1 Institutional Vision and Leadership

6.1.1 The governance of the institution is reflective of an effective leadership in tune with the
vision and mission of the institution

Vision

To become a centre of excellence in the field of engineering through futuristic technical


education with high moralistic values, to empower students to achieve their full potential to
withstand the global competition.

Mission

To provide an outstanding technical education that combines vigorous academic study to


experience learning success and become lifelong learners to practice sustainable development.

The nature of governance, perspective plans and participation of the teachers in the
decision making bodies.

Ponjesly Charity Trust was founded in the year 1991. Shri. Pon Robert Singh Chairman
of Ponjesly College of Engineering is a young & dynamic entrepreneur, who is not only an
academic visionary but also an eminent industrialist chairman Pon Robert Singh is also the
founder of other institutions Ponjesly College of Education & Ponjesly Matriculation school. The
Ponjesly College of Engineering was established in the year 2004 by the ponjesly charity trust
and the name of Ponjesly Engineering College is carried in golden letters among the engineering
education of tamilnadu by the able administration and dedication of chairman Shri.Pon Robert
Singh. The Ponjesly College of Education was established in the year 2007. As an industrialist
Shri.Pon Robert Singh, Managing Director of Ponjesly Filaments Pvt.Ltd, have won a good
name in the Nylon Filament sector. On the whole chairman Shri. Pon Robert Singh is an
enthusiastic youngster who works for the betterment of the society. The main objective of the
Trust has been focused on starting the Educational Institutions Schools, Engineering Colleges,
Teacher Education Colleges, Medical Colleges, Law Colleges, and Arts and Science Colleges to
provide quality education to the entire student community at all levels.
Ponjesly College of Engineering is committed to provide quality technical education to
all, and to prepare the students with requisite knowledge, skills and competency to face the
challenges of the changing world of tomorrow, and the aim is, their own educational institutions
are the best engineering college, best placement engineering college, university rank engineering
college in Nagercoil - Kanyakumari district. Chairman Shri. Pon. Robert Singh accepted the
challenge of as long as technical education a real meaning and a new dimensional to empower of
the society.
To monitor and advise college on academic matters, the college has a Governing Council
comprising educationists, meeting once a semester. The composition of the Governing Council

The commencement of new courses, expansion of infrastructure, implementation of


strategy, utilization of the natural resources around the campus and other vital decisions are
approved by the management and implementation process were discussed with the Principal and
Heads of the departments for execution. The top authorities of the management headed the
periodical meetings of the Governing Council and monitor the progress of implementation.
The institution has a perspective plan for its development. Improvising the existing
facilities, advancement of new ventures for R&D, expansion of infrastructure by means of
laboratories, library resources, class rooms, meeting halls and sporting facilities are the usual
criteria in the annual plan of the institution. The academic plan (semester wise) is prepared by
the Principal after having discussions with advisor and the HODs. The scheduling of industrial
visits, conferences, workshops, seminars, FDPs, association activities, club activities regarding
college fine art programs, sports tournaments, recruitment and functions is done after having
discussions with the HODs, conveners and team leads.
The Principal and the HoDs concerned take decisions in all academic matters. The
advisor and director conduct regular meetings with the Principal, faculty, cells, students and
parents. Faculty meetings with the HOD play a pivotal role as the collective suggestions are well
examined later in the HODs meetings with the Principal. Principal’s subsequent meetings with
the top management and advisor ensure that all the information and suggestions reach from
bottom to top and from top to bottom in a smooth fashion. Most rules and regulations are
circulated among staff, and decision is taken only after a thorough discussion with the
stakeholders. The final decision taken is circulated among all stakeholders for adoption. The
travel of smooth communication paves way for successful interaction, feedback, team work and
new ventures. Organizational changes are effectively implemented not only based on needs but
also in view of excellence.
All the departments are headed by experienced professors who have vast experience in
the field of engineering education. All the faculty members are qualified with a minimum
qualification of Master's degree. The total build–up-area of our college is around 5 lakh sq.feet.
The college provides conducive atmosphere for learning in the class room and for self-
learning in the laboratories. All the departments are equipped with Overhead Projectors and LCD
Projectors for classroom teaching. The College library is spread up over an area of 5000 sq.feet
and has 20000 volumes of books, national and international journals of repute. The Placement
Cell is headed by the Placement Advisor Dr.S.Selvam, Ph.D,Former Director-CUIC,Anna
University-Chennai .

6.1.2 The institution practices decentralization and participative management

Participative Management is one of the core cultural features of the institute. Participative
management provides extensive scope for having collaboration among the departments and
ensures the quality of planning and implementation of all the activities in the institution
uniformly and as a team. Management representatives, Principal, Faculty members and students
play important role in participative management. They can provide ideas and constructive
suggestions on the operational activities of the institute. Management representatives involves in
maintaining quality and welfare aspects of the Institute. Principal drives all the academic and
non-academic activities involving HODs and faculty. The management is also open to the ideas
and suggestions given by the faculties in implementing the policies framed. Principal heads the
academic, administrative and other matter related to students. He has full authority on academic
activities and formations of various committees. He delegates various roles to the members in the
committee to act autonomously.

