1 PURPOSE

This document defines the minimum requirements for packing, preservation, shipping
documentation and handling of bulk materials and equipment during shipment and prior to
installation. The requirements are specifically focused towards providing adequate protection to the
material and equipment and to avoid deterioration due to transportation, corrosion etc.

2 SCOPE

This document forms an integral part of the Purchase Order and describes the minimum
requirements to be followed by Supplier/Vendor or his Sub Supplier in packing, marking,
preservation, shipping and handling of material and equipment for the REGGANE NORD
DEVELOPMENT PROJECT SURFACE FACILITIES, ALGERIA.

Supplier/Vendor or his Sub Supplier shall also follow the requirements specified separately in the
project specifications attached with the Purchase Order for preservation required for storage of
equipment and material at site. In case of any conflicts between requirement specified in this
specification and the project specifications, the most stringent requirements shall be applied.
However, Supplier/Vendor or his Sub Supplier shall bring it to purchaser notice and shall follow the
purchaser instruction in this regard. Adherence to the present instruction does not release the seller
from liability for damage as a result of faulty packaging inadequate protection and/or presentation.
This liability includes but not limited to the costs associated with return and replacement of
rejected items.

3 GENERAL INFORMATION

4 TERMINOLOGY

The word “shall” is to be understood as a mandatory requirement


The word “should” is to be understood as strongly recommended.
The word “may” is to be understood as an action to be undertaken at the supplier’s discretion

5 Exceptions to this Specification

Any exceptions, changes or additions to any of the above mentioned documents shall be submitted
by the SUPPLIER to CONTRACTOR / OWNER, in writing. Likewise, the SUPPLIER shall also report on
any deviation from this specification which is considered necessary to comply with the national and
local regulations and codes or, if for the equipment and/or materials to be delivered, the
instructions of this specification are not appropriate, incomplete or incorrect.

Deviations from this specification will only be accepted with prior written approval by the OWNER.

6 Responsibility and Liability

This specification as well as any particular instructions for specific equipment and/or materials are strictly
to be adhered to by the SUPPLIER, irrespective of whether the purchase is made by OWNER or by
CONTRACTOR designated by the OWNER. Likewise, the SUPPLIER is subject to the compliance of this
specification when the shipment is made by the SUPPLIER or by means of third parties.

7 PACKING

Forces imposed on packages during transit, handling and environmental conditions encountered
during storage shall be considered in the design and in the selection of packaging methods.
Packaging for shipment shall generally be to the supplier’s standard but shall incorporate all
requirements of this specification for equipment preservation. Supplier’s standard shall be robust
enough to ensure protection against mishandling during loading / unloading, temperature extremes,
ingress of moisture, grit, dirt and dust and shall fully protect against condensation and corrosion.

All wood used as packing case material shall be certified heat


treated and/or pressure treated in accordance to ISPM-15 or British
Standard 1133 or Italian standard UN9151 against the possibility of
importation of infestation of wood boring insects etc. Design of the
packing and preservation shall be suitable for long term storage.

Export packages shall be designed and constructed to withstand the hazards of inland and ocean
transportation, below and on deck stowage, multiple handlings and 24 months storage at the
destination in open yards with all possible adverse climatic conditions and exposure in Algeria.
Special considerations shall be given to the packing to insure that:
• Breakage, damage and theft are prevented.
• Rust and corrosion are inhibited.
• Sand / Water intrusion is prevented.
• Handling is facilitated.
• Economical costs.

Equipment shall be packed, securely anchored and skid mounted, when required. Bracing, supports,
and rigging connections shall be provided to prevent damage during transit, lifting or unloading. All
temporary bracing/supports shall be marked “REMOVE BEFORE EQUIPMENT COMMISSIONING AND
STARTUP”.

Separate, loose and spare parts shall be completely boxed. Pieces of equipment and spare parts
shall be identified by item number and service and marked with order number, tag number, and
weight, both inside and outside of each individual package or container. A bill of material shall be
enclosed in each package or container of parts.
One complete set of the installation, operation, and maintenance instructions shall be packed in the
boxes or crates with equipment. This is in addition to the number called for in the Purchase Order.
Special packing instructions for specific commodities (including spare parts) and/or shipments will
take precedence over this specification. When portions of this specification are not practical for a
specific item, then the best commercial export packing methods to attain comparable protection
shall be used. If the MANUFACTURER'S/VENDOR'S standard methods of protection and/or export
packing provides equal or better protection at the same or less cost, then this information shall be
brought to the attention of Contractor prior to use.

Asbestos, hygroscopic material and shavings, hay, straw, wood wool or newspapers shall not be
used in any form of packing/protection material

All packing material shall be new and supplied on non-returnable basis.

8. Corrosion / Preservation and Protection

a. The SUPPLIER shall ensure the products are suitably protected and packaged to prevent corrosion
during handling, transport and storage. Items such as bearings, drive components, machined
surfaces and electrical components etc. shall be protected against the possibility of coming in
contact with corrosive or harmful substances.
b. The effects of climatic conditions, construction debris (e.g. flushing water, shot blast), as well as
rough handling, jolting and impact shall be considered.
c. Items to be preserved shall include but not be limited to:
• Machinery internals, bearings, seals, machined surfaces.
• Electric motors, switchgear, transformers, panels, motor controllers, junction boxes, batteries,
chargers, UPS.
• Instruments, cabinets, panels, junction boxes.
• Valve internals, stems, glands.
• Flange faces, metallic gaskets, bolting, pipe threads, spring support threaded adjusters.
• Vessel and exchanger internals.
• HVAC, Fire and Safety Equipment.
• External surfaces subject to corrosion.

d. Approval shall be obtained from Buyer on rust preservatives intended to use and Supplier / Vendor
should provide a list of specific rust preventatives that shall be used in protecting the equipment.
e. Hazardous materials shall be properly classified, packed and marked in accordance with
international regulations for shipment as air or sea freight. Unless allowed as per statutory IDG
dangerous regulations, goods of different UN class should not be packed or shipped together. Copies
of the material safety data sheets (MSDS) must be available for inspection prior to shipment and a
copy must be included within the transit documentation.
f. International standard markings/symbols shall be used in all cases, e.g. center of gravity, use no
hooks, protect from moisture, etc. and these shall be provided in English / French and Arabic.
g. All items subject to internal preservation shall be tagged or marked to so identify. Tagging shall
indicate the type of preservative used (e.g. silica gel bags, oil filled).
h. Tagging or marking shall be affixed in such a manner that it will remain in place and be clearly
visible throughout the construction period. Materials such as wire, string, paper, cardboard, etc. are
not acceptable. Stainless steel straps, plastic labels, self-adhesive heavy duty tape are acceptable.
i. All openings shall be provided with substantial metal closures, securely fastened and sealed.
j. Fragile or vulnerable equipment or material shall be clearly marked on both side ‘FRAGILE’ and the
correct storage/transport orientation shown, i.e. ‘THIS SIDE UP’, or preferably internationally
accepted symbols.
k. Corrosion prevention and packaging shall be in accordance with the minimum requirements as
stated in this procedure and shall remain the responsibility of the Supplier/Vendor or his Sub
Supplier to apply equally or more suitable protection and/or packing to ensure safe arrival of the
goods at their ultimate destination
l. Supplier/Vendor or his Sub Supplier and Service Provider shall comply with Institute Cargo Clauses
Land, Sea and Air.
m. Full shipments are envisaged unless otherwise stated. Partial shipment will only be accepted if
instructed and accepted by Contractor.

