 “IBS" INVENTORY AND BILLING SYSTEM

Introduction:

The main purpose of developing an IBS inventory and billing system is to provide a solution
for small businesses to have a tool that allows them to identify each administrative, logistical
and financial movement of their activity, which will contribute to sustainability and long-term
growth term of the small companies, which for this particular case responds to the
requirements of the laundry Gama Clean.
The design of this software will be indispensable for the Laundry Clean Range, since it will
have an application that will register users controlled by profiles with a stable security, which
will provide a good management of the information of the daily processes that will generate
business reports, either daily, weekly, monthly and / or yearly.
This software will allow the printing of electronic invoices and will keep a copy in the
database, these will have a single consecutive that will be used for service reports, money
entry / exit movements and, at the same time, will allow to control the amount of clothes for
each type of service, registering the entry and exit of the same to have a process and control
of organized garments. This software will store in databases the information of clients,
employees, invoices, supplies, among others, optimizing the process and its management.

General findings:

APPROACH:
Resolve needs of inventory control and billing of the Laundry Clean Range, supporting the
administrative and service areas.
Proposal or purpose of the project Make software capable of managing information in
different areas of the company in real time, thus allowing a decision making or timely
provision of customer service.
OVERALL OBJECTIVE
Design and develop an integrated software system for the administration of a laundry
services, contemplating the increase of reliability of the system and a design that responds
to any type of device to the client and the administrator.
This information system will allow the customer to have total control of their merchandise
knowing their losses or profits.

SPECIFIC OBJECTIVES

 Develop software that contains inventory and billing information of the company.
 The software will have the option of installation in mobile or PC applications.
 The software will be friendly and easily accessible to the entrepreneur who
implements it,
 Design a client - server system that allows any employee to manage customer
information and received garments in real time.
 Manage the information of clients, garments, inventories and employees in
databases.
 Create a striking graphic interface, where users can interact easily and intuitively,
providing reliability, security and that is suitable for the processes of the organization.
 Generate information reliability, optimizing the current manual system of this type of
companies, which is managed by several Excel files, commands, notebooks, etc.
 Organize, through graphical interfaces, the commercial information and the
administrative part of the laundry.
 Guarantee by means of reports the information of the entry of money of the daily,
monthly and annual business.

Problems found:

Problem or Opportunity

Given that in Colombia, the level of labor informality in recent years is growing as many of
the citizens do not have the possibility of entering the labor market formally and those who
manage to access are not well paid, entrepreneurs have emerged or small entrepreneurs
who decide to start their own small businesses and do not have a comprehensive
management system for their businesses, not having a management system for their
business are not clear expenses or investments required by business activity and there is
no clarity in the profits or losses that the business perceives leading to the bankruptcy or
closure of these small businesses. Therefore, the idea of developing software that allows
our client to facilitate the inventory and billing processes arises.
Conclusions:
1. The laundry Gama Clean would benefit from the systematization of its inventory and billing
processes since it will be clear in the profits or losses that it receives daily, having a
systematized control of the garments that enter minimizing the risk of loss and providing
greater confidence in customers.

2. The software covers different areas that interact with each other to support this Company
in the inventory and sales module. An installed system controls the inventory in an automatic
way, this reduces the costs by not having the need to have an additional human resource
for the manual update of this process and also benefit for the client because the recorded
information is true. Additionally, there is improvement in the process and procedures for this
work and there is greater control of the information provided.

3. With the systematization of the services provided by the Gama Clean laundry, in the area
of inventory of items that enter for the provision of service and billing, the service provision
to the customer will be improved, minimizing the risk of loss on the garments. Since one of
the objectives is that the application can be managed from fixed and mobile devices, the
systematization and billing in the home service will be facilitated since the domiciliary will be
able to generate invoices from his cell phone with direct mail to the client's email and the
Garment will enter directly into the laundry inventory.

Suggestions
1. It is suggested to the system administrator, to provide continuous training environments
for all users who interact with the system, involving refresher training and training of new
users, in order to facilitate interaction with the software.
