Preface
The purpose of this guide is to provide you with a complete guide to GTMailPlus.
The guide aims to comprehensively cover everything you need to know from downloading, installing
and initial configuration of the software, right through to detailed explanations of all operational
aspects of the software.

The images in this document have been captured from a Windows 7 Ultimate (SP1) operating
system. If you are using a different operating system to the above, the images in this document may
vary slightly.

Downloading, Installing and Configuring


This section will guide you through the steps involved in downloading, installing and configuring
GTMailPlus, but before getting started, please check your computer meets the minimum system
requirements.
Minimum System Requirements
Please ensure the PC you wish to install the GTMailPlus software on is at least of the below
specification:

- Microsoft Windows 7 SP1


- Microsoft .NET Framework v4.6.2
- 1GHz processor
- 1GB RAM
- 5GB free disk space

Operating System Requirements


The GTMailPlus v2 client requires that Microsoft .Net Framework version 4.6.2 is installed.
If this version of .NET is not installed on the machine intended to run GTMailPlus, please ensure you
select it from the Additional Items section at the bottom of the Downloads page.

PLEASE NOTE:
While Microsoft .Net Framework version 4.6.2 is compatible with most modern versions of the
Windows operating system, there are some operating systems that it is not compatible with.
A full list of compatible operating systems can be found here (Internet connection required for link).

If you have any queries regarding your system suitability, please contact our Support Centre prior to
install.

Pre-Installation Check List


Before attempting to install and configure GTMailPlus, please ensure:

- Your communications equipment is in good working order


- On board firewalls and ISP trench rules are set to allow traffic to/from the GTMailPlus
communications servers shore side
- Your GTMailPlus account is active, ready for install and that you have your GTMailPlus
mailbox details available

GTMailPlus Communications Servers


For vessels using IP based communications, GTMailPlus v2.0.5.x and above has been designed to
automatically switch between all available communications servers.

For the vessel to be able to connect to all the communications servers available, we recommend
opening port 27641.

This will ensure, if more servers are added in the future, there will be no need to reconfigure
firewalls or ISP trench rules for the vessel to benefit.

The servers sit behind the Global DNS address comms.gtmailplus.com which, at the time of writing,
will resolve to one of the below IP addresses

Downloading GTMailPlus
The latest version of GTMailPlus is always available for download from the GTMaritime Web Portal.

To access the Web Portal, go to: http://dashboard.gtmaritime.com and log in using the account
details you have been provided. If you have not been supplied with login details, please contact
GTMaritime Support.

Once logged into the Web Portal, click on the Downloads tab on the
right-hand side of the screen.

The Downloads page lists all software in the GTMaritime suite.

You will find the latest version of GTMailPlus at the


top of the list on the Current Versions page along
with the following options to customise your
download:

▪ Silent Install
Includes an additional file in the download
package that will install the software using
‘typical’ settings. The software will not prompt
the user for any information during a ‘silent’
install
▪ Initial Configuration
Includes an additional file in the download package that will automatically configure the
software with basic configuration details
▪ Extended Configuration
Includes an additional file in the download package that will automatically configure the
software with more advanced configuration details based on the vessels current Offline Remote
Configuration settings
▪ Include Manual
Includes the GTMailPlus User Guide in the download.

Additional Items
At the bottom of the Downloads page is the Additional Items
section.
This section contains the option to download additional software
required for GTMailPlus to run.

From here you can select to include the .NET Framework prerequisites in your download package.
The required .NET software may already be installed on your machine.

While Microsoft .Net Framework version 4.6.2 is compatible with most modern versions of the
Windows operating system, there are some operating systems that it is not compatible with.
A full list of compatible operating systems can be found here (Internet connection required for link).

If your operating system does not support .NET 4.6.2, an earlier version of GTMailPlus is available to
download on the Previous Versions tab.

Select the download options applicable to you and click on Start Download.
The selections made on the Downloads page will be used to build the download file
(GTInstallerPlus.zip).

Installing GTMailPlus
1. Browse to the location of the software installer and unzip the contents of the file
GTInstallerPlus.zip to a location on the installation machine
2. Run the application file ‘AutoRun’
3. If prompted, click RUN to confirm

The GTInstaller window now appears.

4. Click on the GTMailPlus link in the Software


section to begin the installation

Microsoft .NET v4.6.2 MUST be installed on the machine for GTMailPlus to run.
If your computer does not have .NET4 and it was included with your GTMailPlus
software, you will be prompted to install it.

