FBS1 - Enter Accrual/Deferral Document

Introduction FBS1 Transaction enables to post an accrual document

Importance Posting an accrual document is a period end process.


Accruals are adjustments posted at month end and then
reversed the following month beginning. There is a separate
transaction - F.81 to reverse the accrual.

NOTE: When you post the accrual document, it will


trigger the Work Flow approval process and will be sent to
the relevant approver.

Introduction The users who participate in SAP Business Workflow in
their enterprise must have the Business Workplace. The
sending of documents to and from the SAP applications is
also handled by the Business Workplace. Therefore, a
direct link to the Business Workplace is provided in many
applications. In addition, these components can be used
for all the internal and external mailing of a company. As
an alternative to the Business Workplace you can use the
Universal Work list.

Importance The Business Workplace provides a standard working


environment in which every SAP user can carry out their
share of the business and communication processes in the
enterprise. There, they receive all the work items that are
assigned to them in the course of SAP Business Workflow
and process the documents that were sent to them from
people or from SAP applications. Each user has a folder in
which they can manage documents and work processes.
Furthermore, each user can read information that has been
published within their work group or throughout the company
or make this information

4. Documents: During the working day a lot of subject matter is recorded in writing. It is
important to store the recordings efficiently in order to ensure fast access to the right
information. For this purpose, the Business Workplace provides a document folder system
that users can use to organize and further process the documents that have been sent to
them and the documents that they themselves have created
5. Select the Workflow tab; you will see all the work items sitting in the workflow folder for
approval - the decision window appears with various options.

Double click on the header row to sort data by a specific column. To sort the documents
parked based on creation date, click the creation date column header or you may select the
document directly using the document search function by clicking on “ ”.

You may approve multiple documents or approve them individually by double Clicking on a
work item to execute it or you can also use the Execute icon “ ” from the tool bar. You may
select multiple documents to approve similtueanously followed by clicking on “ ” the
execute button.

Based on the information and correctness of the document, you can choose the options:

Approve Document: once document has been approved, it will post into SAP

Reject Document: Reject Document with various reasons, when you are rejecting the
document, needs to specify the reason for rejection, so that user will correct the document and
resubmit for approval.

Cancel and Keep work items in Inbox: some time you may need more information but you
don’t want to reject, you can click on “Cancel and Keep Work Item in Inbox tab” so that you
can initiate a discussion with user out of side of SAP and once you get the clarification you can
decide whether to “Approve/Reject”. When you select this option item will go back to your
Inbox.

FBD1 – Entering Recurring Entry

Recurring entries are business transactions that are


Introduction repeated regularly. For example expenses like Loan
payments, rent and lease expense and fixed bills are items
that meet these criteria.

Importance This functionality may be used to enter Non-PO (Purchase


Order) related recurring vendor or customer payments, as
well as recurring journal entries.

It contains

• The date of the first & last postings.


• The frequency at which the posting should be made.
• The date of the next planned posting.

The Recurring Entry Program must be run at specified


intervals within a posting period. When executed the
program selects all recurring entry documents in which the
date of the next posting falls within the specified period, and
then generates a Batch Input Session for posting.

Further Selections:
Settlement Period: The next recurring entry is carried out on the date entered here.
During every run of the recurring entry this date is set automatically
to the next date. This allows for a limitation of the next settlement
date. You generally enter a period, for example, 01/01/1992 to
01/31/1992 in order to select the recurring documents whose next
settlement date is within this period.
Optional – Select a predetermined schedule for posting recurring
Run Schedule: entries
User: This will restrict the document selection based on the user name
that created the recurring documents.
6. Output Control:
Batch input session Please ignore the naming convention shown on the screenshot.
name: The batch input session name must start with “FI_xxxxxx”
where you can replace “xxxxxxx” with whatever text you prefer. If
the batch input session starts with other than “FI” you will not be
able to process the session in t-code SM35. Security team controls
the batch input session with naming convention so it is important to
follow the naming convention when defining the batch input session
name
User Name: User which is used for authorization checks, if the batch input
session is processed in batch.
Blocking date for BI Earliest start date for processing the batch input session. With this
Session: parameter, you can block the session up to a certain date. This is
useful, for example, if you planned the program for processing all
sessions (RSBDCSUB) daily in batch, but the session is only
permitted to be processed as of a certain date.
Hold Processed Indicator, that the session should not be deleted after faulty
Session: processing. To Hold the processed Session need to check the
check box “ ”

Click to post the recurring during the settlement period selected. When complete a
completion message appears at bottom of the SAP Screen. The system will create a Batch
Input Session that needs to be processed via transaction SM35 (see next transaction) to post
the Recurring Documents.

Click to exit this transaction to go back to SAP Easy Access Menu.
Note, the following conditions when posting Recurring Documents:
i) Document and Posting dates are the same as the settlement period.
ii) It is not possible to execute the same settlement run twice.
iii) The Settlement period has to agree with the frequency defined at the time the recurring
document entry is entered.

Introduction This system task is used to specify for each posting variant
which posting periods are open for posting. System design
contains two time intervals (time period 1 and time period 2). In
each interval, specify a period lower limit, a period upper limit,
and the fiscal year.

- Specify the periods permitted for posting.


- First enter the periods permitted for posting for all
variants (minimum entry).
- Then add entries for account types or account areas if
the periods are to be further restricted for specific
accounts.
- In addition, you may enter an authorization group for
each time period 1 in order to limit user access.

Importance SAP system automatically determines the posting period and


fiscal year based on the posting date entered. (Only special
period needs to be manually changed). Posting periods are
used to ensure postings occur in allowed periods and
authorized users.

Introduction
S_ALR_87012291 is the FI report that lists GL, AR. AP,
Fixed Assets and Materials documents posted in the
system. It is a useful report for Audit Purpose.

Importance The line item journal creates an overview of the selected posting
documents. Among other things, the posting date, the document
number, document date, the line item, the posting key, the special
G/L indicator, the indicator for sales-related, the account numbers,
the user that created documents and the amounts are output.

Sorting is carried out in the following sequence:


• Company code
• Account type
• Document type
• Target sales type
• Posting period
• Posting date
• Day of the entry
• Document date
• Line item

NOTE: Since this report is information intensive, it


is suggested to run the report separately for GL, AR, AP
or Fixed Assets. Also if you run it separately and still

Introduction This system task is used to display the balances of the


individual posting periods for your G/L accounts. To
do so, you specify the ledger for which you want to
display the G/L account balances.

Importance Often times there are a need to view the account balance
for a General Ledger Account. The system displays
the debit and credit balances of the individual posting
periods separately as well as the cumulated balance
of the G/L account or of the first G/L account from the
G/L account interval. In the display, you have the
following options:

• You can navigate to the flexible Line Item display for


a given G/L account balance.

• You can change the currency in which the balances


are displayed

• The interactive characteristics defined for each ledger


in Customizing can be used as filter characteristics in
