1.0 Background information

1.1 Introduction
This chapter covers the background information to the study defines the investigated and
its justification it covers the objects of the study in Addition, it covers the research
assumption and question to determine the extent to which quality and quantity
determination and its impact on the performance of organization. It also covers limitations
and operational definition of central terms.

1.2 STATEMENT OF PROBLEM

i) To know whether the organization is making profit or loss


ii) To teach the staff on various methods of stock taking

1.3 PURPOSE OF RESEARCH STUDY


To investigate the impact of quality and quantity determination of the performance of the
organization.

effectiveness especially when undertaking other programs.

The following importance helps in the study of research in an organization:
a)To indicate fitness of an item and quality linked to a product that is ability to satisfy
specification is drawn by the buyer to indicate that use of concern item so that the seller
deliver an item of the right quality.
b)Communication ,it communicates the requirement of the user to the supplier.
c) Facilitate comparison if aims at comparing what is supplied versus what is stated in the
specification.
d) It provides evidences the specification provides evidence in case of disputes between the
potential buyer and the supplier has agreed to supply.
e) To facilitate inspection and destiny if assists as an advance notice concerning to apply on
the goods purchased it is noticed in advance to the inspection department of the supplier.

documents containing information related to the research problem being investigated.

2.2.1 FACTORS TO CONSIDER IN DETERMINIG THE QUALITY OF GOODS
According to the handout (1.1.1) this are the factors:
Durability-it is the ability of the product to survive over a specific period of time under
stated condition in use without breaking down.
Reliability-this is the expected use a service for producing its lifetime before it goes bad.
Service stability-it is the speed, accessibility and ease of preparing of an item or having it
prepared.
Price-this is the exchange value of a product high quality product items rend to be sold at
high price and vice versa.

Performance-the product operation characteristics and it is ability toperform as


required by a buyer dictates its quality.

Aesthetic-personal judgement on how products look, feels, sounds, smell and tests etc.

Conformance-the degree to which the delivered products are able to meet the predermine
qualities.
Customer specification-the right quality is that which complies with this qualification that
has been laid down by customers.

-When the manufacturing process is secret or covered by patent rights the trade name is
used.

-Where manufacturing process involves a high degree of workmanship.

-When he manufacturing process of this nature cannot be clearly defined in specification


and therefore a brand name is the most suitable method of specification.

-Where the quality to be bought is small, it is usually unnecessary to prepare a detailed


specification by the buyer hence a brand name being used.

-Where the buyer cannot test the product that is being bought than branded name becomes
suitable.

-Where the design staff has a strong preference of branded items.

-Where the components of an item are well advertised such that buyers prefer specifying it
by brand name.

3.0 RESEARCH METHODOLOGY

3.1 INTRODUCTION

Methodology is the process of collecting information among different companies towards


any problem established in other words methodology is a systematic method were
researchers can use to explain and describe pressers when conducting work.

-Methodology helps researchers understand methods of collecting information within


different environment.

-It brings about establishing instrument, progress of conducting feedback.

-It helps any person to know difficulties and challenges which can carry out research.

-It also brings about comparison between any activities taking place so that better decision
can be made.

-It ensures a clear meaning of research is available among learners.

3.2 RESEARCH DISGN

Is the structure to be use by researchers when conducting field work where it provides
justification for any specific problem. Also it is a process and a strategy which help any
person to experiment, establish condition towards a particular problem.

SAMLING METHODS

1. Simple random sampling method

-is a technique where all individuals are given equal chances of selection towards any
research purposes.

2. Systematic sampling

-Is a method where any person may have some knowledge before conducting field work. It
is carried out step by step where all information can be obtained.

3. Cluster sampling

-it is a technique where individuals can be group together according to common similarities
and characteristics.

4. Convenient sampling method

-is a method where any researcher can apply personal skills and knowledge to carry out field
work.

3.5 DATA COLLECTION INSTRUMENT

Are those important instruments applicable when collecting information which will include
the following procedures;

a)Any researcher must obtain an introduction letter from the college to show researchers
reasons of conducting a research.

b)Identification of a research industry or Sacco.

c) Establishing same instrument to be used when collecting information.

3.5.1 QUESTIONNAIRE

The questionnaire was used as an instrument in the study because it is easier to administer
to many re spondents.The prepared questionnaires were sent to the respondents/managers
at different levels.

3.5.2 OBSERVATION SCHEDULE

This instrument was used in this study as it was appropriate for collecting data which
required verification by observation of relevant documents as well as physical structures
and environment.

