TENANT GUIDELINES

Dear Tenant

Please find below additional information regarding simplifying and easing maintenance issues
during your lease period.

GENERAL
1. Our maintenance department operates from Monday to Friday between 07h30 am and
16h00 pm daily.

2. Please ensure that an ingoing inspection is done when you take occupation and ensure
that you receive a copy of your ingoing inspection report.

3. Be advised that the ingoing inspection is only informative to each party on how the
property was received by you. Maintenance still needs to be reported to the maintenance
department in writing via email.

4. Please note that the landlord is under no obligation to repair any of the defects listed in
the inspection report, unless the defects affect the living conditions.

5. We ask that you submit maintenance requests in writing to avoid confusion and to ensure
that we have a clear understanding and record of your requests. The more information we
have, the easier it is to assist. Tanya can be contacted at tanyao@just.property

6. Please note that any maintenance reported to our office, is put through to the landlord as
a request and we as agents are not permitted to authorise maintenance on the Landlord’s
behalf. We therefore request you please be patient when making requests as it does take
time to get quotes submitted and approved by the relevant parties concerned. We will
endeavour to manage your maintenance issues as time effectively as possible.

7. Please note that you are not permitted to tend to any landlord maintenance yourself and
deduct it from rental, unless written consent is provided by the landlord prior to repairs.

8. No refunds will be done for maintenance you tended to, unless written permission is
provided by the landlord.

9. Adding any fixtures to the property during occupancy will only be allowed should the
landlord provide written consent for you to do so. Should the landlord give written
permission to having fixtures added, these fixtures shall be removed by you before the

outgoing inspection is done. You have to then ensure that the affected areas are repaired
at your cost.

10. We strongly advise that you insure your household/personal items. This is to assist you in
case of loss, theft or damage. Neither the landlord, nor Just Property, can be held liable
for loss, theft or damage of your personal property, no matter how it was caused.

11. We have to acknowledge that break-ins do happen, and should you be a victim of a break-
in, please ensure that you firstly report it to the police and then to us. Any damages
caused by a break-in, can then be addressed accordingly. In order for the landlord to
claim from his insurance, we require the police case number.

MAINTENANCE EMERGENCY PROCEDURE


The definition of a maintenance emergency is an issue that is dangerous, hazardous, or if not
addressed immediately, could cause damage to the property or your personal well-being.

12. Examples of maintenance emergencies are:


a. Geyser burst
b. Pipe burst
c. Electrical issues (no power, excluding scheduled Eskom load shedding or
disconnections)
d. Break-in

13. Please do not submit an emergency maintenance request by email. Should you require
emergency assistance after hours, please contact Tanya at 071 77 44 967.

14. IMPORTANT: Should a contractor be called out unnecessarily after the office hours stated
above, the cost will be for your account.

15. NOTE: If a problem occurs in the middle of the night, it is highly unlikely that we would
be able to dispatch a contractor to the property until the following morning, so please try
to contain the emergency as best possible.

16. Please note that should contact be made with Tanya after hours and the
call/sms/whatsapp not be deemed as an emergency, response will only be provided the
next working day.

17. Please note that locking yourself out of your apartment does not constitute an emergency
call out. Should you be in a situation where you accidently lock yourself out of your home
during after-hours, please contact a locksmith at your own expense.

18. If there is only one bathroom and the toilet becomes clogged in the home, it is considered
an Emergency Maintenance issue. If there is a second toilet in the unit, please refrain
from using the clogged toilet. The maintenance team will consider this as a high-priority
maintenance issue and will expedite the request during working hours.

19. Should there be a fire in your home or see a fire happen near the community, call the fire
department first. Then alert the maintenance department about this issue.

AVOIDING UNNECESSARY MAINTENANCE


Please note the following ways to prevent unnecessary maintenance:

20. Should there be a water outage in your area, kindly switch the geyser off at the breaker
and do not use the water from the geyser. Elements burn out when geysers are empty.

21. Further to water outages, kindly ensure that all taps are closed to prevent flooding once
the water returns.

22. With Eskom outages, kindly remove plugs from power outlets to avoid damage to either
your personal, or landlord’s appliances, TV’s, decoders, etc. due to power surges when the
power comes back on.

23. Further to power outages, kindly switch the geyser off at the breaker.

24. Should you go away for the weekend or away on leave, please ensure that:
a. All the windows are closed
b. The geyser is switched off at the breaker
c. All the taps are closed
d. All the doors are closed and locked securely
e. A family member or friend is notified

25. With thunderstorms, it is recommended that you unplug your TV, decoder, etc. to avoid
damage caused by lightning.

TENANT MAINTENANCE
It is good to keep in mind that there could be some maintenance for your account during your
occupancy. Please note the following:

26. It is your responsibility as tenant to keep the inside of the property (including fixtures and
fittings) in a good state of repair.

27. You, as tenant, are expected to properly maintain and where necessary repair and/or
replace at your cost the following (less fair wear and tear):
a. Doors
b. Door handles
c. Locks and keys
d. Window fasteners
e. Electrical fittings and fixtures
f. Bath
g. Basin
h. Sanitary ware
i. Water taps
j. Valves
k. Burglar alarms
l. Automated gates and garage doors
m. Sprinkler systems
n. Pool pumps
o. Light bulbs
p. Fluorescent tubes
q. Starters
r. Tap washers
s. Water ballasts
t. Any damaged or broken glass or mirror (however the damage or breakage was
caused)

28. It is important to note that not only do you have obligation to maintain the above, but also
that you do not neglect the care thereof. Tenant negligence can be avoided.

29. You are required to look after the carpets during your occupancy. It is your responsibility
to have the carpets professionally cleaned when you vacate the property.

30. Unblocking of drains is your responsibility regardless of the nature of the blockage.

31. Garden and pool – it is your responsibility to properly maintain the garden and pool. Any
damage or neglect on your part that caused damage, will be for your account to correct at
the end of your lease.
