Scan to PC on Windows® 7 Professional

Customer Tip
Customer Tip No 769, v1.0 / 011448 13 January, 2012

This document applies to Purpose


the Fuji Xerox products
indicated below. The purpose of this document is to assist with the configuration of the
Scan to PC feature when using a Fuji Xerox multifunction device to scan
X DocuCentre-IV back to a shared (SMB) folder residing on a PC workstation running
3065 Microsoft Windows 7 Professional.

2060 The prerequisites for this customer tip are that the Fuji Xerox
multifunction device is already configured and in use as a network
printer and the network scanning capability is available. The person
undertaking the following steps must also have sufficient permissions on
the PC workstation running Microsoft Windows 7 Professional.

NOTE: If any of the first 28 steps cannot be performed, contact your


Network/IT Administrator for further assistance.

Setting up the Shared (SMB) Folder on Windows 7.

1. From the PC workstation, click on the [Start] menu and then 'Right-
click' on [Computer] and then select [Manage].

2. From the column on the left side click on [Local Users and Groups]
and then open the [Users] folder.

3. In the right side column, click on [More Actions] and then select [New
User].

4. As per Fig 2. below, a user account must be created for the Fuji Xerox
multifunction device to be able to access the shared (SMB) folder.
Ensure the 'tick boxes' are set identically as per below.

NOTE: For the purpose of this customer tip both Username &
Password are: scans. You may choose to create something more closely
associated with your network setup or organisation name.

5. Click on [Create] and then [Close].

6. 'Right-click' on the newly created user and select [Properties].

7. Click on the [Member of] tab.

8. Select [Users] and then click on [Remove], [Apply] and then [OK].

9. Close the 'Computer Management' window.

NOTE: For the purposes of this customer tip the folder for scanning will
be created on the desktop of the Windows 7 PC workstation and will be
called 'scans'.

10. On the desktop, 'right-click' and select [New/Folder].

11. Name the folder.

12. 'Right-click' on the folder and select [Properties].

13. Click on the [Sharing] tab and then click on [Share].

14. Set the ‘Permission level’ for the user account created to
[Read/Write] and then click on [Share].

NOTE: If the user account created is not displayed in the window,


expand the drop down list above to locate the user account and then
click on [Add].

15. Click on [Advanced Sharing].

16. [Click] the ‘Share this folder’ tick box and then click on
[Permissions].

17. Click on [Add].

18. Confirm the ‘From this location’ field is displaying the PC name.
Enter the username created earlier and then click on [Check Names].

19. Click on [OK].

20. Select the user account from the ‘Group or user names:’ window.

21. In the ‘Permissions for’ window click the [Full Control] tick box
under the ‘Allow’ column.

22. Click on [Apply] and then [OK].

23. Click on [Apply] and then [OK] in the ‘Properties’ window.

24. Click on the [Start] menu button and in the ‘Search programs and
files’ field type in [cmd] and then press [Enter].

25. Type in [ipconfig /all] and then press [Enter].

26. From the information provided after entering the above command,
from the ‘Windows IP Configuration’ section obtain the [Hostname].

27. Browse further down and from the ‘Ethernet Adapter Local Area
Connection’ section, obtain the [IPv4 Address].

28. Close the window.

How to Enable Scan to PC

This section is to either confirm or enable the required settings to use the
‘Scan to PC’ feature from the Fuji Xerox multifunction device.

1. Press the silver [Services Home] button on the Control Panel.

2. Press the [Login/Out] button on the Control Panel.

3. Enter the System Administrator's User ID and then select [Enter] on


the Touch Screen. If 'Enter' is unavailable, select [Next] and then enter
the System Administrator's Passcode then select [Enter].

NOTE: The default System Administrator User ID is: 11111 and the
default System Administrator Passcode is: x-admin.

4. Select [Tools] from the right of the 'Services Home' screen.

5. Select the [System Settings] tab on the left.

6. Select [Connectivity & Network Setup] from the 'Group' column.

7. Select [Port Settings] from the 'Features' column.

8. Scroll through the list and select [SMB] and confirm if the port's status
is listed as 'Enabled'. If 'Disabled' is displayed, select [Change
Settings] twice, select [Enabled] then [Save] and [Close] twice.

