INTRODUCTION

Volume is the quantity of three dimensional spaces enclosed by a closed


surface, for example, the space that a substance or shape occupies or
contains and each instrument or reagent holds specific volume. A
warehouse describes a facility serving the purpose of storing of goods
and makes sure that the short delivery time needed can be fulfilled.
Every space of a warehouse is crucial and has some value. So, volume
analysis is required to see how much space an instrument or reagent
occupies in order to plan better in advance so that full spaces of
warehouse can be utilized if there is increase in demand and proper
arrangement can be done.
Consumers purchase the medicine with the objective of consumption.
Some sort of specific reagents are used for each instrument that is
consumed as per the requirement. So, consumption analysis is required
to see the trends of order placed so that based on the trends forecasting
for a certain period can be done in order to meet the demand of
reagents by the dealer or customers.

THIS IS HOW COLD SUPPLY CHAIN WORKS

Cold chain is a logistic system that provides a series of facilities for
maintaining ideal storage conditions for perishables from the point of
origin to the point of consumption in the food supply chain. The chain
needs to start at the farm level (e.g. harvest methods, Pre-cooling)and
cover up to the consumer level or at least to the retail level. A well
organized cold chain reduces spoilage, retains the quality of the
harvested products and guarantees a cost efficient delivery to the
consumer given adequate attention for customer service. The main
feature of the chain is that if any of the links is missing or is weak, the
whole system fails.

The Cold chain logistics infrastructure generally consists of:

BUSINESS PATTERN
C&F (CARRYING AND FORWARDING): - Overall business pattern works
as a bridge between the manufacturer and the chain of distribution.
They take care of the products kept in the warehouses. C&F works on
the behalf of the manufacturer having taken the burden off from
them. They are solely responsible for storing the materials produced
by the manufacturer and dispatch them to various authorized
distributors. They are entitled for commission on the value of goods
sold. C&F businesses in PISPL are ASTRA, ROCHE DIAGNOSTICS INDIA
PRIVATE LIMITED, ROCHE DIABETES CARE etc.

 CSA (CONSIGNMENT SALES AGENT): - Overall business pattern is


same as C&F except a few things. CSA agent also works as a mediator
between the Principal Company and the chain of distribution. They
get their materials into their warehouses and take care of the
shipment of those materials to various authorized distributors. Unlike
C&F billing is done in the name of the agent and if anything happens
to the materials in transit then the transporter will be held
responsible. They are entitled for commission on the value of goods
sold. There exists reverse logistics in terms of cash flow, damage,
expiry and return management. PISPL does CSA business for ALCON
LABORATORY INDIA PRIVATE LIMITED, GALDERMA, GLOWDERMA,
ADROIT.

SHIPPING REQUIREMENT OF COLD CHAIN PRODUCT
It is the responsibility of the Supplier to:
Pack product in a manner that prevents damage in transit.

1. Palletize product in a manner that prevents damage in transit – no


overhang, use corner boards whenever possible
2. Remove or mark out any old labels, tags and markings on shipping
containers or pallets
3. Position handling labels and markings so that they are clearly visible
and positioned on the package or sides of the pallet used for forklift
entry. Common labels include: “This End Up”, “Do Not Stack”,
“Fragile”,” Delicate Instrument” and “Handle with Care”. 4. Brace
loads appropriately to minimize shifting in transit
5. Seal exclusive use trucks as appropriate.

TEMPARATURE SENSITIVE SHIPMENT

All temperature sensitive products must be transported in Supplier


qualified packaging or by a mode of transport that is temperature
controlled and monitored.

All temperature sensitive shipments should be monitored by a


Roche approved device.

For these shipment they are using button logger.


