Today, Information Technology has become one of the key
driving forces in the improvement of performance in business
processes. Currently, more and more organizations continue
spending on information system and as a result, their budget
continue to rise. Computerized information systems in general are
developed using information technology with the aim to aid them in
performing their assigned task. Resulting to better decision
making and efficient job performance.
The traditional way of recording, summarizing and reporting
company’s financial reports led to less optimal decisions while

investment in good and reliable accounting system has been proven
to lead them to better management and analysis of firm’s
performance. This led the researchers decide to investigate on
the application of and use of accounting information system and
its impact on the organizational effectiveness.
Traditionally, the Divine Word College Information Technology
Department prepared accounts, kept books, and produced documents
manually. With this type of record keeping, the department
experienced loss of valuable time on record keeping, maintaining,
and updating records. The researchers’ findings suggest that the
department is in need of a computerized information system which
led them to develop an accounting information system. This system
aims to help facilitate the departmental record-keeping
specifically the student attendance in school events and
activities regardless of it being compulsory or not. In addition,
the proposed system aims to promote transparency in the
manipulation of records and avoid past incidents such as
unaccounted funds for unknown reasons.

In the software development, the researchers decided to use
the Visual Studio Community 2015 Integrated Development
Environment (IDE) and Visual Basic programming language because
Visual Studio Community 2015 offers a wide range of compilers and
templates thus, making it easier to create applications especially

with its feature “Intellisense”. In addition, the researchers used
Rapid Application Development Model (RAD) in the application
development. This method was chosen because it increases
reusability of components, encourages customers’ feedback, and
most of all, it reduces the development time thus, faster software
development process.
The researchers utilized two types of data gathering records;
a) Interview, and b) Direct Observation. During the interview, a
formal interview was conducted to the selected students of Bachelor
of Science in Information Technology, and the program head Ms.
Shelaniejean Luna Lim. The proposed system has the following
features: a. user-friendly Interface Design and Layout, b. Student
Account overview, c. Search function, d. Update function, e. User-
classification, f. Password protected Log in, and g. help feature.
The researchers concluded that with the help of the proposed
Accounting Information System, the students are able to assess
past and present transactions involving department accounts and
other resources. This will not only help address the flaws of the
old manual record-keeping system but also help in identifying the
viable features that can be adapted by the new system and future
studies.

PROJECT OVERVIEW
Background of the Study
Today, Information Technology and business sectors have
become key driving forces in business operations and performance.
These forces cut across many industries to force changes that, in
turn, have had significant economic and social impacts on the
organizational effectiveness (Doms, Jarmin and Klimek, 2004).
Currently, most organizations continue to increase spending
on information system and their budgets continue to rise.
Generally, information system is developed using information
technology to aid an individual in performing their job. Therefore,
most organizations focus on developing information system in order
to support decision system, communication, knowledge management,
as well as many others. (Nzoma Samuel, 2011)
The key part of information system needed for decision making
in an organization is Accounting Information System (AIS).

AIS is an important topic for managers and researchers alike.
However, there is evidence of a gap between Accounting Information
System research and practice. Huber (1990) states that making
opines in managing an organization and implementing an internal

control system in the role of AIS is crucial. He questioned the
fit of Accounting Information System with organizational
requirements for information communication and control. He
concluded that although the information generated from accounting
information system can be effective in decision-making process,
purchase and installation. The usage of such a system is beneficial
when the benefits exceed its costs.
Hunton, (2002) showed that there was strong relationship
between Accounting Information System and organizational
effectiveness.
To compare Accounting Information System Chang, Y. W. (2001)
studied the nexus between organizational strategies and
performance. They found out that organizations systematically vary
the AIS design to support their chosen strategy, recognizing that
AIS have the potential to facilitate strategy management and
enhance organizational performance (Chang, 2001).
The traditional way of recording, summarizing and reporting

Investment in good and reliable accounting system has become a
major concern for all managers as it leads to better management
and analysis of firm’s performance. This has led the researchers
to investigate on the application and use of accounting its impact
on the organizational effectiveness.