9. Safety

Protection shall be sturdier than normal, with greater utilization of shock absorbent materials. Any
components bolted onto or lightly fixed shall be either strongly braced to prevent vibration or
removed and packed separately (e.g. instrumentation).

The SUPPLIER shall ensure all Products are packed to avoid personal injury and damage to equipment
and property.

10. Language

Shipping, handling and storage documentation shall be in English. All warnings and safety labels shall
be either pictorial or in English as per international standards.

11. Packaging

11.1 Cases (close boarded):

Supplier/Vendor or his Sub Supplier shall adhere to the following guidelines

• No straw, hay, newspapers or similar materials shall be used. All packing materials shall be non-
hygroscopic. All packing materials shall be suitable for re-cycling.

• Equipment that requires regular checks or rotation must have suitable access panels in the packaging
with clear instructions of preservation requirements.

• Equipment from more than one Purchase Order must not be packed in the same case/crate. Where
spares are packed with the main equipment, the case and / or crate shall be clearly marked to show
their location.

• Small items may be packaged together to form a larger single package or with larger items for
protection but they shall still be individually packaged within the overall packaging and both
packages marked/labeled/manifested accordingly, i.e. each separately packaged item shall have
their own manifest / materials listing attached or in cases where there are several packages
together within a larger one all the manifests / materials listings shall be attached as individual
sheets to the manifest /material listing of the main packaged item.

• Packages weighing more than 150kgs shall have raised skid platform or pallet base to permit sling or
forklift truck handling. Any case having width of more than 1 meter shall be provided with suitable
sized steel angle bars on the upper corners of the top cover to avoid abrasions or cracks caused by
steel wire ropes.

• All packing cases / crates must indicate their weight, lifting points and the center of gravity or use
relevant International Maritime Organization symbol.

• All fragile / sensitive / calibrated items packages must be affixed with a shock tilt indicator (impact)
device. These indicators detect and record unacceptable impact/tilt on goods that must be handled
with care and remain upright. The shock tilt (impact) device is to be shipped on nonreturnable basis.

• Large items such as pressure vessels and cranes may be shipped with additional wooden packing, or
should be vacuum wrapped to avoid moisture corrosion or as approved by Contractor. Pipes / tubes
may be supplied in bundles.

• Other items shall be generally packed in suitable wooden boxes or crates. These shall be designed to
allow for lifting by forklift, slinging and other methods and where necessary shall incorporate
bearers capable of supporting the gross weight of the package. Lifting eyes shall be provided where
necessary and any lifting eyes not suitable for the gross weight shall be removed or blanked off.
Where boxes or crates are not capable of supporting the weight of other packages, it shall be clearly
marked on the outside of the package.

• Where pallets are used, the material shall be covered with WBP.(water and boil proof resisting resin)
plywood not less than 13mm thick. The top cover shall be adequately secured. Corners shall be
reinforced by metallic angles. Equipment shall be secured to the pallet and shall be suitably braced
to resist movement during transit. Slatted crates shall not be used.

• Equipment / materials subject to damage by shock or vibration shall be braced inside the crating by
use of wedges or anti-vibration and anti-shock systems. Delicate items such as instruments shall be
supported on a bed using environment friendly packing material.

• Carbon steel items shall be packed separately from higher alloy and/or Duplex, Inconel alloy
stainless steel items. Duplex pipes shall be required to be boxed for shipment with proper packing to
avoid corrosion.

• Cases shall be constructed from new, sound and well-seasoned timber with a maximum moisture
content of 20%. The strength of the packing must always be balanced against the weight of the
materials contained.

• Constructions shall be in accordance with ISPM 15 or British Standard 1133 or Italian standard
UN9151 or equivalent.

• Cases shall be lined internally with a good grade waterproof barrier material.

• Volume of cases shall be kept to a minimum and the dimensions should preferably allow stowage in
standard ISO containers. The preferred configuration for unit loads (container pallets) is 100 x 110
cm with a height of 110 CMS Stackable. No overhang is allowed. All pallets shall be shrink-wrapped
and depending on the nature of the GOODS, the pallets and/or GOODS shall be covered with
resistant cardboard sheets.

• Cases from 500 kgs up to 3,000 kgs shall be provided with bottom cleats of minimum 100 mm high
and 150mm wide to ensure clearance for handling by forklift. Packages of over 3,000 kgs (and up to
25,000 kgs) shall also be provided with sufficient bedding to ensure that slings can be fixed easily for
safe and fast lifting. When provision for handling with cranes using wire rope slings is made,
adequate tension steel straps shall be supplied.

• Cases over 10,000 kg shall be suitable for single point lift by crane, using wire rope slings. Steel
protection plates with proper protective inside lining shall be applied at slinging edges to prevent
cutting. In such case the appropriate C.G markings should also be provided.

• Metal parts used in packing other than nails must be painted with antirust compound as a minimum
requirement. All protected surfaces must be insulated from contact with wood or other hygroscopic
materials by wax or polythene paper or other similar product.

• All the cases and crates above 300 kgs will be reinforced on the outside with metal plate bracings on
the four vertical edges and metal plate brackets at the four slinging points. The cases will then be
finally strapped with metal / cord strap binding strips. (refer Table 1)

11.2 Crates I Boxes I Bales:

• Crates & boxes must be constructed with the outer framework consisting of upright and horizontal
frame members and with additional diagonal upright members where necessary to provide strength
and rigidity.

• Cardboard boxes can only be used in case of transport by airfreight, and shall have an outer
waterproof lining and closed by waterproof tape. Tension straps shall be applied with separation
materials used at the edges. Boxes must be consolidated and shrink wrapped on standard pallets.

• Unless specifically agreed by Contractor, the use of carton and cardboard (corrugated fiber board)
boxes is not allowed.