9. Select [Common Service Settings] from the 'Group' column.

10. Select [Screen/Button Settings] from the 'Features' column.

11. Scroll through the list to select [Services Home] and select [Change
Settings].

12. Scroll through the list and pages to confirm 'Scan to PC' is displayed.

NOTE: If 'Scan to PC' is not displayed skip to step 15.

13. If 'Scan to PC' is displayed, select [Save] then [Close] twice and
then [Exit].

14. Press the [Login/Out] button to logout of 'Tools' mode.

15. When 'Scan to PC' is not displayed, select an entry displayed as


[Not Assigned].

16. Scroll through the list and select [Scan to PC].

17. Select [Save] twice then [Close] twice and then [Exit].

18. Press the [Login/Out] button to logout of 'Tools' mode.

Creating the Scan to PC Address Book Entry

1. Press the silver [Services Home] button on the Control Panel.

2. Select the [Setup] from the Touch Screen.

3. Select [Add Address Book Entry] from the 'Group' column.

4. Scroll through the list and select the first entry number displayed as
[Available].

5. Select [Address Type] and then [Server] and [Save].

6. Select [Name]. Use the keyboard to enter a name for this address
book entry and then select [Save].

7. Select [Transfer Protocol]. Select [SMB] and then [Save].

8. Select [Server Name/IP Address]. Use the keyboard to either the
'Hostname' or 'IP Address' of the PC and then select [Save].

9. Select [Shared Name (SMB Only)]. Use the keyboard to enter the
name of the 'Shared Folder' setup on the PC and then select [Save].

10. Scroll down and select [Username]. Use the keyboard to enter the
name of the 'User Account' created earlier and then select [Save].

11. Select [Password]. Use the keyboard to enter the 'Password' of the
user account created earlier and then select [Save].

12. Select [Save] again, then [Close] twice.

How to use Scan to PC

This section presumes all above steps have been followed and provides
the steps to use the 'Scan to PC' feature on the Fuji Xerox multifunction
device.

1. Place the document to scan into the Automatic Document Feeder


(ADF).

2. Press the silver [Services Home] button on the Control Panel.

3. Select the [Scan to PC] icon from the Touch Screen.

4. Select [Address book].

5. From the left side, select the address book entry created above and
then select [Add] and then select [Close].

6. Press the green [Start] button to start scanning.

7. As the document is scanning, press the [Job Status] button.

8. Confirm the job status of the job displayed under the 'Active Jobs'
tab.

NOTE: If the job is not displayed under the 'Active Jobs' tab, select the
[Completed Jobs] tab. The job should be at the top of the list that is
displayed.

9. If the status of the scan is displayed as 'Completed' this means the


scan was successfully transferred to the folder on the PC.

10. If the status of the scan is displayed as 'Completed-Error' this


means scan had failed to be transferred to the folder on the PC. Select
the [Completed Jobs] tab. Select the job itself in the list and obtain the
'Status' code.

Common Scan to PC Error Codes

027-516: Server Connection Error. This code indicates the scan transfer
was unable to locate the shared folder on the PC workstation. This code
can be generated by the following:
- The network cable is unplugged.
- The 'Hostname' or 'IPv4 Address' was entered incorrectly in the
address book. Please refer to the third section of this customer tip.
- The Firewall/Antivirus software on the PC workstation is blocking the
scans transfer.
- The 'File and Print Sharing' has been disabled within Windows 7's
'Control Panel'.

027-513: User account has insufficient permissions. This code indicates


that the when attempting to transfer the scan in to the folder on the PC
workstation, the user account had insufficient privileges. This code can
be generated by the following:
- The 'User Account' was entered incorrectly in the address book. Please
refer to the third section of this customer tip.
- The 'User Account' has no access at all to the folder. Please refer to
the first section of this customer tip.
- The 'User Account' has no 'Write' access to the folder. Please refer to
the first section of this customer tip.
- The 'User Account' has 'Write' access only, which is insufficient.
Please refer to the first section of this customer tip.

018-543: Error with the folder name. This code indicates that the folder
name was entered incorrectly in the address book or the folder's settings
for sharing are incorrect. Please refer to the first section of this customer
tip for the folder settings and the third section for the address book
settings.

018-505: The user account's 'Password' was entered incorrectly in


the address book. Please refer to the third section of this customer tip.
