Before You Start

Introduction
This user guide describes Cars Plus, the new rental car reservation module
integrated in Amadeus Selling Platform. It explains how to use Cars Plus from an
end-user point of view.

Audience
This user guide is intended for travel agents who use Cars Plus to book rental
cars for their corporate or leisure travellers.

Prerequisites
To benefit most from this guide, you should be familiar with Amadeus Selling
Platform.

Objectives
After you have read this guide, you will be able to:
• Search for car rental providers close to an airport or city, an address or a
landmark
• Compare car rental offers
• Choose and book a car, using either corporate or prepaid leisure rates
• Issue an e-voucher
• Modify or cancel a car reservation

When you are using Cars Plus, you can display the online help by selecting
Help > How To from your platform's main menu. The online help contains similar
information to this guide.
Note: You cannot use F1 to open Cars Plus help. You can only access it via
the Help menu.

the availability request and display only cars that comply
with company and/or agency policies (In Policy display).
Alternatively, you can display all available cars, but
highlight which cars comply with company and agency

Chapter 1
What Is Amadeus Cars Plus?

Amadeus Cars Plus is a web-based graphical car reservation tool that is


seamlessly integrated in Amadeus Selling Platform. It has been designed to
guide both experienced and non-expert users through the complete booking flow.
Arrows at the top of the screen represent the consecutive steps of a car booking
and show you at any time where you are in the booking process.
Amadeus Cars Plus allows you to:
• Book rental cars at both corporate and leisure rates from a combined display.
• Easily find car rental stations within a city, around an airport, in a street or
close to a landmark. No knowledge of cryptic or IATA codes is required.
• Display search results based on your customer's criteria, with real-time car
availability.
• Choose from an unprecedented choice of car providers and rates.
• Display detailed car provider, rate and car information before you book a car.
• Choose a car rental station directly from a map, for example depending on its
proximity to a landmark.

You access Amadeus Cars Plus by clicking on the Cars Plus module .

Important Concepts to Understand


To fully benefit from Cars Plus, you should understand some basic concepts.

Corporate Rates
Corporate rates are intended for corporate customers and provide reliable, real-
time car rental information as well as easy booking with instant confirmation.
These rates are particularly flexible when you have to modify or cancel a booking.
Searching for these rates is described in How to Search for Corporate and/or
Leisure Rates on page 15.

Easy Shopper (Leisure) Rates


Easy Shopper rates are prepaid leisure rates that are 'fully inclusive'. This means
that they usually include unlimited mileage and, in most markets, Collision
Damage Waiver and Theft Protection.
Searching for these rates is described in How to Search for Corporate and/or
Leisure Rates on page 15.

ACRISS Code
An ACRISS code is a four-letter code that allows you to specify any combination
of category, type, transmission/drive and fuel/air conditioning. This is the most
detailed search option when searching for a rental car.
You can use up to five 4-letter ACRISS codes during a search, with each one
separated by commas. You can use * as a wildcard. Example: ECMN,CC**

Pseudo Code
Pseudo codes are used to group sets of car features to make a more specific
search of car types. One pseudo code can be selected from the pseudo code
drop-down list. Example: All hybrid vehicles.

IATA Codes
An IATA code is a unique three-letter code that is used to identify an airport or
city. The codes are assigned and governed by the International Air Transport
Association (IATA).
In Cars Plus, you can easily find car rental stations within a city or around an
airport without any prior knowledge of IATA codes, just by entering the name.

Geocoded Versus Non-geocoded Locations


A geocoded location is one that has associated geographic coordinates (often
expressed as latitude and longitude). The coordinates of a location are
determined by geographic data, such as address and postal code.
• Geocoded car rental stations
In Cars Plus, you can find geocoded car rental stations using the
Landmark/Address search option. This search will look for car rental stations
near a landmark, an address, a city or airport (IATA-coded or not). In each
case, a default radius of 5 km around the location is applied (this value can
be changed.).
The coordinates of a geocoded location can be embedded into media such
as digital photographs or street maps. In Cars Plus, you can display the
geocoded car rental stations on a map or on a 3D aerial photograph.

• Non-geocoded car rental stations
Some car rental providers have not yet geocoded their rental stations
worldwide. For non-geocoded locations, you can use the IATA City/Airport
search option. This search does not use a radius, but you can use location
areas to narrow down the results. By default, the search targets all available
location areas (downtown, east of city, south of city, etc.).

Non-geocoded locations cannot be displayed on maps or aerial photographs.
You cannot find locations that neither have an IATA code nor are geocoded.

