Time Reporting and Approval Policy

The purpose of this policy is to provide time reporting and approval requirements for all
non-exempt employees, exempt employees responsible for tracking paid time off in
Kronos, and managers of TEGNA. The timely completion and approval of time cards by
employees and time card approval by managers is critical to business operations.
Following this policy will help us ensure you are paid accurately and promptly.
Procedures
TEGNA’s time and attendance system of record is Kronos. All non-exempt (hourly)
employees are expected to enter their hours worked in Kronos daily, and then review
their time records on a weekly basis for completion and accuracy. The time card must
accurately reflect hours worked, paid or unpaid time off, and holidays. It is essential that
this information be accurate. Time records should not be completed in advance, and
each employee should prepare his or her own time card accurately.
Managers will use Kronos to approve time for their direct reports. Each manager is
responsible for:

• Ensuring that all employees maintain accurate time records.


• Providing approval for overtime or premium pay.
• Approving time records and submitting them to payroll.
• Approving all time-off requests on a timely basis.
Employees will use Kronos to record time for their hours. Each employee is responsible
for:
• Preparing his or her own time card.
• Ensuring that all hours are recorded in Kronos daily. Time records should not
be completed in advance. A weekly review of their time records should be
done to ensure complete and accurate records.
• Approving their time card in Kronos.
• Submitting time-off requests on an accurate and timely basis.
Accountability for Employees & Managers
Time cards must be approved by the payroll deadline (Monday of payroll week: 9 am
local time for employees; 10 am local time for managers). Employees and
managers who violate this policy may be subject to progressive discipline following an
investigation and immediate termination may result in cases involving egregious and
gross misconduct violations.

Corrections and Questions


Should corrections to your time card be needed after approval and submission to
payroll, the Time Card Correction Form should be used. The Form, and instructions on
how to use it, are available on myTEGNA with the Time Keeping resources.
