Overview

1.1 Overview
The new Pro-Watch certification module/functionality allows operators to
define and track certifications/trainings for a badge-holder. The
certifications are necessary to assign clearance code(s) which have
certification requirements to a badge-holder.
When creating a new certification, the user must provide the number of
days the certification is valid for. When the certification is added to the
badge-holder, the expiration date will be calculated based on the
certification date and the number of valid days.
Advanced Badging requires a badge-holder to have the certification before
the clearance code can be assigned to the badge-holder’s card. If the
clearance code is assigned to the badge-holder’s card before the
certification, Advanced Badging will display a screen indicating a
Certification violation. If the clearance code is assigned as part of a
company, Advanced Badging will remove that clearance code when
resetting the company clearance codes.
Clearance codes with certifications marked as “Remove on Expire” will be
removed from the badge-holder once the badge-holder's certification(s)
expire.

1.1.1 The Certifications Process


Certifications can be assigned to Pro-Watch clearance codes.
When assigning a certification to a clearance code, the operator has the
option to allow the clearance code to be removed from the card by setting
the “Remove on Expire” option when the certification expires for the badge-
holder. The Pro-Watch server will run a process every night at midnight to
remove clearance codes assigned to cards whose certifications have
expired. Clearance code deletions will be audited.
Note: There is a program/function for a class and/or user to override the
check for the CERTIFICATION before assigning a clearance code to a card.
Follow these steps:
1. In Advanced Badging, create a new Certification. Set the number of
days for which the certification will be valid.
2. In Pro-Watch, assign certification(s) to a clearance code and set the
“Remove on Expire” option of the Certification.
3. In Advanced Badging, assign a certification to a badge-holder. The
certification will have an expiration date. If the certification tab does
not appear, turn it on through Badge Profiles module.
4. When issuing a card to a badge-holder and the clearance code being
assigned has a certification associated with it, Advanced Badging

will require that the badge-holder has that certification or the


clearance code cannot be assigned.
5. If the “Remove on Expire” option of the certification is set to “Yes”,
then when the badge-holder certification expires, clearance codes
assigned to that badge-holder associated with the expired
certification will be removed from the card.

1.1.2 Certification Function Permissions

There are four function permissions available for Certifications under User
> Programs > Database Configuration > Certifications.
1. Add Certifications: Create new Certifications under the Certification
Module.
2. Delete Certifications: Delete Certifications under the Certification
Module.
3. Query Certifications: View the Certifications module under
Advanced Badging > Administration.
4. Update Certifications: Edit Certifications under the Certifications
Module.
If all function permissions are revoked, then the "Certifications" module will
not show up in Advanced Badging.

Note: If the Update, Add, or Delete permission is granted, it will supersede


the Query permission. Users with query only will be able to see the
certifications module and the created certifications, but will be unable to
make any changes here.

Creating a Certificate

1.2 Creating a Certificate


1. In Advanced Badging, on the left hand side under Administration,
select Certifications.
2. Create a certificate and enter the number of Valid Days that the
certification will be valid for when assigned to a badge-holder.

1.2.1 “Enabled” Check-Box


The "Enabled" check-box sets whether or not this certification will be
enforced. Certifications that are not enabled cannot be added to a
clearance code and cannot be assigned to a badge-holder.

1.3 Assigning a Certificate to a Clearance Code


Note: If a certification is added to a clearance code and the badge-holder is
not assigned the certification, the user will be unable to edit the save
changes to that badge until (a) the certification is added to the badge-
holder or (b) the user is granted the override program function. See
Overriding Certificate Clearance Code Check.
1. In Pro-Watch’s Database Configuration module, select Clearance
Codes.
2. Either edit or add a new clearance code.
3. Select the Certifications tab and add a certificate

The “Remove on Expire” flag determines whether the clearance code is
removed when the certification assigned to a badge expires on an active
badge-holder card.

Note: The users cannot add a certification with a future certification date.
Note: If a certification is added to a clearance code and the badge-holder is
not assigned the certification, the user will be unable to edit the save any
changes to that badge until (a) the certification is added to the badge-
holder or (b) the user is granted the override program function. See
Overriding Certificate Clearance Code Check.
In the Advanced Badging module, in the Certifications tab, assign a
certification to a badge-holder. A certification and certification date are
required:

In the above list of certifications, GREEN rows denote valid certifications;
RED rows denote expired certifications.
Note: If the Certifications tab is not visible, go into Pro-Watch and edit the
Badge Profile. Select the Database Configuration module; then select
Badge Profiles. Edit the Badge Profile and check the Certification Page
check-box. Re-start the Badge Profile.

1.5 Assigning a Clearance Code to a Card


When assigning clearance codes to a new or existing card and the
clearance code has certificates assigned to it, Advanced Badging will
check if the badge-holder has valid certificates before allowing the
clearance code to be assigned. If the badge-holder does not have the
required certificates to get the clearance code, the following screen will
display the certificates required for the badge-holder.

1.5.1 Overriding Certificate Clearance Code Check


1. Select Database Configuration > Users.
2. Select the Programs tab. Select and click Badge Maintenance >
Badge Maintenance in the tree-view.
3. Click the Add Function command button to display the Programs
and Functions dialog box:

Select the Grant option button and click OK to enable bypassing any
checks for certifications when assigning clearance codes to a card.

Auditing

1.6 Auditing
In Advanced Badging, select the badge-holder. From the menus, select
Badge History. A clearance code that was deleted for a certification
expiration date will be noted in the Notes column.

Certification Reports

1.7 Certification Reports


Launch Pro-Watch Compliance Report Manager, then select Pro-Watch
Reports > Certification Reports sub-directory view the Certification
Reports:

Certification Report list those certifications that can be assigned to a
badge-holder and clearance code.

Badge Certification Report lists those badge-holders who have
certifications assigned to them.

removed by the nightly process because their certification has expired.