5. Select YES if prompted to install .NET – go to step


10 below if this prompt does not appear

6. Accept user agreement and continue until .NET


installation completes.
7. Click on Finish to return to the GTInstaller window

8. Click on the GTMailPlus link in the Software section

9. With .NET4 now installed, the GTMailPlus


installation will begin

10. Click on Next to continue with the installation

11. The End User License Agreement window


appears.
12. If you accept the terms of the licence
click in the I accept box and click Next

13. Select Setup Type and click Next

The Complete option will be selected by default and


will install GTMailPlus using the default paths

C:\Encore
The Custom option will allow you to choose
alternative locations for System and Application data

14. If selecting Custom, you will be prompted to


set alternate locations for system and
application Data
15. Click on Browse to set an alternative
location for system data
16. Click Next to continue

17. Click on Change to set an alternative


location for application data.
18. Click Next to continue

19. Click Install to begin or Back if any changes


are required

20. GTMailPlus will now be installed on your


computer

This may take several minutes to complete.

Automatic Configuration
There are 2 different automatic configuration options which need preparing in advance of
installation:
Initial Configuration
A small file is included with the download package will automatically enter the vessels account
details on installation.
Extended Configuration
A small file is included with the download package that fully configures GTMailPlus based on settings
entered in shore side Web Portal.
Initial Configuration
If your download included an Initial Configuration file with the download package, the GTMailPlus
Configuration wizard will open with all account details automatically populated.

There are 4 user accounts automatically populated


should you wish to use them
• Master
• Bridge
• Chief Officer
• Chief Engineer

You can Add new accounts or Edit/Delete the ones you


see listed in the GTMailPlus Configuration window
immediately, or later via Settings menu.

Click on Save to confirm the configuration

This completes installing GTMailPlus with Initial


Configuration

Extended Configuration
If your software included an Extended Configuration (BCK) file with the download package, it will be
automatically detected during the installation process.

The Extended Configuration file will automatically


configure the GTMailPlus software in accordance with
settings on the GTMaritime Web Portal.

The software will prompt that installation and


configuration are complete.
This completes installing GTMailPlus with Extended Configuration

Configuring GTMailPlus
If there is no configuration file included with your GTMailPlus installer to automatically configure the
software, you will need to manually enter your vessel account details into the GTMailPlus
Configuration window.

The GTMailPlus Configuration wizard offers 3 different


ways to manually configure the software:
No Configuration/Retrieve from Server
This option allows you to enter minimal configuration
details to collect a fully prepared configuration file from
the shore side server.
Only use this option if you have been advised that there
is a configuration file waiting for you to collect.
Basic User Configuration
Manually enter your account details into the software
Restore from Backup
To be used to restore a previously installed GTMailPlus
client.
Only use this option if you have an existing GTMailPlus
backup file you wish to restore.

Basic User Configuration
Using the Basic User Configuration option, you will be required to manually enter your GTMailPlus
account details.
1. Select the Basic User Configuration option
2. Enter your vessels GTMailPlus account details as
supplied.
Note:
The details entered opposite are for illustrative purposes
only. Please check and enter your vessel specific
information into these fields.

3. You will see that there are 4 user accounts automatically populated should you wish to use them

• Master
• Bridge
• Chief Officer
• Chief Engineer

You can Add new users accounts, Edit existing user


accounts or Delete user accounts in the
Configuration Wizard window, or you can perform
these actions later via the Settings menu in the
GTMailPlus user interface.

4. Click the ‘Prefix Account Name to Display


Name for user’ if you wish to have the vessel
‘Account Name’ automatically included in
outgoing message headers.

5. Select the account you would like to set as the Default User
from the dropdown menu.
The Default User is the primary user account.
If you are unsure which account to set as the Default User,
please select ‘master’.

6. Select the account you would like to set as the Postmaster


from the dropdown menu.
The Postmaster is the account used to send administrative
and system messages to users on-board.
If you are unsure which account to set as the Postmaster, please select ‘master’.

7. When complete, click on the Save button to


save your configuration

Basic User Configuration is now complete.

No Configuration/Retrieve from Server
If your vessel has been pre-provisioned on the shore side server using the Offline Remote
Configuration feature of the GTMaritime Web Portal, you can select the No Configuration/Retrieve
from Server option in the Configuration Wizard window.