Point of Reference
A point of reference or landmark is a building, monument, or any other type of
landmark considered important enough to be used as a criterion when searching
for car rental stations. Each point of reference is assigned to a category
according to its nature, for example, an airport, a university, a sports stadium, or
a tourist attraction.
In Cars Plus, you can search for car rental stations that are less than a certain
distance from a point of reference in the Address/Landmark search option.

How to Make a Car Reservation

The graphical user interface of Amadeus Cars Plus is designed to guide you
through the complete booking flow.
Arrows at the top of the screen represent the consecutive steps of a car
reservation and show you where you are in the booking process at any time.

The booking flow for a typical car booking consists of the following steps:

Step 1: Searching for Car Availability


Go to the Search page in Cars Plus and enter rental dates, pick-up and drop-off
locations and numerous other search criteria.
Click on Search to carry out the search and display the results in the Cars page.

Step 2: Choosing and Booking a Car


The Listing View in the Cars page displays a list of car providers with available
cars that fulfil your search criteria. You can display car and rate details and
compare car rental offers.
You can switch to the Category View to easily find the cheapest rate for each car
category, or to the Map View to choose a car rental location from the map.
You can choose a rate from any of these results displays and then click on Book
to go to the Traveller Page.

Step 3: Entering Traveller and Payment Details


Fill in traveller details in the Traveller page, then click on Go To Payment to
display the Payment page.

For prepaid rates, fill in the payment details in the Payment page.

Click on Confirm to confirm the booking.

Step 4: Saving the PNR


The Confirmation page is displayed, showing the car provider's confirmation
number.

To confirm the car reservation, you now need to go to the PNR module and enter
all required PNR elements (Contact, Received From, etc.) and then save the
PNR.

Searching for Car Availability


The Search page in Cars Plus allows you to enter the details for your car
availability search, including, for example, pick-up and drop-off location, dates
and car rental provider.
Note: For information on using profiles, see How to Use Profiles and Policies
with Cars Plus on page 37.

How to Search for Rental Cars


1. To search for rental cars, click on the Cars Plus tab to open the Search
page in Cars Plus.
If air segments are present in an active PNR, some input fields are
automatically updated with the available information.
Example: If you have booked a round-trip flight segment, the system
retrieves the pick-up and drop-off locations, date and time information from
the PNR and updates the corresponding fields in the Search Page.

2. Enter the mandatory search criteria.


- Pick-up and drop-off location: You can either enter the location (city or
airport), specify the address, or select a landmark.
- Pick-up and drop-off dates and times
3. Specify any other criteria, according to your customer's requirements.
Example: Rate types, preferred providers, vehicle options or discounts
4. Click on Search.
The Cars page is displayed, showing available cars that match your search
criteria. Refer to Choosing and Booking a Car on page 18 for more information.

How to Find Car Providers Close to an Airport or City


1. In the Cars Plus Search page, select the IATA City/Airport option.
2. Enter the city or airport name or its IATA code (for more information, see
IATA Codes on page 4).
As you type, a list of the cities and airports beginning with these letters is
displayed. Continue typing until your location is displayed, then click on its
name or press Enter.

Alternatively, press on the keyboard until your location is highlighted, then


press Enter to select it.
Example: Berlin, Tegel (TXL)

Note: If you enter a location that is not found, you cannot use this search
option. Use the Landmark/Address option instead.
3. If you want to search only in a specific area, select an area from the list.
Example: 'East of city centre' for a city or 'Terminal' for an airport.
If no area is selected, all areas will be included in the search.

How to Find Car Providers Close to an Address, Landmark or


Non-IATA Location
Note: This search will only find geocoded rental stations. This may limit your
search results, as some car providers have not yet geocoded all their
stations.
1. In the Cars Plus Search page, select the Address/Landmark option.
2. Start entering a full address, a landmark name or a city or airport name (IATA
or non-IATA coded).
Example: 15, Oxford Street, Eton, Great Britain or Eiffel Tower
As you type, a list of addresses and landmarks beginning with the letters you
type in is displayed. Continue typing until your address is displayed, then click
on its name or press Enter.
Alternatively, press on the keyboard until your address or landmark is
highlighted, then press Enter to select it.

Note: There is no pre-defined order in which you have to enter the


address. However, if you do not find the address you are looking
for, you can try entering it with or without the street number, for
example.

3. Enter the radius around the selected landmark or address within which you
want to search for car rental stations.

How to Select a Specific Car Rental Station


To search for available cars in a specific car rental office only:
1. In the Cars Plus Search page, select the location, using either the IATA
City/Airport or the Address/Landmark option.
Example: Venice (VCE)
2. Click on the Select Rental Station from List link.
The Station Locator window opens, showing all car rental stations associated
to the selected location, both in a list and on a map.

3. Select a rental station from the list or map, then click on Choose Station to
save the selection and return to the Search page.