• All cases and crates over 300 kgs in weight must be provided with a minimum of 3 angles square per
corner and distributed one for each horizontal external brace. Centre of gravity point to be clearly
indicated on the crates/case. (refer Table 1)

• Bales shall be fastened using galvanized steel wire (diameter 5mm) with a metal hoop or galvanized
steel cable. The number of fastening will depend on the weight and length of the bale but must not
be more than 1.30 mm apart. No bale may exceed 1000 kgs.

• For Air coolers, fin surface must be protected on both sides with a layer of galvanized sheet 1.0 mm
thick. Finned tubes must be suitably separated from one another by spacers to protect them during
loading and unloading operations.

• Timber boxes, crates and skids shall be steel strapped and straps shall be secured with crimped steel
seals.

• Non-metallic strapping shall only be used on cartons or packages packed within the boxes or crates.

11.3 Securing of Contents:

Supplier/Vendor or his Sub Supplier shall adhere to the following guidelines as a minimum.

• Goods shall be properly secured in the case by means of anchor bolts or blocking in such a way that
movement in any direction is prevented.

• Fragile goods shall be packed using suitable cushioning material.

• It is not allowed to use hay, flax or straw as packing material.

• Should the shipment contain any items of rotating equipment that are locked or modified for
shipment, Supplier/Vendor or his Sub Supplier shall obtain Contractor’s written approval of
preparation methods prior to actual shipment.

• Supplier/Vendor or his Sub Supplier shall provide each item with appropriate lashing points.

• Equipment shall be secured by flat strapping during transportation as opposed to cabling with heavy

gauge polythene placed underneath the straps.

11.4 Drums, Kegs and Barrels

Containers of a cylindrical style such as drums, kegs and barrels shall be provided for the packaging
of liquids, powders, pelletized materials and small hardware objects such as bolts. Cylindrical
containers shall be manufactured from wood or steel and shall be capable of sustaining a drop of
1200 mm from a diagonal position, while loaded with the maximum intended weight, to a solid
concrete surface without rupturing or failing. Cylindrical containers of like sizes and contents shall
be securely strapped together and to pallets, when possible, for consolidation of packages.

• All drums supplied containing chemicals and/or hydrocarbons are to be new non recycled drums.

• Pallets used to transport these materials are to be free of any hazards that have potential to
puncture the drums whilst in transit.

• A shock absorbing material (e.g. rubber, cardboard) is to be placed under all drums to protect the
base of the drum from wear whilst in transit. This is also required to reduce the flex of the drum
base. Further protection (cardboard etc.) should be put between drums to prevent rubbing whilst in
transit.

11.5 Skidded and Framed Boxes

Skidded and framed boxes shall be constructed upon skid members joined by headers and shall be
floored with 50 mm lumber. Each header shall be double bolted to each skid member. Each
bearing surface of machinery or equipment shall rest over a skid member and bolts securing
equipment to skid shall pass through a skid member. Lag screws are not acceptable for this
purpose. Framed construction shall employ the use of X-bracing with 50 x 100 mm lumber. The
clear distance between skids shall not exceed 1200 mm.

Rub strips will be used to allow entry by fork on four sides. Provisions shall be made so that slings
can be easily inserted under the ends of the box.

11.6 Bolting

Use 10 mm (3/8) inch diameter carriage bolts when fastening pieces up to 66 mm thick. Use 13 mm
(1/2) inch diameter carriage bolts when fastening pieces over 66 mm thick up to 92 mm thick.

Use 16 mm (5/8) inch diameter carriage bolts when fastening pieces over 92 mm thick. Prevent
loosening of nuts by using lock washers, or lock nuts, or deforming the bolt threads, or by staking
the nut to the bolt.

11.7 Crates

Open crates can be used where contents are virtually indestructible and packing is required only to
facilitate handling and stowage. Crates also serve well as over packs to consolidate fiberboard
boxes or to provide unit pack stiffness to resist crushing. Three ways corner construction reinforced
with diagonals shall be used for all crates that are not plywood sheathed. Large crates usually must

bear great superimposed loads. Ensure top strength by frequent (not more than 950 mm apart) top
joists. When sheathed, place joists under sheathing. Provide joist supports directly under joist
ends. Reinforce floor at load bearing points when between skids or sill members. To permit entry of
forklifts, terminate end sheathing at flooring. Terminate side sheathing 12 mm short of skid
bottom. To transfer load to the tines of the forklift, add additional cross members at 500 mm and
1000 mm from each end. Ventilation holes shall be placed at intervals around the sides and ends of
sheathed crates. Provide drainage holes through the deck or space floor boards 10 mm apart when
the crate structure above the base is not weatherproof or where condensation can occur. Where
excessive heat and humidity can be expected, additional ventilation should be provided. This can
be done by drilling holes through the ends near the top, but not through any frame members. These
holes should not be greater than 38 mm diameter nor more than three holes per 600 mm of crate
length or width.

11.8 Plywood Boxes and Crates

Plywood Thickness and Grade Up to 5000 kg and/or spans 600 mm or less, use 10 mm C-D exterior
glue plywood. 5000 kg and over and/or spans up to 1220 mm, use 13 mm C-D exterior glue plywood.

11.9 Frame Members

- Up to 1000 Kg, use 25 mm x 100 mm lumber.


- For 1000 Kg to 5000 Kg use 50 mm x 100 mm lumber.
11.10 Skids and Rub Strips Fasteners

- Up to 1000 kg, use 50 mm x 100 mm lumber.


- For 1000 kg to 5000 kg, use 100 mm x 100 mm lumber.

All Closed boards and Plywood Boxes / Cases should be strong and sturdy to facilitate
stowage/storage/stacking upto 3 tiers (1 +2 above)

12. Dangerous Goods:

All dangerous cargo must be packed and invoiced separately from other materials. The
requirements of the International Maritime Dangerous Goods (MIDGE) code must be applied for all
shipments by sea freight. The requirements of ICNIATA Dangerous Goods Regulations must be
applied for all shipments by airfreight. Local statutory regulations must be applied for all shipments
by road freight. Material Safety Data Sheets [MSDS] for all dangerous Goods, Dangerous Goods Notes
(DGN), data Certificates and TREM cards are to be provided to Contractor nominated Service
Provider at least eight weeks prior to shipment.

• Goods that may contain ‘hidden’ dangerous material (e.g. repair kits may contain flammable paints,
corrosives etc., electrical equipment may contain magnetized material, mercury or batteries) shall
be treated as dangerous goods.

• Chemicals of any kind are to be stuffed separately in dedicated containers (Le. Not to be mixed with
any other cargo within the same container).

• Supplier shall certify that the above mentioned material is properly classified, described, packaged,
marked and labeled and is in proper condition for transportation according to the appropriate
government or International Transport regulations.

