Chapter I - Introduction

Background of the Study

According to Sandoval,enrollment is the method of entering and validating data of a

student to register on a certain institute. The interconnected process which builds up the

enrollment procedure is called the Enrollment System (ES).It is an Automatic Identification

System (AIS) used predominantly for recording and retrieving data, and is a good example of a

computer generated process. The ES makes it easier to manipulate and store information in a

fast and expedient way rather than via manual system; to record the student enrollees in an

electronic system may minimize the work of administration in storing archives such as: Student

Information, Students Payment Information/Account, and other databases required.

The researchers have chosen St. Peter Acts Christian Academy that is found in Purok 3

Tambo, Lipa City. It started at school year 2004-2005 under the management of Mrs. Lolita

Emboltorio, beginning with a nursery class with one teacher and nine pupils. The following year,

the population increased, additional teacher was assigned to handle the kinder class. In the same

school year, the Preparatory and Grade School were offered (from Grades I-VI). Until such time,

the management of Mrs. Emboltorio informed Mrs. Emilia Mayor to take over and continue the

expansion of the school and transfer ownership to Mayor Family on school year 2009-2010.

Due to the eagerness and love of Mrs. Emilia of her profession in serving the children, she

was privileged to accept the offer. Right at that moment, the contract was made and decided to

change the name of the school. The schools name patterned from Mrs. Emilias late husband,

Pedro. So now it was named St. Peter ACTS Christian Academy. The school then expanded

from Pre-school up to Grade School Levels. The school has one section per year level. There are

also 116 students in total, 10 class rooms and a capacity of 20 students per room. The school also

has a total of 19 faculties and staffs; 10 teachers, a principal, an admin, a nurse and HR at the

same time, 2 accountants, and 4 maintenance.

The said school offers a general education that guides and directs children to develop their

spiritual, moral, physical, mental and emotional aspects. Moreover, they can be well adjusted,

mold their characters and be successful individual in the future and responsible members of the

society thus becoming the worlds role models.

Problem Definition

Problems may arise when the user of the system is not familiar with it especially that the

school chosen, St. Peter ACTS Christian Academy is currently still using the manual system

where human effort is needed to write every detail of information gathered in a printed

application or enrollment form for students. After the analyzation of the chosen school, the

researchers have gathered these problems:

1. Difficulty in retrieving students data

2. Difficulty in finding records of currently enrolled students

3. Difficulty in keeping their current students datas.

Objectives

The main goal of the researchers is to help St. Peter ACTS Christian Academy to have

well-organizedinformation of students and track their accounts easier. It is to help the school to

be in the trend. The study will indeed help them to cope in the rapid changes in technologiesand

in the demand of the modern world of technology. Along with these objectives, there is a need to

satisfy the said problems where is to help the school:

1. To have an easy access with the students data

2. To easily trace students record that is currently enrolled

3. To help St. Peters management specifically the registrars department in keeping their

students data.

Scope and Limitation

The researchers have gathered information about the process of the old system of the said

school. The study was conducted to help the school to design and develop a computerized

enrollment system using Visual Basic that will help them gather, organize and manage the

information of students easily and to have a more convenient storage of data for the next school

year 2017-2018.The said system covered the school transactions in different areas like gathering

students basic information, educational information such as their grade level, whether they are

new, old, transferee or returnee, mode of their payment for tuition fee where these will be

backed-up and searched easily by the user and so that cashier could easily asses the total

payment with the use of the system including other fees, would automatically deduct payments

when the needed payment is paid and where total balance is seen. A system that can provide a

class schedule that would be efficient for the students, would automatically give the students

number and an additional feature where students can log in as users and saw a summary view of

their grades and account, class schedule, assigned teachers and subject codes. Books and

notebooks are not included because there is a different management assigned to it, same with the

uniforms of the student. (implementation set-up provide limitations)

Users and Beneficiaries

The system proposed is beneficial to the chosen school, St. Peter ACTS Christian

Academy as they will be more organized in keeping data of students and in tracing their records

and account easily.The registrars office that is considered as one of the storage houses of the

students data as they are in-charge of obtaining the student information required for enrollment

will have a more consistent and accurate storage of it. Having this kind of system would help

them have a security of data with each reliable transaction. The principal may benefit as well as

in supervising the students goodwill and account. The cashier department as they can have an

easy computation of fees using the system just by inputting the necessary amount given or just

by inputting the terms of payment. The school administration, as it will help them in organizing

and managing each class schedules. Lastly the students and their parents as they will have an

easy access to the students account and grades. (rights of the users)
