University Research and Development Initiatives
Introduction

LPU has initiated several schemes to promote academic and research activities. The aim of this
initiative is to provide predictable benefits based upon achieving specific measureable outcomes.
They are

Terms and Conditions


 Any grant/incentive/award/leaves cannot be claimed as a right and acceptance or rejection of
any such request shall be solely at the discretion of the University.
 All the achievements claimed for awards/bonus points/leave points/USCG/Travel grant or
any other benefit mentioned in this document, should have affiliation of “Lovely
Professional University”
 University reserves the right to exclude any journal indexed in WoS or Scopus for
Benefits/grants/awards
 University reserves the right to exclude any publisher for publication of Books/Book
Chapters for Benefits/grants/awards
 University reserves the right to modify or amend this Policy in whole or in part, at any time,
and with/without notice.
 Where any doubt arises as to the interpretation of this policy, it shall be referred by the
Division of Research and Development to higher authorities for a final decision.
 One leave point is equal to one leave. The unavailed leave points and benefits mentioned in
annexure 1 shall be carried forward to the next academic year only without any loss.
 All benefits will lapse if the faculty/staff leave the organization.
 All the benefits cannot be encashed.
 This policy supersedes all existing research awards, facilitation, incentives and all such
research promotion policies.
 For papers being published through conferences in scopus indexed journal, either USCG or
Travel grant can be applied.
 For awards, no major or serious disciplinary case executed against faculty/staff in the
academic year 2017-2018
 Wherever students are involved in the research work, authorship shall be given to the
students also.
 In case any candidate is found guilty at any stage of any Mal practice or academic dishonesty
or misconduct also including but not limited to misuse of his / her authority or position,
misrepresentation, suppression of facts etc. or contravention of the university policy, then
any or all of the awards, benefits, entitlements etc already awarded to such candidate may be
withdrawn.

1. Research Appreciation Awards (1st August 2017 to 31st July 2018)
Research Appreciation awards shall be presented to the achievers every year. The awards shall be
based on the bonus points earned by the faculty/staff member through various activities mentioned
in annexure 1 during the period 1st August 2017 to 31st July 2018 subject to all terms and
conditions mentioned in this policy. The awards are categorized as Z, A, B, C and D.

Category of Award – “Z”


All those faculty members irrespective of numbers, who get >=120 total earned bonus points
with minimum 50 bonus points from publication only and atleast one paper indexed both in Web
of Science and Scopus will get 3 days international visit.

Category of Award – “A, B,C”


The total number of awards in the Category A, B and C is 40
Prequalifiers :

The top 40 performers who successfully fulfils the prequalifiers will be awarded.

Category of Award – “D”


Category D is introduced for all Administrative staff (non-teaching category). Top two staff
members who get >= 20 total earned bonus points with minimum 5 bonus points from publication
will get Rs.10000 each.
Note:
1. In case, if the award ceremony has to be preponed before 31st July 2018, the cutoff bonus points in each category of
awards would be prorated based on the number of days.
2. All the above awardees are eligible for deputation in DRD during non-teaching period for their research proposal/paper
writing.
3. Destination for the international visit shall be decided by the university. It can be availed during non-teaching period.
Faculty members who are awarded in A,B, C and D category will also be considered for Z category.

Process
 Faculty members should submit their achievements online. It will be duly verified by
DRD. Bonus points and benefits earned as per annexure 1, will be displayed on faculty
members UMS account after verification.
 The compiled list of faculty members eligible to receive the awards will be forwarded by
HD, DRD to HR for remarks.
 Final approval from Higher authorities shall be taken by DRD.

Terms and conditions for Calculation of Publication Bonus Points and Citations Bonus Points:
1. Publication bonus points will be calculated considering:
- All unpaid Publications in Journals indexed by Web of Science/Scopus
- Paid journals with SJR > 0.3 if indexed in Scopus or IF>2 if indexed in WoS(excluding
ESCI).

- Paid journal for which full fee waiver proof from the journal through authenticated
source is also considered.
- Conference proceedings of IEEE/ACM/Springer/Elsevier etc. indexed in Scopus
- All publications with international co-authorship indexed in Scopus or WoS (excluding
ESCI)
2. Bonus points received for citations from scopus in the year 2017 for all publications with
LPU affiliation will be considered. Self-citations will be excluded.

