The following steps present an overview of MRI processing:

*These steps are actually carried out by an automated, scheduled (for every 15 minutes) MRI processing program
– the details of the actual process are presented here for information purposes so as to understand how the
program works and identify where an error may have occurred in the program execution. Please see the last
section Automated MRI Process With Control Points for the steps to be followed when using the MRI
processing program.

To determine the status of the order import request:


4.10 Select Requests from the View menu.
4.11 Check the Specific Requests option.
4.12 Enter Order Import% in the Name field.
4.13 Select today's date in the Date Submitted field.
4.14 Click on Find to locate the requests.

4.15 In all the Order Import Child Req1 lines, select the

as previously stated (correct any entries that may be
in error). You may click on the Errors button to
understand the reason for failure.
5.8 When you have corrected all the errors, resubmit
your order import request as you did before.

6. Check Item Availability Navigate to the Order 6.1 Select a status of Booked in the Status field.

front of the Public Folders and double-click on the MRIs
icon. This will give you a view of all Internal Sales Orders

and their Order Source Reference (meaning the Internal
Requisition Number) in a folder called MRI_FOLDER.

6.6 For every order you are going to process, select the
line and click on the Open Order button. This opens
the Sales Orders window.
6.7 In the Order Information tab, select the Others tab.
6.8 Take note of the Order Source Reference (which is
the internal requisition number) on the Internal
Requisition Status Report and write the Sales Order
number beside it (you can see the sales order
number on the Main tab).
6.9 Select the Line Items tabbed region.
6.10 Select the order lines, and for each line click on the
Availability button. This will show you if the item
requested for on that line is available to reserve for
the requestor.
6.11 The Available field shows you what was requested
for, the On Hand field shows the actual quantity in the
inventory while the Reservable field shows the
quantity available to reserve for this new request.
6.12 If the requested quantity is less than the quantity
available to reserve, it is okay to process the order.
6.13 If the quantity is less, please hold the related order
line and inform the Requestor and Purchasing Office
of the reason. If requestor would not want to wait for
replenishment or Purchasing Office would not source
the related item please release the hold and cancel
the sales order. In replenishment case when item has
been replenished you need to release the hold and
continue to process.

Note: In order to track relation between MRI on Hold and


purchasing document that will be raised in order to
replenish the inventory; the Justification field should be
used.

7. How to hold an order. In the Sales Orders 7.1 In the list of actions that comes up, select Apply
window, click on the Holds.

of values.
7.3 Enter the date that this hold expires.
7.4 Enter any comments if necessary.
7.5 Click on Apply Holds button and acknowledge the
message by clicking OK. The order will be on hold.
You may re-query the changes (by pressing CTRL-
F11) and see that the hold box is checked in the
MRI_FOLDER.

8. How to view the orders Navigate to the Order 8.1 Navigate to the Holds Information Main Tab and enter

Note: The requestor must then cancel the internal


requisition and may decide to raise a purchase requisition
for the item instead.

Periodically run the Requistions on Cancelled Sales

requisitions have not yet been cancelled for the purpose
of identification and cancellation.

11.4 Click on the Availability button again to confirm that
the reservation was successful.
11.5 Close the Sales Orders window.

13.3 Click on the Type field and confirm that the value is
Inventory.
13.4 Choose the lot number that you want to allocate to
this order from the list of values (if the item is lot
controlled).
13.5 Choose the Subinventory and the Locator in that
subinventory where the on hand value is being
stored.
13.6 Save your work and close the form. This will return
you to the order line window.

14. Import delivery lines. Navigate to the 14.1 Click on OK.

15. Pick Release Internal Navigate to the shipping 15.1 Confirm that Lines is selected in the Search for

15.2 In the Lines tabbed region, confirm that a status of
Oracle Order Not Shipped is selected.
Management> 15.3 If you intend to process a specific order, enter the
Shipping> Transactions order number in the Order Numbers field.
15.4 Click on the Find button. This opens the Shipping
Transactions window. You will observe that the
Delivery field is empty and the Pick Status is Ready
to Release.
15.5 For each line you want to pick release, click on the
line and then select Pick Release Form from the
Tools menu. This opens the Release Orders for
Picking window.
15.6 In the Release Orders for Picking window, enter MRI

PICK RELEASE as the Document Set and in the
Based on Rule field select the release rule
corresponding to the organization from which the MRI
is being processed e.g. when the source is WII use
WII_MRI_RELEASE.
15.7 In the Order tabbed region, you can optionally select
the order you want to process in the Order Number
field.
15.8 In the Inventory tabbed region, in the Default Stage
section confirm that the Subinventory is MRI and
enter DELIVERY as the Locator.
15.9 Click on the Concurrent button to launch pick release
request and click on OK to confirm the submission.
15.10 Take note of the batch number in the Batch field on
the left top of the screen, and close the Release
Orders for Picking window. This batch number
corresponds to the number of the move order
that will complete the picking transaction.
15.11 Continue to monitor the status of pick release by
pressing CTRL-F11 repeatedly. You will soon see a
Delivery number appear – please take note of it.
The Pick Status will change to Released to
Warehouse and then finally Staged.
15.12 When the request is completed, a pick slip report
will be automatically generated.

