NOTES ABOUT RATES USED IN THE SPREADSHEET
The purpose of this spreadsheet is to provide a method for smaller plumbing & drainage
contractors to arrive at budget costings for projects where the expense of a full estimating
suite is not justified. The rates used within the spreadsheet are the same as used in the
printed version of the guide, and provide approximate costing information for the various
items as described throughout the printed version. The rates used throughout will be low for
some types of work, and high for others. Costs of plumbing & drainage works will vary due to
a large number of factors, and your own particular circumstances must be taken into account
when using the spreadsheet. The summary sheet does allow you to adjust your costs to suit
your particular circumstances & project.
Unless noted otherwise, all piping described as laid in ground has been allowed at a
maximum of one (1) metre depth. Users will need to make additional allowances where
piping is required to be laid at depths greater than this.

The rates within this spreadsheet have been calculated using published material prices from
plumbing merchants where plumbing contractors would ordinarily purchase materials. Due to
fluctuations in materials prices from time to time, users of this guide will find it necessary to
keep themselves informed as to the current state of material pricing and adjust their tenders
accordingly.
The labour rate used in calculating the rates as set out below is $75.00 per hour. An
example of how this figure has been reached is outlined in the Australian Plumbing Cost
Guide – Print Version section titled Calculating Your Charge Out Rate. Contractors will find
it necessary to calculate their own labour & overhead cost figure & adjust their costs to suit
their own business circumstance.
Those unfamiliar with the “standard rates” style of estimating may disagree with some of the
labour constants used in the spreadsheet – remember they are a guide, not an exact answer

of the time taken to install an item. Again they will be high in some instances, and low in
others. Example, a 50 mm PVC sanitary plumbing bend has a labour allowance of 0.26
hours, (15.6 Minutes), however many plumbers might say that this will only take, say, 5
minutes to install. Remember that installing the item is only one part of the work required to
entirely complete the installation. The labour rates used within this spreadsheet are the same
as used in the printed version of the guide and make some allowance for the following items
¾ Purchasing/ordering the materials from suppliers.
¾ Getting supplies from site shed / truck to the work site.
¾ Short planning of the work to be undertaken.
¾ Cutting, measuring, & dry fitting items.
¾ Actually installing the described item.
¾ Returning tools / supplies from site shed / truck to the work site.
¾ Quick cleanup after the work is complete.
¾ Testing the complete work.

HOW TO USE APCG – SPREADSHEET COSTING VERSION
¾ The use of Australian Plumbing Cost Guide - Spreadsheet Costing Version requires a basic
knowledge of computers & their operation and basic knowledge of the use of spreadsheet
software.
¾ Please note that we are here to help. If you require assistance in using the spreadsheet, do

¾ We have included a copy of ‘OPEN OFFICE’ for those users who do not have a full office
software suite. This is the file openoffice.exe. Simply click on the icon and follow the
instructions to install. Further information on this free office suite can be obtained at
www.Openoffice.org
1.1 WHAT IS A SPREADSHEET?
Most of you will be familiar with word processing software, which can be likened to a blank
piece of paper in a typewriter. A spreadsheet is similar, in that it provides a blank grid,
arranged into columns and rows. Each square in the grid is a cell, which has a unique
reference. These “cells” can be interrelated, and used to perform quite powerful
mathematical calculations, as has been done with the Australian Plumbing cost Guide –
Spreadsheet Costing Version.

