Executive summary
This project is an initial research on desktop, laptop, software and PDA in order to
find the most cost effective option for Kerr Deliveries as the company wants to
expand the business to Canberra, Melbourne and Brisbane and hire more staff.
The research was conducted mainly from online sources as it is were the most
updated IT information can be found. The products were compared in terms of price
and specification that suit the needs of the company.
The research result is we recommend HP ProDesk 400 G3 Desktop Mini PC for
desktop, Dell New Inspiron 13 5000 2-in-1 or HP ProBook 430 G5 Notebook for
laptop, Microsoft 365 Business for software package and Handheld Nautiz X9 (NX9-
RF1-A00) for PDA. The range of anti-virus price is $490 to $980 per year depends
on what the company needs and the price quote from the providers. The company is
looking at investing $86755.87 in hardware and $8,410 to $8,900 per year in
software. However, this result is based on internet price.
We should get price quote from each company and providers in order to compare
the result again before making procurement decision. We need more research about
cyber security to determine the right anti-virus and anti-attack software for our
company. Lastly, IT products should be reviewed regularly after the purchase. In our
case, we should review again before the end of three-year warranty. We can either
extend the warranty on the products or sell them as second hand products to buy
new ones.

Overall goals
- To analyse the needs of Kerr Deliveries in procuring desktops, laptops and PDA.
- To set up the best product specification that answers Kerr Deliveries’ needs.
- To explore the IT market and find the best deal for Kerr Deliveries in terms of
product quality, specification and price.
- To enable the executive to make informed decision in the company’s IT
procurement by 30 September 2018.
Methodology
Problems
- Kerr Deliveries wants to expand the business to Canberra, Melbourne and
Brisbane and hire more staff.
- The company needs new desktops, laptops and Personal Digital Assistants (PDAs)
to facilitate the growth and to replace the old ones. Robert Kerr is looking for cost-
effective products that suit the company’s needs.
- The basic procurement requirement is
● 20 new desktops,
● 13 new laptops which are lightweight,
● 50 PDAs with the latest GPS tracking and
● all computers should contain the latest version of Microsoft Office Software
and antivirus software.
Research Questions
- What is the best specification of desktops, laptops and DPAs for Kerr Deliveries?
- Which brand and version suit the specification best considering the cost
effectiveness?
- Which provider offers the best deal for our purchasing volume?
Research method
The specification of desktops and laptops for our company use is gathered from
university recommendation as the use of university students and standard business
operation is not much different.
The products’ specification and price were gathered from the websites of the
manufacturers, providers and distributors. The information is displayed in tables in
appendices for easy understanding. The price showed in this research is internet
price which we need to ask the company to quote the business price for us. Ff
Boolean operators was used to operate the search engine which was mainly Google.
The example of Boolean operators used in this research are “laptop” AND
“business”, “desktop” AND “business”, etc.
Findings and conclusions

What Kerr Deliveries needs from desktops and laptops
- Latest Microsoft Office which is Office 365.
- Possible use of ERP or CRM system in the future as the company is growing
rapidly.
- Internet browsers such as Microsoft Edge, Firefox and Google Chrome.
- Basic video and audio player for researches and presentations.
The best specification for Kerr Deliveries and comparison with products in the market
Since Kerr Deliveries wants to use Microsoft Office, the best operating system would
be Windows 10 as it is included in Microsoft 365 Business. For the hardware to last
longer than four years and able to accommodate new updates, the minimum
requirement should be:
- processor: the speed between 2.0-4.0 GHz, i5 or i7 series Intel processor or
equivalent AMD,
- RAM: at least 8 GB,
- hard drive: 500 GB to 1 TB, SSD recommended for laptops,
- graphic card: and integrated graphic card for basic use, desktops must have
DisplayPort/HDMI or DVI support,
- Communication component: 10/100/1000 Ethernet card, 802.11b/g/n WLAN
(broadband and wireless supported),
- Warranty: 3-year part and labour.
Desktop recommendation
After comparing the price among Dell New OptiPlex 3060 Micro, Lenovo
ThinkCentre M920s and HP ProDesk 400 G3 Desktop Mini PC, HP offers the best
price and specification. Everything is included in ProDesk 400 G3 Desktop Mini PC
at the price of $916 plus three-year warranty at the price of $65. For more
information about price and specification, please refer to “table 1: Specification
comparison for desktop” in appendices section.
Laptop recommendation
After comparing the price and the specification among Dell New Inspiron 13 5000 2-
in-1, Lenovo ThinkPad L380 and HP ProBook 430 G5 Notebook, Dell offers the best
price and the best specification. Lenovo’s might be the cheapest, but three-year
warranty is very expensive, and the OS is inferior to Dell’s. The price between Dell’s
and HP’s have very similar price and specification. HP is slightly more expensive and
does not come with OS. However, we might be able to get a better deal if we order
both desktops and laptops from HP. For more information about price and
specification, please refer to “table 2: Specification comparison for laptop” in
appendices section.
Conclusion for desktop and laptop recommendation
We should get price quote from Dell and HP on desktops and laptops including
necessary accessories such as screens, mouse and keyboards. We should also ask
them to quote their three-year onsite warranty.
Software recommendation: Microsoft 365 Business
Microsoft 365 Business brings together features from across Microsoft’s offerings in
a solution designed for small and medium-sized businesses. It’s powered by Office
365 and Windows 10, with device management and security features to help ensure
our company’s data is protected.
Microsoft offers two Secure Productive Enterprise plans.
1. Office 365 Business Premium: $12.50/user/month
2. Microsoft 365 Business: $20.00/user/month
Both of them come with Office applications, 1TB file storage sharing, 50 GB
business e-mail, online meeting, chat application, and applications for business.
However, Microsoft 365 Business comes with security function that helps protect our
data and provides backup and device management function. It also comes with
Windows 10 Pro. Microsoft 365 Business is a better choice though it is more
expensive. Data security is utmost important for smooth business operation.
Anti-virus software recommendation
There are many anti-virus software providers in the market. We should get price
quote from the top providers that are widely used which are McAfee, Norton,
Bitedefender, TRENDMICRO, Avira, BullGuard and Kaspersky. The usual price is
about $70 to $140 per five devices per year. For 33 devices we are looking at $490
to $980 per year. This also depends on level of protection we need from the
providers.
What Kerr Deliveries needs from PDA

