Sports Day

Table 1 shows the project timeline template

Gantt chart is a bar chart that describes project tables. This chart lists the tasks to be performed
on the vertical axis, and the time interval on the horizontal axis. The horizontal bar width in the graph
shows the duration of each activity. The Gantt chart illustrates the start and finish date of the terminal
element and the summary element of a project. Terminal elements and summary elements form the
structure of project work damage. The modern Gantt chart also shows the dependence (example; the
priority network) between activities.

In the following table, there are eight tasks. We started our CSR project on the 23rd of March,
2019 on a Saturday. During our first meeting, we divided our work by following positions like treasurer,
secretary, publicity and so on. During other meetings, we only talked about estimates and letters. The
items for the Project CSR were purchased by our treasurer. We managed our meetings three times and,
we managed to find Tadika Hidayah three times as well. Eventually we implemented our CSR Project
on March 23, 2019. Our team members succeeded in carrying out the CSR programme.

In Figure 1, show the Gantt chart for our CSR Project. In figure 1, it is possible to see how
many hours of our time that we had sacrificed for our CSR project.

BUDGET

We ran a small business for 3 weeks to earn a profit of RM300. We sold containers of homemade
Belacan. The Belacan in a big container were sold at RM10 while the Belacan in the a small container
were sold in RM5 (refer to the appendix, figure 1.0). Table 1 shows our profit statement after selling
all our Belacan.

Initially, we earned a total of RM370 from the business. After deducting some costs to pay our
miscellaneous items such as our ingredients used in making the Belacan, our overall profit earned was
RM300.

Table 1.2 shown on the next page illustrates all the money we had spent on this project. Firstly, we
transferred RM100 to Puan Sarimah Asneh which is the headmaster of Tadika Hidayah. The purpose is
to make medals for the Tadika Hidayah’s mini Sports Day 2019. We also bought 30 pieces of
certificates for the kids. Furthermore, we bought items needed for the games like table tennis balls,
straws, mahjong papers, balls, sponges, colour papers and nylon strings in preparation for the Sports
Day. We also bought paper bags to put in goodies, a certificate and a medal. We had spent quite a lot
on transportation, which costs about RM128.55. RM60 from the total amount of RM128.55 were for
the lorry driver. He helped us deliver chairs to the Outdoor Development Centre (ODEC) for parents to
sit down. The transportation fees also include our grab fee that picked us up from our hostel to the
ODEC. Last but not least, we also did some printing. There were no remaining money left and we used
up all our money efficiently.

On the 23rd of March, A group of 15 students from the same course, Corporate Communication,
organized a mini sports day for the students of Tadika Hidayah as their CSR programme. By 6.30am,
the organizing team gathered at the ODEC to do a final briefing and preparation before the event at
7.30am (refer to the appendix, figure 2.0 and figure 2.1). Around 7.40am, the students of Tadika
Hidayah, together with their parents, arrived to ODEC by bus. Once they arrived, they were ushered to
their seats that were already prepared for them. The morning kick-started with an opening speech by
Shalini, the leader for the programme, followed by Puan Sarimah, the principal of Tadika Hidayah.

After the speeches, the first activity began right away, which was the zumba dancing. All the
students assembled in front of their parents so that the parents could see their movements and join them
(refer to the appendix, figure 3.0) The zumba dancing was lead by a student from Tadika Hidayah. After
dancing to three songs, all the students were warmed up and ready to start the first session of their sports
day. 27 students were split into two different groups according to their age group. The younger students,
from age 4 until 5 were grouped in group 1 and the students of age 6 were grouped in group 2. Hence,
there are two different lists of games for the two groups as shown in table 2 above. This is because the
younger students were not able to play games that are too hard for them. The more challenging games
were mostly for group 2 and the more simple games were for group 1.

After the first session of the sports day ended, the second session began right after where the parents
of the students had to be involved. Everyone were split into 5 teams and they had to stand in one line
behind one another. The game was called the “Water Filling” race. They had to race to fill up the water
bottle placed a few metres infront of them with the water provided in a bucket (refer to the appendix,
figure 4.0). The parents and the students of Tadika Hidayah had so much fun that day. We cannot forget
their smiling faces and the joy they felt during the mini sports day.

Once the second session ended, there was a special performance by the parents as the closing
ceremony of the mini sports day. The parents did a dancing performance. Soon after the parents started
dancing, everyone else including the teachers, the students and the CSR team joined them and danced.
Finally, it was time for the most anticipated part of the event, the prize giving ceremony. There were a
lot of exciting gifts for the winners of the sports day. There were also gifts for the parents that
participated in the second session (refer to the appendix, figure 5.0).

After announcing the winners, there was a photo taking session for the students and the CSR team
(refer to the appendix, figure). Before the event officially ended, everyone took their lunch which was
brought by the parents as a potluck. Satisfaction was shown on everyone’s faces. The food tasted
scrumptious as well. As soon as everyone finished eating, everyone helped to picked up the rubbish
around them. Soon afterwards, the students and teachers of Tadika Hidayah together with the parents
departed the ODEC and bid farewell.

CONCLUSION

Doing this CSR programme has indeed taught us a lot of things. Since day 1, we were
very excited to start up this project on having a mini Sports Day for the Tadika Hidayah. We
came up with this idea after we found out that we love children. We wanted to do a fun
programme for them and to get them to start being active since young. From organizing this
programme, all of us had learned that the way forward is together. Since there are quite many
of us in a group, it is an advantage for us in organizing this programme because this programme
needs a lot of helping hands. When everyone work together, a lot of things can be done.
Everyone bonded very well during the meetings of the programme, thus, the communication
among us is good. Communication is key when it comes to organizing events, be it big or small.

We also had a chance in doing a small business such as selling our homemade belacan.
Some of us had gained an experience in doing such small business.
