COST CODES MUST BE UPDATED FOR EACH DISASTER !!!!

SEE ITEM 23

PLEASE BE SURE AND READ THIS PAGE FIRST !!!!!

This Workbook is built primarily for the personnel which will be filling out the Project Worksheet and Site
Information.

This Workbook contains several worksheets which you may find useful in gathering, calculating
and preparing the Project Worksheet. Carefully examine each worksheet
in order to see which helps are available and how to use them.

Item Index of Worksheets:

0 Read Me First: This sheet.
1 Calculation Sheet: A list of equations that will calculate various quantities.
2 Data Sheet: A sheet to input common headings, so you don't have to input same info on each sheet.
3 Project Worksheet:

7 Cost Estimation-Un Protected: automatically sums quantities by Cost Code.
8 Cost Estimation-Protected: automatically sums quantities by Cost Code.
9 Instructions for using Estimating Cost.
10 Estimating Cost: This sheet is for estimating cost for work not completed. By filling in the Cost Code
and the appropriate depth, width and length fields the quantity will automatically fill in. The
length field is also used for Ea, LF, etc, measurements. See Instruction Sheet Item 9.
Revision to this sheet automatically sums the quantities by Cost Codes for transfer to Project Worksheet.
11 Estimating Cost (2): Same as Item 10.
12 Hazard Mitigation: Required if project proposes mitigation.
13 Hazard Mitigation 2: Required if project proposes mitigation.

MUST BE UPDATED FOR EACH DISASTER!!!!!
Cost Codes!!! The Cost Codes must be updated for each disaster.
They can be downloaded from NEMIS. However, the ones selected must be for this disaster and be
approved by the approving authorities. In other words they must be the right ones. The problem
is that even though they are downloaded into Excel, the Cost Code Number downloads as an Alpha
instead of Numeric. It must be numeric to work with this process. The process to change the Alpha
to Numbers is not tricky, but must be done carefully.
DO NOT DELETE THE COST CODES SHEET FROM THIS WORKBOOK,
IT CREATES PROBLEMS BEYOND YOUR IMAGINATION !!!!!!!
You will copy from another spreadsheet on to this spreadsheet.
This is one way to make it work. Download the Cost Codes from NEMIS into a Separate Spreadsheet.
Left click on the Column Heading called cost_codes to select that column, right click and choose Copy
an empty column to the right. Left click to select column, right click on column and select Paste Special,
select Values and Add then click OK. The Alphas are now Numbers in this column. Copy this column
into the original cost_codes Column. This is the only column you will need to change.
Now simply copy the appropriate columns from this spreadsheet onto the columns of the Cost Codes Sheet in this Wor
Copying the columns one at a time is by far the best way to do it. You may find it useful to make a copy of the
original download to play with so that you don't have to download it a second, or third, or more times.
I have had to download many times until I was able to conquer.
One other change must be made: In the Unit Column, change the TON to TN. The equations were built using TN and no

Make copies of this program for each Project Worksheet you propose to fill out.
Do not use these forms, use copies of them.

Note: All measurements must be in : FEET

How to calculate cubic yards. 1 Cu Yd = 27 Cu Ft
(Length X Width X Depth) / 27=Cubic Yds
Length Width Depth Cu Yd

How to calculate the (length) when 2 measurements and the total cubic yards are known.

A B Cu Yd C A,B,C are equal to width, depth

Feet and length, in any order. Two
Inch of three + cu yd have to be known
to solve for other measurement.
This is very useful where the width, depth, and cubic yards are known. Then the length can be calculated.
Ex: 50 cu yds of gravel was placed 3 in deep on a county road that is 16 ft wide. What was the length?
A = 16, B =.25 ( 3 in / 12 in = .25 ft), Cu Yd = 50, Ans: C = 337 ft or 340 ft.
OR
A = 16, B = 340 ft, Cu Yd = 50, How deep was the gravel placed? Ans: 2.98 inches or 3 inches

How to calculate Square Yards. 1 Sq Yd = 9 Sq Ft

(Length X Width) / 9 = square yards
Length Width Sq Yds

How to calculate volume of round pipe. (Pi) X (radius squared) X (length) = volume

Instructions for using Estimating Cost Sheet
By inputing the Code: Description, Quantity, Unit, Cost/Unit and Total Columns
are automatically filled in.

YOU have to fill in the APPROPRIATE Depth, Width and Length fields based upon the
information required to complete the required calculations.

The equations are built such that if only one value is required, then it goes in the Length Column.
If two values are required to complete the equations, they are required in the Width and Length Columns.
If three values are quired to complete the equations, they are required in Depth, Width and Length Columns

Example 1: CY is a measurement requiring 3 pieces of information.

Depth (feet), Width (feet) and Length (feet) divided by 27 = CY (Cubic Yards)

Example 2: LS is a single value. Such as One Lump Sum of Dollars.

The quantity goes in Length, only one value is required.

Example 3: SF is a measurement requiring two pieces of information.

The data goes in Width & Length fields.

A quick way to see if the required fields are filled in is to look at the Total column.
If it is ZERO and the Cost/Unit field is not Zero, then additional fields are required