According to Hilton (2006), all organization has goals.
Information is needed as they strive to attain those goals and for
the management to function in decision making, planning, directing
operations and controlling.
This study examines in detail two possible explanations for
the gap in Accounting Information System. First, is the inadequacy
in transfer of academic knowledge on Accounting Information System
to practice. Secondly, the scarcities use of the Accounting
Information Systems. It examined the use and logic of
transformation of Accounting Information System in the Information
Technology department. The researchers focused on the ways on how
specific Information Technology affects the operation of
organization especially on the Information Technology Department.
As information technologies grow more progressive, the manual
accounting systems have become gradually inadequate for decision
needs (Brecht and Martin, 1996). Consequently, public and private
companies in both developing and developed economies view a
computerized Accounting Information System as a vehicle to ensure
effective and efficient information flow in the collecting,
recording and posting, processing, and analysis of financial data.
AIS is a tool which, when incorporated into the field of IT, were
designed to help in the management and control of topics related
to firms’ financial area.

Traditionally, Information Technology (IT) department
manually. With the use of manual record keeping the department
experienced loses valuable time on record keeping, maintaining and
updating their records. This is supported by the study of J. Hall
(2002) which states that manual procedures tend to produce clerical
errors, such as incorrect account numbers, invalid inventory
numbers, and price-quantity extension miscalculation.
Accounting Information System helps business units and solve
long-term problems of managers in the areas of finances, costs and
cash flow through providing information to support and supervise
companies in the dynamic and competitive environment, and to help
the integration of companies and the operational considerations in
a profitable way(Romney, 2009).
Ponemon and Nagida (1990) asserted that the relationship
between AIS and Organizational Effectiveness and the main reason
for which accounting information is generated to facilitate
decision making. These qualitative characteristics require that
the information must not be unfair nor has predisposition of
favoring one party over the others. Accounting information should
give a decision maker the capacity to predict future actions. It
should also increase the knowledge of the users to identify
similarities and differences in two type of information system
(Bolon, 1998).
According to the study of Hunton(2002) which investigated the
relationship between automated accounting information system and
organizational effectiveness showed that there was a strong
relationship between AIS and organizational effectiveness. This
means access to accounting information will lead to organizational
effectiveness. Several studies on value of accounting information
for equity valuation, share price and earnings prediction have
queried current financial reporting model in the developed world.
In managing an organization and implementing an internal control
system the role of AIS is crucial.
Mustard Seed(2016) said it its column that“The main reason
why many businesses go for a computerized accounting system is the
fact that it gives them fast, reliable and mobility in reporting
the current status of their business”. It also increases accuracy,
increases internal control system, increases productivity, and
easy back up and restoration of records.

Huber, (1990) agrees that automated accounting information
system aids decision making for management of organizations.
Benefits of accounting information system can be evaluated by its
impacts on improvement of decision- making process, quality of
accounting information, performance evaluation, internal controls
and facilitating company’s transactions. With these five

characteristics, the effectiveness of AIS is highly important for
all the firms.
Conceptual Database Design
The operational paradigm of the study consists of three
essential performance factors namely: input, process, and output.
The input consists of Student’s personal records, which
includes: 1. Name, 2.Age, 3.Gender, 4.Guardian, and 5. Contacts.
The process deals with the organization of records storage in
a database. This includes simplification of student records,
organization of events list, and lastly, the consolidation of
attendance and computation of fines.
The output consists of the organized form of records. This
includes students’ account overview, organized event list with
description, and lastly, the simplified attendance record and
computed fines.

Company Profile
Fr. Jerome A. Adriatico, SVD became President of Divine Word
College 1999. Significant developments from the Grade School to
the Graduate School were made. The Pre-School opened in 2001 and
was given government recognition in 2003, the same year the school
accepted special education students. The pupils who had
disabilities like the hearing impaired were mainstreamed in the
regular classes.
Courses such as Bachelor of Science in Nursing (BSN) opened
in 2001; Bachelor of Science in Information Technology (BSIT),
Bachelor of Science in Biology (BSBiology) and Bachelor of Science
in Industrial Engineering (BSIE) in 2003. BSBiology however was
frozen in 2010 due to lack of enrolment. With the opening of BSIT,
an additional computer laboratory was set up in the Grade School
with 20 new sets of computers. Computer subject were also
integrated in the college. Some courses were given 2 re-accredited
status such as Liberal Arts, Bachelor of Science in Commerce and
Teacher Education.
In response to the growing need for computer professionals in
the industry, government, and non-government institutions, and in
keeping with the mission of developing professional competence to
service the needs of Philippine development, particularly,
Northern Luzon and Abra, Divine Word College of Bangued offers
Bachelors of Science in Information Technology.
In the year 2016 – 2017, the Department of IT in the Divine
Word College of Bangued is currently headed by Ms. Shelaniejean
Luna Lim, Master of Information Technology.
Importance of the Study
The purpose of this study is to help student and student
leaders to promote transparency in the manipulation of the