The No Configuration/Retrieve from Server option gives you a reduced version of the GTMailPlus
Configuration window.

You will be required to enter your GTMailPlus account information and configure a new Connection
to collect your full configuration from the shore-side server.

1. Enter your vessels GTMailPlus account details


as supplied.
Note:
The details entered opposite are for illustrative
purposes only. Please check and enter your vessel
specific information into these fields.

2. Click on Save

3. Double-click on the GTMailPlus icon on the desktop to launch the GTMailPlus


software

4. Log in to the software using Administrator credentials


Username administrator
Password password

5. You will be prompted that the software is waiting


for a configuration download from the server.
Click on OK.

You now need to create a Data Connection to collect your configuration.

6. Click on the Data Transfer button


7. Click on the Add button to create a new Connection
8. Select your Connection type from the list
9. Select your Terminal type from the list
10. Click on Next

Default settings are displayed for the Connection and


Terminal type you select.

11. Change as appropriate and click on Save to confirm


12. Click on Collect All Connection to download your
configuration file

13. Upon completion of the download, the configuration will be
automatically installed.
14. To complete the installation, click on the Dashboard File menu
15. Select Exit

All user accounts, connections, schedules etc. as pre-provisioned on the


shore server, will now be ready to use.

16. Log in to the dashboard using your account credentials.


17. Configuration from Server is now complete.

Restore from Backup
The Restore from Backup option can be used if you are reinstalling GTMailPlus and wish to restore a
previous backup.

You must have a GTMailPlus backup file to use this option.

1. Select Restore from Backup from the Configuration


Wizard window
2. The configuration options will disappear
3. Click on the Restore from Backup button

4. Browse to the location of your backup file (.BCK)


5. Double-click on the backup (.BCK) file you wish to
restore
6. You will be prompted that restoring a backup will
clear existing data. Click on Yes to confirm

7. The restore procedure will now begin


8. You will be prompted when the restore is complete
9. Click on OK

Starting GTMailPlus
To start the GTMailPlus mail client double-click the GTMailPlus icon on your desktop.

Logging In
When the GTMailPlus software starts, the Login window will
display requesting Client, Username and Password information

Client
Is the name or IP address of the main GTMailPlus installed
machine
Click on the pull-down arrow to reveal a list of machines the
software detects

1. Select the GTMailPlus installed machine in Client


2. Enter your Username
3. Enter your Password
4. Press Enter or click Login

GTMailPlus Dashboard Interface


Welcome to the GTMailPlus Dashboard.

This is the control centre for your GTMailPlus


software

Dashboard Icon
The GTMailPlus icon will display in your System Tray when a user is logged in
to the GTMailPlus Dashboard.
Right Click on the GTMailPlus icon to display the menu.

The menu has three options:


Open: Opens (Maximises) the Dashboard screen if hidden
Hide: Hides (Minimises) the Dashboard screen if visible
Exit: Closes the GTMailPlus dashboard

Dashboard Menus
Launches the GTMailPlus Webmail client in a new window.
Webmail can be accessed from any PC on the network by browsing to the
GTMailPlus PC on port 8080 (default).

Opens the Outbound Messages page, displaying a list of all E-Mail messages
waiting to be transferred from the vessel in the next Data Transfer session.
(Access to this page may be restricted by owner set policies)

Opens the Data Transfer page used for transmitting and receiving messages
(Access to this window may be restricted by owner set policies)

Opens the GTMailPlus Settings page.


(Access to this window may be restricted by owner set policies)

Opens the GTMailPlus Help page.


Displaying the status of the software and allows you to generate a Support
Message.

Webmail
GTMailPlus has an inbuilt email client that allows anybody with a user account
in the local GTMailPlus system to access their emails.

Webmail can be accessed either by clicking the Launch Webmail button on the
GTMailPlus Dashboard, or by browsing to the GTMailPlus PC on port 8080

- Using the GTMailPlus Client PC, browse to http://localhost:8080 or http://127.0.0.1:8080


- Using a Networked PC, replace localhost or 127.0.0.1 in above examples with the IP address
of the GTMailPlus installed machine.

After a few moments, the Webmail login screen will


appear.