How to Search for Corporate and/or Leisure Rates


1. Go to the Search page in Cars Plus.
2. In the Show Rates field, choose between:
- All to display both corporate and leisure rates
- Easy Shopper to display only leisure rates. Easy Shopper rates are
prepaid leisure rates for car rentals with unlimited mileage. In most
markets they include Collision Damage Waiver and Theft Protection.

How to Search for Preferred Car Providers Only


You can select up to five preferred providers and search for their car offers only:
1. Go to the Search page in Cars Plus and click on the Refine Your Search link.
2. In the Car Provider field, enter up to five car provider names or codes,
separated by commas. Example: ZE,ZI or Hertz,Avis

Alternatively, click on to select them from a list.

How to Specify the Car Type


1. Go to the Search page in Cars Plus and click on the Refine Your Search link.
2. Select the car type in one of the following ways:
Vehicle Options
Select this option to specify car category, air conditioning and manual or
automatic transmission.
In the Car Class field, enter up to five car categories, separated by commas,
or click on the icon to select. Example: E,C,L for 'Economy,Compact,Luxury'

Pseudo Code
Pseudo codes regroup sets of car features and allow an easy selection.
Select this option, then select one pseudo code from the list. Example: All
hybrid vehicles.

ACRISS Code
An ACRISS code is a four-letter code that allows you to specify any
combination of category, type, transmission/drive and fuel/air conditioning.
This is the most detailed search option.
Select this option, then enter up to five 4-letter ACRISS codes, separated by
commas. You can use * as a wildcard. Example: ECMN,CC**

If you are not sure about a code, click on to display a comprehensive list
of codes.

How to Search for Negotiated Rates or Discounts Only


1. Go to the Search page in Cars Plus and click on the Refine Your Search link.
2. In the Specific Rate Search section, select the discount type:
- Corporate Discount (CD)
Discount rates which a car rental provider grants to specific companies or
travel agencies.
- Customer ID (ID)
Discount rates which a car rental provider grants to an individual traveller
via an ID number
- Airline Frequent Traveller (FT)
Discount rates which a car rental provider grants to travellers with a
frequent traveller number for an airline
- Promotional Code (PC)
Promotional rate offered by a car rental provider through a specific
promotion.
- Inclusive Tour Code (IT)
Promotional rate offered by a car rental provider as part of an inclusive
tour package.
- Rate Code (RC)
Negotiated rates which a car rental provider grants to companies or travel
agencies.
3. Select the car rental provider from the drop-down list.
4. Enter the rate code or discount number.

5. Click on Apply to add the rate to the list.

Repeat these steps for any other rate or discount you want to search for.
For each car provider, you can enter the following maximum number of discounts:
• Any combination of up to four corporate discounts, customer IDs and
frequent traveller numbers. Example: three corporate discounts and one
customer ID)
• One promotional code, one inclusive tour code and/or one rate code

To remove a rate, click on the Minus icon next to it.


To reuse these settings for a new search, select this search from the Select
Search list and modify location and dates as required.

How to Repeat or Modify a Previous Search


Each time you search, your search criteria are automatically stored in the Select
Search list.
To repeat a previous search, open the Select Search drop-down list and select a
search from the Favourite Searches or Last Searches list. Click on Search, or
modify some of the criteria first.
To mark a search as a favourite, select it and click on the star icon.
To start a new search using different criteria, click on the Reset button on the
Search page. All fields will be cleared.

Choosing and Booking a Car


When you have carried out a car search, as described in Searching for Car
Availability on page 12, the Cars page is displayed, showing a list of car rental
offers that fulfil the search criteria you entered. From here, you can use one of
three different displays to select and book a car:
• Use Listing View when you want to view detailed information matching your
search criteria. For each offer, detailed information is displayed, including
provider information, car details and price.
• Use Category View to display search results listed by car category (such as
economy, compact, etc.).
• Use Map View to display a road map view, aerial view, or bird's eye view of
the rental station location.

Note: If profiles are active, the availability displays can either show policy-
compliant cars only, or show all available cars, but highlight the ones
that are policy-compliant. Refer to How to Recognise Preferred Cars in
the Availability Displays on page 43 for more information.

How to Display More Cars


To reduce response time, a set of car rental offers that match your search criteria
will be displayed very quickly, while the search for more offers continues in the
background.

A status panel on the left shows the status of the


car rental stations that are not yet displayed in
the search results.
The status icons indicate the following:

Rates of this car rental station are


available for display.

Retrieval of rates is in progress.

No rates were found.

As soon as the Add More Stations button


becomes available, you can click on it to add the
car rental stations shown in green to the list of
search results.