• Supplier shall provide list of dangerous material with MSDS within 6 weeks of receipt of order to
enable Contractor to avail necessary import license / permits in Algeria.

• Details of all pressurized items shall be provided 3 months prior to shipment with required
documents with proper approval meeting Algerian regulation to facilitate imports into Algeria.

13. Skid Mounted Equipment:

Supplier/Vendor or his Sub Supplier shall adhere to the following guidelines as a minimum

• All instrumentation including control valves and impulse lines shall be removed, tagged and packed
in water-proof boxes, constructed from timber of not less than 25 mm thickness and provided with
identification in accordance with Section 5.

• All equipment and piping extending beyond the skid edge shall be removed and packed separately
for shipment. All loose pipes and mating skid-mounted pipes shall be tagged and match marked if
necessary.

• Skids shall be sufficiently rigid such that they do not deflect during lifting, Supplier/Vendor or his
Sub Supplier shall provide red-painted lifting lugs attached to the skid frame by certified full
penetration welds.

• Equipment shall be cleaned of all debris and have interior coating if mentioned in data sheet.

• All sensitive parts shall be removed from the skid/equipment and boxed separately as described
beforehand.

• All Skids with instrumentation must be affixed with a shock (impact) 1 tilt indicator device, which
are supplied on non-returnable basis. These indicators detect & record unacceptable impact or tilt
on goods that must be handled with care and remain upright.

• In addition, Supplier/Vendor or his Sub Supplier shall provide all shipping stops and shipping blanks
necessary to secure the equipment during ocean and land transport to Project site.

• Supplier to ensure that liquid irrespective of its nature (dangerous or non- dangerous) should be
packed separately and all equipment should be drained and dried 100% prior to shipment.

14. Protection of Equipment Openings:


Supplier/Vendor or his Sub Supplier must adhere to the specifications for the protection of all
openings in line with the Purchase Order. If unspecified Supplier/Vendor or his Sub Supplier shall
provide the following as a minimum:

• Threaded and beveled pipes shall be suitably closed with protectors that fit either outside or inside
the pipe to prevent entry of foreign matter and protect threads and bevels.

• Internally threaded openings or plain open ends of pipes may be protected with plastic inserts, Pipe
protectors on loose/unbundled pipes over 6 inch diameter shall be of the type which permits entry
of pipe lifting hooks at both ends, Pipes less than 6 inch diameter shall be bundled, pre-slung and
both ends protected with solid pipe protectors.

• Flanged fittings and valve ends shall be further protected with plastics, wooden discs in accordance
with below table:-

• The ends of small-bore pipes may be sealed with waterproof tape to prevent moisture. Large pipes
will have to be fitted with end caps.

15. Line Pipes:


Supplier / Vendor or his Sub Supplier shall adhere to the following guidelines as a minimum. The
bevel protectors and end caps shall not be damaged during handling and transportation of line pipes.
Suitable ends caps / timber and/or other dunnage shall be used to protect the line pipe against
damage in transit. The size and number of bearers and separating pads shall be such that no
damage to the pipe components or coatings takes place. The line pipe shall be secured on to the
dunnage to prevent movement during transportation by webbing strap, or similar, which will not
score, mark or otherwise damage the pipe or coating. The line pipe shall be stacked only to a height
that ensures that no damage to the line pipe or coating occurs.

• Handling of Bare Pipes: The line pipe material shall always be handled such that no damage occurs
to the pipe material, particularly to the pipe ends or bevels. All lifting material shall be rated and
certified for the anticipated loads during line pipe handling. No welding of temporary attachment to
the line pipe for handling shall be permitted. Lifting operation shall be controlled to prevent end or
impact damage to the line pipe. Slinging arrangements shall minimize sagging or hogging of
individual line pipe and shall be designed to prevent abrasion damage of bundled items.

• Handling of Coated Pipes: Coated line pipes shall not be handled or moved by means of cable or
chains or levered skid or bars, or dragged along the ground. The line pipe shall only be lifted, moved
and lay using suitable lifting equipment of non-abrasive material having adequate width to prevent
damage to pipeline coating.

• All pipes will be loaded /offloaded using two slings with Teflon coated hooks holding each pipe. The
cradle provided with the pipes will have to be placed below the pipes in order to allow sufficient
space between pipe and separation pad to protect the coating from being damaged and securing the
pipes placed in rows. The two slingers holding the pipe ends with ropes should be used to guide the
pipes to be placed into the cradle placed on the dolly / truck. The pipes should be lashed at
minimum 4-5 points with lashing belts with rubber padding in between to protect the coating during
transportation.

• In event pipes are stocked for a longer period of over 6 months, supplier shall provide covering for
pipes in the temporary stockpile so as to prevent UV degradation of pipes coating. Supplier shall
confirm the minimum time duration for coating degradation from coating manufacturer.

• Tape covering is not acceptable.

15.1 PipeLine Materials


• Pipes with a diameter larger than ½‘’ and less than or equal to 6’’ shall be bundled by strapped
timber cleats and with slide type plugs of suitable dimensions, located above and below the bundle.

• Pipes with a diameter larger than or equal to 6” shall be transported individually or shall be
bundled.

• Stainless steel pipes, cast iron pipes, aluminum pipes and plastic pipes shall be crated or boxed.
Stainless steel pipes shall be also covered by polyethylene plastic to protect material from
rainwater or splashes.

• Pipes length should not exceed 11.5 meters in length along with fitted end caps/packing material
inorder to be suitable for loading in shipping containers.

• All DSS /SS pipes loaded in containers should be provided with suitable separators/dunnage and
lifting web slings (refer below picture)

16. Instrument, Telecom Panels and Cabinets:


For instrument panels and cabinets Supplier/Vendor or his Sub Supplier shall meet the following
additional requirements

• All plug-in equipment and power supply units shall be removed identified and placed separately in
their original packing.

• All panel sections and cabinets shall be boxed separately.

• Instrument cabinets shall be boxed using special, double case-in-case packing, with shock absorbent
cushioning in-between the cases. These techniques shall be applied to all instrument cabinets (viz.
DCS, ESD, F&G, UCP, VSDS, IMCS computing equipment and any other sensitive electronic
equipment).

17. Steel Structures

Steel structures such as profiles, beams, steel plates and/or any prefabricated items shall be
bundled for handling to the maximum possible extent. Ladders, handrails, stairs shall be placed in
containers or in crates constructed with steel bars having sections like those of the packed items.

Ducting for air conditioning, fired heaters or boilers shall be packed in crates.

Structural bolting, nuts and fasteners shall be packed into steel drums or a similar storage boxes.

Structural steel items such as handrails, stanchions and grating etc. shall be, where practical,
bundled together for shipment.