1.2 WHAT'S ON THE DISK
There are two files on the disk
¾ APCG-SPS-MONTH-YEAR.XLS - this is the spreadsheet containing the current fire and

hydraulic services rates from the current edition of the Australian Plumbing Cost Guide.
¾ OPENOFFICE.EXE - This is a copy of the freely available office suite OPEN OFFICE. Simply
clicking on this icon will install this free office suite on your computer
1.3 TRANSFERRING FILES FROM THE CD
We recommend that you set up a separate folder on your computer named “project
estimates“ or some other such name that you will remember and copy the file APCG - SPS
MONTH YEAR.XLS into this folder. This file will be your master spreadsheet. You should
never use this spreadsheet for estimating your projects. It will be your master spreadsheet
and you will always be able to copy this if you damage or lose a copy of your working
spreadsheet.
1.4 OPENING AND SAVING YOUR FILES
Open your master spreadsheet, and go to the file menu and click “save as”, and then file this
spreadsheet in your estimates folder under a name that you will remember and has some
reference to the project your estimating e.g. – QUOTE 1234 – OCT 2006.XLS. This will now
be your spreadsheet for estimating this project.

1.5 SAVING YOUR WORK
¾ Rule number one -- save your work frequently.
¾ Rule number two -- save your work frequently.
¾ Rule number three -- save your work frequently.
Many spreadsheet programs do not automatically save your work, hence the importance of
saving your work frequently especially on an estimate with many entries, is very important.
We recommend that you save your work a minimum of every 15 minutes to half-hour,
otherwise you might find you have spent an hour or so entering data into the spreadsheet,
only to find a power surge, blackout, or simple computer error has wiped out your work since
the last time you saved.
You can set up autosave in Microsoft Excel by going to tools>options>save and then
checking save in the auto recovery information box, and in the box next to that entering the
time to auto save. We recommend every 10 to 15 minutes as a maximum time.
1.6 MAKING BACK UPS
The importance of backing up your work as you go along cannot be stressed too strongly.
Whilst we are all careful to protect against obvious viruses and so on, there are a myriad of
things that can go wrong with your original file. Get into the habit of saving frequently to avoid
losing work through ordinary crashes (those happen to EVERYONE) and save the whole file
at the end of each session onto floppy disc or CD disc as well for storage outside your
computer for future reference.
1.7 ENTERING QUANTITIES & DATA
On the summary sheet page input your specific job data into the text boxes containing green
text. These are merely reference boxes that provide you with general information when
referring to your estimate in the future.
On each of the service tabs you will find a single column where you can enter quantities.
Enter your quantities in this column and the rates will be automatically tabulated in the
columns following across on the services sheet you're presently using. They will also be

totalled at the bottom of each service sheet you're presently using, and the sum total of all
costs will then be automatically transferred to the job summary sheet.
1.8 ENTERING DATA IN A SPREADSHEET - MOVING ABOUT THE SHEET
If working in a spreadsheet is new to you, the first thing to understand is how to move round
the grid. For speed of entry, you might find that you can use your mouse less on a
spreadsheet, and your keyboard more.
The Tab key (to the left of Q on your keyboard) will also move you to the next cell on the
right.
To enter data, use the cursor keys to move to the required cell so that it is highlighted, and
then type. Note that the data is not entered in the cell until you press either Enter or Tab.
Note: In Excel, pressing Enter will move you down automatically.
If you have made a mistake Excel: move back to the cell, and type the entry again; when you
press Enter, the data in the cell will change. You can also double click on the cell and edit the
contents.
If you make a mistake, and enter a hyphen followed by pressing a cursor key, you will begin
a formula – DON’T PANIC! Simply press the Esc key to get out of the problem go back to
what you were doing.
1.9 PRINTING REPORTS
You can print reports of your estimate individually by selecting the ‘print active worksheet’
when in the print dialogue box, which will print the sheet that you are presently on, or you can
select a number of tabs, and when in the print dialogue box selecting ‘print selection’ which
will then print the selection of tabs you have highlighted.
Many people will simply want a full printout of all sheets, and this is done when in the print
dialogue box by simply selecting ‘print entire workbook’ and the summary sheet and all of
individual service sheets will be printed out.