2. Leave Benefits
2.1 Research and Academic Extension Leaves for Faculty and staff members
Faculty and staff members shall earn Research and Academic Extension Leave through various
research and its allied activities as per Annexure 1.

Terms and Conditions


 There is no limit on the leave points that could be earned by the faculty member. Also the
earned leave points shall be carried forward to next one academic year without any loss.
 Faculty can avail 8 days for international travel or 5 days for national travel during teaching
period per semester. Rest of the earned leaves can be availed during non-teaching period.
 The leaves can be availed for conferences/workshops/ seminars/symposia/faculty
development programmes/evaluation/appearing in examination/ visiting funding agencies,
lab, library, university for research work/data collection/data analysis/writing grant
proposal (discussion or collaboration) / guest lecture / research paper writing (if there is
deadline).

2.2 Career Enhancement Leaves for faculty & administrative staff:


In order to encourage teaching & administrative staff in research and academic activities, as a
goodwill gesture University provides Career Enhancement Leaves as per Annexure 2

Terms and Conditions:
The leaves can be availed for
1. Examination, wherein the staff member
(a) Pursuing higher studies in recognized university as per approved list of LPU
(b) Pursuing recognized degree programme (not diploma programs) as per approved list
of LPU.
(c) NOC from LPU prior to joining the programme. Such NOC and date sheet should
be uploaded as proofs while applying.
2. To attend training programmes as per approved list of LPU.
3. Cultural : Cultural events (National / International level) recognized by the concerned
authority of India and as per approved list of LPU in the category of Music, dance, Theater,
Fine Arts, Literary.
Position: as a Judge, Chief Guest, or Observer
4. Sports: Sports events (District, State, National, Senior national, International level sports)
recognized by concerned sports federation and as per approved list of LPU.
Position: as a Coach, or Manager
5. Research work in relation to data collection, laboratory experiments, field survey, library
study. Relevant document from hosting institution, specifying visit schedule would be
required.
6. Acting as Resource Person / subject expert for development of educational e-learning
delivery process/material e.g audio-video lectures for institutions recognized by UGC /
equivalent regulatory body. Relevant document from hosting institution, specifying visit
schedule would be required.
Leaves should be applied at least one week in advance.

3. University Scholarly Communication Grant


Introduction
The University Scholarly Communication Grant (USCG) provides financial support to LPU –
community for publishing in journals of repute.

Scope
The journals covered under this grant are as follows:
1. Only the Journals “indexed” in Scopus and WoS (excluding ESCI) are covered under this
policy.
2. Journals should make their standard fee schedules publicly accessible
3. Whether fully or hybrid Open Access (OA), journals must apply policies and practices
consistent with the OASPA's Code of Conduct (http://oaspa.org/membership/code-of-
conduct/)

Eligibility

The following are the eligibility conditions to apply:


1. All accepted papers in journals indexed in WoS(excluding ESCI) / Scopus that are not
present in the “excluded list of journals” maintained and communicated by LPU from
time to time.
2. Faculty Members / Researchers / Staff of LPU who have given their affiliation as
“Lovely Professional University” in the accepted paper are eligible to apply.
3. Authors who do not have other sources of funding are only eligible for funding.
4. If the external funding agency does not allow PI/Co-PI to utilize funds to pay article
processing charges are eligible for USCG.
5. In case of multiple authors either the first author or corresponding author can apply for
USCG
6. Article processing charges includes: Publication Fees, Self-archiving expenses, Page
Charges.

Process
 Faculty and staff members should submit their USCG application online with all
necessary proofs (Full paper, acceptance letter, plagiarism report, proof of indexing

information and proof of payment). Application can be submitted online (UMS
Navigation -> Division of research and development -> Research grants ->
Travel/USCG grant application) for further processing.
 HoD and HoS shall forward the same to DRD
 The respective DRD coordinator will verify the application
 HD, DRD shall approve the application.