How to Choose and Book a Car from the Listing View


The Listing View in the Cars page displays the offer with the lowest estimated
total price for each provider.
To see all the offers of a car provider, click on the More Cars link.
Prepaid (leisure) rates are indicated by the Prepaid icon.

To display more information on car provider and policies, click on the logo or the
address link of a car provider.
To display more information on rate rules, rate details and policies, click on a rate
or on a Conditions link.
To book a car from this display, click on Book next to the rate you want to book.
The Traveler page is displayed, allowing you to continue with the booking. Refer
to Entering Traveller and Payment Details on page 28 for details.

How to Choose and Book a Car from the Category View


Click on the Category View tab in the Cars page in Cars Plus to display the
search results in a table that shows the rates of the car rental providers for the
different car categories.
To help you compare the offers, the cheapest offer for each car category is
shown with a flag . To see more car categories, click on the arrow icons at the
top.
To display more information on car provider and policies, click on the logo or on
the address link of a car provider.
To check rate rules, rate details and policies, click on a rate.
To book a car from this display, select a rate and click on Book. The Traveler
page is then displayed, allowing you to continue with the booking. Refer to
Entering Traveller and Payment Details on page 28 for details.

How to Choose and Book a Car from the Map View


Click on the Map View tab on the Cars page in Cars Plus to display a map or
aerial view showing the car rental stations. This tab is only available if at least
one geocoded car rental station is found at the selected location.
On the right, a list of all car rental stations and their best rates is shown.
Blue markers on the map and in the list indicate the car rental stations that are
geocoded. The markers turn green if you select car providers in the list on the
right.
To show only the selected providers on the map, select the Show Only Selected
check box.
Note: Car rental stations displayed without a marker have not been geocoded
and cannot be shown on the map.
To display more information on car provider and policies, click on the logo or the
address link of a car provider in the list on the right.
To check rate rules, rate details and policies, click on a rate.
To book a car from this display, click on Book next to the rate you want to book.
The Traveler page is then displayed, allowing you to continue with the booking.
Refer to Entering Traveller and Payment Details on page 28 for details.
The Map View provides the following options:
• Road Map view
This view displays the car rental stations on a normal road map. This is the
default view. To return to it from another view, click on Road in the navigation
bar.

• Aerial view
Click on Aerial in the navigation bar to display an aerial photograph of the
location.

• Bird's eye view


Click on Bird's Eye in the navigation bar to display a 3D aerial photograph of
the location. The button is only enabled if the necessary data is available for
your location.

Navigation and Display Options


Car rental stations are displayed as blue markers on the map. Car rental stations
selected in the list on the right are displayed as green markers.
• Change the display area
You can scroll to the area you want to see on the map in the following ways:
- Click and hold down your left mouse button anywhere on the map, then
drag the mouse in the direction you want.
- You can do the same in the overview map in the lower right-hand corner:
to easily scroll to the area you want to see, click and hold down the left
mouse button in the overview map, then drag the mouse in the direction
you want. To hide the overview map, click on .

- Click on one of the arrows on the compass to scroll the map into
that direction.
• Zoom in and out

Click on and to zoom in and out by one level. Alternatively, click and
hold down your mouse button to zoom continuously.
Double-clicking on the map also lets you zoom in by one level.
The bird's eye view only provides two zoom levels.
• Maximize the map
To see more of the map, you can:

- Click on to hide the navigation bar.


- Click on to hide the overview map.
- Click on Labels to hide the location and street names (aerial and bird's
eye view only).
- Click on Full Screen Map to display a bigger map.
• Change the angle (bird's eye view only)

In bird's eye view, click on to to change the perspective from which


you look at the location.

How to Check Rate Rules, Rate Details and Car Provider Policies
To display more information on a car provider's policies, click on the logo or the
address link of a car provider in any of the results displays.

To check rate rules, rate details and policies, click on a rate or on a Conditions
link in any of the results displays. In the window that appears, click on the Rate
Details, Rate Rules or Policies tab to display more information.

How to Filter the Search Results


The Filters panel on the left-hand side of the screen allows you to narrow down
the search results and only display car providers that fulfil the selected filter
criteria.

Click on to display the filter options, then select or clear the options. The list of
car rental offers is immediately updated. Click on to hide the filter options.
The filter settings are applied in all three views: Listing View, Category View and
Map View.

How to Compare, Email and Print Car Rental Offers


If you do not want to immediately book a car or if you want to display more
details, you can add the offers you are interested in to the Preview panel on the
right-hand side of the screen.

To add a rental car offer to the Preview panel, select the check box to the left of
the offer description in the Listing View, Category View or Map View.

To print or email an individual offer, select it in the Preview, then click on to


print it or on to send it to an email address.