1.10 ESTIMATING TIPS
The following are a few tips that will ensure accurate and timely estimates.
¾ Use highlighters or coloured pencils to mark the items you have taken off and listed in your
estimate. Use a different colour for each service. This is the easiest way to ensure that
you’ve measured something.
¾ Don’t combine services when doing your takeoff, even if the materials are the same type.
This is the easiest way to get confused when estimating. ALWAYS takeoff each service
COMPLETELY independently of each other service.
¾ Save your work frequently!!!

Getting Started with Microsoft Excel
Starting Excel
You can start Excel by:
1. Double-clicking on the Microsoft Excel application icon. This application is usually in a folder called
Excel. An alias for this icon appears on the desktop of the computers in the Student Microcomputer
Facility.
2. Double-clicking on the icon of any Excel document. When you double-click an Excel document, Excel
opens w ith the document already loaded.
Exploring the Excel Interface
Components of the Excel Window

Besides the usual window components (close box, title bar, scroll bars, etc.), an Excel w indow has several
unique elements identified in the figure below .
Getting Started with Excel
display multiple toolbars at the same time. The Standard Excel XP toolbar appears in the figure below .
Formatting toolbar
The Formatting toolbar, located beneath the Standard toolbar bar, has buttons for various formatting
operations like changing text size or style, formatting numbers and placing borders around cells.
Formula bar
The formula bar is located beneath the toolbar at the top of the Excel w orksheet. Use the formula bar to enter
and edit w orksheet data. The contents of the active cell alw ays appear in the formula bar. When you click the
mouse in the formula bar, an X and a check mark appear. You can click the check icon to confirm and completes
editing, or the X to abandon editing.
Name box
The Name box displays the reference of the selected cells.
Row and column headings

Letters and numbers identify the rows and columns on an Excel spreadsheet. The intersection of a row and a
column is called a cell. Use row and column headings to specify a cell's reference. For example, the cell located
w here column B and row 7 intersect is called B7.
Active cell
The active cell has a dark border around it to indicate your position in the w orksheet. All text and numbers
that you type are inserted into the active cell. Click the mouse on a cell to make it active.
Fill handle
The low er right corner of the active cell has a small box called a Fill Handle. Your mouse changes to a cross-
hair when you are on the Fill Handle. The Fill Handle helps you copy data and create series of information. For
example, if you type January in the active cell and then drag the Fill Handle over four cells, Excel automatically
inserts February, March, April and May.
Worksheet tabs
An Excel w orkbook consists of multiple w orksheets. Use the worksheet tabs at the bottom of the screen to
navigate betw een w orksheets w ithin a w orkbook.
Working with Excel documents
Opening and Closing Documents
To open an existing Excel w orkbook, choose Open from the File menu or click the Open tool on the
toolbar.
Excel w ill display the Open dialog box, w hich is similar in appearance and function to the Save As dialog box. It
contains a File Name: box for you to type a file name or file specification, a Look In: box to designate a
location, and a drop-down menu of file types.
To open a file, select the appropriate location by clicking on the dow n pointing arrow next to the Look In:
selection box. Excel w ill display all Excel files found there. Select the file you w ish to open and click Open to
open the file.
Saving a Document
To save an untitled Excel workbook, from the File menu choose Save As or click the Save button on the
toolbar (show n at right). The Excel Save As dialog box is the same as the Open dialog box above
except it is labeled "Save As"
The Save As dialog box contains a text box for you to type a specific filename, a "Save File as Type:" box to
save your workbook in a different format that other programs can read, a selection box to designate the folder
and drive in which to save the file, and a "Places Bar" that offers other locations to save your file.
Difference between Save As and Save

Notice on the File menu there is a Save command and a Save As command. Use Save to save an existing
w orkbook with the same name in the same location. Use Save As w hen you want to save a file with a different
name or save it in a different location. For example, suppose you are working on a w orkbook called
BUDGET.XLS. After you edit the w orkbook, you should save it again using the Save command. The Save
command w ill replace the copy on the hard drive w ith w hat is in memory (what you see on your screen). At the
end of the day, you might want to save a copy of the file on a diskette to take home. Choose Save As and
select the proper drive in the Save As dialog box. This will create another copy of the file on your diskette.
Creating a New Workbook