The head of the department has been bestowed with the authority of deciding the
activities and delegating the responsibilities to the staff members. The department decides on
timetable, subject allocation, purchase and maintenance of equipment and consumables,
organizing conferences, symposia, guest lectures and workshops and recommends necessary
industrial visits, in-plant trainings and internships. All the academic activities are centralized and
decisions are taken based on discussion in the class committee meetings, department meetings,
faculty meetings, HODs’ meetings with Principal and HODs meetings with governing council.
The Principal coordinates with the departments, administration and management. One of the
objectives is to mentor the students as productive citizens for the society at large as participative
management. Towards that end a mentoring system that provides a guide line to the students was
conceived and implemented with the participation of the faculty members. The mentoring system
comprises of different steps. The initial step is to allocate a set of students to each faculty. Each
and every faculty maintains the record of complete students’ profile. A schedule is put in effect
periodically for monitoring their performance. In addition to curriculum, the extra-curricular and
co-curricular activities are also considered for mentoring.

Every year Academic Planner is prepared at the closure of the previous academic year. Principal
will convene the HODs’ meeting. HODs, Dean, Training & Placement, Sr. Librarian and
Director of Physical education will attend the meeting. The schedule of the following will be
discussed and finalized in accordance with the schedule received from affiliating university

The schedule approved by the Principal will be sent to governing council approval. After
receiving the approval, permission will be granted for the committees concerned for the
preparation of Academic Calendar. Nearly 90% of the events as per schedule is conducted every
year. The remaining percentage rescheduled due to unforeseen reasons with the approval of
Principal and Dean. The prior preparation of academic planner helps in identifying resource
persons for different activities mentioned and enables the management to invite celebrities for
the bigger functions. Further, student club activities are designed as and when the academic
planner provides the available time. Smart class rooms, Seminar Halls, Placement Conference
Hall, Mechanical Auditorium, Main Auditorium and Football Gallery are the venues for the
above mentioned activities.

6.2 Strategy Development and Deployment

6.2.1 Perspective/Strategic plan and Deployment documents are available in the institution

• The Institution has designed a perspective plan for the development. Some of the
characteristics of the plan involve the following.

• Creating a conducive learning environment.

• Improvising the infrastructure to facilitate learning.

• Disseminating best practices for Teaching and Learning to the faculties.

• Promotion of consultancy and research to the staff and students.

• Highlight the innovation and creativity in all aspects of activities of the Institution.

• Focusing on multi-dimensional evaluation areas. This helps in moulding the students to


meet employers’ requirements.

• Apart from academics, the student community is encouraged to participate in co-


curricular and extra-curricular activities

6.2.2 Organizational structure of the institution including governing body, administrative setup,
and functions of various bodies, service rules, procedures, recruitment, promotional policies as
well as grievance redressal mechanism
Organization chart provide the functional and relational hierarchy of the institution. Chairman,
heads the institute and looks after all the functions of the institution including academic,
administrative and developmental activities. Under Chairman, Principal and Director help to
maintain the management system. He works towards making the institution to attain its goal of
academic excellence and keeping pace with the emerging trends and development of educational
innovation with the help of Trust members. Decisions arrived by the management team are
issued through the Principal who acts as the main coordinator between all the three entities – the
management, the staff members and the students. The principal heads Audit, R&D, Academics,
Examination, Hostel, and Administrative Office. Coordinators are responsible for overall
functions of the department including budgeting, academics and student improvement programs

6.5 Internal Quality Assurance System

6.5.1 Internal Quality Assurance Cell (IQAC) has contributed significantly for institutionalizing
the quality assurance strategies and processes

• There is a centralized examination cell to conduct the unit tests and the model
examination (Unit test for a period of 2 hour with 68 marks and the model examination
for a period of 3 hours with 100 marks).

• The examination cell has been functioning effectively and the staff handling the subjects
prepares 3 question paper for each subject and hands over the same to the examination
cell, examination cell allots the invigilators and the invigilators in general are from
different departments.

• After monitoring the progress of the students, the management introduced a re-test
procedure for slow learners; a separate question paper is prepared for retest and the slow
learners are thus given another chance to improve performance

• The examination cell in charge select one of the three question papers at random and the
same is given on the day of unit tests, model examination and from the remaining two
one is chosen for the corresponding retests.

• The preparation of multiple question papers for one course with a few repeated questions
enables the students getting exposed with more number of possible questions for their
end semester examinations, which in turn improves their performance in the university
examinations.

• The teaching learning process is continuously monitored and reviewed by the Head of the
departments and coordinators reported to the Principal and the management

• Apart from the regular class room lectures by the faculty members for each course,
students are given opportunities to attend the guest lecture from industrial experts in the
smart class rooms.

• The contents of this type of lecture are beyond the syllabus and they expose the industry
requirement to the students. This lecture facilitates the students to know in depth about
the industry requirement and the necessary skills they should equip with for placement.
• The interactions with industrial experts narrow down the gap between the institute and
the industry requirement which helps the management in identifying the necessary soft
skill development required for the students.