Locate the Pick Slip Report with the following steps:


15.13 Select View Requests from the View menu.
15.14 Check the Specific Requests option.
15.15 Enter Pick Slip Report in the Name field.
15.16 Select today's date in the Date Submitted field.
15.17 Click on Find to locate the request(s).
15.18 Select a line and click the View Output button to
see the report.
15.19 Page through the report with the Next button and
note which Pick Slip Report numbers belong to
which subinventories.
15.20 Notify the correct subinventories of the pick slip
report numbers and the requestor names
(obtainable from the Internal Requisition status
report using the order number as the cross-
reference) via e-mail.
15.21 Notify the requestors that the pick slip reports for
their MRIs have been sent to the correct
subinventories via e-mail.

Attention: If the Pick Status changes to Backordered, it


means that the requested items are not available to pick

release in the requested quantity – if the steps preceding
pick release are followed correctly, you will not have this
problem. Under no condition must it be allowed to
happen. If by any chance the pick status gets to the
backordered state – all is not lost – you should check the
on-hand quantity and confirm that this is the reason for
the backordered state. Then notify the requestor,
supplying details of when the item is expected in stock. If
the requestor decides to wait, when the stock arrives,
run Pick Release again on the Backordered sales order
and continue processing normally. If the requestor
decides to cancel the order instead, cancel the sales
order line corresponding to the requestors order (See 10)
and then locate the pick release staging transaction in
order to reverse it (See 16).

18. Printing the Pick Slip Oracle Order 18.1 Confirm that Single Request is checked and click on

18.6 To select the printer for the report, click on the
Options button. Under the Print Output To: section,
click the list of values in the Printer field and select an
appropriate printer e.g. MML_HP2100N,
PPS_PRINTER, etc, and click OK.
18.7 Enter the number of copies as 2.
18.8 Click OK and Choose the Submit button to launch the
report.
18.9 Answer No to the Submit another request? decision
prompt.
18.10 Write the name of the name of the requestor from
the on the printed copies of the pick slip report.
18.11 Locate and issue the item(s).
18.12 When the item is collected, the collector and store
keeper must sign both copies, one copy is filed and
the collector takes the other copy away.

Note: Pick Release transaction will move items from their


current location to the DELIVERY location of MRI
warehouse. The items are then said to be Staged. After
the items are shipped, the next transaction to be carried
out is shipment confirmation.

Automated MRI Process with Control Points

In order to minimize workload for MRI processing an automated process has been developed, but this has made
this process more advanced meaning that control should be implemented within the automated steps.

Automated Oracle Report that is called MRI is going to be scheduled to work in every 15 minutes sequentially and
it is going to run this reports respectively:
Create Internal Sales Order: This process integrates Internal Requisition data to Order Management
interface that Order Import is going to read in order to create internal sales orders.
Correct Internal Sales Order: In this step system defaults some critical information to this open
interface.
Import Internal Sales Order: Order Management interface is going to be read by the system and
Internal Sales Order is going to be created automatically.
Check Item Availability and Reserve Items: This process is going to be done automatically. End
users are supposed to check on hand balance and create MRIs, but if they do not, system is going to
create Backorders in order to fulfill the Internal Requisition if there is no on hand balance.

Backorders are going to be processed automatically by Centralized Unit if requestor would like to get the rest of
his request, if he does not, Internal Sales Order is going to be cancelled and Requestor will be asked to cancel his
Internal Requisition. If he wants to get the quantity available, he should create a new Internal Requisition for it.

Import Delivery Lines: This process is going to create delivery lines for Oracle Shipping Execution
module that triggers Pick Release process.
Pick Release Internal Sales Order: This process is going to move items from their current location to
MRI_DELIVERY of MRI Sub-Inventory in WII. Operational users should not transact items in MRI
Warehouse for any purpose. These items will be shipped by Ship Confirm Process by Centralized Unit
when signed copies of MRI report is printed, signed and sent to Centralized Unit after collection of
items from stores by requestor.