If you are already in Excel and you w ant to create a new workbook, choose New from the File menu or
click the New tool on the toolbar. If you choose New from the file menu the Task Pane will open on the
right side of the Excel w orksheet. To create a blank w orkbook, click Blank Workbook in the Task Pane,
and a new workbook opens.
Managing Multiple Workbooks

Excel enables you to have more than one w orkbook open simultaneously. Each open workbook appears on
the Window menu. The document w ith the check next to it is the active document. To switch to another
document, simply choose that document from the Window menu.
To navigate betw een w orksheets w ithin a w orkbook, click the worksheet tab you w ant to activate. Double-
click a w orksheet tab to change its name.
Entering and Editing Data
Entering Data
You can enter text, numbers and dates in an Excel w orksheet. In Excel¹s terminology, numbers and dates are
called values and text is referred to as a label. To enter data of any type, click on the cell you w ant to contain
that data, and then type the information you want in the cell. When you begin typing, your data also appears
in the formula bar. When you have finished typing the data for the active cell, press the Return or Enter key.
Editing Data
The easiest w ay to edit the contents of a cell is to select the cell and then retype the entry. The new entry
replaces the old contents. For example, to change the number in cell B6 to 199, select cell B6, type 199 and
press Return. This method w orks w ell w ith numbers, but is more difficult when editing long text labels or
formulas.
The formula bar gives you more flexibility while editing. W hen the mouse pointer moves into the formula bar, it
changes shape to an I-beam, signifying that you can enter or edit text. Text in the active cell appears in the
formula bar and you can edit it there. Use the mouse to select the text you want to change in the formula bar
and then type the new text. Excel automatically replaces what is selected. Don't forget to press the Return
key w hen you finish editing a cell.
You can also edit labels and values directly in cells. Double-click on the cell you w ant to edit. This puts an
insertion point in the cell. Edit the contents of that cell the same w ay you w ould using the formula bar.
Moving the Active Cell

Cell selection and movement around the w orksheet are similar operations in Excel. To select a given cell or
make it active, simply click on that cell. Use the mouse or the arrow keys to move around the w orksheet. For
example, if you press the right arrow key twice you move tw o cells to the right.
Refer to the table below for additional information on using the keyboard to navigate a w orksheet.

Go To Command
A quick w ay to move a large distance on a w orksheet is w ith the Go To command on the Edit menu. When you
select the Go To command, a dialog box prompts you to identify the cell. Enter the cell reference and click OK
or press Return.
Clearing Cell Contents

To clear the contents of a cell choose Clear from the Edit menu. Then, select w hat you w ant to clear from the
cell: All, Formats, Contents, or Notes. Most frequently you w ill w ant to clear the Contents of a cell. Pressing the
Delete key also clears the contents of cells.
Undoing Mistakes
If you make a terrible mistake and you accidentally delete important data. Use the Undo command on the Edit
menu or the Undo tool to correct the mistake.
Copying and Moving Data

Copy selected data from one cell to another with the Copy and Paste commands, or w ith the Drag and Drop
procedure. If you w ant to move data instead, use the Cut and Paste commands, or the Drag and Drop
procedure.
These commands and procedures are described below .
Cut
The Cut command extracts the selected data and puts it on the Clipboard, a
temporary storage area. The contents of the Clipboard are overw ritten with
each copy or cut.
Copy
The Copy command puts a copy of the selected data on the Clipboard.
Paste
The Paste command inserts the Clipboard¹s contents into the active cell.
Selected data is replaced by pasted text.
Drag and Drop
This procedure does not involve the Clipboard and w orks best w hen moving
data a short distance. To move cells, position the mouse on the cell borders.
Wait until the mouse changes to a left-pointing arrow . When the mouse is this
shape, press and drag the data to the new location.
Formatting Data
Changing formats using the toolbar