Supplier Qualified Packaging
Cold Chain Packaging must contain the appropriate materials to
meet product specifications during transit. The Supplier is responsible for
maintaining package qualification records.
For cold chain products they are using thermocol box and gel
pack (tested after box validation ) .thry are using three types of
thermocal box :

1. Large box 20 gel packs.


2. Medium box 12 gel packs.
3. Small box 8 gel pack.

Gel packs can sustain 48 hours that’s why in that case they mention
dispatch date and time .

Warehouse
This warehouse is Kirby structure warehouse. And they are using polinum
sheet in inner wall and roof for decreasing of temperature.they use cool
roof paint on the roof of their warehouse.the warehouse id lithium
silicate flooring.the warehouse is fully dust free.
For cold chain material they are using puff panel which panel is
insulated and fireproof panel.
PISPL uses motion sensor light for their warehouse which lights
minimize power consumption.
In this warehoyuse they have 600 pallets position on coldchain.

SAFETY OF THEIR WAREHOUSE

PISPL is using springler for their fire protection. And they also use VESDA
system .This system is very very sensitive smoke detector .this can
defend fire which come from outside upto 1.5 hour.

COLD CHAIN

2 – 8 : For this products gel packs are used to maintain the


temperatures of the materials in the thermometer box.
Three kinds of thermometer boxes are used:-
• Small size(35*30*29)
• Medium size(47.5*36*32)
• Large size(74*46*42)
Number of gel packs used in different kinds of boxes
• Small size -8
• Medium size-12
• Large size-20

-15 -25 : For these products we use dry ice to maintain the
temperature of the materials inside the thermometer box
Two kinds of thermometer boxes are used:-
• Small size(35*30*29)
• Medium size(47.5*36*32)
Quantity of dry ice used:-
• Small size(9 kg )
• Medium size(12kgs)
GEL PACKS:-

 Gel packs are used to keep the temperature level of


materials maintained in transit.
 Approximate weight of a gel pack is 450 gms.
 These gel packs come in a box of 40 pieces from our
Delhi office.
 We have 4 deep freezers each of capacity of 500
liters.

 450 pieces can be stored in one deep freezer.

PISPL FUNCTION FOR COLD CHAIN

his all customer’s temperature controlled supply chain requirements
across the length and breadth of the nation. They provide a complete
package for operating modern third party cold storage businesses. They
are especially proud to be associated with cold chain related to
healthcare products such as vaccines, diagnostic, pharmaceutical
distribution etc. Currently, PISPL is handling cold chain products within
their warehouse whose temperature requirements ranges from +25
degrees Celsius to – 25 degrees Celsius. PISPL’s customers are
continuously leveraging knowledge and experience to protect the
physical properties of their products during transport and storage.
Temperature monitoring and maintaining the proper packaging
environment during transport and storage have become critical in
maintaining the viability of high-value shipments. They specialize in
providing infrastructure which caters to storage of products in dry, well-
ventilated premises at temperatures of 15 to 25 degrees Celsius as well
as fully-equipped secured cold rooms catering to products from 2 to 8
degrees Celsius.
PISPL have dedicated Cold Chain Teams to work with customers, couriers
and shipper companies to manage the cold chain on a panIndia basis to
ensure customer’s needs in regards to Storage and Intransit Monitoring,
Mapping and Calibration, Boxes etc. are all catered to as per the globally
accepted quality norms. In addition to the regular warehousing and
distribution, PISPL provide value added services to customers.

Step l: Products are first wrapped in bubble cup packing sheet and
packed with the tape. The data loggers are also placed in the bubble
sheet prior to bubble cap wrapping.

Step 2: As per the product quantity appropriate size of thermocole box
has to be selected. Place the product with in the thermocole box and
cover it with additional bubble sheet.
Step 3: The products are further covered with Coolants on the side and
top of products and the box is covered with the thermocole lid.
Step 4: The thermocole box is sealed with tape and then placed in to
corrugated shipper; the shipper is then sealed and strapped.
Note: In case of-25 0C to -15 0C products the coolants will be replaced
by Dry Ice, ensure that the Dry Ice used is in block form and not in
crushed form.