Important Points to Applicant

 It is advised that, authors shall send papers in journals of repute with high impact
factor / SJR.
 Before publishing in any journals indexed in WoS(excluding ESCI) / Scopus,
authors are advised to check the number of years of stay with WoS(excluding
ESCI) / Scopus database and the impact factor / SJR of the indexed journal.
 Applicants are requested to be cautious while submitting papers to journals as there
is a possibility of journals being retracted by WoS(excluding ESCI) / Scopus
because of high percentage of self-citation etc.
 USCG can be applied only after publication.
 In case, if the journal publishes without review(For example F1000 journals),
USCG can be applied after acceptance and indexing in Scopus.
 USCG cannot be claimed for more than two papers in the same journal in one
academic year.

4. Travel Grant
Introduction
Lovely Professional University (LPU) is committed to increase the exposure of its faculty and staff
by encouraging them to attend and present paper in national and international conferences for their
professional growth and excellence in research.

There are two categories of Travel grant : (Refer Annexure 1 for details)

 Faculty and staff members must plan their travel at least fifteen days in advance for
national travel and one month in advance for international travel. Application can
be submitted online (UMS Navigation -> Division of research and development ->
Research grants -> Travel/USCG grant application) for further processing.
 Travel grant as per entitlement will be reimbursed after submission of expenditure
statement along with proofs (receipts, train ticket, boarding pass etc) along with
prior approval for travel grant.

Entitlement
Travel grant include following components
i. Registration fee
ii. Travel and accommodation as per University TA/DA policy (If not provided
by the conference organizers).
iii. Where the distance is more than 700 Kilometers (Shortest Path) the earned
Travel Grant can be used for air travel in economy class. (To get low price
tickets, faculty members are advised to book tickets well in advance).
Faculty may take the help of HR for booking air tickets.

Terms and Conditions


1. Earned travel grant can be used to attend and present paper in national and international
conferences indexed in scopus/wos, for carrying out collaborative research work, Visiting
laboratories, for visiting scientist in funding agencies, workshops, seminars, faculty
development programmes, membership to professional bodies, purchase of consumables.
2. LPU Sponsored Travel Grant can be availed for
 Conference proceedings of

High energy physics from the inSPIRE database

Computer science conferences and workshops from DBLP Computer Science


Bibliography

Society meetings including the IEEE, American Chemical Society (ACS), Association
for Computing Machinery (ACM), Society of Petroleum Engineers (SPE), The
Minerals, Metals & Materials Society (TMS), American Geophysical Union (AGU),
European Society of Cardiology (ESC), International Society for Chemotherapy (ISC),
American Society for Information Security (ASIS), Japan Society of Mechanical
Engineers (JSME) etc. indexed in scopus.

 Faculty can avail only one travel grant per year for travel within India and one travel
grant once in two years for travel outside India.
 Only the author who is presenting will be eligible for sponsored travel grant. Co-
author may use the earned travel grant to accompany the presenter.
 LPU Sponsored Travel Grant (if eligible) would be provided after exhausting the
earned travel grant.
 Travel grant for International visit shall be recommended to only one person if same
authors are present in multiple papers of the same conference.

*NOTE: In case due to any of the unforeseen reasons faculty/staff is not able to attend the
conference or virtual conferences or conferences held in LPU, only registration fee would be given
as per USCG policy and it can be applied through USCG interface.

Funding from external sources


Faculty members are encouraged to apply to funding agencies for travel grant. Suggested list
of funding agencies are available in Annexure 3

5. Cash Incentives
Cash incentives would be awarded for various research activities as per Annexure 1. All Cash
incentives would be awarded two times in a year (December / August).

6. Research Facilitation to Staff / Faculty Members of the University


Registered for PhD
Introduction
University facilitates and encourages staff / faculty members to go for PhD degree. Two options
are provided by the University and a faculty member can avail only one of the options.

Objectives
 To motivate faculty and staff to go for Doctoral degree
 To create a research environment

Eligibility
All employees of the University who have registered for PhD degree are eligible.