In Excel, you can change text fonts and styles in the w orksheet. Excel has a Formatting toolbar to simplify
basic formatting tasks. The Formatting toolbar appears in the figure below.
The formatting toolbar has several tools you can use to change formats. The B button makes cells bold, the I
button italicizes cells and the U button underlines. Use these buttons to turn formats off as w ell as on. For
example, if cells are bold and you w ant to turn off that format, select the cells and click the B button. The
toolbar also has buttons to change font and size.
Font tab in Format Cells

The formatting toolbar offers quick access to varying text formats. For a more complete selection of formatting
options, use the Font tab in the Format Cells dialog box.
In the Font section you can select Font, Size, Style, Color and Effects. Notice the Preview area in the dialog
box. This show s a preview of the font and style you select before you click the OK button.
Alignment
By default, Excel left-aligns labels and right-aligns values in a w orksheet. You can change cell alignment using
the toolbar or the Format Cells command.
The toolbar has text alignment icons next to the bold and italic icons. You can left-align, right-align, or center
text w ithin a cell using these buttons. Select the cell(s) you w ant to align and click the appropriate alignment
button on the toolbar.
The toolbar also has a button that w ill center a label over a range of cells, for example centering a title
over a report. To center data over a range of cells, select the cell you w ant to center and the columns
you want to center it over and click the Center over Cells button (show n at right).
Format Alignment command

You can also change the alignment of data w ithin cells using the Alignment section of the Format Cells dialog.
This dialog box also has options to change the orientation of text (i.e. sideways or vertical) and a box to w rap
text w ithin a cell.
Changing Numeric Formatting

To change the format of a number, choose the Cells command from the Format menu. In the Format Cells
dialog box, Excel displays different tabs for various formatting types. To change numeric formats, click the
Number tab. Select the category you w ant and then the actual format. For example, to display numbers as
currency w ith tw o decimal places, select the Currency category, enter 2 for the number of decimal places, and
select the appropriate currency symbol. Or to display a number as a percentage, choose the Percentage
category and select the number of decimals you want to display.
Placing borders around cells
The toolbar has a button for placing borders around cells. You can also use the Border section of the
Format Cells dialog box, w hich provides more options. Select the cells you want a border on and
choose the desired format from either the toolbar or the Format Cells dialog box.
Shading Cells
To apply a specific pattern or color to a range of cells, use the Patterns section of the Format Cells
dialog box. The sample area in the Patterns dialog box displays w hat the selected colors and patterns
w ill look like. You can also apply a solid color using the Fill Color tool on the Formatting toolbar.
Changing column width with the Format menu

To change column w idth using the Format menu, select the column or columns you w ish to change and choose
Column then Width. In the Column Width dialog box, type a number for the w idth of the column. The number
represents the number of characters that can fit in the cell. The default column w idth is 10, w hich means a
column is w ide enough for ten, Helvetica 10-point characters. Choose Best Fit to automatically widen a column
to accommodate the w idest label, or click the Hide button to hide the column completely. Hiding columns is
useful w hen you have data that you do not w ant to print.
* Changing row height is similar to changing column width. Select the row (s) you w ish to change and
choose Row then Height from the Format menu.
Changing column widths by dragging column borders