For cold chain there are 4 qualification :


1. Design Qualification : is like design of the warehouse .warehouse
layout.chiller will be set on where that kinds of this are in this
qualification.
2. Installation qualification : in this stage door installation ,light
installation will be done .
3. Operational qualification : after installation of door and light
.temperature monitoring will be done on this stage in vacant
warehouse or room. This temperature mapping is BTU ( British
thermal Unit ).
4. Performance Qualification : After stacking the material
temperature monitoring will be done this is called performance
qualification.

TEMPERATURE CALCULATING DEVICES

Two types of method are using for temperature calculation


1. Offline
2. Online
For offline method they are using some temperature monitoring
devices like:

A. Button loggers:
Button Cell data loggers are small data loggers for recording
temperature and humidity. These data loggers will not have any display
and do not have start and stop switches. These are also known as Button
cell temperature recorders and coin type loggers (The size is only as big
as a coin)
It can record temperature , can not display temperature ,can not
generate alarm.
How button logger works:
1. sampling interval (period between each recording)
2. time of start – the logger will automatically start at this programmed
time

3. Time of stop – the logger will automatically stop at this programmed
time. This can be deactivated so that the recording will continue until
memory is full.

B. Escort data logger :

It is a digital type of data logger. This device shows


temperature all time .this device can record temperature, can
display temperature , can not generate alarm.

C. Manual hooter system :

Temperature, and where necessary, humidity alarm systems


should be linked to the monitoring system(s) with high and low
alarm set points. There should be a visual alarm and also preferably
an audible alarm.

Online method of temperature monitoring ::


PISPL is using temperature monitoring device ( TMD ).this device
making company name COBALT.
• Cobalt 2 wireless temperature data loggers are equipped with one
or two sensors, either internal or external. These modules
communicate with a receiver installed on the network or directly on
the host computer. Installation may be handled automatically or
manually.

• Modules are installed to monitor equipment, laboratories, storage


space, cold rooms, etc.

• Some modules are installed directly inside an area to be monitored,


while others are used with an extension cable to place the sensor
in the desired location.

• Sensors are programmed using OCEASOFT's ThermoClient
application and then read on a regular basis by ThermoServer. The
information is centralized and stored in a secure MySQL database.

• Installed on an unlimited number of client computers and protected


by individual passwords, ThermoClient is used to manage each
module, related data, reports, and all aspects of system and user
configuration.

• The Alert Management System issues an alert if a sensor reading


exceeds the programmed upper and lower range limits. Alerts can
be sent by automated voice message, e-mail, text/SMS, and more.

Study Confirms 43% Decrease in Energy Consumption in an Ammonia-


Refrigerated Warehouse with Viking Cold Solutions’ Thermal Energy Storage
Technology – Significant Benefits for Cold Storage Owners and Grid
Operators
RICHMOND, Calif. & HOUSTON--(BUSINESS WIRE)--Viking Cold Solutions,
the leading Thermal Energy Storage (TES) provider for the low-temperature
cold storage industry, announced that its measurement and
verification (M&V) study on Viking Cold’s TES technology at Dreisbach
Enterprises’ 93,000 square foot frozen food distribution center in
Richmond, CA shows significant operational and financial benefits for
utilities and the cold storage industry. The study demonstrated the ability of
TES to mitigate the facility’s 13-hour peak period by simultaneously:

 reducing peak period energy consumption by up to 43 percent


 reducing peak demand within this peak period by up to 29 percent
 maintaining 50 percent more stable temperatures

Refrigeration is the third highest electricity consuming utility category, and
the cold storage industry is a prime target for load distribution management
solutions. Cold storage operators, the grocery industry, and utilities
challenged with managing peak loads on the electrical grid can all benefit
from the refrigeration efficiency and load shift capabilities of TES.
“This study demonstrates that cold storage operators can safely reduce
energy costs and utilities can significantly lower demand on the electrical
grid during peak periods to defer costly infrastructure investments,” said