To remove an offer from the Preview, clear the check box in the main view or
click on in the Preview.

To compare all the offers in the Preview, click on Compare. In the window that
appears, click on to print or on to email the details of all the offers.

How to Start a New Search


You can modify your search criteria and search again at any time.
To enter new search criteria, click on the Your Search link at the top of the
screen. The upper part of the screen expands to display the search criteria fields.
Fill in the fields as required, then click on Search to search again. Refer to
Searching for Car Availability on page 12 if you need more information on how to
fill in the fields.
To repeat a previous search, open the Select Search drop-down list and select a
search.

Entering Traveller and Payment Details


When you have booked a car in the Cars page, as described in Choosing and
Booking a Car on page 18, the Traveller page is automatically displayed.
The fields you need to fill in are different, depending on whether you book a non-
prepaid (corporate) or a prepaid (leisure) rate.
Note: For details on loading information from a profile, see How to Use
Profiles and Policies with Cars Plus on page 37.

How to Enter Traveller Details


1. From one of the results displays in the Cars page, choose a car and click on
Book. Refer to Choosing and Booking a Car on page 18 for more information.
The Traveller page is displayed. If passenger information is already present
in the PNR, some fields will be automatically filled.

2. Select the traveller who will drive the car:


If no traveller is present in the PNR, enter title, last name and first name.
If travellers are already present in the PNR, select one from the list or select
New Traveller to add a new traveller.
3. Request special equipment if needed:
Enter up to three special equipment names or codes, separated by commas.
Example: CST,BYC or Child seat for stroller,Bicycle rack

Alternatively, click on to select them from a list.


4. Specify delivery and collection options if needed.
You can either enter a full address or a site info code that has been issued by
the car provider.
5. In the Car Details section, check the car details and conditions again with
your customer.
6. Click on Go To Payment to display the Payment page.

How to Request Special Equipment


To request special equipment:
In the Traveller page, enter up to three special equipment names or codes,
separated by commas. Example: CST,BYC or Child seat for stroller,Bicycle rack

Alternatively, click on to select them from a list.

How to Enter Payment Details for a Non-Prepaid Rate


You only need to fill in payment details in the Payment page if you collect the
payment or if a guarantee is required:
1. If your agency collects the payment, select the form of payment. This
information is sent to your agency's mid- or back-office system.
Example: Select Credit Card and fill in the customer's credit card details.

2. If a guarantee is required, select the guarantee type. This information is sent


to the car provider.
Example: Select Credit Card and fill in the customer's credit card details.
3. Fill in any other fields if required. For help about a specific field, place the
mouse over the field to view the tooltip.
4. Click on Confirm.
When the booking is successful, the Confirmation page is displayed, showing the
car provider's confirmation number.
Note: To confirm the car reservation, you now need to enter all required PNR
elements (Contact, Received From, etc.) and then save the PNR.

How to Enter Payment Details for a Prepaid Rate


1. For a prepaid rate you need to specify the form of payment:
If your agency collects the payment or guarantee:
Select Yes and select the form of payment. This information is sent to your
agency's mid- or back-office system.
Example: Select Credit Card and fill in the customer's credit card details.

If the car provider collects the payment or guarantee:


Select No and fill in the customer's credit card details. This information is sent
to the car provider.

2. Fill in any other fields if required. For help about a specific field, place the
mouse over the field to view the tooltip.
3. Click on Confirm.
When the booking is successful, the Confirmation page is displayed, showing the
car provider's confirmation number.
Note: You now need to enter all required PNR elements (Contact, Received
From, etc.) and then save the PNR.

Confirming the Booking and Saving the PNR


When you have successfully completed a car reservation, as described in
Entering Traveller and Payment Details on page 28, the Confirmation page is
displayed, showing the full details of the car booking, including the car provider's
confirmation number.

A car element is added to the PNR and displayed in the PNR summary:
• COR for a car booking with a corporate rate.
• LEI for a car booking with a prepaid leisure rate.
If you created a new traveller during the car booking, a Name element is also
added to the PNR.
Note: To confirm the car reservation, now save the PNR.

How to Save the PNR After a Car Reservation


1. When you have completed a car booking and the Confirmation page is
displayed, go to the PNR module .
The PNR entry screen is displayed. Some of the elements that are mandatory
in a PNR are already completed using the information you entered in the car
reservation, for example, the Name element and the car segment.

2. Click on the links in the PNR entry screen to complete the PNR with any
remaining mandatory elements.
- Contact element
- Received From element
- Ticketing Arrangement element

3. Click on next to the Save icon and select the ET or ER option to end
transact the PNR and confirm the reservation.

The PNR is assigned a record locator which you can use to retrieve the PNR
if required.

