PROJECT ABSTRACT
[On site, we work for 3 Km. Long tunnel has been undertaken. The site is in remote and takes about

2 days to travel to nearest town. Supervisors, Technicians & Skilled Workers are engaged in

dangerous/Hazardous work. Absenteeism due to sickness, quarrels, drinking are adding to less

output of work and chances of accident on site are increasing. Management has urged to do

something so that time target can be achieved.]

PROJECT PROCEDURES

The procedure shall include the criteria for a categorization of projects which may be based on:

 Complexity
 Extent to which they involve multiple disciplines
 Stakeholders impact
 Scope
 Financial value
 Degree of challenge

DIFFERENT TYPES OF PHASES

Project life cycle shall be defined for each project including:

 Preliminary phases (e.g. feasibility, concept, planning, design)


 Execution phases (e.g. prototyping, development, construction, commissioning, pilot testing)
 Closure phases (e.g. acceptance, review, close out)

 Goals
 Project phases and deliverables
 Work tasks and schedule
 Responsibilities
 Resources
 Progress monitoring and staged approval
 Budgetary control
 Risk management
 Organizational and technical interfaces
 Others

The types of phases in a project life cycle will differ between projects but may include:

 Organization

 Stakeholder needs gathering

DESIGN & DEVELOPMENT


For design and development the organization shall determine:

 The design and development stages.

 The review, verification and validation appropriate to each design and development stage,

A project phase will be complete when a review indicates the deliverable has been achieved.

All relevant activities will be formally planned and (re) scheduled on a regular basis as appropriate

to gain maximum benefit from the project plan. For design and development projects, the

organization shall plan and manage the interfaces between different groups involved in design and

development to ensure effective communication and clear assignment of responsibility.

Have the project team members and associated personnel shall be selected based on:

 Qualifications, knowledge and skills

 Practical experience

 Ability to work in teams

RISK MANAGEMENT
Project risk assessment shall be completed addressing:

 Technical, quality and performance risks

 Project management risks

 Organizational risks

 External risks

Input information shall be documented including Strategy, Project Planning, Customer Expectations

Identification and Evaluation, Regulations.

Categories of risk in the register may include: safety, environmental, technical, financial, schedule,

regulations, stakeholders, resources, operations and project management.

Project shall not proceed until a project Risk Register been established.

Initial risks must be identified and graded according to likelihood and seriousness very early in the

project. This initial risk assessment may be part of the original project brief.

Project plan shall include a stakeholder communication plan which shall include project risks. A

formal plan shall be in place for both initial and ongoing communication during the life of the

project. This will normally only be acceptable for larger projects

The procedures laid down cover recruitment of personnel and the same includes professional

standards to be adopted in carrying out recruitment activities. Company is required to budget for

recruitment of personnel along with the annual budget plans. Recruitment process shall comply

with local laws applicable or exceed the requirements as set by the law.

Reference checks, qualification and background checks of employees shall be conducted as

required to ensure secure operations in compliance with the law of the land or standards

ESTABLISHING RECRUITMENT PLAN
Company shall establish a recruitment plan based on the Business Plan and organizational goals and

annual budget. A procedure needs to be established for the recruitment process taking into

consideration internal transfer and/or re-locations. Social legislation shall be given consideration

prior to recruitment.

RECRUITMENT PROCESS

Company will recruit, develop, and retain people necessary for effective operation of business. The

needs of any position shall be based on established Job Description, the role profile, competence

analysis, physical capability analysis, organization values and training plans.

 Review of qualification

 Review of relevant experience

 Past training records

 Psychometric/personality checks

 Physical and mental capabilities testing

 Skills testing

 Performance in discussions

 Structured interviews

Management shall meet with their employees whose performance they are responsible for

managing in a formal but friendly process to discuss performance related issues and any related

issues that focus on goals and on improvements. This shall be implemented throughout the

management chain. The minimum period between these sessions are normally 12 months, but best

practice is likely to be quarterly

The following shall be included in the reviews of managing individual performance:

 Agree on individual goals at the beginning of the year, in coordination with organizations

goals and business plans (both organizational and individual success & growth to be

covered)

 Cover business goals

 Individual goals

 Not more than 8 goals

 Coaching by reviewing progress vs. goals and expectations

Project plan shall include a stakeholder communication plan which shall include project risks. A

SAFETY MEASURES

Communication Plan shall include:

 Details of required Process Safety Information

 Training needs analysis

 Delivery of process safety related information linked to project milestones

 Regulatory submissions

 Liaison with Emergency Services

 Media management plan

PROJECT EXECUTION

The Risk Register shall be reviewed continually during the project.

The Risk Register shall provide details of all the risks identified at the beginning and during the life

of the project, their grading in terms of likelihood and seriousness of impact on the project,

responsible person, and actions for mitigating each risk.

The Risk Register shall be maintained throughout the project and will change regularly as existing

risks are re-graded in the light of the effectiveness of the mitigation actions, and new risks are

identified

During execution of project an Issues Register kept be developed to record concerns/problems

during project execution. Issues in the register remain "open" until the situation changes or an

action is taken to "close" them. Register may not be necessary for small projects. The register shall

demonstrate evidence of regular use. This shall be considered to be the repository of actions from

all project sources to allow tracking to closeout including lessons learnt.

Remedial actions shall be taken where appropriate to address concerns/problems recorded in the

Issue Register.

TRAINING PROCEDURES

Training procedures shall be developed and implemented, which shall be comprehensive and well-

coordinated system for identifying, managing and recording all the organizations training needs,

training course developments and training provided/delivery

TRAINING RECORDS

Training records shall include, training needs, records of training, satisfactory achievement of

requisite competence.

TRAINING NEED ANALYSIS

The training needs analysis shall focus on knowledge and skills to perform the work properly, and

shall be applicable for all levels in the organizational hierarchy. The same shall include quality,

health, safety, security and environmental compliance while performing work.

SUMMARY & CONCLUSION

As per the project submitted, the above project procedures with different types of phases helps the

Long tunnel process to complete with the promised timeline without any hassles.

In spite of any remote areas in the site, as per the design and development under the risk

management will excellence the work desired.

Human resource with help of business management process will provide skilled supervisors,

technicians & workers. Also the welfare team will take full control of managing employees

Safety measures will be applied, followed and evaluated to ensure, there are no danger/hazardous

work

Training Team with help of the medical team will ensure, the staff nurses are appointed at the site

on a shift basis for any medical emergency, also time to time medical awareness session along with

counselling session will ensure the project members are taken care in terms of medicalize.

With help of the safety measure, all the roads will be stacked under safety precaution to ensure no

risk/accident occur at the site

On the overall process, the project, stakes and measures are monitored and will be evaluated to

execute the right terminology of the process.

All the process will be measured through who likely it is with the severity and risk involved and also

a mitigation process will be in place to ensure the process goes in lead and lag circumstances.