Post-study PG&E load analyses validated the study results - for each of the
subsequent three months beyond the test period, year-over-year
comparisons of demand showed the following:

 reduced average demand by 20 percent
 daily peak demand shifted outside of the 13-hour peak period
 reduced peak demand between 300kW and 400 kW for the entire 13 hours
These results were achieved with a decrease in maximum demand while
better maintaining the facility’s temperature requirements.
Based on these successes, Dreisbach Enterprises and Viking Cold are in
discussions to deploy additional TES systems in Dreisbach Enterprises’ other
cold storage facilities to take advantage of these operational and financial

electric energy consumption rates in the commercial building sector. After
personnel, energy is usually their second highest operating expense.Cold
storage facilities consume an average of 25 kWh of electricity and 9,200
Btu of natural gas per square foot per year, with refrigeration accounting
for more than 70 percent of overall electric usage.

Managing Demand Spikes

The worst fifteen minutes of demand for a cold storage facility in Nogales
accounts for up to 60% of their energy bill. 75% of that number is then

unnecessarily) high electricity bill, which could have easily been reduced by
understanding and proactively managing demand spikes.

Recommendation how cold storage 3PLs reduce energy cost in
cold chain warehouses and freezers
Cold storage operators face challenges from globalization, tight margins,
and rising energy costs. After personnel, energy is their second highest
operating expense. To maintain stable temperatures 24 hours a day and
protect their inventory of frozen food requires massive amounts of energy
to run refrigeration equipment nearly non-stop. These facilities have the
highest energy demand of any industrial category and are the third highest
commercial energy consuming category per cubic foot, consuming over $30
billion USD of power every year.
This high energy demand and need for continuous run time have significant
impacts on a cold storage facility’s energy costs. Utilities generally charge
operators in three ways (Video: Utility Bill Explanation). First are overall
consumption charges. This straight forward calculation is simply the number
of kilowatt hours (kWh) of electricity a facility uses multiplied by its kilowatt
hour rate. Second is transmission & distribution charges that help cover the
costs of the infrastructure that delivers energy to the facility. The last, and
often most misunderstood charge, is the peak period (or peak demand)
charge. Each utility determines the peak period for its customers and these
periods range anywhere from two to more than 12 hours. During this
window of time, the highest amount of energy a customer consumes is
measured to determine the peak period rate. This rate, which is much higher
than the kWh rate, is then multiplied by all the kWh used during the
designated peak period.
In the U.S. alone, the cold storage industry has over 2,200 frozen food
warehouses ranging from 10,000-200,000+ square feet, 40,000
supermarkets and over 620,000 restaurants with walk-in freezers from 150-
1,500+ square feet. Each of these facilities face energy challenges, and for
many years cold storage operators have added incremental improvements

such as more efficient lighting systems or better insulation technology to
create slight reductions in their energy costs.
Clearly, the real energy consumption comes from the continuously running
refrigeration systems. And because peak period demand charges can
account for more than 70% of the total energy costs in cold storage, it is
critical to minimize run-time during these hours. Until recently there was
not a solution that could make significant reductions in energy consumption
and provide the flexibility to shift this energy usage to outside of high-priced
peak periods.
Now Thermal Energy Storage (TES) technology from Viking Cold Solutions
can reduce peak period consumption by up to 90% and reduce energy costs
by up to 35% while improving temperature stability in the freezers and
maximizing the efficiencies of the refrigeration equipment. TES leverages
the heat transference properties of phase change materials (PCM),
intelligent controls, and 24/7 monitoring & reporting software to reduce
consumption and shift the refrigeration electricity load.
During off-peak hours, the facility’s existing refrigeration equipment freezes
the non-toxic, environmentally-safe PCM. During peak hours, operators can
dramatically reduce mechanical run time of the costly, grid-dependent
refrigeration systems while the PCM absorbs and stores 85% of all heat
infiltration in the freezer, maintains temperature stability to ensure food
quality and safety and helps avoid 90% of the expensive demand-based

