1. Introduction to Bodwell High School Library
1 -1. Library Volunteers
Thank you so much for agreeing to volunteer with the library. Volunteers play a dynamic role by
making our library more welcoming for students who would like to borrow and return books and
study in a quiet space during boarding hours. I hope this opportunity helps you with many
experiences including communication, management, and organization skills.
If you have any questions or concerns, please feel free to email or speak with Ms. Kitty
(puiian.kwok@bodwell.edu) or Yoshi (yoshitomo.fujita@student.bodwell.edu) any time.

1 -2. Bodwell High School Library


Our new Library facility was inaugurated in September 2017. It features two levels with enough
seating for 57 students. Upstairs, houses the Non-fiction, Fiction, and Foreign-languages
collections, along with group table seating. Downstairs, features the Graphic Novel and levelled
AEP Readers and comfortable armchairs for silent reading. There is a computer and printer
available for students to use; please be aware of the school’s Information Technology policy
[refer to the Bodwell High School Handbook].
September 2018, under the initiative of Mr. Stephen Goobie, Principal of Student Life, mini
bicycles are available for loan. Bodwell encourages happy and healthy students. Please ask to try
one out and give us your feedback!
Bodwell students are active members in the North Vancouver community. If you are interested
in obtaining a free library card at any of our local branches, please ask Ms. Watt for an
application form and information.

Library volunteers are responsible for opening the library “Boarding Hours.
Auxiliary shift will be informed with you via email at least one week prior the day.
If you have any questions or concerns regarding to your shift and would like to librarians, please
feel free to reach out to them at school hours between hours shown above.

2. Emergency Procedure
In case of any emergency, please make sure everyone in the library is safe and inform boarding
staff at the school entrance. Please take responsibility until a boarding staff member is available.
Until staff arrive, please remain calm and be aware of these procedures:

Emergency Exits
• Front door facing the Front Office
• Emergency Exit in stairwell #1 (located on upper level of Library)—these stairs will open
up beside the parking garage and link up with the pathway leading to the dog park

Medical Emergency
1. Remain with the student and send another student to fetch a boarding staff member
2. Ask other students in Library to wait outside of the library and not to crowd around the
student with the medical emergency
3. Provide the boarding staff with all necessary information and the name of the student

Fire
1. Stop what you are doing and when you hear the alarm, evacuate
2. Evacuate from door nearest to you (ensuring it is safe first) and go to the dog park
3. Evacuate the building and go to the dog park

Earthquake
1. Drop, cover, and hold on underneath a desk or chair.
2. Shout out to stay away from window and “drop, cover, hold on” to everyone
3. Wait for more than one minute – under cover, counting out loud to 60.
4. Make contact with boarding staff if you are able to
5. Report any injuries to staff
6. Follow evacuation procedure if instructed to

Lockdown
1. Initiate lockdown as soon as announcement is made
2. KEEP IN MIND – There is no place to hide in the library!!
3. When it is safe, head to one of the boarding halls.
4. If you need to evacuate, go outside using the emergency exits.
5. If you cannot, protect yourselves by making a barricade

Lastly, it is important to note that we as student volunteers are NOT responsible for taking care
of every visitor. It is boarding staff’s job to do so.
PLEASE KEEP YOURSELF IN A SAFE POSITION, THEN HELP OTHERS IF YOU CAN.

3. Volunteering as a Library Monitor
3 -1. Duties
• Help students check-in, check-out, and renew book loans
• Operate the library database system
• Organize books according to coding system
• Tidy library space and shelve returned books by the end of each shift
• Follow library closing procedure

3 -2. Responsibilities
• Be friendly, reliable, and motivated
• Posses great customer service and organization skills
• Be on time
• Offer constructive feedback about the library
• Treat everyone fairly
• Stay at the main desk during your shift
• Fill out a shift summary at the end of each shift
• Consult with Yoshitomo for absence one day prior your shift

3 -3. Clothing
Air conditioning can differ at times, so please bring a jacket or hoodie.

3 -4. Rest Breaks


You can take up to 10 minutes break during your shift if you need to. However, please try to be
ready before your shift starts.