How to Print or Email a Confirmation


To print the confirmation of a car booking, including the car provider's
confirmation number and the car booking details, click on in the Confirmation
page.
To send the confirmation details of a car booking to an email address, click on
in the Confirmation page.

Post-Sales Actions
Once you have completed your car booking, you can issue an e-voucher or
modify or cancel the booking.

How to Issue an E-Voucher


1. When you have completed a car booking and the Confirmation page is
displayed, click on Issue E-Voucher to display the Ticket and Documents tab.

Alternatively, click directly on the Ticket and Documents tab .


2. Select the Car E-Voucher check box in the Issuing tab.

3. Fill in the fields as required. .


4. Click on Issue.
An e-voucher number is generated and a print acknowledgement is added to the
car segment in the PNR.

How to Modify a Car Reservation


To modify car rental details, such as pick-up and drop-off location, dates or car
type:
1. Retrieve the PNR if it is not yet open.
2. Select the car segment you want to modify in the PNR summary area or in
the PNR tab.

3. Click on or double-click on the segment to display the modification


window.

4. Make the modifications in the fields as required. Click on Modify to process


the modification.

How to Cancel a Car Reservation


You can cancel car reservations as follows:
• Unconfirmed booking
As long as you have not yet saved the PNR after you have made your car
reservation, your booking is unconfirmed.
To cancel an unconfirmed car reservation, just ignore the PNR by clicking on
in the PNR summary area or in the PNR tab.

• Confirmed booking
If you have saved the PNR after you have made the car reservation, the
booking is confirmed.
Note: Before you cancel a confirmed car reservation, make sure that you
have read the car provider's cancellation policies to check if any
penalties apply.
To cancel a confirmed car reservation:
1. Retrieve the PNR if it is not yet open.

2. Select the car segment and click on the arrow next to to open the
Cancel window.

3. To cancel just the selected car segment, select the Cancel Element(s) -
XE check box.
To cancel the whole itinerary, select the Cancel Itinerary - XI check box.

Alternatively, click directly on to cancel the whole itinerary without


opening the Cancel window.

How to Use Profiles and Policies with
Cars Plus

Using profiles with Cars Plus helps you at the following stages in the booking
process:
• Search criteria are prefilled with traveller preferences.
• The car availability displays can be biased to show cars that comply with
company and agency policies and traveller preferences.
• Traveller information and contact data are prefilled in the Traveller page.
Payment information is prefilled in the Payment page. Email addresses are
prefilled when you send an email.

What Are Profiles and Policies?


Profiles
A profile is a record containing useful information about an individual traveller,
company or agency that can help you when you make a car reservation.
You create and manage profiles in the classic Profiles module, in the Command
page or in the new Profiles Plus module.
Note: You can either have the classic Profiles or the Profiles Plus module
installed in your Selling Platform, but not both of them in parallel.
In the classic Profiles module, a profile can include contact details, payment
information and travel policies.
In Profiles Plus, a traveller profile can contain contact details, payment
information and travel preferences. Company and agency profiles can contain
contact details and payment information, but travel policies are not yet supported.

Company Profiles
Company profiles contain information about the company, for example, contact
details, billing address and details, account information and corporate travel
policies.
A company profile can be linked to other company profiles within the same
organisation structure, and inherit travel policies.

Traveller Profiles
A traveller profile contains information related to one specific traveller, such as
contact information, passport details, frequent flyer number and travel
preferences. For Cars Plus, travel preferences can include preferred providers,
discount codes and vehicle types.
Traveller profiles can be associated to company profiles.
When a customer is travelling for business purposes, Cars Plus allows you to
combine the travel policy stored within a company profile with the individual
traveller's personal preferences defined in the traveller profile.

Agency Profiles
An agency profile contains your agency's contact information and travel policies
that you can apply when you perform a search.
An agency profile can be linked to other agency profiles within the same
organisation structure, and inherit travel policies.

Travel Policies
A travel policy is stored within a company or agency profile and consists of a set
of booking rules. The booking rules that are applied when you search for rental
cars depend on the person who is travelling, the reason for the trip, the
destination, and the presence of any preferential rates for example.
Each travel policy can be assigned with a level of priority: the lower the number,
the higher the priority.

Current Limitations in Cars Plus

• Only one traveller profile per PNR can be retrieved. If there are multiple
passengers in the PNR, the profile of the first traveller who has an active
profile is retrieved.

How to Search for Cars Using Profiles


1. Load a traveller profile in one of the following ways:

- Go to the Profile module and retrieve a traveller profile.

- Go to the PNR module and create a PNR from a profile.


Note: If you use cryptic transaction entries, first load the profile in the
Command page , then transfer the data to the PNR before
clicking on the Cars Plus module.