PDA recommendation
When looking at the need from PDA of Kerr Deliveries, we do not need PDA with
high capacity just the lastest GPS system. Handheld Nautiz X9 (NX9-RF1-A00)
which is the cheapest one ($999) should be able to answer all of our needs with both
GPS and GLONASS constellation that provides more satellites for better tracking in
the city with many tall buildings. It can also connect to cellular signal using sim card
which provides more connection on the go. Regarding battery, the users can always
charge it in vehicles. The other two products (Handheld Nautiz X8 and Trimble
Nomad 1050B Numeric Key) have better processor and more durability, but we do
not need those functions for navigation and tracking. For more information about

Research result
The result of this IT research for procurement can be concluded as follows.
1. Recommended desktop: HP ProDesk 400 G3 Desktop Mini PC
2. Recommended laptop: Dell New Inspiron 13 5000 2-in-1 is the first choice. HP
ProBook 430 G5 Notebook is the second choice if we can get good price quote from
HP.
3. Recommended software package: Microsoft 365 Business
4. Recommended PDA: Handheld Nautiz X9 (NX9-RF1-A00)
5. The range of anti-virus price is $490 to $980 per year depends on what the
company needs and the price quote from the providers.
According to this result, the company will invest $86755.87 in hardware in total and
invest $8,410 to $8,900 per year in software. However, this result is based on
internet price. We should get price quote from each company and compare the result
again. For more information on IT investment calculation please refer to “table 4:
Initial IT investment calculation”.
Discussions
We should contact HP and Dell to give us price quote for both the desktops and
laptops. Regarding software, we should contact Microsoft for further information and
possible price quote that is lower than $20/user/month. For PDA, Nautiz X9 (NX9-
RF1-A00), we should get price quotes from many distributors available in Australia.
The actual investment price can be lower than the initial calculation after getting
discount for buying all the products in bulk. We should conclude the research result
again after receiving all the price quotes.
Regarding PDA, the company should study more into what other functions we expect
to use from PDA apart from navigation and tracking. We should ask our employees
especially the drivers in what they want from the PDA. This will help in tailoring the
research result to match with the real use of PDA in the field.
Regarding anti-virus, we have to study more into what kind of protection we need
and how much we want to spend on anti-virus software and whether we need anti-
attack software as well.
We also need to look into the price of accessory such as screens, mouse, keyboard
and necessary wires for desktops and laptops.
Recommendations
- Products recommended are HP ProDesk 400 G3 Desktop Mini PC for desktop,
Dell New Inspiron 13 5000 2-in-1 or HP ProBook 430 G5 Notebook for laptop,
Microsoft 365 Business for software package and Handheld Nautiz X9 (NX9-RF1-
A00) for PDA.
- Get price quotes from HP, Dell, Microsoft and distributors in Australia who carry
Nautiz X9 (NX9-RF1-A00).
- Get more information on PDA usage and expected functions from employees who
have to use them.
- IT products should be reviewed regularly after the purchase. In our case, we should
review again before the end of three-year warranty. We can either extend the
warranty on the products or sell them as second hand products to buy new ones.
- We need more research about cyber security to determine the right anti-virus and
anti-attack software for our company.
