listed first in bold
followed by previous years ALPs (not bold) as Read Only.
3. Click on the current years ALP in bold to begin.

Plan (enter goals and strategies - 9/30 DRAFT ALP and EA Final ALP DUE)
1. To enter ALP information, click on the Plan tab.
2. Reasons for Intervention
a. The required goal Reasons will be listed. These Reasons are the gifted area of
identification and the required Affective component. Do NOT add Reasons!
b. Teachers will need to enter one SMART goal for each Reason
i. Click on the pencil icon for the ACADEMIC Reason you are entering a goal for
ii. You will see the Grade Level, Reason, and Start Date auto-populate
iii. In the space provided next to Goal/Goal Name/Other, teachers will enter the SMART
goal in its entirety (they may also enter standards/codes for reference)
iv. SAVE
v. Repeat for EACH ACADEMIC REASON
vi. For the AFFECTIVE Reason, click the pencil icon
vii. You will see the Grade Level, Reason, and Start Date auto-populate
viii. Select one NAGC Affective Standard to focus on for this school year
ix. SAVE

3. Instructional Support Strategies


a. To add ACADEMIC strategies, click +Strategy (you will enter a strategy for EACH goal)
i. Click the arrow to view the Reason drop menu and select the academic area
ii. The Start Date and Strategy types will auto-populate
1. Select at least one strategy per type: Content, Process, Product, Environment
(check at least one box each)
2. SAVE
3. Repeat for each Academic Goal entered
b. For the AFFECTIVE strategy, click +Strategy
i. For the Reason select Affective
ii. The Start Date and NAGC Strategy #codes will auto-populate
iii. Select one strategy/box for the NAGC competency previously selected
iv. SAVE

4. Supplemental Services
a. Teachers may enter any clubs, enrichments, or anything supplemental that the student takes
part in inside or outside of the school day. Example: Makerspace 4x a month, Mathcounts
club.
i. Click +Service
ii. A drop down menu and the Start Date will auto-populate
iii. Include a Description if necessary (if Other was chosen)
iv. SAVE

Observe (enter parent and student input)


1. To enter summaries of the Parent-School Partnership and the Student Interview click the Observe
tab
2. Click +Observation
3. A NEW OBSERVATION box will pop up
4. Click the arrow to display the Observation Type drop down menu
5. Choose Parent Interview
6. Enter a summary of the Parent-School Partnership in the Observation box
7. SAVE
8. Repeat for entry of the Student Interview summary including student interests

Team Members (record of contributors to the ALP)


1. To view an enter ALP contributors click the Team Members tab
2. The GT Coordinator, classroom teacher, and teacher tied to the gifted strength area will auto-
populate?
3. GT Coordinators will have to add a Contributor for students identified as GIA, Creativity, Leadership,
and most often Visual Arts
4. This teacher will become the Owner and Manager of all ALP requirements
a. GT Coordinators will Click +Contributor to add the teacher selected to be the ALP owner
b. Enter the First Name and Last Name of the ALP owner and Click Search then Add
c. Teachers may also enter names of other ALP Contributors here (specialists, sped, CLD)
Once the above requirements have been completed correctly, the ALP Draft is considered
complete and will be available on the Parent Portal for approval/signature.
See Monitor steps 1.a and 1.b below to indicate completion.

Monitor (progress monitoring and task list)
1. The Monitor tab will house the ALP task requirements
a. ALP Draft Is Due!- Once the ALP Draft is complete, click the icon and Save the data entered
(Draft DUE 9/30 to be available for parents on the Parent Portal 10/2)
b. ALP Finalized With Parent Signature, this task will auto-update from the Parent Portal. If you
need to enter by hand, click the icon and Save the data entered DUE by 10/31, Print the ALP.
Parents will only have one attempt to sign the students ALP. Changes to the ALP may occur but
will not generate another signature opportunity. A printed copy of the ALP (after electronic
signature) must be placed in the students cumulative file.
i. For unresponsive parents, please log in detail at least 3 attempts in the text box here
c. Midyear progress monitoring for all reasons must be completed, at mid-year teachers will
click the icon, enter an overall progress monitoring status, enter comments, and SAVE. This will
be available for families through the Parent Portal. DUE by 12/20
i. Schools may choose to enter the Spring Mid-Term Progress Monitoring (parent
communication DUE ~2/15) using this method or another determined method -hard copy
d. All outcomes for reasons must be completed. Using the transition tab, please complete the
student transition to the next school year. DUE by 5/18 See below prior to completing this task
i. Once the goal attainment is complete, click the icon and Save data

End of Year Goal Attainment and Transition
Plan (enter goal attainment DUE by 5/18)
1. Once in the ALP click the Plan tab
a. Click on the icon for the goal/reason you are evaluating
b. Select the Outcome Date, Outcome Status, Progress, and add Comments (especially if the student
did not attain the goal)
c. SAVE
d. Repeat for entering an Outcome for EACH goal/reason
e. Then follow Monitor step 1.d to indicate completion
Transition - LAST STEP! (CLOSE/LOCK the ALP for the year making it READ ONLY DUE by 5/18)
Make sure the ALP is 100% complete before Transitioning the ALP. ONLY transition complete ALPs! That means
ALL teachers must enter their components before the ALP is Transitioned. Once it becomes READ ONLY -
teachers, GTCs, and AAGS will not have access to enter/edit anything. If so - it.help@adams12.org.
1. Click the Transition tab
a. Select the Transition Date, Transition Status (drop down), add:
i. Transition Comments for teachers next year- will show on Parent Portal
ii. General Comments for parents - will show on Parent Portal
b. SAVE