Additionally, when the refrigeration systems do run, they are able to run
fully-loaded at times with lower ambient temperatures – which is how and
when they run most efficiently. This along with the PCM’s ability to easily
release thermal energy allows for the stored heat to be removed using less

The TES systems are non-mechanical, easily installed in existing facilities or
during new construction projects, and last more than 20 years. They
integrate easily with existing refrigeration, control, and racking systems, and
do not reduce any storage space in the facilities.
These thermal energy storage systems are installed inside numerous
facilities and in multiple countries, saving operators thousands of dollars
each month. Soon, TES will be a standard technology in all cold-storage
freezers. Those forward-looking cold storage operators who implement
proven TES technology now will lead the way with greater refrigeration
efficiencies and immediately improved bottom line results.

METHODOLOGY

1. When a customer buys an instrument he needs to buy reagents which


are required for that particular instrument to run properly. So this deal
is done based on an agreement, where it is mentioned that for which
instrument which particular reagents to be used. From those agreement
papers, list of reagents have been collected as a first step of conducting
this project.

2. Now it has been identified which customer has taken which instrument
and reagents therewith. Based on last 3 months sales record total no of
reagents sold for each instrument have been calculated.
3. From there forecast for the reagents have been shown.

4. By the help of v-lookup it has been segregated which reagents are


matched with the reagents mentioned in the agreement paper.
5. Volume measurement is conducted for the reagents which have been
sold for last 3 months.

6. Volumes have been converted to square foot as it were collected on CM.

7. Now the entire dimension has been summed up in order to

RECOMMENDATION

Based on the results and findings of this study, some recommendations have been
given to the management of Parekh Integrated Services Pvt. Ltd.

 PISPL needs total 32.5sqr ft space for 3 months for reagents of instruments like
COBAS INTEGRA 400: 4.5sqr foot, COBAS E411: 12sqr ft, COBAS 6000: 9sqr ft,
COBAS C311: 3sqr ft, COBAS C111: 3sqr ft . So the organization should keep this
much of space reserve in advance so that whenever materials will be transferred
from Chennai that can be stored immediately to its specific location. Though
here space calculation has been done based on some sample but following this
method organization can calculate total space for all the customers.

 PISPL uses Multi Tier Racking (MTR) to store their products and they maintain 6
racks with 3 locations in per rack and the size of each rack is 3sqr foot. Hence
they need almost 32 locations with 1sq ft per location for accommodating to
reagents with size of 32.5sqr foot.

 Forecast for the reagents of different instruments have been shown here. The
trend shows that there is not much fluctuation in sales so the organization
should maintain that much level of stock per month. For COBAS INTEGRA 400:
43pieces, COBAS E411: 68pieces, COBAS 6000: 94pieces, COBAS C311: 24 pieces,
COBAS C111: 21pieces.

CONCLUSSION

A warehouse is always considered as cost centre, so each and every


space has some value that is why organization always tries to optimize
its full space. Volume and consumption analysis are crucial in order to
understand that how much spaces will be required for reagents and how
much sales likely happen for next a few months, according to that
organization starts planning.

For that reason here some sample have been used to help the
organization to understand that how much space will be required for
3months and according to that they should maintain that much of space
in advance, also as they store their products in MTR that’s why, how
much location will be required that has been mentioned here.
Forecasting is done in order to avoid loss of sales, so based on the sales
of last 3 months by using 2 months moving average, forecasting has been
shown here for next 9 months, as there is not much of fluctuation in
trend that’s why the organization is expected to maintain a certain level
of reagents per month.

There is still chance of space and cost optimization if the cost per square
foot is known; also this project has been kept here limited due to short
time duration.
