Organizational Restructuring: Improving operational performance

To take a new step in business as well as upgrade the aspect of our products and
ministrations, after we collected sufficient information and employees' thoughts within the
company, we have reasons to make a decision to restruture our missions, departments, and
providers. We would like to announce you about this restructuring and after the restructuring
completion, we believe that our company totally can catch up with changes in the market and
create stronger development platform in the future. Also, we will gather input from all clients to
make the vital changes so as to enable clients to have the best involvement with our company.

The implementation of organizational reconstitute is aimed at specific objectives as follows:

In term of production, we will maximize production proficiency to make our company


effectively operate with machinery systems, technology items, and employee capacity.
Additionally, to help increase competitiveness in the market and expand the company’s profit,
we are not hesitate to reduce cost of our products because we believe this step will allow us to
renew our organizational branding and marketing.

In term of business activities, we would like to proactively build intimate relationships


with customers, consider choosing the best customers, and develop the long-term in customer
relations. We also want to create credibility and satisfaction in customers by improving the
quality of our services, meeting the increasing demands of customers and being ready with
changes in the market.

Regarding the financial activities of the company, we believe our management and
financial report system is still not professional or synchronous and we know that our regulations
on salary and bonus are not competitive which causes the lack of motivation for our employees;
therefore, we will change and build a model of finance and accounting that is effective and
appropriate for our organization. Moreover, we definitely will establish and perfect the financial
statement system and financial regulations for our company to successfully control financial
activities of enterprise.

Regarding human resource management, we deliberate on modelling our organizational


structure in accordance with production and business activities and with the strategic objectives
of our organization. We certainly will set up and formalize functions, powers, and duties of every
department in our company to ensure that each department and leaders of those can clearly
understand their roles and responsibilities within the operation of the company.

Last but not least, we think that the organization is the connection of individuals to fulfill
the expected goals of superiors. In particular, making changes in business structure is the process
of renewing and restructuring divisions and personel to ensure the company’s activities
effeciency in relation to the strategic objectives and changes in the market. We believe the
outcomes of implementing this reorganization will make us enhace our image, brand, and
competitiveness. With these thoughts in mind, we have confident in our future and are looking

Subject: Influence originates from the restructuring

As you all know, we are restructuring the whole organization from production and
business to financial system and human resource management. It may be considered as a huge
changes in our organization and we think it may affect some of our activities over a duration of
time. Implementing these changes is not easy but we are exhilarated to do so because we
understand the outstanding benefits it will bring to our company which are we can bring our
customers to better experiences about our products and services and we can totally adapt to
changes in the market. Moreover, we know that these changes in our organization will help us
build up a reliable brand in customers’ heart which is a motivation for us to keep growing in the
future.

On the other hand, since we are making new changes in the way we do business, our
employees need to be retrained in order to meet the requirements of our company’s new
structure. This activity will not only let employees learn new thing from their job but also
practice them to adapt with new changes easier. Any further information about the training date
and methods of training will be announced to you as soon as possible.

As I mentioned, the comprhensive change, according to the standard process will give
our company ability to operate more effectively and sustainably; thus, it will create credible
competitive advantage and our company will be empowered in the current market. Moreover, our
corporate will decrease the interest payments and majority of departments in our company will
operate strongly and beneficially.

However, besides the advantages that retructuring can bring to us, there are several
changes that may influence some of our employees. In the process of restruturing, we need to
pay special attention to the procedure of rebuilding our employees; therefore, we will reconsider
to layoff number of employees who are no longer appropriate with our jobs, performing
inefficiently, and working without any enthusiasm to reduce the burden of our company. We are
always appreciate your contributions to our company and we apologize to make this
announcement. After investigating and evaluating, 70 of our employees will be fired or
transferred to other departments to work more appropriately. This change will be valid in one
month after this announcement is placed. All official details will be notified to our employees in
the shortest time.

We absolutely understand the reduction in our human resources will affect our
employees’ psychology, cause confusion and discouragement for employees who stay with us. In
addition to create motivation or pressure for other employees to work better, this change will
lead to the efficiency improvement of our business. Once more, we apologize to make this
unhappy announcement and we thank you all of you who always try your best to complete your
tasks. Hopefully, our employees will sympathize with our decisions and we wish you all the best
in the future.