Information Technology Students’ Account related records and
avoiding past incident like unaccounted funds with an unknown
reason. With this, the researchers proposed a system that can
handle a secured record keeping with a maintainable and well
arranged database for student records in the Information
Technology Department.
This study is beneficial to the following:
To the Information Technology (IT) Officers. This study is
beneficial to the Information Technology officers to help them
record and monitor the accounts of the students.
To the Information Technology (IT) Students. This study give the
students a quick access to their account records regarding with
their fines, contributions.
To the Researchers. This study allows the researchers to apply the
theories and concepts they learned inside the classroom
specifically in developing an accounts information system.
To the future Researchers. This study served as a reference for
the future researchers in similar studies on accounting
information system. The results and findings of this study shall
serve as their basis in their own studies.

Statement of the problem

The study aimed to develop and design an Accounting
Information System for the Information Technology Department of
Divine Word College of Bangued.
Specifically the study seeks to:
a) What are the Information requirements in the design of the
Accounting Information System for the IT Department along the
areas on:
a) System design and administration;
b) System content management; and
c) User role requirements?

leaders in terms of:

b) Computing balances; and

Objective of the Study
The main objective of this study is to design and develop an
Accounting Information System for the Information Technology
Department that assesses the past and present transactions
involving the department’s account and other resources.
Specifically this study aims to achieve the following
objectives:
1. To identify the information requirements in the design of the
accounting Information system for the IT Department.
2. To identify the difficulties encountered by the information
Technology Department Student Leaders in terms of:
a) Collection of accounts
b) Computing balances; and
c) Recording of accounts
3. To identify the process involved in the existing system in
terms of:
a) Recording; 12

c) Posting
4. To identify what should be undertaken to create a well-
arranged database in order to implement good security of the
system for the database in terms of:
a) Log-in; and
b) Putting password
Definition of terms
Information System – any organized system for the collection,
organization, storage and communication of the information. More
specifically, it is the study of complementary networks that people
and organization use to collect, filter, and process, create and
distribute data.
Nexus - A connection or series of connections linking two or
more things.
Accounting Information System (AIS) - A computer-based method
for tracking accounting activity in conjunction with the
information technology resources.
Data processing - Processing of information, especially the
handling of information by computers in accordance with strictly
defined systems of procedure.
System - A coordinated body of methods.

Computer Software - Computer application programmed to do a
single or group of talks.

Information Technology - Is the application of computers and
telecommunications equipment to store, retrieve, transmit and
manipulate data.
Posting - The act or process of entering date in an accounts
ledger.
Data Security - A data that is free from or not exposed to harm.
Computing Balances - The act of calculating the unpaid
difference represented by the excess of debits over credits.
Add New – putting a new record into the database.
Log in – gain access to the system by entering necessary log in
credentials such as username and password.
Update – change record by adding recent changes.
Database – collection of organized information. 14
Intellisence - is the general term for a number of features: List
Members, Parameter Info, Quick Info, and Complete Word. These
features help you to learn more about the code you are using, keep
track of the parameters you are typing, and add calls to properties
and methods with only a few keystrokes.

Chapter 2
METHODOLOGY
This chapter discusses the procedures used in the conduct of
the project study. It presents the software development
methodology used, scope and delimitation of the study, data
gathering techniques and the source of data.
Software Development Methodology
The proposed system was written in Visual Basic using Visual
Studio Community 2015 Integrated Development Environment. Visual
Studio offers a wide range of compilers and templates thus, making
it easier to create applications especially with its feature
“Intellisense”. It offers everything that the design and
development of the system would need including but not limited to:
Service-type SQL server for the database, Windows Form Designer
for the Graphical User Interface (GUI), and Visual Basic Compiler
for the code design.
The system used Rapid Application Development Model (RAD).
This method was chosen by the developers because it increases
reusability of components, encourages customer feedback, and most
of all, it reduces development time thus, faster software
development process.
Below is the RAD model diagram containing the steps that
explaining in creating and completing the system during and
throughout the software development process.