1. In the Login box, enter your GTMailPlus


Username
2. In the Password box, enter the password
associated with your GTMailPlus account
3. Click on Enter to confirm

The Webmail client will now start up displaying your


folders and messages

Outbound Messages
The Outbound Messages page allows you to view and control messages sent
from the users on-board.

When selecting Outbound Messages, a summary of messages waiting to be


sent during the next Data Transfer session will display.

Access to the Outbound Messages page may be restricted by owner set


policies.

If access to the Outbound Messages page is restricted, you will be


prompted accordingly if you try to open the page.

If you do have access to the Outbound Messages page it will open as below:

From this page, you can monitor and manipulate messages queued to be sent out.
Messages (Non-system messages only) in the Outbound Messages queue can be held for later
transmission or rejected.

View an Outbound Message
Access to the contents of Outbound Messages may be restricted by owner set policies.

To view the contents of a message in the Outbound Messages queue:


1. Click the Outbound Messages button on the GTMailPlus Dashboard.
2. Double-click on the message you wish to view.

If access to the contents of Outbound Messages is restricted, you


will be prompted accordingly if you try to view a message.

If your policy settings allow you to view the contents of Outbound Messages, the message will open
in a preview window showing the following details

- Sender
- Recipients
- Date and Time Sent
- Subject
- List of Attachments
- Message body

Cancel an Outbound Message
Access to the Outbound Messages page may be restricted by owner set
policies.

To cancel an outbound message prior to transmission:


1. Click the Outbound Messages button on the GTMailPlus dashboard

If access to the contents of Outbound Messages is restricted, you


will be prompted accordingly if you try to view a message.

To prevent the software from dropping more messages into the outbound list while you are making
changes to it, you must ensure the you Lock the mailbox.
While the mailbox is manually locked, the software will not be able to complete a Data Transfer
When you finish making changes, you MUST unlock the Mailbox to allow the software to resume
normal operation.

2. On the Outbound Messages page, click on Lock


Mailbox

3. Right-click your mouse on the message you wish to cancel


4. Select Reject from the pop-up menu
5. Select rejection option from the sub-list

When complete you MUST unlock the Mailbox to allow the software to resume normal operation.

6. Click on Commit Changes to Confirm changes or


Click on Revert Changes to Undo changes made to the
mailbox since locking.

The rejection options available (step 5 above) are as follows:

Silently:
The message will be deleted from the outbound queue.
No message/notification will be issued to the sender of the
message.

With NDR:
The message will be deleted from the outbound queue and a
system generated Non-delivery report sent back to the sender.

With Note:
Message will be deleted from the outbound queue.
A pop up window will appear allowing you to enter a short
message explaining the reason for rejection to the sender.

Holding Outbound Messages (Deferred Delivery)
Access to the Outbound Messages page may be restricted by owner set
policies.

To hold an outbound message on the vessel for transmission to shore later:


1. Click the Outbound Messages button on the GTMailPlus dashboard

If access to the contents of Outbound Messages is restricted, you


will be prompted accordingly if you try to view a message.

To prevent the software from dropping more messages into the outbound list while you are making
changes to it, you must ensure the you Lock the mailbox.
While the mailbox is manually locked, the software will not be able to complete a Data Transfer
When you finish making changes, you MUST unlock the Mailbox to allow the software to resume
normal operation.

2. On the Outbound Messages page, click on Lock Mailbox

3. Right Click your mouse on the message you wish to hold


back from transfer
4. From the pop-up menu select State
5. Change the message state from Queued to Holding

When complete you MUST unlock the Mailbox to allow the software to resume normal operation.

6. Click on Commit Changes to Confirm changes or


Click on Revert Changes to Undo changes made to the
mailbox since locking.

Re-Queuing a Message
Messages held back from transfer will remain in the Holding state until they are re-queued.
To place a held message back in the outbound queue to be transferred follow the steps in Holding
Outbound Messages, setting the State from Holding to Queued in Step 5.

Data Transfer
The Data Transfer page is where you can control manual connections to send
and receive emails.

To access the Data Transfer page, your owner set policy must allow you access
to Remote Communications.
To manually initiate a Data Transfer:

1. Click the Data Transfer button on the GTMailPlus Dashboard

If access to the Data Transfer page is restricted, you will be


prompted accordingly when you try to access the page.