2. Go to the Cars Plus module to display the Search page.


Some of the fields in the Search page may already be filled with data coming
from:
- The PNR (for example, pick-up and drop-off location and date)
- The office profile (currency)
- The traveller preferences from the first active traveller profile in the PNR
(for example, preferred car providers; see also Which Search Criteria
Can Be Retrieved from a Traveller Profile? on page 41 for details).

The Profile and Policy box will also be displayed on the right-hand side of the
Search page.

3. Modify or fill in search criteria as required.


See also How to Search for Rental Cars on page 12 for more information.
These criteria will be displayed as your traveller's preferences in the
availability display.
Note: These criteria may not be taken into account in the availability
display. If you select the In Policy display (see also next step),
criteria that do not match company and/or agency policies will be
ignored.
Refer to In Policy, All Options and No Policies Displays - Which Cars Are
Shown? on page 47 if you need more information.
4. In the Profile and Policy box, define the availability display and the trip
reason:

Availability Display
- In Policy
Select this option if you want to display only cars that match company
and/or agency policies. Traveller preferences are only taken into account
if they comply with company and/or agency policies, or if a car provider is
defined but no policies are found at company or agency level.
- All Options
Select this option if you want to display all available cars, and highlight
which cars comply with company or agency policies and traveller
preferences.
- No Policies
Select this option if you want to see an unbiased display, without applying
policies and preferences. All available cars will be displayed, without any
policy information.

Trip Reason
The trip reason determines if company policies should be applied or not in the
search (In Policy or All Options display).
- Business
If you selected In Policy, the company policies take priority over agency
policies and traveller preferences when the system searches for available
cars. Agency policies and traveller preferences are only shown if they
comply with company policies.
If a car provider is defined at company level, but if some criteria, such as
vehicle type or discount number, are not defined, Cars Plus will first look
for agency policies and then for traveller preferences.
Example: Hertz is defined at company level as preferred car provider.
There is no preferred vehicle type at company or agency level, but EC**
is defined at traveller level. The availability display will only show Hertz
cars with vehicle type EC**.
If you selected All Options, the recommendations from company and
agency profiles and from the traveller preferences will be highlighted.
If you retrieved a company profile, the default trip reason will be
Business.
If you retrieved a traveller profile which is associated to a company
profile, the default trip reason will be Business but can be changed to
Personal for example.
- Personal
An existing company profile will not be considered as the traveller does a
private trip. Only agency policies and traveller preferences are checked.
If you selected In Policy, the agency policies take priority over the
traveller preferences. Traveller preferences will only be shown if they
comply with agency policies, or if no agency policy is found.
If you selected All Options, the recommendations from the agency
profiles and from the traveller preferences will be highlighted.
If there are other trip categories in the retrieved profile (Conference or
Training, for example), these are also available for selection in the Trip
Reason field.
5. Click on Search to search for available cars.
The Cars page is displayed, showing available cars that match your search
criteria and your display settings.

Note: Each time you change settings in the Profile and Policy box, you
have to click on Search again to update the display.
6. Continue with your booking process as usual.

Which Search Criteria Can Be Retrieved from a


Traveller Profile?
The following traveller preferences are pre-filled in the Search page if they have
been defined in the traveller profile:
• The first five preferred car providers
Any preferred car provider ranking/priority is ignored. Preferred car providers
are returned in the order they have been entered.
• ACRISS codes or vehicle options
The ACRISS codes of the preferred car type or the preferred vehicle options
are prefilled. This is a general setting that is applied to all car providers.
Pseudo codes cannot be specified as traveller preferences.
• Negotiated rates in a specific rate search
The traveller's customer IDs are entered for the retrieved preferred car
providers.
The traveller's frequent flyer numbers corresponding to the retrieved
preferred car providers are also displayed.

How to Check Which Policies Are Applied in a


Search
If you want to check which rules or policies will be applied in your search, follow
these steps:
1. In the Search Page in Cars Plus, enter the pick-up location and date.
2. In the Profile and Policy box on the right, specify a trip reason.
These steps are necessary because company and agency policies may vary
depending on the context.
3. In the Profile and Policy box, click on View Rules.

The Rules and Traveller Preferences window is displayed, showing the policies
and preferences stored in the loaded profiles: all traveller preferences are

displayed but only the company and agency policies that are relevant to the
location and date are shown.

Notes

• If a company or agency profile inherits policies from an organisational


hierarchy, these policies will be included in the display.
• If the customer's traveller profile is not associated to a company profile and
you do not have an agency policy in place, you can still search for and book
rental cars using the information in a traveller profile only.

