1. FRONT OF HOUSE

1.1. VSO #65173 SPORTS COURSES SEARCH BY AGE

Front of House now includes the ability to search Sports Courses by age where they have been configured in
Back Office to have an age restriction.
To search for a Sports Course based on age, select ‘Bookings’ >> ‘Sports Courses’ >> ‘Quick Search’. The ‘Age’
filter is displayed in the filter options.

Select the ‘Age’ field to display the ‘Age’ picker, and enter an ‘Age’ in Years.

If an incorrect age has been entered, you can clear this by selecting ‘x’. If a specific age search has already been
conducted, selecting ‘Any Age’ will re-set the field.
Select ‘OK’ to populate the ‘Age’ field. Add any other required filters and select ‘Search’.
Selecting the ‘Age’ column header will order results by ‘Age’ in ascending order.

Note:
• To assign age restrictions to a Sports Course the configuration fields ‘Min. Age’ and ‘Max. Age’ must be
populated on the Course, at either Template or Course Creation.

• Unpopulated values will be considered to allow any age.


• Template values can be overridden by selecting ‘Override Template’ and reset by selecting ‘Reset to
Template’.
• When created these values can be seen on the Course Details page.

1.2. VSO #88865 ADDITIONAL FIELDS IN FOH SPORTS COURSE SEARCH RESULTS

Additional information for identifying Sports Courses in FOH has been added to make searching for a Sports
Course easier and more efficient.

Note: The search is based on configuration in Back Office at either Template or Course Creation.

Quick search results now include;


• Age
• Available, number of available spaces
• Highlighted rows where the course is full
• Waiting list, if available, and the total number of members on the wait list
• Course and Discipline columns wrap round where the text is longer than the screen allows on a single
line

• Number of Spaces Available (0/10)

1.3. VSO #88941 PROGRAM WAITLIST MANAGEMENT - VIEW A SUMMARY OF A CUSTOMER'S


WAIT LISTS

When a Sports Course is at capacity, members can be added to a course’s waiting list in either Back Office or
FOH.
When a member has been added to one or more waiting lists, these can now be viewed in FOH.
To view a member’s waiting lists they must be populated in the FOH passport and select ‘Member Info’ >>
‘Sports Courses’ >> ‘Waiting List’.

From this new list in Front of House, as a user, you can view;
• The date the member was added to the list
• The waiting list position for specific courses only
• Any requested preferences
• Course name
• Shortcode
• Course discipline
• Level
• Location
• Course Start Date
• Course End Date

The default sort order for this list is Course Start Date in ascending order, but this can be changed to order by
any column ascending or descending by clicking on the header.

Notes:
• If you move away from the list, the default sort order will apply
• Members can be removed from a waiting list
• Specific course details can be viewed.

1.4. VSO #38049 SEASONS: SEARCHING FOR A COURSE IN FOH

Seasons has been added to the Quick Search functionality in FOH to assist in filtering Sports Courses.

Note: The search is based on configuration in Back Office >> Configuration >> Seasons Configuration

To use the ‘Seasons’ search functionality, select the ‘Season’ field on Quick Search. All configured Season Types
will be displayed.
When a ‘Season Type’ is selected, all published ‘Seasons’ display in the bottom half of the modal (see second
screenshot). Once a selection has been made, select ‘OK’ to populate the ‘Season’ field. Add any other required
filters and select ‘Search’.

Note: Selecting the same ‘Season’ for a second time, will de-select the item.
2. MEMBERSHIP MANAGEMENT

2.1. VSO #91553 REMOVE CREDIT CARD CAPTURE FROM NEW MEMBER/UPGRADE WIZARDS

Credit card capture has been removed from the New Member Wizard and can now only be done in FOH or
Online.
A message has been added, on the ‘New Member Wizard’, to advise users.

3. REPORTS

3.1. VSO #77034 AUDIT LOG FOR REPORT CHANGES

You can now see more history/information regarding the editing of reports, data sets, etc.
A ‘More’ button shows next to ‘Created at...’ and when clicked you can see the history of the report, e.g.
Created, Edited, Locked, Unlocked.

3.2. VSO #90132 - SHOW AVAILABLE SPACE WHEN EDITING FILE LIBRARIES

Available space is now visible when creating a new file library in Reports:
If the available space is unlimited, then Total System Allowance will not be shown.

4. CONTROL PANEL

4.1. VSO #87033 CREATE ORGANISATIONAL UNIT

Note: This is available for configuration only, System Data usage will be enabled in a future release.