If you do have access to the Data Transfer page, you see the below screen:

2. Select the Connection you wish to use from the Connection dropdown list
3. Select the Mailbag you wish to transfer from the Mailbag dropdown list

4. To initiate a Data Transfer, click on either Message Preview


Connection or Collect All Connection

Collect All Connection


Connects to the GTMailPlus shore-side server transferring all Queued outbound messages to shore
and collecting any waiting messages.

Message Preview Connection


Connects to the GTMailPlus shore-side server and displays a list of messages that are waiting to be
received. You can then choose which messages to collect during the data session.

Message Preview Connection
To initiate a Message Preview Connection, your owner set policy must be set with Allow Message
Preview Connections option enabled.

With a Message Preview Connection, a connection is made to the GTMailPlus


shore side servers and you are presented with a list of messages currently
waiting to be received.

This allows you to control what is received before starting to download


messages.

To control incoming messages during the data session:

1. Click the Data Transfer button on the GTMailPlus Dashboard


2. Select Connection and Mailbag
3. Click on Message Preview Connection
4. When connection is established, the Inbound Message Preview window will appear

5. Selecting the message gives you the following options:


Collect: Receive the selected message.
Collect All: Receive all pending inbound messages.
Hold: Do not collect the message during this session, but leave it in
the message queue to be collected later.
Reject: Reject the message Silently, With NDR or With a Note.

Settings
The Settings page is where user level configuration changes can be made to
the GTMailPlus software.

To access the Settings page, your owner set policy must allow you access to
Settings.

The Settings page is divided into 3 sections: System, Communications and Accounting. Each section
is explained in full later in this guide, but briefly the sections consist of the following:

The System section is where you can:


• Administer Users accounts

System
The System section of the Settings page is where the operational aspects of your GTMailPlus
software can be configured.
This section covers Users, Shared Folders, Mail Gateways, User Policies, Outbound Filters, Tracking
and Alerts.

Users
The Users page is where you will find a list of the User accounts currently can be created in the
software to allow individuals to send and receive mail.
Users accounts can also be created to allow other applications IMAP or POP3 email access to shore
via GTMailPlus
System User accounts are created and used by GTMailPlus and/or other GTMaritime applications to
send data from ship to shore.
System User accounts are flagged with a Policy of <SYSTEM> and cannot be edited or deleted.

Add a New User Account


To access the Users page, your owner set policy must allow you access to Settings.
To add a new User:

1. Click the Settings button on the GTMailPlus Dashboard

2. Click on Users on the left-hand side

3. Click on the New button

4. Enter a unique Username for the new account


5. Enter a Password – Minimum 6 characters A-Z, 0-9
6. In Display Name enter the name you wish to be
displayed on outgoing emails sent by the user
7. Click on Add to assign an email address to the account.

9. Click on OK

Note:
You can add multiple email addresses to a User

10. If more than 1 email address is assigned to the user,


select the Primary Address from the drop-down list
11. If GTMailPlus is configured to relay messages to an
external mail server, select it from the Gateway list
12. Select the relevant Policy to be applied to this user from
the drop-down list.
13. Click on Save to confirm

Edit a User Account
You can Edit user accounts to change password and display name, add or remove email addresses
and change the mail gateway and policy settings.

To access the Users page, your owner set policy must allow you access to Settings.
To edit a User account:

3. Either double-click the User you wish to edit from


the list or click once to highlight and click the Edit

Delete a User Account
If you need to Delete a user account to change a user’s password and display name, add or remove

Shared Folders
Shared Folders can be used to share the contents of a mail folder or subfolder other users
configured on board, allowing them to view, reply, move or delete the messages.
To access the Shared Folders page, your owner set policy must allow you access to Settings.
Sharing Folders from the GTMailPlus dashboard is only possible if you are accessing your email using
the IMAP protocol.

Add a New Shared Folder
Shared Folders are only applicable if you are accessing your email using the IMAP protocol.

To access Shared Folder settings, your owner set policy must allow you access to Settings.
To add a Shared Folder:

1. Click the Settings button on the GTMailPlus Dashboard

2. Click on Shared Folders on the left-hand side

3. Click on New

4. Select the User who owns the folder you wish to


share
5. Select the Folder of the user you wish to share
6. Select the Overide Folder Name option if you wish
the folder to appear to users with a different title
The example opposite shows the Reports folder belonging
to user Master being shared with other users as Shared
Reports.

7. Click on Save to confirm

Note:
When Sharing a Folder, all IMAP enabled email accounts in your GTMailPlus system will be able to
access, move, delete and edit the contents of that folder.