3 -5. Opening Procedure
1. Turn on an automatic door switch
2. Turn on lights for both upper and lower floor
3. Take a sign stand to beside the computer desk
4. Open your laptop and connect a barcode reader
5. Open a Bodwell High School Library System (http://library.bodwell.edu/admin)
6. Walk around the library to see if there are any lost items from the last time
7. Remain seated at the main desk

3 -6. Closing Procedure


1. Let everyone know about ten and five minutes prior the closure time
2. Make sure everyone leaves the library
3. Put up a closure sign stand in front of the library
4. Push all chairs under tables and collect any garbage on the floor
5. Collect eraser crumb on tables using mini bloom and dust pan.
6. Make sure all the books in shelves stand straight and pushed into the shelves
7. Turn off a computer and a printer
8. Fill out a shift summary
9. Turn off both lights for upper and lower floor *leave a burner turned on
10. Turn off an automatic door switch
Please put all the stuff away to the original position.

3 -7. Lost Items


When you find a lost item, you have three options to choose: library, boarding office, lost and
found bin. When you take the item, please indicate at “Lost Items” space in the shift summary so
that if the owner shows up, we can easily direct them to the right place.
• Laptop and laptop charger (indicate # in the shift summary)
Library • Writing materials (pen, pencil, eraser, etc.)
• Worksheet (indicate student’s name in the shift summary)
• Binder
Boarding Office • Backpack
• School uniform (with name)
• Water bottle
Lost and Found Bin
• School uniform (without name)

3 -8. Writing a Summary
In order to keep track on your volunteer hours, please submit your volunteer hours on our library volunteer
centre website.
1. Open the Library Student Volunteer Centre (https://bhslibrary-volunteer.weebly.com/)
2. Click the banner, “Volunteer Hours”

3. The following should show up

4. Please select your name from a dropdown box


5. Please indicate the following: the date, number of hours, and lost items.
6. If you have anything you would like to consult with Ms. Kitty, please leave your message under
the “Note” column.
7. Click the “SUBMIT” button to submit your volunteer hours!

3 -9. Library Database Operation
How do I Log in?
1. Open your laptop and the web browser. Go to http://library.bodwell.edu/admin
2. Login with your Librarian ID and Password.
 You will set this up with Ms. Kitty during your training

Your password will expire at the end of term

How Do I “Check-out” a Book to a Student


*This means that the student will be borrowing this book and leaving the library with it
1. Click on “Student/Staff Search Check-in/Check-out” on the side grey menu

Following should appear:

1. Student ID – this is a 9-digit number, for example: 201300652
2. First Name – this is their LEGAL first name; it usually shows up on their
passports
3. Last name
4. ‘Known As’ Name – this is their nickname
For options 3&4, use the drop-down menu where “First Name” appears
Click GO !

3. Once you have found the student that you are looking for, click on their picture. Some
students ay not have a picture uploaded and the Bodwell logo will appear instead.

4. Make sure that the cursor is blinking in the box that says “ISBN Code”. Simply scan the
barcode on the back of the book with the scanner

5. A page will pop up, asking you to verify that you are checking out that book. Click on
“Check Out”

6. You will be directed back to the student’s page with their Library Book History. Here,
you will see the new book that they have just borrowed and it will tell you when the due
date is. Be sure to write the due date (by hand) inside the book on the due date slip so
that the student knows when to return the book.

7. If the student is borrowing multiple books, just follow these same steps with every book.
NOTE: the maximum number of books that a student can borrow is 6.

How do I “Check-Out” a Book to a Staff Member?
1. Click on “Student/Staff Search Check-in/Check-out” on the side grey menu

The following should appear

3. Once you have found the staff member that you are looking for, click GO!

4. Make sure that the cursor is blinking in the box that says “ISBN Code”. Simply scan the
barcode on the back of the book with the scanner.

5. A page will pop up, asking you to verify that you are checking out that book. Click on
“Check Out”.

6. You will be directed back to the staff member’s page with their page with their Library
Book History. You will notice that there are no due dates for books borrowed by staff
members. Please let them know that it will need to be returned by the end of that term.