3.5.3 INTERVIEWS

Through the interviews, the researcher was able to seek in depth responses that cannot be
deputed by questionneires.The researcher got an opportunity of probing for detailed clear

responses through a careful motivation of the target respondents and maintenance of


reports.

3.6 DATA ANALYSIS

Data analysis is a technique where a research will answer any responses so that to give a
clear meaning .The items in the research instrument were coded and entered in the
statistical package for social scientist computer programme. Data was the analyzed
quantitatively.Desreptive methods were employed and data presented in form of frequency
distribution tables that facilitated description and explanation of study findings. The SP8S
was used to generate frequency distribution table.

4.1 INTRODUCTION

Research finding is the process of combining information so that relevant knowledge is


enhanced. Research interpretation is a process of coming up with diagram to represent any
financial applicable when conducting research such diagram must be measurable to provide
suitable answer.

4.2 TO DETERMINE THE IMPACT OF RECEIVING AND INSPETION OF GOODS AND SERVICES
PERFORMANCE OF AN ORGANIZATION

Quality-it is the total features and characteristics of a product that produces it a ability to
satisfy the stated or implied needs.

Quantity-refers to the numbers of units of an item that held at a given time.

COMMENT

According to the research encounter conducted at Turkana county procurement office, the
research encounter the following finding accuracy provided 72, durability 58, quant ability
43, quality 86 and cost of effective was 10.

4.3 ASSES TECHNIQUE OF QUALITY AND QUANTITY IN AN ORGANIZATION


Under my observation observed that challenges facing receiving and inspection of goods
and services are:
a) The delivery is sent without supplier thus becoming difficult when it comes to inspection
of goods.
b) Sometimes there is no delivery note.
c) Sometimes you may reflect the goods and supplier also reject to take back.
d) Sometimes the delivery is delivered to add hours. Week end according to procurement
you may not allow to receive goods.
e) Sometimes the delivery is delivered to odd hours. Weekend according to procurement
you may allow to receive goods.

DETERMINATION OF THE PERFORMANCE OF AN ORGANIZATION.

Under my research we discussed solution for the challenges facing quality and quantity
determination of the performance of an organization.

-under quality and quantity of determination of goods the supplier must supply goods with
delivery note and with good quality and quantity.
-in procurement when we reject goods the supplier must be responsible to take back the
goods.
-the supplier must supply goods on working hours for procurement to receive and inspect it.

5.0 SUMMARY, CONCLUSION AND RECOMMENDATION

5.1 INTRODUCTION
Summary-is the process of analyzing chapter for finding which were acquired in a particular
research organization.
Conclusion-are those important answers obtain according to the summary to show any
feedback.
Recommendation-are those candidate points of view which can be made based on research
to bring about future improvement.

5.1.1 IMPORTANCE OF THE CHAPTER

-to help the candidate to understand a particular problem clearly.

-to bring about answers required when conduction field work.

-to help any candidate to develop and get skills toward any problem.

-to help organization understand their weaknesses as well as challenges

SUMMARY

To determine the impact of quality and quantity determination of goods and services on
performance of an organization. According to the research conducted at Turkana County
procurement office, the research encounters the following: finding accuracy, accountability,
quality and cost effect for the inspection to be done. Under my observation the supplier
must supply goods with delivery not so that goods may be inspected easily, goods must be
accompanied by supplier for the purpose of inspection and goods must supplied not odd
hours or weekend according to procurement rule.

COMMENTS
According to any investigation done during research at Turkana County procurement
encountered the following findings-Accuracy-20%,durability-16%,quanty ability-12%,quality-
24% and cost effective-28%

CONCLUSION
According to the research at Turkana County procurement office encountered that cost
effective and quality has high percentage frequency compared to accuracy, durability and
quant ability so you must be keen when inspecting goods after delivery, test other item to
confirm if it is good to be used or not.

The inspection and acceptance shall be immediately after the delivery of goods, works or
services:
a) Inspect and where necessary test the goods received.
b) Inspect and review the goods, works or services in order to ensure compliance with the
term and inspection of the contract.
c) Accept or reject on behalf of the procuring ending the delivered goods, works or services.

5.4 RECOMMENDATION

According to the research conducted at Turkana County procurement office observed that,
it provides good facility within Turkana County.

Turkana County has ac store that keep items and supply it to all procurement offices for the
purposes of good quality and quantity goods.

5.5 FURTHER PROPOSED RESEARCH STUDY


According to research conducted at Turkana County the researcher was interested on
another important items i.e. determining integration of receiving and inspection of within
Turkana.This was because not procurement activity were not integrated.