Deleting a Folder Share
To access Shared Folder settings, your owner set policy must allow you access to Settings.
To delete a Shared Folder:

1. Click the Settings button on the GTMailPlus Dashboard

2. Click on Shared Folders on the left-hand side

3. Click on the folder share you wish to Delete


4. Click on Delete

5. Select Yes to confirm

This action only removes the Share for the folder – it does not delete the folder
The owner of the folder will still be able to access the folder as normal.

A Mail Gateway is used in more complex installations to connect GTMailPlus to a 3rd party mail
server. This allows GTMailPlus to route messages to an external server for delivery.

3. Check the Users list to identify those that are

remove the Mail Gateway from or click once

User Policies give you control over User level access to Configuration, Settings and Data Transfer as
well as allowing you to set restrictions on outbound messages.

To create and edit User Policies, your owner set Policy must allow you access to Settings.

GTMailPlus has example Policies upon installation that can be edited or copied to create your own
custom policies.

Outbound Filters
Outbound Filters are one or more rules that can be configured to regulate mail sent to specific
addresses or domains. These rules block mail before it can be queued for transmission from the
vessel, returning an NDR to the sender.

To create and edit Outbound Filters, your owner set Policy must allow you access to Settings.

Outbound Filters operate on a ‘Best Match’ principle.


This gives the ability to block all messages to a domain whilst still permitting email to an individual
address within that domain.

In the above example, the top filter ensures that all messages to the domain @example.com will be
blocked by the software.

The additions of the 2nd filter will ensure that all messages to the domain @example.com are
blocked, except for those sent specifically to a.user@example.com.
Messages up to 100kilobytes will be Allowed to this user.

Individual size limits can be specified for any Allow action filter, enabling the vessel to have a client
side approved recipient list.

Tracking
The Tracking section is where you configure GTMailPlus to obtain GPS position information from
your on-board equipment.

You can configure GTMailPlus to obtain GPS information from 2 different sources.
These sources can be a serial GPS device or any compatible satellite equipment on board.

To access the Tracking page your owner set Policy must allow you access to Settings.

GPS information obtained from on-board equipment is displayed on the Tracking page and
transmitted to shore at configurable intervals.

The position information is then imported into a shore-side tracking system used by vessel owners.

The Connections page is where you configure your GTMailPlus software to work with your on-board
communications equipment.
You can create as many Connections as you require.
For communications over IP, the GTMailPlus software will attempt to connect to all available servers

Add a New Connection


To access the Connections page, your owner set policy must allow you access to Settings.
To create new Connection:

1. Click the Settings button on the GTMailPlus Dashboard

2. Click on the Connections button on the left-hand side of the Settings

4. Select the appropriate Connection Type from

Schedules
Schedules allow you to configure GTMailPlus to automatically connect at regular intervals to send
and receive data.

To enable and create Schedules, your owner set policy must allow you access to Settings.

Enabling and Disabling Scheduler


The Enable Scheduler option must be activated in System Configuration before the Schedules
feature of GTMailPlus will function.

The operational status of Scheduler is always displayed in the top-


right corner of the Schedules page

To Enable Scheduler:

1. Click on GTMailPlus Tools menu

2. Select System Configuration

3. Click in the box to Enable Scheduler

4. Click on Save

Note:
When enabling the scheduler, GTMailPlus will attempt to connect using any Schedules already
configured.

Add a New Schedule
To enable and create Schedules, your owner set policy must allow you access to Settings.
To add a new connection schedule:

1. Click the Settings button on the GTMailPlus Dashboard

2. Click on the Schedules button on the left side of the page

3. Ensure Scheduler is enabled (top right of screen)

4. Click on the New button.

5. Enter a unique Name for the schedule


6. Click in the box to Enable the schedule
7. Click Add to add a connection trigger

8. Set the required connection frequency

Mailbags
Mailbags are sets of rules that can be applied to your outbound mail.
You can specify
• The maximum size of message
• The maximum number of messages to be transmitted
• The maximum size that the outbound mailbag (all outbound messages combined) can be

Mailbags are assigned to Connections.


Assigning a Mailbag to a Connection gives you control over the amount of data that will be sent over
that connection in a single Data Transfer.
This helps you to reduce communication costs over more expensive communication channels.

To create Mailbags and assign them to Connections, your owner set policy must allow you access to
Settings.