You can change column w idths by dragging column borders w ith the mouse. Move the mouse pointer to the
right hand border of the column you w ish to change. The mouse pointer will change shape to a left and right
pointing arrow as seen below .
Click and drag the mouse to adjust the column w idth. Note that w hen you are adjusting the width in this w ay,
a numeric width indicator appears in the upper left part of the formula bar.
Formulas and Functions
Formulas and functions that perform calculations are the true pow er of spreadsheets.
Formulas
To build a formula, first select the cell in w hich you w ant the results to appear. In Excel, all formulas start with
the = sign. After the = sign, type the cells you want to add or subtract along w ith the mathematical operation
you wish to perform. For example, to add the January sales in the worksheet below , the formula w ould be
=B3+B4+B5. If you want to subtract February W idget Sales from January Widget sales, the formula w ould be
=B3-C3.
Building many formulas can quickly become tedious. Fortunately, the Copy command described earlier also
w orks w ith formulas.
Copying Formulas
The easiest w ay to copy a formula is w ith the Fill Handle in the low er right corner of the cell. Create your initial
formula and then position the mouse on the Fill Handle. When the mouse changes shape to a cross-hair, press
and drag over the adjacent cells you w ant to copy the formula to.
SUM( ) function
The SUM( ) function is probably the most common function in Excel. It adds a range of numbers. To build a
SUM( ) function, begin by typing the = sign; all functions begin w ith the = sign. Next type the w ord SUM
follow ed by an open parenthesis. You must now tell Excel w hich cells to sum. Using the mouse, click and drag
over the range of cells you w ish to add. A dotted outline w ill appear around the cells and the cell range w ill be
displayed in the formula bar. When you have the correct cells selected, release the mouse button, type a
closing parenthesis and press the <Enter> key.
If you do not want to use the mouse, type in the references of the cells you want to sum. For example, to add
cells B3 through B5, type =SUM(B3:B5). Excel interprets B3:B5 as the range of cells from B3 to B5.
AutoSum button
In Excel, the standard toolbar has a button that simplifies adding a column or row of numbers. The
AutoSum button, which resembles the Greek letter Sigma (show n at right), automatically creates a
SUM( ) function. When you click the AutoSum button Excel creates a sum function for the column of
numbers directly above or the row of numbers to the left. Excel pastes the SUM( ) function and the
range to sum into the formula bar. If the range is not correct, simply select the proper range w ith your
mouse on the worksheet. When you have the correct range entered, press the <Enter> key to
complete the function.
Using the Insert Function Button
The Insert Function Button is located by the Formula Bar.

Click the Insert funtion button in to activate the Insert Function dialog window.
First, choose the Function Category you are interested in from the select a category drop dow n menu.
Then select the function you w ant in that category. When you have selected the proper function click OK.
In the Function Arguements dialog box you specify the cells the function will operate on, which are called its
arguments. Select the cells w ith the mouse and click OK. Notice the creation of the function in the formula bar.
Adjusting Page Setup settings
Before you actually print a w orksheet, you should provide Excel information about margins, headers, footers,
and page orientation. You change these settings using the Page Setup option on the File menu.
The Page Setup dialog box, show n below , has controls for margins, page orientation, headers and footers and
w hether gridlines and row and column heading should be printed.
To change page margins

To change your margins, click the Margins tab, and enter the measurement for your margin, in inches, in the
appropriate text box.
To change page orientation

If you want to change the orientation of the page from portrait (vertical) to landscape (horizontal) click the
appropriate button in the Page Orientation section of the Page tab.
To change the header or footer

