Training Coordinator Roles & Responsibilities

Brief summary
The future development of the WGM oil and gas training institute will require a number of professional
personnel in various disciplines. Within the training department, there is a need to optimise service
delivery and further reinforce the existing team given the existing and future potential of the company.
Currently, the Training Managers – Projects is handling a number of assignments ranging from proposal
development, curriculum reviews, quotations, marketing support through training and field visit
support, course development, audio-visual support, training plan update and follow-up, logistics and
training project implementations, bid management, internship management, course evaluation and
assessment among many other tasks all of which require a fully dedicated service. To additionally
streamline roles and improve service efficiency, and service time for most of the incoming and outgoing
requests the training department requires additional staff to assist the current (2) managers to handle the
large volume of assignments both now and in future.
We anticipate a growth in the number of service requests from the marketing department and also
internally, we need to develop standards to meet all service requests from the entire company. The
additional staff (Training coordinators) will work directly under the supervision of the Training
Manager - Projects to assist in the execution of afore mentioned roles described in the training
coordinator roles and responsibilities. Further to this, this will ensure that as WGM acquires new
contracts and as the training department prepares to undertake new projects, the training department
will better serve a large clientele.
The existing managers will concentrate more on the execution efficiency, standardisation and
implementation of the projects while the newer staff will concentrate on administration and support
roles. In the short run, the Training Manager - Projects requires atleast (1) one coordinator both with
experience in training service industry and project planning, project proposal development, reviews and
auditing with atleast (2) two years’ experience. A more detailed description of the required roles are
attached.

Training Coordinator: Position Summary


The training coordinator will provide both the Training Manager to stream the training department’s
operational excellence for WGM Energy (U) Limited.
Responsibilities:

 Coordinate and schedule training workshops, field visits and on-the-job coaching and
mentoring field visits for CSR beneficiaries.
 Arrange logistics for training activities
 Procure all necessary materials and supplies for training programs and events.
 Ensure that training rooms and equipment are prepared and ready for the trainer to use, and
provide any copying and materials needed.
 Address inquiries from trainees via telephone and e-mail.
 Maintain an up-to-date file of contacts for all individuals including trainers and students
involved in any program.
 Experience with proposal development and donor funded projects.
 Supervise all training activities and related activities beyond normal working days like
weekends
 Conduct training needs analysis for the projects
 Develop relationships with external training providers and other employees to deliver and
improve relevant training.
 Work with the Training Manager to develop and deliver an effective staff induction program.
 Assist the Training manager to prepare training proposal drafts, correspondences and reports
 Review, update the internal training plan, supervising training projects as and when required.
 Maintain files and databases on all studentship, monitor course progress, and ensure that fees
are paid on time.
Qualifications:

 Bachelor’s degree in education, Development studies, social science, or other relevant field
required
 Two (2) years of experience in organizational training or adult education.
 Experience in training costing
 Previous experience in marketing or other certifications