In figure 2.0, shows, all the phases that are followed in the
RAD. The phases are shortened and combined with each other to
produce a more streamlined development technique.
Requirements Planning phase. This phase combines elements of
the system planning and systems analysis phases of the Systems
Development Life Cycle (SDLC). Users, managers, and IT staff
discussed and agree on business needs, project scope, constraints,
and system requirements. It ends when the team agreed on the key
issues and obtains management authorization to continue.

In this phase, the researchers discussed the requirements in
the system and carefully planned what software to used in creating
the Accounting Information System for Information Technology
Department. The system must be compatible to other Operating System
when it is installed.
User Design phase. During this phase, users interact with
systems analysts and develop models and prototypes that represent
all system processes, inputs, and outputs. User Design is a
continuous interactive process that allows users to understand,
modify, and eventually approve a working model of the system that
meets their needs.
In this phase the researchers designed the system that can
demonstrate the different processes or modules of the system, such
us Login Page, Search Function, Update Function, Events Function
and other features of the system.
Construction phase. This phase focuses on program and
application development. Users continue to participate edit or
make changes to improve the proposed system.
In this phase the researchers created a system. Moreover the
researchers test the system to check if there’s a need for further
modification to improve the system. If the clients are not
satisfied with the results the system developers will then

reconstruct or add features to the system and repeat the process
for clients are satisfaction.
Cutover phase. This resembles the final stage in the RAD. It
includes data conversion, testing, changeover to the new system,
and user training. Compared with traditional methods, the entire
process is compressed. As a result, the new system is built,
delivered, and placed in operation earlier.
The researchers converted the system into an installer so
that the system will compressed and when someone download the
system the system is lite or fast to download. The system is user
friendly and free from errors or bugs.
Scope and Delimitation
The study focused on collecting, recording and posting of
students accounts of the Information Technology Department of
Divine Word College of Bangued to enable easy and faster access of
records. The Benefits of the Accounting Information System to the
Department of Information Technology and to the Administrator and
User, was that its Database is secured. Every user has its own
level of access to the system and the Admin-user is the only one
who can have access on the important details. The System is user-
friendly which makes it much easier to monitor the student
accounts, daily reports, and expenses. The researchers develop and

improve the existing system in different aspects that would help
them for easy, fast and reliable transactions.
Data Gathering Techniques
The researcher used different data gathering techniques in
conducting the study. Due on using through in data analysis.
Interview. Is used where the researchers gathered information
or data required to do the design of the system. A formal interview
was conducted to the students of Bachelor of Science in Information
Technology wherein possible answers are not suggested and the
respondent answered the questionnaires in his/her own words. The
program head of BSIT Ms. Shelaniejean Luna Lim, MIT, also served
as one of the respondents.
Observation. Was also used the researchers were to
understand how the manual keeping of records or money, and how it
process? In observing the manual records, the researchers designed
an easy, faster and were reliable system that can be used in the
Information Technology Department.
Data Analysis. Was also utilized to study the content format
and structure of the proposed system. The researchers identified
the different types of documents to be used in the proposed system.
The researchers source from the book, reviewed, source from other
people?
Sources of Data
Data were used from observation and interviews of the
respondents. Documents or books in the library as well as volume
resources we used in making the proposed system.

of the proposed system are shown in the table below.

Discussion of Findings
This chapter presents the information requirements needed in
the design of the course Accounting Information System. It also
discusses the design features of the system.
Information Requirements of the Accounting Information System
The proposed system is intended to help facilitate in
attendance and record keeping of the DWCB IT department. This is
to help improve the consistency of records kept and speed of
transactions especially during payment of fines and fees.
The information requirements in the design of the accounting
information system along with the area on system design and
administration are as follows:
Student Information Database. The system requires a well-
organized record of student information to be kept in a database.
The Database contains student data such as Name, Age, Gender,
Address, and Name of Guardian and Contact Numbers.
Events Information Database. The system requires a well-
organized record of events and school activities (includes both
compulsory & non-compulsory) to be kept in a database. The Database
contains information about the event such as Event Name, Event
Date, Compulsory/Non-Compulsory, Fine. 22

