Chapter 4: Documentation of the Current System

On this chapter, we tackle about documentation of the

current system. We are describing the previous system of the company
and how they use it, and discuss the hardware and equipments the
company are using and also the personnels of the company.
4.1 Description of the Current System
Based on our observation St. Matthew Academy of Cavite using a
manual system on handling student grades and remarks, the students
used to fall in line and wait for the teacher or admins to call their names,
and student normally didnt see their grades and remarks they need to
speak to the teacher or admin to see their grades.

4.2 Hardware and Equipment Set-up

Here is the list of hardware, equipment, tools and
materials that the St. Matthew Academy of Cavite often uses in the
current state of the process.
Desktop computer
Theyre using a desktop computer on making student
grades and remarks.
Printer
When theyre done making student grades and
remarks they also have a printer to distribute it
manually.
Folder
To compile the files that been creating when they
finish printing it out.
Flash drives(USB)
To transfer folder files on different desktop computer
theyre using.

 4.3 Software and Application Being Used
Here is the list of software that the St. Matthew
Academy of Cavite often uses in the current state of the process.
St. Matthew Academy of Cavite is using Microsoft
Excel on creating or editing student grades and remarks. Theyre
using manual process in excel to create grades and computing in
with formulas. And also theyre using Microsoft Access for their
data base because they didnt have a system for the storage of
their student datas.

4.4 Personnel
Personnel or human resources are the individuals
who make up the workforce of the organization.