18. Gear Box

When practical, gear boxes shall be transported filled with oil. Where this is not practical, vapour
phase inhibitors shall be used to protect internal surfaces. The SUPPLIER shall provide instructions
detailing the type of inhibitor and the procedure for removal prior to installation.

Special care shall be taken to prevent brinelling of bearings. Bearings susceptible to brinelling shall
be relieved of load during transport by the use of false bearings to support the load. The SUPPLIER
shall provide instructions for the correct removal of the false bearings.

19. Electronic Equipment / Substation

Where practical electronic equipment shall be shipped via air freight fully assembled, however,
where large equipment is to be sea or road freighted, the SUPPLIER shall remove circuit cards which
are not physically locked in place, heavy cards such as power supplies and cards where vibration is
likely to damage connectors.

All components removed shall be individually wrapped and packed in suitable boxes. Diagrams
showing the locations of all cards shall be included with the equipment.

The Substation shall be provided proper lifting points and open points should be sealed or covered as

shown in the picture.

It should be supported with sufficient lashing point for sea fastening and road transportation.

The weight should be balance and Centre of gravity marked on all four sides

20. Lifting Equipment’s:


Where specified in the Purchase Order, Supplier/Vendor or his Sub Supplier shall supply all necessary
lifting equipment and shall provide both material and test certificates (individual for and for the set)
issued by a reputable inspection authority such as Lloyds Register, Bureau VERITAS, ABS, etc. Such
certificates shall remain valid for a minimum of twenty four months period from the date of delivery.
One set of the test certificate should accompany the lifting equipment at all times.
All lifting equipment shall be adjusted to the center of gravity of goods being lifted.
Clear rigging instructions and colour marking of lifting points.
Only proper pipe hooks or vacuum lifting equipment shall be used for lifting pipes. All booms, hooks,
supports, skids, tie-downs and similar devices used in handling or storing pipe shall be padded to
prevent damage to the pipe, pipe end bevels and coating. The hooks or slings fixed at pipe ends shall
be provided with rubber protection, polytetrafluoroethylene, thermoplastics or other soft protection
material so as to protect the bevel end. Copper shall never be used.
The test certificates shall be for all the individual items comprising the set, with their serial
numbered(Hard punched) and combined for the consolidated set as working. The test Certificates
shall indicate the SWL and the Maximum allowed load.

21. Special Tools and Spare Parts:


Supplier/Vendor or his Sub Supplier shall ensure that all special tools be separately boxed, shipped
and clearly identified. Spare parts shall be separately boxed and labeled according to their
designation (e.g. Commissioning, Insurance or Operational spares).
Measuring items should be packed separately, as these require approval from authorities for
import into Algeria.
22. Alternative Methods of Packing:
For alternative methods of packing, Supplier/Vendor or his Sub Supplier shall obtain Contractor’s
written acceptance 6 weeks prior to shipment. Supplier/Vendor or his Sub Supplier shall submit the
proposal that includes the following as a minimum.
• List of items to be removed for proper protection of fragile parts.
• Proper lifting by a single hook and, if required, the use of a lifting device (e.g. spreader lifting beam)
all to be included in the scope of supply.
• Saddles must be positioned under the equipment to give as far as practical equal load distribution.
The load distribution should be limited to ten tones per m2, which will be more accurately
determined on type of ship utilized. Wherever possible shipping packages shall be limited to
maximum weight of 2000kgs. Bundles must not exceed 2000kgs in weight.
• Saddles shall be fitted with lifting lugs and supplied with steel rope or flat metal strapping to secure
the saddle to the product during lifting and transportation.
• When saddles/skids are made of two or more lumbers, bolts and nuts shall be used for joining
purpose. Nails are forbidden.
• For equipment already provided with metal base saddle/skids, wooden boards shall be fixed beneath
them by means of bolts and nuts. Nails are forbidden. The width of the wooden boards shall not be
less or more than the diameter of the skidded equipment.
• The saddles manufactured for the vertical vessels shall be designed in accordance to the subjected
accelerations during shipping and transportation. They shall have specific lashing points on them for
the purpose of lashing during the transportation on Sea / roads.

23. PREPARATION OF PRESSURE VESSELS, AIRCOOLERS AND HEAT EXCHANGERS


This section covers the requirements for MANUFACTURER'S preparation of shop fabricated pressure
vessels and heat exchangers for shipment. These requirements do not apply to pressure vessels
which are shipped in sections for assembly at the jobsite.

The MANUFACTURER/VENDOR shall submit for approval the complete details of the preparation for
shipment.
• Vertical vessels shall be furnished with shipping saddles and tie downs. Vessel shells shall be designed
to maintain structural integrity during shipment and storage when supported on horizontal supports.
The dimensional tolerances of the SAME Code requirements and Project Specifications shall apply to
the vessel after removal from the horizontal supports.

• Horizontal vessels shall be shipped on their own supports.


• Parts shipped or stored loose from the vessel are to be shop fit up by the MANUFACTURER/VENDOR
for field fit up prior to shipment of storage.
The general cargo of air coolers (fans, motors, etc) must be packed in seaworthy wooden cases or
crates (stackable upto 3 high).
Vertically mounted motors shall be specially supported for transport to prevent damage to the rotor
and stator and plates.

23.1 Water Tight Integrity of Carbon or Low Alloy Steel Vessels and Heat Exchangers without
Internal Austenitic Stainless Steel Lining

• All openings shall be made watertight against an external pressure of 1.05 kg/cm2.
• For covers on nozzles over 24 inch nominal diameter, adding external stiffening bars is an
acceptable method to reinforce the cover plate.
• All flanged connections which are not furnished with permanent blinds shall be covered with
gasket and 12 mm minimum thick, full diameter, steel plate covers. The covers shall be
installed with full bolting. Flanges drilled for bolting larger than 3/4 inch diameter may be
secured with 3/4 inch diameter bolts and suitable cut washers. Flange edges shall be sealed
with waterproof, cloth-backed tape.

23.2 Water Tight Integrity of Carbon or Low Alloy Steel Vessels and Heat Exchangers with Internal
Austenitic Stainless Steel Lining, Solid Austenitic Stainless Steel Vessels and Heat
Exchangers, and Solid Austenitic Stainless Steel Internals when shipped separately

• In addition to the requirements of 6.1 and 6.2 above, the interiors of vessels and exchangers
shipped separately shall have additional protection from the intrusion of moisture or contaminants.
• If a desiccant is proposed, indicate type, amount, container and placement. The vessel shall be
purged with dry air prior to closing and provided with stainless steel baskets welded to the inside of
the non-permanent blinds. Each basket shall contain desiccant, the desiccant shall be packaged to
prevent direct contact with the vessel interior surface.
• If an inert gas pressure is proposed, pressure shall be maintained inside the vessel throughout
shipment. A warning or instruction label shall be placed on the vessel or shipping container
"INERTED VESSEL – VENT BEFORE USE”.
• On vessels shipped with internal pressure, all flange connections shall be checked for leaks after
pressurization with a suitable liquid not detrimental to the stainless steel weld overlay at edge of
flange facing or solid alloy nozzle flange.
• On vessels shipped with internal pressure, warning tags shall be attached to each opening to
"INERTED VESSEL – VENT BEFORE USE”. Any signs or markings marked directly on the vessel shall be
subject to approval.
• All external carbon or low alloy surfaces not required to be painted per specification shall be

primed with a suitable primer.