NOTE:
If a connection is made using a custom Mailbag, the mailbag settings apply to incoming mail also.

Add a New Mailbag

Assign a Mailbag to a Connection
For a Mailbag to be effective, it must be assigned to a Connection.
To access Mailbags and assign them to Connections, your owner set policy must allow you access to
Settings.

NOTE:
If a connection is made using a custom Mailbag, the mailbag settings apply to incoming mail also.

To assign a Mailbag to Connection:

1. Click the Settings button on the GTMailPlus Dashboard

2. Click on the Connections button on the left-hand side of the Settings

Accounting
The Accounting section gives you access to create and assign Tariffs to Connections to assist with on
board communications cost calculations.

Tariffs
Tariffs are sets of costs you can apply to your Connections to assist you with on board cost
calculations.

When selecting a Connection from the Data Transfer window that has a Tariff associated with it,
GTMailPlus will use the information in the selected Tariff to display an estimated cost for
transferring your Outbound data over the selected Connection.

To create Tariffs and assign them to Connections, your owner set policy must allow you access to
Settings.

Adding a New Tariff


To access Tariffs and assign them to Connections, your owner set policy must allow you access to
Settings.

To create a new Tariff:

1. Click the Settings button on the GTMailPlus Dashboard

2. Click on the Tariffs button on the left-hand side

3. Click on the New button

4. Enter a unique name for your Tariff in the
Description box
5. Complete the rest of the form data in
accordance with your current airtime

(MB) the airtime provider charges for connections
Minimum charge of: If there is a minimum charge per connection
Modem Synchronisation: For dial-up type connections – Enter an estimate of many seconds
are spent between clicking connect and connection being
established
Overhead (%): How much (in percent) of the total transmission size is used for
ensuring the data is transmitted correctly
Average Speed (kB/Minute): How much data (In kB) is transferred per minute (used for time
charged connections)

Help
The Help page contains an at-a glance view of the status of the GTMailPlus
software and contact information for your support team should you have any
issues with the software.

All users have access to the Help page.


To access the Help page:

1. Click the Help button on the GTMailPlus Dashboard

You will see the below screen

The left side of the Help page shows you the status of all the GTMailPlus components.
• Green check-mark – Component running normally.
• Red Cross – Components not running correctly will be marked with a red X.

The right side of the Help page is where you can generate a message to your Support team.

Generating a Support Message
The Help page can also be used to generate an email message straight to your support team with
options to include important information about your installation that will aid in the quick diagnosis
and resolution of any issues with the system.

The support message will already be addressed to


your support team.
You can add additional addresses in the ‘CC’ field.

Please use the Notes section to include a description if


the issue you are having giving the support team as
much information as possible
This will help them diagnose the issue quickly and get
your system back up and running.

To Generate a Support Message:


1. Click the Help button on the GTMailPlus Dashboard
2. The message is addressed to your Support team automatically
3. Add any other addresses you wish to receive the message in the CC field
4. Fill in the Notes section, with details of the issue, giving as much information as you can
5. Include Logs for the day of the issue and
Configuration information
6. Click on Send

Toolbar
The Dashboard Toolbar contains links to all the previously
mentioned sections with some additional features.

File Menu
The only option in the File menus is Exit.
Clicking on Exit will log you out and close the dashboard
interface.

View Menu
The View menu bar contains to all the pages available in
the GTMailPlus dashboard.

Tools Menu
The Tools menu gives you options to view and change
system level configuration settings, create, schedule and
restore backups and change the password for the current
user.

System Configuration
The System Configuration option allows you to view and change your GTMailPlus configuration
settings.

To access the System Configuration window


1. Click on the Tools menu
2. Select System Configuration

Access to System Configuration may be restricted by owner set policies.

If access to the System Configuration window is restricted, you will


be prompted accordingly when you select it from the Tools menu.

If you do have access, the System Configuration, window will


appear as below.

General
The General tab holds system email settings.