Facilitation
Option A: As a goodwill gesture of the University, staff members registered for PhD in LPU
can meet their supervisors (staff of LPU) during official hours up to an extent of 2
hours per week, for which there will be no salary deduction. The time slot for the
meeting will be clearly mentioned in his/her time table. However, it cannot be
claimed as load relaxation or responsibility reduction. In case, the faculty member
is unable to meet the supervisor during the mentioned slots due to any reason, the
unused slot shall be treated as lapsed. Under no circumstance he/she can meet the
supervisor in any other official hours not mentioned in the time table.

Option B: Pay Proportionate Work (PPW) - as a phase-in to research initiation.


The intent of this policy is to allow staff / faculty members to work at reduced pay
in proportion to work reduction. The reduction in workload shall be up to 50%. For
example, if a faculty member opts to go for 50% workload reduction, he can opt for
either of the two options, subject to conditions

a. Half day daily


b. Three days a week

For faculty members holding administrative responsibilities as head, the university may ask them
to discontinue their headship for the duration of PPW.
The monthly salary of the member on a reduced workload will be adjusted proportionally from the
full-time base salary. Such staff / faculty members are also eligible for annual increments based on
prorated PMS points obtained by them. PPW applies to proportionate reduction in teaching,
research (scholarly activity), and administrative services, as defined for the individual staff /
faculty member.
PPW normally will be instituted at the staff / faculty member's request, and any staff / faculty
member intending to exercise this option normally will give at least two months notice in writing
before the start of the semester to HR through HoS / HD.

Terms and Conditions

1. It is advised that it is in the interest of the staff / faculty members to plan and apply for
PPW well in advance (At least two months before the start of the semester).
2. It cannot be less than one semester (i.e. 6 months) at one point of time and not more than
one year and quarter as per academic session.(May to July next year)
3. PPW cannot be claimed as a right. Acceptance or rejection of any PPW application shall be
solely at the discretion of the University. Depending upon the exigencies of the University
work, PPW may be refused or revoked by the authorities competent to sanction it. Under
such a situation the faculty/staff member may be called back to join the duty immediately
or otherwise as deemed appropriate.
4. A staff / faculty member on PPW is strictly prohibited to directly or indirectly engage
either honorary or on remuneration in any other service or in any trade, business,
consultation, vocation or occupation. Violation of the same shall be liable to disciplinary
action.
5. A staff / faculty member shall be entitled to the CL/SL proportionately.
6. University hold the right to accept or reject the PPW application.

7. Seed Money

Seed money is given to researchers for carrying out their preliminary research work. The extent of
support is provided in Annexure 1. This amount can be utilized for small equipments,
consumables, travel related to surveys, testing and analysis purpose. Faculty will not be able to
use the granted seed money for manpower.

8. University Multidisciplinary Research Project Grant.(UMRPG)

Introduction
The policy for interdisciplinary project is prepared with the objective to extend the benefit of
serendipity to more number of people keeping the focus of “MULTIDISCIPLINARY” intact and
remembering the fact that one size does not fit all.

Scope
The scope of funding and benefits are limited to projects that are interdisciplinary in nature with
the potential to technology transfer or startup or external grant.

Eligibility
Category 1: Group of faculty members from different disciplines
Category 2: Group of faculty members from different disciplines along with other research
institutes/labs
Category 3: Group of faculty members from different disciplines along with industry collaboration
(Note: Only confirmed faculty members are eligible)

Application :
The application format as in Annexure 5 duly filled and signed by the applicants shall be submitted
to DRD.
For Category 2 and 3, MOU should be signed with the partnering organization clearly specifying
the following
- Sponsorship details
- Support mechanism
- Duration
- Expectation
- IPR
- Revenue sharing
- Conflict resolution
- Termination

It is mandatory that the MOU is vetted by DLL.

Evaluation :

HD, DRD shall review the remarks and recommendations and present it to higher authorities for
approval.
Following relaxations are applicable for interdisciplinary projects
- Upto 30% of the project amount can be used for purchase.
- 100% IPR filing and related expenses will be borne by the University.
- Relaxation from invigilation duties to all faculty members involved in the project

Project monitoring:

Every six months, sanctioned projects will be evaluated by at least three panel members on the
basis of Half yearly progress report (format in annexure 8) may be followed by presentation.