• All external exposed austenitic stainless steel surfaces shall be protected with waterproof overwrap
or heavy duty grease to prevent contact with seawater during shipment. (Outside of solid alloy
vessels, solid alloy nozzles, exposed surface of alloy weld overlay on flanges, nameplates, etc.)
• For vessels having materials of 12 percent chrome content or greater (including austenitic stainless
steels), temporary supports shall not be moisture retaining materials such as raw wood. Shields
shall be provided to protect the vessel when wood supports are used.
• Special vessel openings shall be provided with suitable closures designed by the MANUFACTURER.
• Any removable internals, spare gaskets, spare bolting and other equipment shipped separately shall
be wrapped in polyethylene or other suitable wrapping and packed in sturdy wood boxes to insure
against damage and contact with seawater during shipment. The boxes shall be marked with the
Purchase Order number and vessel item number and shall be securely attached to the vessel.
• Protective measures shall be subject to inspection and rejection. All costs associated with any
rejection shall be for the account of the MANUFACTURER/VENDOR.

23.3 HORIZONTAL VESSELS

• All vessels/equipment’s to have a set of specific designed lifting lugs/trunions.


• The lugs and trunions shall be designed for the specific purpose of Lifting/Erection and Lashing also.
• The stress and shear force calculations shall be to accommodate the acting Accelerations during the
Shipping/ Transport.
• The equipment’s as deemed convenient and very necessary should have dedicated specific Lashing
lugs as have been shown in the drawing above. These shall be calculated and manufactured and to
be fixed on the equipment on or below the horizontal center line. The motive of these lugs is to
facilitate the shipping line and the road transporter to affect the lashings in a professional and safe
technical manner, which otherwise results in them resorting to the nearest fitting or the saddle.
(Both may prove damaging)
• The lifting trunions and lugs should be located such that during the operation of lifting/erection for
the purpose of applying the slinging apparatus and during the lifting the slings should not foul with
any nearby Nozzles/Brackets/ Fittings.

• The lifting Lugs Whenever designed and manufactured, shall be fixed on the equipment in an angle
of 45° as shown in the drawing.

Lifting Lugs at 45°

• For some equipment’s which are of a super OOG/Heavy classification, fixing of Wooden
Huddles/Garlands will be advised or recommended and shall have to fixed on the equipment’s in
accordance with the specifications and quantity and locations suggested by Petrofac.
• The wooden huddles shall be manufactured in a manner whereby no metallic or steel components
are used. Wooden flats will be stuck on a good quality neoprene rubber roll with the use of a good
industrial epoxy bonder such as Loctite and then cut to length and fixed on the circumferential
periphery using Cord lash strap. (Picture provided)

23.4 VERTICAL VESSELS

• All vessels/equipment to have a set of specific designed lifting trunions.


• The trunions shall be designed for the specific purpose of Lifting/Erection and Lashing
also. The stress and shear force calculations shall be to accommodate the acting Accelerations
during the Shipping/ Transport
• The equipment as deemed convenient and very necessary should have dedicated specific Lashing
lugs as have been shown in the drawing above. These shall be calculated and manufactured and to
be fixed on the equipment on or below the horizontal center line. The motive of these lugs is to
facilitate the shipping line and the road transporter to affect the lashings in a professional and safe
technical manner, which otherwise results in them resorting to the nearest fitting or the saddle.
(Both may prove damaging)

• The lifting trunions should be located such that during the operation of lifting/erection for the
purpose of applying the slinging apparatus and during the lifting the slings should not foul with any
nearby Nozzles/Brackets/ Fittings.
• For some equipment which are of a super OOG/Heavy classification, fixing of Wooden
Huddles/Garlands will be advised or recommended and shall have to fixed on the equipment’s in
accordance with the specifications and quantity and locations suggested by Petrofac.

• The wooden huddles shall be manufactured in a manner whereby no metallic or steel components
are used. Wooden flats will be stuck on a good quality neoprene rubber roll with the use of a good
industrial epoxy bonder such as Loctite and then cut to length and fixed on the circumferential
periphery using Cord lash strap. (Picture provided)
• The Temporary/Transport saddles as advisable and recommended should be designed and
manufactured such that they have a sufficient and practical for print that would disperse the
overall weight of the equipment on the resting surface at the rate not greater than 12 to15 MT per
M².
• It is a good and recommended practice to buffer the contact between the saddle bed and the
equipment using neoprene or Polystyrene sheet or any good quality rubber material. The saddles
shall have sufficient in built lugs which will be used for handling and securing purposes It is
recommended and advisable to fix the saddles onto the equipment using the (Metal plate and
Bracket) system refer photo’s attached in 11.4. This method ensures and enables the saddles to
remain as an integrated adage of the equipment, which otherwise tends to get loose and start
dangling during lifting and handling; which in itself is a high risk factor maneuver.
In case of the use of wire rope is undertaken for fixing saddles. Wire rope with proper capacity,
tested and certified should be used along with proper Dee Shackles, Bull Dog Clips and Turn buckles.
(All items should be individually certified.
• Proper buffering shall be provided between the equipment and the Metal plates/Wire ropes.

24. SHIPPING MARKS

• Shipping marks must appear on all packages and on all shipping documents such as packing lists,
invoices, bills of lading.
• Supplier/Vendor or his Sub Supplier shall ensure that clear and sufficient identification marking is
provided on consignments.
• Supplier/Vendor or his Sub Supplier must stencil the following marking in 50 mm tall letters on two
(2) opposite sides of every box, container or package.

• Precautionary statements shall be stenciled on each package to indicate proper handling and
storage symbols. Hand inscription with felt tip markers is not acceptable.

• Marking for cargo handling care shall be stenciled at proper points/places on each package.
Packages containing dangerous goods are to be marked on at least two sides with appropriate labels
in conformity with IMDG/IATA regulations. Chemicals/Dangerous goods shall be identified on a
separate invoice, packing list and bill of lading. All hazardous goods shall be identified by the
appropriate hazard class or proper shipping name.