Default Username
If your vessel receives mail for user that does not exist on
board, the software will forward the message to the Default
Username selected here.
Postmaster
This account will be used to send system messages (NDR’s etc.)
to other users on board the vessel or to external senders. The suggested default is the Master
account.
Enable SMTP Authentication
SMTP Authentication may be required for certain email clients for them to communicate with
GTMailPlus. Please check your email client documentation and enable if required.
SMTP Maximum Message Size (MB)
Sets the maximum individual message size the software will accept
Individual User limits may be lower.
Enable Scheduler
Enable or Disable all configured schedules
Enable Alerts
Enable or Disable all configured alert

Account
The Account tab contains your vessel account information.
The information on the Account tab is used during Data Transfer sessions to validate your vessel
with the shore-side server.
Please do not make any unauthorised changes to the Account tab as incorrect information here
could result in you not being able to communicate with the shore-side server.

Account ID: Username for communication with the GTMailPlus


Server
Password: Password for communication with the GTMailPlus
Server
Licence Key: Individual licence key for the account
Account Name: The name that appears on correspondence
sent from the vessel.
Email Address: The primary email address for the account.

Note:
Account details are available from the GTMaritime Dashboard (shore) or by contacting your office.

Ports
The Ports tab is where the email communication ports used for GTMailPlus are specified.

POP3: POP3 Communication port (default: 110)


IMAP: IMAP Communication port (default: 143)
SMTP: SMTP Communication port (default: 25)
Webmail: Webmail port (default: 8080)

Dashboard
The Dashboard tab controls whether you have GTMailPlus Dashboard notifications on or off and
how long they display for.

If enabled, sets the duration the window displays for (in
seconds)

Maintenance
The Maintenance tab is where you configure housekeeping settings for GTMailPlus.

Remove old files after


The system will purge GTMailPlus log files and other system
files that are no longer required after the specified number of
months.
Keep the last ‘x’ backups
Set the number of software backups the system will hold (Does
not apply to exported backups)

Create Backup
The Create Backup option can be used to take an immediate backup of the GTMailPlus configuration
and emails (IMAP).
Backups are automatically stored on the local machine.
There is also option to Export a Copy of the Backup to a location of your choice.

To take a Backup of GTMailPlus


1. Click on TOOLS menu
2. Select Create Backup
3. Click on Create Backup

Or
Click in the Export a Copy of Backup box
Specify a backup location
Click on Create Backup

4. Your Backup will now be created

5. Click on Tools then select Restore Backup to see


the progress of the backup

While the Pending status shows Yes, the backup has not
yet run or completed.
Completed Backups will show No in the Pending column.

Backup Scheduler
The Backup Scheduler option can be used to automatically take backups on a fixed schedule
between 1 and 14 days.

Scheduled backups are automatically stored on the local machine and there is the option to Export a
Copy of the Scheduled Backups to a location of your choice.

To create a Backup Schedule

1. Go to Tools menu
2. Select Backup Scheduler
3. Click to Enable the scheduler
4. Select Backup frequency
5. If required, click Export a Copy and specify
exported copy location
6. Click on Save Schedule

After clicking on Save Schedule, a backup will be performed immediately and repeated at the
frequency specified.

7. To check on the progress of the backup Click on


Tools and select Restore Backup menu

While the Pending status shows Yes, the backup has not
yet run or completed.

Completed Backups will show No in the Pending column.

Restore Backup
The Restore Backup option allows you to restore GTMailPlus configuration and email (IMAP) back to
the point where the backup was taken.

Note:
Any configuration changes made or emails (IMAP) received since the backup was taken will be lost
when the system is restored.

Restoring from a Locally Stored Backup


1. Click on the Tools menu
2. Select Restore Backup
3. In the Source box select Local Backups
4. Local Backups are listed in the window
5. Select the Backup you wish to restore
6. Click on the Restore button to begin

7. You will be warned that existing data will be


cleared upon restore and prompted to confirm.
8. Select Yes to proceed with the restore
9. The GTMailPlus dashboard will now closedown

10. Restart the GTMailPlus dashboard when complete

Restoring from an Exported Backup


1. Click on the Tools menu
2. Select Restore Backup
3. In the Source box select Backup File
4. Click on Restore

5. Navigate to the folder where your backup is


saved
6. Double-click on the backup file (.bck) to
begin the restore

7. You will be warned that existing data will be


cleared upon restore
8. Select Yes to proceed with the restore
9. The GTMailPlus dashboard will now closedown
10. Restart the GTMailPlus dashboard when
complete

To change your user account password

3. Enter your current password in the Old Password box

Finding Computer Name
Knowing the name of the computer could be useful when logging into the GTMailPlus Dashboard.

To find the name of your computer:

1. Click on the Windows Start button