After the Oracle Automated Report called MRI ends, the Centralized Unit is going to locate the generated pick slip
reports by checking the system periodically, every 20 minutes (Navigation: View>Requests>Specific
Requests>Name: Pick Slip Report> View Output). Send a reference to the Pick Slip Report to the related

in process step 15). Warehouse should print 2 copies of Pick slip Report (see step 17) and collect items from the
right location stated in the Pick Slip Report. One copy of Pick Slip report is going to be signed by Collector and
this copy will be sent to Centralized Unit who is going to do the Ship Confirm Process (see step 18).

The schedule of the MRI report set should not be changed and this report set should not be run separately from
scheduled runs, as this will cause problems.

Control Points for MRI Processing

Review the log of the Automated Oracle Report, MRI, from View>Requests

If MRI has not processed any order Pick Slip Generation report ends with a status Warning. In other
cases all reports should end with normal status. If you find any error status in reports please click
on Log button to explore the reason for the problem.

Use Pre-defined Folders


In all queries user should use pre-defined folders that have been developed by the implementation
team in order to see all-important fields at the same time.

Monitor the System


What causes this kind of Problems, some database tablespace problems, problems in Concurrent
requests, any kind of overloaded transaction Manager. The only way to solve these problems is to
monitor the system.

Check for the Statuses


For the processed Orders by Automated Oracle Report, MRI should have the following statuses in
defined levels.

Navigation -> Oracle Order Management>Orders, Returns>Order Organizer> Enter Order Number
and click OK. Navigate to the header and line level.
Internal Sales Orders header status should be BOOKED, live level Status should be PICKED (If
BackOrder Occurs status should be PARTIALLY PICKED)

Navigation -> Oracle Order Management>Shipping>Transactions> Enter Order Number and click
OK.
Transaction line status should be STAGED (If BackOrder Occurs, the status will be
BACKORDERED)

Solution for Problematic MRIs

If you see NOT READY TO RELEASE in Transaction Line (Navigation -> Oracle Order Management>
Shipping>Transactions> Enter Order Number and click OK.), it means that something is wrong. You need to
check Error Messages and Workflow Status and SYSADMIN Notification Summary (Please contact the Oracle
System Administration for this) Error message is going to help you to solve the problem. In some cases system do
not send any notification until you progress the order. Navigate to the Order Organizer and click on line level, right
click of your mouse and chose Progress Order and click again on it, after that navigate to the Tools menu and
chose Workflow Status, this will show you the Workflow status and related error message if exists. If it tells you
any error message, it means that system sent a notification to System Administration, please ask the SYSADMIN

to check his Notification and Retry the process if this option is available. After that you need to run Import Delivery
Lines Process to help the system to process this stuck order.

If any other problems occur please contact your Super Users who have ability to explore the causes of functional
problems with access to the Oracle Metalink knowledge pool.

Exception screen shows you the exceptions that occurred during any process related with Order Management.
(Navigation -> Oracle Order Management>Shipping>Exceptions)

Contingency Plan

You may cancel Internal Sales Order (selecting the CANCELLED BY MANAGEMENT reason) ask the requestor
to Final Close the Internal Requisition and ask Warehouse Keepers to issue items with Miscellaneous
Transactions to the proper account that requestor used in his Internal Requisition. This will be used only with the
approval of Materials Management and Shipping Manager or International House Manager.

Ship Confirmed Transactions Stuck in Inventory Transactions Interface Table

Sometimes, an MRI is filled out incorrectly with destination type is set as Inventory instead of expense.
Everything else is filled correctly, so the MRI gets processed up till the point of ship confirmation. The
transactions will then get stuck in the Interface Table and will not proceed further. To help resolve this
type of problem a special subinventory called MRI_ERROR has been created in the IITA (IRO)
organization, which can be used to receive these items, and then issued to the correct account that
should have been used on the MRI.

TRANSACTION NATURE NAVIGATION TASKS


1. To correct the stuck Oracle Inventory> 1.1 Select Error in the Process Flag field
transactions in the Transactions> 1.2 Select Internal order in the Source Type field
transactions interface Transactions Open 1.3 Click the Find button
table Interface 1.4 Check that the error explanation is Default
subinventory is not defined in the destination
Note: Please be sure organization Action: Either the transfer
to select the right subinventory should be populated or a default
organization (WII) subinventory should be setup for the destination
before you start organization using the inventory forms
1.5 For each line with that error:
1.6 Check the Submit option at the start of the line
1.7 In the Location tabbed region, select the Transfer
Subinventory field and enter MRI_ERROR as the
subinventory code.
1.8 Save your changes
1.9 Close the transactions interface form

2. To process the Oracle Inventory> 2.1 Pick the line for Material Transaction
corrected transactions Setup> Transactions> 2.2 Select Launch Manager from the Tools menu