• All packages, boxes or pieces of equipment shall have a weatherproof marking I tag (the paint shall
be permanent and water resistant) with the following shipping marks.

• Paints containing sulphur, lead, zinc or other metals are not acceptable.

• Supplier/Vendor or his Sub Supplier shall provide a packing list in waterproof pouch securely
fastened and clearly visible on the outside of the package.

• Supplier/Vendor or his Sub Supplier shall ensure that individual items are tagged with their
designated tag numbers.

• Supplier/Vendor or his Sub Supplier shall identify the center of gravity and symbol as applicable for
all equipment.

• Bundles and loose items, which are not suitable for direct application of shipping marks onto

bearing shipping mark and additional data, i.e., weight and size. Labels shall be tied to bundles or
pieces with steel wire. Metal or other weatherproof tags shall be clearly legible and must invariably
be affixed to bundles and single units at both ends. Linen, paper or light cardboard tags shall not be
used.

• The Supplier/Vendor or his Sub Supplier must indicate, in consultation with the
Contractor, the storage requirements by marking each parcel with the letters: A, B, C or D as
follows;
“A” = Open Air (Covered by Tarpaulin)
“B” = In Open warehouse

25. Shipping Document Requirement

Following documents are required for customs clearance in Algeria, Supplier should provide soft
copies (excel format) of Invoice and packing list for review and comments 2 weeks prior to
shipment. Shipping invoice should never be sent along with the packages or inside the
crate/wooden boxes.

25.1 Original Shipping Invoice:


Original Invoice shall be in the English language, it has to match with Packing List, Certificate of
Origin, issued by local chamber of commerce, Bill of Lading (BL)/Air Way Bill (AWB)/Truck Way Bill
(TCN).
Original Invoice has to be on shipper’s letter head, manually signed and endorsed in colour ink,
attested by local Chamber of Commerce
25.2 Original Packing List:
Apart from shipper, consignee and notify party details, packing list to show type of package,
detailed description, weight, volume etc. It has to match with invoice and Bill of
Lading/AWB/TCN. Once copy of packing list should be pasted on the crates / wooden boxes,
however Shipping invoice should never be pasted or put inside the crate / wooden boxes.

25.3 Original Certificate of Origin (COO):


COO has to match with invoice, BL/AWB/TCN etc. Certificate of origin must be certified from local
chamber of commerce
25.4 B/L, Airway bill, Truck Way Bill:
Original B/L is required for collecting delivery order at destination from shipping line
26. Fumigation Certificate:
In line with customs regulations, all wood material used for packing /dunnage has to be
fumigated/heat treated and British Standard 1133 or Italian standard UN9151 or ISPM 15
certificate issued (if applicable).
27. IMCO/DGR Hazardous Materials
All dangerous good must be packed and invoiced separately from other material. Packing has to be
done according to UN regulations. Apart from invoice, packing list, and COO, Material Safety Data
Sheet (MSDS) is a must and shall form part of the shipping documents. However only Packing list
and MSDS will be sent with packages. Invoice will not be sent along with packages.
28. GUIDELINES FOR PREPARATION OF SHIPPING DOCUMENTS

Supplier/Vendor or his Sub Supplier shall note that the Shipping Invoice will not be used for
payment. Supplier/Vendor or his Sub Supplier shall prepare separate ‘Commercial Invoice’ for
payment and this shall be dispatched directly to Contractor’s Accounts payable – Sharjah, in
accordance with section 2.0 of the relevant Purchase Order. Copies of all shipping documents
(invoices and packing list) shall be attached to the commercial invoice. The Invoices will “NOT”
be sent along with packages.
28.1 Preparation of Shipping Invoice
Supplier/Vendor or his Sub Supplier shall prepare the shipping invoice in line with the
requirements of section 2.0 of the relevant Purchase Order. A specimen of Shipping Invoice has
been attached to these instructions for ease of reference – See Specimen Copy.
Supplier/Vendor or his Sub Supplier shall ensure that the Shipping Invoice includes the
following information:
• Shipper’s name and address
• Invoice number and invoice date
• Consignee (as per instructions)
• Notify party(ies) details
• Shipping marks
• Supplier/Vendor or his Sub Supplier name
• Manufactures name with country of origin
• Purchase Order no./ Project #
• Total net and gross weight in kg
• Dimensions in CMS meter(s) if applicable

• Supplier/Vendor or his Sub Supplier shall clearly list all the goods line items’ of the
consignment and shall provide all details, numbers and descriptions in accordance
with the relevant Purchase Order. Unit and total prices whenever possible shall be
listed in US dollars.
• Supplier/Vendor or his Sub Supplier shall provide items with codes in line with the
Harmonized System Codes (HS Codes).

28.2 Preparation of Packing List

Supplier/Vendor or his Sub Supplier shall prepare the Packing List in line with the requirements
of the relevant Purchase Order. For convenience, the packing list shall have the same format as
the Shipping Invoice, however, without prices. Supplier/Vendor or his Sub Supplier shall include
detailed dimensions of packages in centimeters, as well as weights in kg. A specimen of Packing
List has been attached to these instructions for ease of reference – Attachment 2.
The following shall be noted while preparing the shipping documents:
• Supplier/Vendor or his Sub Supplier must ensure that, for every shipment, all shipping documents
match with each other in terms of Purchase Order line item number, description, value, number of
units, packages, marks, as well as net 1 gross weight.
• If required, a detailed box/Pallet/crate wise packing list shall be prepared and attached to the main
packing list.
• Supplier/Vendor or his Sub Supplier shall send soft copy of draft of the shipping documents –Shipping
Invoice, Packing List and Certificate of Origin (in English language) – two (2) weeks ahead of planned
shipping date to Contractor’s –Sharjah office for review & approval. No shipment shall be effected
without Contractor’s prior approval.
• In case of shipping a chemical product, Supplier/Vendor or his Sub Supplier must send the Shipping
documents along with Material Safety Data Sheets (MSDS) to Petrofac, Sharjah office at least six (6)
weeks ahead of scheduled shipment.
• Supplier/Vendor or his Sub Supplier shall observe requirements of section 3.3 for dangerous goods.
• Supplier/Vendor or his Sub Supplier shall include one(1) copy of detailed packing list, Instruction
Manual and final inspection release note inside the package for each consignment.
• Supplier/Vendor or his Sub Supplier shall dispatch one(1) set of original packing list with the
shipment and shall forward two (2) sets of original shipping documents (Shipping Invoice, Packing
list, Certificate of Origin, Certificate of Compliance) addressed to the project (JI-2026) Project
Logistics Manager, who is based in Contractor’s Sharjah office. (However in line with document
distribution requirements under Section 6 of these instructions – Shipping Documents Requirements).

