1. Microsoft Offices
Microsoft Office is a family of client software, server software, and services developed
by Microsoft. It was first announced by Bill Gates on August 1, 1988, at COMDEX in Las Vegas.
Initially a marketing term for an office suite(bundled set of productivity applications), the first
version of Office contained Microsoft Word, Microsoft Excel, and Microsoft PowerPoint.

2. Microsoft Word
Microsoft Word or MS-WORD is a Graphical word processing program that users can type with.
It is made by the computer company Microsoft. Its purpose is to allow users to type and
save documents. Microsoft Word is arguably the most used digital word processor, universally
accepted by students, professionals and businesses alike. If you’re migrating from another tool or
if this is your first stint with the newer versions of Microsoft word features software, welcome.
You’ll find your tryst with Microsoft word software application a multi-dimensional affair, ideal
for beginners, advanced users and for making complex formatting changes.

3. History
The program was first released in 1981. Many of the ideas and features in Microsoft Word came
from Bravo, the first graphical writing program. Microsoft bought the Bravo program, and

changed its name to Microsoft Word. When it first came out. when in other programs like
WordPerfect, people had to add special 'codes' to change the style of writing.

4. Version
There are versions for Microsoft Word for other operating systems as well as Microsoft Windows.
New versions support fewer operating systems, although they always support Windows.

5. Features
Features are as follows

5.1. Documents, Blog Posts, and Microsoft Word Templates


The first time you open up this tool, you’ll be prompted to “create” one of these three: a blank
document, a blog post, or a new/existing Microsoft word Templates.

 Documents are essentially like text files that support complex formatting. Each format has
a page size and a layout.
 Blog posts are essentially for passionate bloggers. You will be prompted for your blog
account details so you can upload your posts seamlessly.
 Microsoft word templates are essentially pre-defined formats.

5.2. The Tabbed Ribbon in newer versions of Microsoft Word Features
Newer versions of Microsoft Word features (2007 and above) come with the now famous
“Ribbon,” which is a sequence of Screens that capture all the capabilities of your Microsoft
Word templates Software application. MS Word makes is utilities available to use. The ribbon in
turn contains:

 Tabs
Each tab is an individual screen available on the Ribbon. Commonly used Tabs include Home (the
default Tab that opens up when you open a Word document), File (for File operations like Save,
New, etc.), Insert, Page Layout, View, etc.

 Commands
These enable you to use your Microsoft Word templates software to do something to your word
document (or post, template, etc.). While you can simply type out your text in the document,
commands empower you to format/ insert/ handle this text in multiple ways.

 Command Groups
Commands are grouped together based on their functionality for easy access. For instance, basic
text-formatting commands are put together in one group, paragraph formatting commands in
another group, and so on. In some cases, you’ll see a tiny arrow at the bottom of the group. You
can click on it to open up additional commands and options related to the group.

5.3. The File Tab


When you click on the File Tab, you are immediately taken to the “Backstage View”, containing
all the tiny details about your document. In this basic tutorial, we’ll keep it simple and introduce
you to the frequently used file-related commands.

 Save and Save As


This is possibly the first command you should use when you type some text. It enables you to save
your document on the hard disk as a .docx file (by default). Take note of the type of file here. If
you wish to open your word document with older versions of Microsoft Word features, you will
need to explicitly choose a backward compatible file type. You can additionally choose to save
your file as a PDF file, self-contained web-file, text file (.txt or .rtf, formatting changes are lost),
etc.

 New, Open, Close


Names are self-explanatory as they enable you to open/close or create a new document/ blog post
or template.

 Recent
This stores the list of recently accessed documents and folders so you can quickly open the last
document you worked on.

5.4. The Home Tab


The Home Tab is perhaps the most commonly used Tab in Microsoft Word features. And it looks
like this

This contains 5 formatting command groups. And there lies its most significant
utility: formatting. You see, this is where Microsoft Word features wins heads over any other
Word processing software tool (including Microsoft’s own WordPad), as it provides users with a
host of complex formatting features all available with a mouse-click or two, before we dig in
deeper, we suggest you play around a bit with a document. Type some sentences and be prepared
to edit and format them to your heart’s content. Once you’re done, the Command groups in
the Home tab can be used as used as below.

