complaint is filed with the BBB. We are here to help as a
neutral third party. Here are six steps to help you respond
in an effective manner to a complaint filed with the BBB:

Monday to Friday 9-9 ! Saturdays 9-5 ! Sundays & Holidays 12-4 Fax: 433-1042
1. Stick to the facts! When replying to a complaint, take
passion out of the response. Draft your reply and let it sit
for a day. We don't need a novel, but give us as much
information as you can to help us see that you have already
done, or will be doing, all you can for the complainant.
Remember, we are going to forward your response to the
complainant, so you do not want to make things worse by
insulting them.
2. Have another person in your office read your response,
to identify industry terms that people outside of your field
would not understand.
3. Put yourself in the complainant's shoes when drafting a
reply. You may feel the issue is without merit, but it was
important enough for the complainant to bring to the
attention of the BBB. Do not state their issue is not valid,
legitimate, or without merit. They feel just as adamantly
that they are right.
4. Unless communication has completely broken down
between you and the complainant, keep in direct contact
with the consumer even after your reply has been sent to
ensure that all of their issues have been fully addressed and
resolved.
5. Remember that we offer mediation/arbitration services
as a free member benefit. It is a great opportunity for all
parties to meet with an impartial third party (not a Bureau
employee but a trained mediator/arbitrator) to get the
facts straight for everyone. Mediation service is a valuable
member benefit in that it allows you to avoid a potential
trip to court.
6. The key to satisfactorily settling a complaint is to find
resolution, so you can move on to the next job or client.

Musings
By Debbie Hickey
AHEAD OF MYSELF
I know it is only mid-November and I know we just came
through a week of rain that threatened to float us away, but
nevertheless twice this week I found myself wishing
someone all the best for the holidays! Certainly I love
Christmas, but this is a mite early even for me. In my
defense, I had spent most of a day on three things:
planning a float for the Christmas parade, finalizing our
office Christmas plans, and year-end stuff including the
2011 budget. When shifting gears to talk to someone, my
50+ year old brain was a little slow to catch up and was still
in Christmas/year-end mode!
There is a ton of year-end "stuff" that has to be done in
business, but the budget is the one I least enjoy.
Spreadsheets may make this process somewhat easier by
doing the math part, but they are not my friend. My brain
grows as cross-eyed as my vision after a few hours and I have
difficulty remembering my own name, let alone whether
the numbers make any sense! I mean really, it's just an over-
grown version of the household budget, no big deal, right?
Yeah right! But getting it complete is always a thrill. Sure
it will get continually tweaked, but that's okay. Not even
the weather office gets it right all the time.
Predictions are an interesting thing. The Old Farmer's
Almanac has been in the prediction business since 1792,
and according to their website had a circulation of
225,000 by 1863. Horoscopes are immensely popular;

widely known, not for his medical knowledge, but because
of his predictions for the future of the world. Perhaps it is Comfortable Oil Heat