Software Features of the Accounting Information System
Interface Design and Layout. The User interface of the system
is designed to be simple, easy to use and easy to learn. The
appearance is made to be plain and easy to read for the same
purpose. Furthermore, it is designed to have an independent window

Student Account Overview. This feature enables the user to
have a quick glance or overview of the student’s account. This
includes; name, events attended and not attended, and fines. It
also provides an option to update the student’s account or go back
to the student list window.
Search. This feature allows the user to look for a specific
student account. This returns a list of search results according
to the information provided by the user.
Update. This feature gives the user the power to alter
records. Through this, the user can add, edit, or delete records
of both students and events.

User Classification. The system recognizes 2 kinds of user;
1. Admin, and 2. Guest. The admin has full access privilege which
includes search, event list, student list, account overview, and

altering of records. The Guest on the other hand, has limited
access privilege which only includes search, student list, and
account overview.
Log in Information. The system utilizes a user log in policy
to avoid unauthorized access to the records. Since the admin is
the only one who can alter records, it is the only user account
that requires log in credential whereas the guest user doesn’t
require any password.
Help Feature. The User interface is already made simple and
easy to use, however, if the user still finds problems in the UI,
a help menu is also provided. This feature will aid the user in
learning how to navigate and use the different features of the
system.

It offers 2 choices; click admin and enter log in credentials
and use admin privileges, or click student to enter as guest.

CONCLUSION AND RECOMMENDATION
Conclusion
The researchers therefore conclude that with the help of
Accounting Information System, students are able to assess the
past and present transactions involving the department’s account
and other resources. Accounting Information is not only a help in
identifying the flaws on the manual system but also identifying
the difficulties encountered regarding: record keeping, accounts
collection, and information dissemination, and to identify the
viable features of the current system that can be adapted in the
proposed accounting information system. The systems accomplish the
functions of accounting; generate accounting reports, and using
accounting reports. Furthermore, it will also help the Department
of Information Technology to eliminate bias in paying students
responsibilities. It will speed up the transactions and will reduce
redundancy of the records, events, and other information about the
enrolled students of the Information Technology. The system offers
security of the student’s information, exact records, and
especially accurate calculations of the fines.

Recommendation
In developing the computerized accounting information system
for the Information Technology Department, there are several
recommendations that can be used in the future such as:
a) Doing the post-implementation stage of the System Life
Cycle methodology.
b) Updating and debugging the information system to avoid
system failure
c) Maintenance of the system
d) Hardware maintenance
e) Training of the officer in charge to master the
software
f) Honesty of the officer in charge
g) Developing of the system
h) Only the officer in charge can access the system
i) The system will provide information security.

Today, Information Technology has become one of the key

driving forces in the improvement of performance in business

processes. Currently, more and more organizations continue

spending on information system and as a result, their budget

continue to rise. Computerized information systems in general are

developed using information technology with the aim to aid them in

performing their assigned task. Resulting to better decision

making and efficient job performance.

The traditional way of recording, summarizing and reporting

company’s financial reports led to less optimal decisions while

investment in good and reliable accounting system has been proven

to lead them to better management and analysis of firm’s

performance. This led the researchers decide to investigate on

the application of and use of accounting information system and

its impact on the organizational effectiveness.

Traditionally, the Divine Word College Information Technology

Department prepared accounts, kept books, and produced documents

manually. With this type of record keeping, the department

experienced loss of valuable time on record keeping, maintaining,

and updating records. The researchers’ findings suggest that the

department is in need of a computerized information system which

led them to develop an accounting information system. This system

aims to help facilitate the departmental record-keeping

specifically the student attendance in school events and

activities regardless of it being compulsory or not. In addition,

the proposed system aims to promote transparency in the

manipulation of records and avoid past incidents such as

unaccounted funds for unknown reasons.

In the software development, the researchers decided to use

the Visual Studio Community 2015 Integrated Development

Environment (IDE) and Visual Basic programming language because

Visual Studio Community 2015 offers a wide range of compilers and

templates thus, making it easier to create applications especially

Rapid Application Development Model (RAD) in the application

development. This method was chosen because it increases

reusability of components, encourages customers’ feedback, and

most of all, it reduces the development time thus, faster software
