DESK/MULTI-PURPOSE TABLES

1. Desks are kept clean, dust-free and


well maintained.
2. Tops of tables are cleaned after use.
3. No items except for UPS, CPU and
bags are allowed under or beside
desks.
4. Official files inside desk drawers are
systematically and neatly arranged
and clearly labeled.
5. All drawers are used only for storing
and filing office, documents, supplies,
reference materials and small office
equipment except for one personal
drawer.
6. Items stored inside drawers are
properly arranged.
7. At the end of the working day, only
the following items can be placed on
top of the table:
-Planner/ Desk Calendar
-small office equipment (e.g. stapler,
pencil, etc.)
-Telephone
-Inbox tray
-Task Lamp
-3 personal items ( e.g. figurines,
picture frames)

All items on top are properly arranged.


8. Conference tables are properly
arranged after use.

12.Filing cabinets are properly labeled
according to RM standard ( e.g. F1D1,
F1D2).
Communal cabinets and shelves
containing manual and other reference
materials are also labeled.
13.Files/ documents are systematically
neatly arranged inside the
drawers/cabinets and properly
labeled. Official files were labeled
based on the RRD and their captions
are neatly typewritten.
14.Charge our cards are provided and
placed in front each drawer containing
official files.
15.Master list of files is available,
updated and with complete
signatories.
16.Obsolete files are taken out from the
filing cabinets.

SEATING UNITS

17.Are kept clean and in good condition

18.Only bags, jackets/ blazers and pillow

properly arranged when not in use.

DIVIDERS

21.Are kept clean and in good condition


at all times.
22.Only corkboards, whiteboards, maps,
and authorized framed materials are
allowed to be hanged on dividers.

used for posting.

are neatly arranged and at proper

28.Posted materials on corkboards and
bulletin boards are always current.
29.Easel stands/mobile whiteboards are
set aside after used.

WINDOWS AND DOORS

cartons. Cartons containing work-
related items are properly
stacked/labeled in the stored room. In
the absence of stored room, a
designated temporary storage area,
labeled and properly arranged, can be
provided.
38.Are free from unsecured wires, cords
and other obstructions.

WALLS

39. Are free from stains and cobwebs.


40.Are free from memos, notes and
notices.
41.Company posters are hanged at
strategic areas ( if bulletin boards are
too small) but are to be removed
when campaign is over.

 Work-related/decorative framed
materials
 Directional/instructional
stickers/ signs
 Business and other permits
 Religious items

Note: Any new items that will be hanged/


nailed on walls are to be referred first by
Admin. Services are approval

COFFEE TABLES/ PANTRY

43. Are kept clean, dust-free and well-


maintained.
44.Are used for holding and storing
coffee and other beverages food
items.
45.Coffee, sugar, cream and other food
items are sealed in containers/packets
and placed in a tray.
46.No food remnants and drippings.
47.Utensils are free from food remnants,
stains, drippings, properly arranged
and in good condition.

turned off and set aside after use.
62.Wiring of equipment and appliances
are properly laid out. No octopus
connections.

DRESS CODE

63. Employee ID is worn at all times


within the premises.
64. IDs are not dilapidated and without
personal stickers.
65.Office attire is descent and
appropriate for office working
environment and must not allow the

Men and women can only wear “maong”


pants/jeans during Fridays or every last
working day of each week.

TELEPHONE COURTESY

66. Telephone calls are answered within 3


rings.
67.The person answering the phone
identifies himself/herself by saying
“thank you for calling (name of the
department). Good morning or Good
Atfernoon” as the case may be.

68.The caller is advised if the call will be


transferred to another person or
another local.
69.The person answering the p]hone
takes note of the message. If the
person he/she is looking for is not
available to take the call and ensures
that message is relayed.

There should be directory, notepad and
ballpen near the telephone unit.