5.5. The Page Layout Tab


This tab contains a host of command (groups) to control the behavior of each page in your
document. And it roughly looks like this

 Size

By default, a Microsoft Word features document is set to a letter’s size (8.5” X 11”). You can
change this to A4, A3, Executive or other standard sizes, or even define a custom size. Changes
will apply to the whole document.

 Orientation

By default, this is set to “Portrait”; you can alternatively set it to Landscape. Again, the orientation
applies to the whole document by default.

5.6. The View Tab

 The “Print Layout” command allows you to showcase your text page at the center, and
view it much like how it would appear when printed on paper.
 In this view, you can further use the “Zoom” command (group) to increase or decrease the
size of your page (impacts only the view and not the actual page size).
 The Full-Screen Reading view allows you to remove all toolbar distractions and is best
used to review a document. Pressing the Escape key will bring you back to the (default)
Print Layout view.
 The Web Layout view is typically used to review Blog posts.
 You can additionally toggle views of the Ruler, Gridlines and Navigation Pane (useful to
search key text in your document) using the “Show” command group.

6. Functionality
6.1. How to Save a Document
If you’ve written a bestseller or created a newsletter for your group, you’ll probably want to save
it somewhere so that you can get to it again for printing or sending by email. You may also have
started a document but want to finish it off later.

Follow these step-by-step instructions to save a document

 Start a new document in Word and type your text.


 Click File in the top left-hand corner of the screen.
 From the menu, choose Save.
 A ‘Save’ dialogue box will come up. At the top and at the left-hand side in the list of
folder options, it will show the folder where you’ll be saving the document. If you wish
to change this folder, navigate through the folders on the left-hand side of the dialogue
box to choose the one where you want to save your document.
 Word will automatically give your document a name, based on the first few words of your
text. If you don’t like the one given, once you have chosen the destination folder, type a
name for your document in the ‘File name’ box. Come up with a name that is concise but
will allow you to find the document easily again.
 Once you have typed in the name of your document, click Save.
 The ‘Save As’ menu – the link to which is on the left-hand side of the ‘File’ dialogue box,
beneath ‘Save’ – is used to save an existing document under another name.

6.2. How to Retrieve an Unsaved Word Document


 Click the File tab / Manage Documents.
 Click the Manage Document button
 The Open dialog box opens displaying a list of your unsaved recoverable Word documents.
Select the Word document you wish to recover and click the Open button.
 The recovered Word document is now open and displays an information banner across the
top recommending that you Save the file.
 Click the Save As button and save your Word document.

6.3. Closing an Existing Word Document without saving it


Another situation you might find yourself in: accidentally closing out of a previously saved
document but failing to save the latest changes. Microsoft Word will help you recover up to the
last 10 minutes of your work. You can also change the amount of time you would like Word to
save a recoverable copy of your work. In the screen shot below you will see that I had Word save

a temporary copy of my document every minute. I then changed it back to the default setting of 10
minutes.

 Click the File tab / Manage Documents.


 Locate and click on the latest autosave version to recover the latest changes made to your
document. Don’t forget to Save your recovered Word document.

6.4. Change the Save Auto Recover information time

If you would like change the frequency with which Microsoft Word automatically saves a
recoverable copy of your document, follow the steps below. The default time is set to 10 minutes.

 Click the File tab / Options.


 In the Options dialog box click the Save option located on the left side

 Under Save documents change the minutes to how often you would like Word to save a
recoverable version of your document.

 When finished click OK

6.5. How to Search in MS Word


 From the Home tab, in the Editing section, click or tap Find to launch the Navigation pane.
Another method is to hit the Ctrl+F keyboard shortcut.
 In older versions of MS Word, use the File > File Search option.
 In the Search document text field, enter the text you want to search for.
 Press Enter to have Word find the text for you. If there's more than one instance of the text,
you can press it again to cycle through them.

Search Options

Microsoft Word includes lots of advanced options when searching for text. After you've made the
search, and with the Navigation pane still open, click the small arrow next to the text field to open
up a new menu.

Options

The Options menu lets you enable several options, including match case, find whole words only,
use wildcards, find all word forms, highlight all, incremental find, match prefix, match suffix,
ignore punctuation characters, and more.

Enable any of them to make them apply to the current search. If you want the new options to work
for later searches, you can put a check next to the ones you want, and then apply the new set as the
default.