7. If the staff member is borrowing multiple books, just follow these same steps with every
book.

How do I “Renew” a Book that a Student Has Borrowed?
This means that the student needs more time to finish reading their book
1. Click on “Student Search Check-in/Check-out” on the side grey menu

The following should appear:

2. First Name – this is their legal first name; it usually shows up on their passports
3. Last Name
4. ‘Known As’ Name – this is their nickname

4. Click “Renew”. Note that there is a new “due date” now. Please write down the new due
date on the inside cover of the book that they have borrowed. This way, the student will
know when they have to return the book.
NOTE: If the “renew” feature does not appear, you will need to “Check In” the book and loan it
back out to the student again. You can either scan the barcode of the book in the “ISBN Code”
box, or copy paste the ISBN from the “Library Book History” into the “ISBN Code” box. Once
you have completed the steps of re-loaning the book out, please write down the new date on the
inside cover of the book that they have borrowed.

How do I “Check-In” a Book?
This means that the student/staff member is finished with this book and they are returning to the
library

4. Click “Check-In” and simply return the book to its proper place in the library when you
have the chance.

How do I Search for a Certain Title of a Book?
1. Click on “Book List” on the side grey menu

2. Select “Call Number” from the Category drop-down menu, then click on “View”

It will take a little while to load, so be patient!

3. Then, hold down CTRL + F on your keyboard, so that the “Find on Page” search bar
appears:

4. Simply type the name of the book into that space.


 Each result with these keywords in it will be highlighted.
NOTE: Beside the “Find on Page” bar, it will indicate how many results with those keywords
there are.

5. Looking at the farthest right column on the results page, you will see the status of the
book. If the status is “Checked-In”, you will be able to find the book on the shelf. If the status is
“Checked-out”, you can click on that button to see who has borrowed it and when it will be
returned. If the status is “Lost” or “Obsolete”, we no longer have that copy in the library

How do I Find Books in the Library?
The following outlines what types of resources we carry and where you can find them in the
library:

Youth and Adult Fiction (Stories)


All of these books are coded on the spine with an “F” followed by the first three
letters of the author’s last name. These books are displayed in alphabetical order.
On the upper-level of the Library, in the back-right corner, you will find authors F
AAA-ZZZ ROW
Youth Fiction is classified by a small aqua-coloured dot ● on the spine of the book

ESL Readers
On the lower-level of the Library, under the windows behind Ms. Watt’s desk, you will find the
ESL Readers. They are separated as so:
● Levels 1&2
On the left-hand shelves – all of these books are coded with a big yellow dot sticker
● Levels 3&4
On the shelves straight ahead – all of these books are coded with a big red dot sticker
● Levels 5&6
On the shelves straight ahead – all of these books are coded with a big blue dot sticker

Graphic Novels
On the lower-level of the Library, under the windows and to the left of the trophy
cases.
All of these books are coded on the spine with a “G” followed by the first three G
letters of the author’s last name. These books are displayed in alphabetical order. KIB
All of these books are coded with a big green dot sticker ● on the front of the book

Non-Fiction (books about fact)


On the upper-level of the Library, these books start on the shelves by the windows,
then skip to the shelves by the stairs.
These books are coded with numbers and decimals and then the first three letters of 971.8
the author’s last name. BER
They are separated as so:
000-400 are to the left of the air-conditioning duct
500-700 wrap along the windows
800-900 are on the shelves by the stairs

3 -10. Mini Cycle and Headphone Rental
Our collection has been expanding, and since Summer 2018, we
started renting out mini bikes for students to enjoy their reading
time while doing exercise! It is not needed to check them out
from the system as long as students use them in the library.
However, when students would like to take it to their dormitory
or anywhere outside of the library, the student needs to check out
like borrowing a book.
Each mini bike has its own barcode, so please scan it with the
barcode scanner and follow the same procedure as books.

We also have headphones, which students can borrow from


the library. Although we had been renting them out without
checking out in the system, we had lost four headphones
already. Therefore, we decided to use the same system as
bikes. The headphones are in the upper cupboard behind the
main desk. Please scan the barcode either on each headphone
or in the box. Please DO NOT rent out any headphone
without checking them out even students are using them in the
library.