A header is text that prints at the top of each page. A footer is text that prints at the bottom of each page.
Headers and footers often include the name of the file being printed or an alternative title, the date, page
number, or additional descriptive information. To change the header or footer, click on the Header /Footer tab
in the Page Setup dialog box. The current header and footer w ill appear at the top and bottom of the dialog
box respectively. Click the Custom Header or Custom Footer button to change the existing header or footer.
The header and footer are divided into three sections (left, center and right). Press <Tab> or <Shift Tab> to
move from section of the header or footer to another.
Printing
Print preview
Before you actually print, it¹s a good idea to preview your output on the screen.Choose Print Preview
on the File menu to preview your output on screen. Excel¹s Print Preview screen displays how the
document will print on the page, but it is difficult to actually read the text. Notice that the mouse
pointer takes the shape of a magnifying glass. You can enlarge the printed image by clicking the Zoom
button or by using the magnifying glass. Simply click the magnifying glass on a part of the page you
w ant to enlarge.
The Print Preview screen also has several buttons at the top of the screen for making adjustments. For
example, the Setup button opens the Page Setup dialog box and the Margins button lets you change page
margin and column w idths to fit more information on one page.
If you are satisfied with how the output appears in the Print Preview screen, the Print button lets you send
your output directly to the printer.
Sending your workbook to the printer
Choosing the Print option on the File menu or clicking the Print button on the toolbar opens a dialog
box that lets you change print settings and specify the number of copies to print. The Print dialog box
appears below .
Within the Print dialog box, you can select w hat you w ant to print, how many copies and w hich pages. For
example, if you only want to print the selected cells, or the entire w orksheet you can choose those options.
Getting Help
In the Help System, any topic that has additional information is underlined. To read the information about an
underlined topic, click on the topic. The Help System automatically sw itches to information about the selected
topic.
To expand to the full Help window, click the Show icon.
The Contents Tab

The Contents Tab is a listing of ³books² containing one or more Help topics and even some subbooks. You can
open any of these books by double-clicking on it to get information about a topic.
The Answer Wizard Tab

Using the Answ er W izard is similar to using the Office Assistant. You can type in your question or the term
you¹d like help on, click Search and a list of topics w ill be displayed. Information on the topic w ill appear in the
right-hand w indow .
The Index Tab

The Index is an alphabetical listing of key w ords found in the Help topics. You can either type a word in the
first text box or select a topic from the scrolling list displayed below. When you have selected a topic click on
the Search button. A list of related topics is displayed in the third text box. Select the topic of your choice and
information about that topic w ill appear in the right-hand window.
Shading cells
To apply a specific pattern or color to a range of cells, use the Patterns section of the Format Cells
dialog box. The sample area in the Patterns dialog box displays w hat the selected colors and patterns
w ill look like. You can also apply a solid color using the Fill Color tool on the Formatting toolbar.
Changing column width with the Format menu

To change column w idth using the Format menu, select the column or columns you w ish to change and choose
Column then Width. In the Column Width dialog box, type a number for the w idth of the column. The number
represents the number of characters that can fit in the cell. The default column w idth is 10, w hich means a
column is w ide enough for ten, Helvetica 10-point characters. Choose Best Fit to automatically widen a column
to accommodate the w idest label, or click the Hide button to hide the column completely. Hiding columns is
useful w hen you have data that you do not w ant to print.
* Changing row height is similar to changing column width. Select the row (s) you w ish to change and
choose Row then Height from the Format menu.
Changing column widths by dragging column borders

You can change column w idths by dragging column borders w ith the mouse. Move the mouse pointer to the
right hand border of the column you w ish to change. The mouse pointer will change shape to a left and right
pointing arrow as seen below .
Click and drag the mouse to adjust the column w idth. Note that w hen you are adjusting the width in this w ay,
a numeric width indicator appears in the upper left part of the formula bar.
Formulas and Functions
Formulas and functions that perform calculations are the true pow er of spreadsheets.
Formulas
To build a formula, first select the cell in w hich you w ant the results to appear. In Excel, all formulas start with
the = sign. After the = sign, type the cells you want to add or subtract along w ith the mathematical operation
you wish to perform. For example, to add the January sales in the worksheet below , the formula w ould be
=B3+B4+B5. If you want to subtract February W idget Sales from January Widget sales, the formula w ould be
=B3-C3.
Building many formulas can quickly become tedious. Fortunately, the Copy command described earlier also
w orks w ith formulas.
Copying Formulas
The easiest w ay to copy a formula is w ith the Fill Handle in the low er right corner of the cell. Create your initial
formula and then position the mouse on the Fill Handle. When the mouse changes shape to a cross-hair, press
and drag over the adjacent cells you w ant to copy the formula to.