Limitations for Address/Landmark Search


Currently, policies can only be retrieved for rental stations, airport IATA codes
and countries.
If, in a search by address or landmark, the location is a city IATA code which is
not an airport IATA code, the policies defined for this city will not be found.
Example: You are looking for car rental stations close to the Eiffel tower in Paris.
As the city IATA code PAR is not an airport, no policies will be found, even if
policies have been defined for CDG, the airport IATA code for Roissy - Charles
de Gaulle in Paris. In this case, however, any policies defined at country level will
be applied.

How to Search for Cars Without Profile and Policy


Information
To remove all traveller preferences from the search input fields:
• Select No Policies in the Profile and Policy box and click on Search.
• OR: close the Profile and Policy panel.
This resets all search criteria to the default values retrieved from the PNR
and the office profile.

How to Restore the Original Search Criteria


If you have modified search criteria and now want to restore the original criteria
retrieved from the PNR and/or the traveller profile, click on the Reset button.

How to Recognise Preferred Cars in the


Availability Displays
If profiles are active, the cars displayed in the availability displays in the Cars
page will depend on the display settings you chose in the Profile and Policy box
before you started the search.
If you requested an In Policy or All Options display, the recommendations from
the profiles are highlighted in the availability displays.

In Policy, All Options and No Policies Displays -


Which Cars Are Shown?
Depending on the display settings you chose in the Profile and Policy box before
you started the search, the car availability display will differ:

In Policy Display
If you select In Policy in the Profile and Policy box and then click on Search, only
cars are displayed that fulfil at least one policy in the company or agency profile.
The rules are as follows:
• Business trip
Company policies take priority over agency policies. A car is displayed in the
Cars page if it meets at least one rule in the company policies.
Agency policies and traveller preferences are only shown if they comply with
company policies.
If a car provider is defined at company level, but if some criteria, such as
vehicle type or discount number, are not defined, Cars Plus will first look for
agency policies and then for traveller preferences.
Example: Hertz is defined at company level as preferred car provider. There
is no preferred vehicle type at company or agency level, but EC** is defined
at traveller level. The availability display will only show Hertz cars with vehicle
type EC**.
• Personal trip
An existing company profile will not be considered as the traveller does a
private trip. Only agency policies and traveller preferences are checked.
A car is displayed in the Cars page if it meets at least one rule in the agency
policies.
Traveller preferences will only be shown if they comply with agency policies,
or if no agency policy is found.

All Options Display


If you select All Options in the Profile and Policy box and then click on Search, all
available cars are displayed.
For each available car you will see icons indicating if it complies with company
and agency policies and traveller preferences. Excluded cars are also
highlighted.
Note: You can use filters to narrow down the displayed cars. See How to Use
Policy Filters to Customise the Display on page 48 for more information.

No Policies Display
If you select No Policies in the Profile and Policy box, all available cars are
shown, without applying policies and preferences.
No profile and policy information is displayed in the availability displays.

How to Use Policy Filters to Customise the


Display
You can use policy filters in order to display only those cars in the availability
display that most meet your requirements.
In the Filters panel on the left-hand side of the screen, click on to expand the
Policy option.

Depending on which view settings you chose in the Profile and Policy box, you
can use the following filter options to further narrow down the search results in
the display:
• You selected 'In Policy' in the Profile and Policy box:
You can only apply the in-policy filters.
• You selected 'All Options' in the Profile and Policy box:
Any of the policy filters can be applied to the display.
• You selected 'No Policy' in the Profile and Policy box:
Policies were not applied in the search. Therefore the Policy filter option is
not available.
Note: The filter settings are not saved. You need to reapply them after you
have performed a new search.

How to Find Availablility Information Messages


To help you find the right car for your customer, any Availability Information text
messages from the profiles are displayed at the top of the search results in the
Cars page.
These messages are visible in all views (Listing, Category and Map views). A
traveller indicator is displayed in front of each message.

How to Enter Traveller and Payment Details Using


Profiles
When you have selected a car for booking, the Traveller page is automatically
displayed, allowing you to enter traveller and contact details.

1. Click on where available to display a list of suggestions retrieved from the


active profile and the PNR.
If multiple options for the same type of data (for example, traveller names,
telephone numbers) are available, the suggestions will be grouped in the list
according to their source.

Suggestions from the active traveller, company or agency profile are grouped
per profile.

Note: If the PNR has already been saved (EOT) and a record locator
exists, you cannot add new passengers, so you do not need to
display the suggestions from the profile.
2. When you have completed the traveller details, click on Go To Payment to
display the Payment page.
3. Enter the payment details, if required, to complete the reservation.
If you select Credit Card as form of payment, you can select one of the credit
cards already defined in the profile or PNR from the list of suggestions, or you
can enter a new credit card.
4. Click on Confirm to complete the booking process.