31. ODC & HEAVY LIFT HANDLING GUIDELINES

• For the project, it is preferable that the maximum dimensions of any single item of equipment
and/or package shall not exceed 25 meters in length, 4.0 meters in width and 4.3 meters in
height. These dimensions are primarily set by road transportation limits to cross the mountain
range between the coast and the district terrain region. In addition the maximum weight of any
item of equipment and/or package shall preferably not exceed 100 MT. Any unit exceeding above
the specified dimensions upto maximum limit of 25 x 4.0 x 4.3 mtrs – 100 MT will need further
approval from authorities and bypasses for which supplier will need the transportation drawings
at least six months prior to shipment.
• All single equipment and /or package weighing more than 30MT should be supported with saddles
extension upto length of 4.5 meters as shown below in order to facilitate easy storage at
port/site. The supplier/ Vendor should provide transportation drawings to buyer for approval.
• The temporary saddles should be painted with primer (red colour) to differentiate temporary
from permanent saddles. Saddle extensions should be provided with minimum 4 to 6 bolts
depending on the gross weight of the unit. The Saddle drawing shall be sent to CONTRACTOR six
weeks prior to shipment.
• Saddles shown in below picture are recommended for better stability and reinforcement during
transit.

32. SUPPLIER/VENDOR OR HIS SUB SUPPLIER SCOPE

• Purchase Order terms will determine the responsibility for all parties involved.
• Supplier/Vendor or his Sub Supplier to provide detailed packing list well ahead of time for planning
the shipment in compliance with the Purchase Order delivery date.
• Any deviation from contractual delivery date to be notified to the Contractor 4 weeks prior to
delivery date.
• Supplier/Vendor or his Sub Supplier to submit the proposed packing method. Packing should be
suitable for Seaworthy/Airworthy transportation.
• Supplier/Vendor or his Sub Supplier to provide Transport Drawings for all equipment! Skids exceeding
the dimensions of 1200cms x 300cms x 300cms / 20 tons. Transport drawings are to clearly indicate
the dims (L x W x H – CMS) / Gross Tonnage / Centre of Gravity & Lifting Points.
• Supplier/Vendor or his Sub Supplier to submit lifting & loading arrangement drawings/ method
statement within 6 weeks of receipt of order. Detailed list of lifting gears along with valid certificates
to be submitted along with shipment.
• Supplier/Vendor or his Sub Supplier to provide detailed transport arrangement / method statement
on the basis of Purchase Order terms.
• Feasibility / frequency of sailings / availability of special equipment (containers) from agreed port of
delivery to be advised by Supplier/Vendor.
• Coordinate / cooperate with Contractor nominated Marine Warranty Surveyor.
• The supplier must advice any materials requiring Export License on acceptance of Purchase order.
Supplier will be required to supply an original export license or licenses not later than fourteen days
prior to shipment readiness date, and will be required to dispatch any export license applicable with
the goods to the point of port of export, if directed to do so by the Purchaser or his nominated
forwarding agent.
• The equipment / items shall be protected against ingress of salt water.
• SS items/equipment shall not be shipped as Deck cargo.
• All heavy lift cargo shall be provided with suitable sea fastening and shipped under deck only

33. SERVICE PROVIDER / FREIGHT FORWARDER / TRANSPORTER SCOPE

• Responsibility matrix to be prepared based on the Purchase Order Delivery terms and agreed scope of
work.
• Service Provider to follow up with manufacturer for the readiness of the cargo.
• Road transportation will be required from both the Supplier/Vendor’s facilities to the Port of Loading
and from the Port of Discharge to the project site. A detailed route survey is to be submitted in this
regard.
• Identify suitable vessel/transport based on the cargo dimensions/ weight.

• Transport drawings/ lifting / loading / lashing arrangements / method statement to be submitted.


• Stability calculations / stowage plans / loading & discharging studies to be performed.
• All necessary transport / traffic permits to be organized by the nominated as per the local rules /
regulations.
• Service Provider to identify suitable delivery port at destination.
• Coordinate / cooperate with Contractor nominated Marine Warranty Surveyor.
• Coordinate with site office at the time of delivery to ensure a smooth operation and safe receipt of
cargo at site.
• Provide required assistance to service provider if required in availing the local road/ port permits.

34. Color Coding

All packages shall be colour coded “yellow” in such a way as to be visible at all times.
• Boxes : should have continuous stripe of suitable width around it on 2 sides of the box
• Bundles / Packages or Unpacked equipment – where it may not be possible to paint should have
Colour Tags secured to items by non- corrodible wire.

35. ADDITIONAL IMPORTANT NOTES

• Contractor routes all of its freight through nominated Service Provider (s). If specialized
transportation is required, Supplier/Vendor or his Sub Supplier shall contact Contractor for shipping
instructions and approval of specific shipping method(s).
• Unless otherwise specified, INCOTERMS 2010 (or latest edition) shall be the contractual delivery
terms.
• Supplier/Vendor or his Sub Supplier shall strictly follow these shipping instructions including
consignee and other documentation & shipping marks requirements as stated herein.
Supplier/Vendor or his Sub Supplier shall contact Contractor and clarify / eliminate any outstanding
relevant issues prior to commencing any shipment from Supplier/Sub-Vendor’s or its Sub-
Supplier/Vendor’s facility.
• Supplier/Vendor or his Sub Supplier must ensure that all master airway bills, original liner bill of
lading and way bills should be consigned to actual consignee in Project based country. If actual
consignee’s name is not shown in the consignee section on bill, then it should be endorsed to actual
consignee on the reverse.
• For all over-land transportation one (1) complete set of shipping documents (Invoice, Packing List &
Certificate of Origin) need to be made for each individual truck and one (1) original set of shipping
documents shall accompany the shipment / carried by driver of trailer.
• For all shipments through air / courier, Supplier/Vendor or his Sub Supplier shall ensure that original
certified shipping invoice & the certificate of origin are accompanying the shipment.
• Bulk / Ro-Ro carriers shall be ISM Code certified and operators on board shall hold a valid ISM Code

• Separate shipping Docs should be made for each Purchase Order/ Shipping Release note.
• Shipping Docs (Invoice, Packing List, Certificate of Origin, Bill of Lading or Airway Bill) should contain
identical description as mentioned on Purchase Order.
• Packing list should be detailed such that description of each item is given separately in one line in a
consistent manner.
• Co-ordination with Marine Warranty Surveyor: In case Company to assign a Marine warranty surveyor
during transport of goods, it is the responsibility of the Service Provider / Vendor / Supplier /
Transporters to provide full information to enable the surveyor to perform his job.
• Shipments weighing 20MT or more per piece and dimensions exceeding 12m x 3m x 3m will be
considered as Heavy Lift / Over Dimensional Cargo.