Organisational Units can now be created in the Control Panel.


This is done from the Data tab > Organisational Unit...

To create a new Organisational Unit, select New.

The Name and Description fields must be filled out. Select Club Availability under Available Clubs on the right, or
tick Available At All Clubs.
Select Save to create the new Organisational Unit. Once it has been created, it cannot be removed by clicking
Undo New.

4.2. VSO #87032 CREATE ORGANISATIONAL UNIT GROUPS

Note: This is available for configuration only, System Data usage will be enabled in a future release.

Organisational Unit Groups can now be created to group Organisational Units.

To create a new Organisational Unit Group, select New.

The Name field must be populated. Assign a Default Organisational Unit from the drop-down menu.

4.3. VSO #87034 MAP ORGANISATIONAL UNIT TO ORGANISATIONAL UNIT GROUP AND
LOCATION (SINGLE PROCEDURE)

Note: This is available for configuration only, System Data usage will be enabled in a future release.

Within the Organisational Unit Group configuration, an Organisational Unit can be assigned to an Organisational
Group at a club level.

In the Organisational Unit Group Tab, the Organisational Unit Assignment can be overridden from the default
using the drop-down menus on the right for each club. The Organisational Unit Assignment is independent for
each Organisational Unit Group.
4.4. VSO #87035 – ENABLE MAPPING OF INVENTORY ITEM TO ORGANISATIONAL UNIT GROUP

Note: This is available for configuration only, System Data usage will be enabled in a future release.

Organisational Unit Groups can be assigned to inventory items.

Go to Control Panel >> Inventory Management >> Select an Inventory Item >> Edit

The Organisational Unit Group can be selected from a drop-down menu in the General tab.

The Organisational unit will be retained if the Inventory Item is updated through bulk update, and, if the item is
copied, the copy will have the same Organisational Unit Group assigned.
5. ONLINE SERVICES

5.1. VSO #88339 TIME SETTINGS CAN BE LOCALISED IN ONLINE SERVICES

You are now able to have two different time formats across Online Services.
Note: The time and duration setting will be configured per customer rather than per site.

The original default settings:

Time Setting - Hours:Minutes (15:45)


Duration Setting – Minutes (125 Minutes)

The new settings:

Time Setting - Hours:Minutes am/pm (3:45pm)


Duration Setting – Hours and Minutes (1h 15m)

5.2. VSO #58433 PARTIAL SUBSIDY PAYMENT FOR SPORTS COURSES IN ONLINE SERVICES (CMS)

To turn this setting on navigate to Control Panel >> Global Settings >> Legend Only Tab. Under the section for
‘Stored Value/Prepaid Accounts’ you will see a check box for the setting ‘Can Override usage amount in Online
Services’; you will need to tick the box to turn the setting on. Once you have ticked the check box, please ensure
you click ‘Apply’ and then ‘OK’ to get the change to populate.
When a customer makes a purchase online and has a Subsidy available the option to apply the Subsidy is
displayed.
Note: This option will only show if you have turned on the configuration setting from the above section and if
the member/contact that is logged into their online account has a Subsidy available that has been configured to
be usable against whichever item they are trying to purchase.
The new functionality can be seen in the below screenshot:
When selecting the Subsidy you wish to use, you will be presented with the amount box you can see in the right
of the above screenshot. You will see that for each Subsidy there is a Maximum Usage that corresponds to each
option. In the New Configurable Amount Box you will not be able to enter an amount greater than the
Maximum Usage that is stated.
As per the normal workflow, the user will need to select the Subsidy they wish to use by selecting a radio button,
when they do this the Configurable Amount Box will populate for that specific Subsidy. The member/contact will
need to enter the amount they wish to use and then click “Apply”.

Notes:
• If you do enter an amount and then use the “Apply” option, the Subsidy and amount used will remain in
that applied state until you either change the amount for the same Subsidy and click “Apply” or select a
different Subsidy (radio button) enter a custom amount and click “Apply”.
• When the customer selects the Subsidy option in the purchase process:
o They can view my Subsidy Balance.
• The customer can set the amount to be used:
o Up to the limit available for the selected Individual.
o Up to the limit of 100% of the item value.
o Up to the System maximum limit (configured in Legend Control Panel against the actual Subsidy)
• If a customer has multiple Subsidies, they will choose which one they want to use.
• If they have multiple Subsidies, but the item they are purchasing is only linked to one of the Subsidies,
only one option will appear.
• Subsidy use is audited in Member Events in Membership Management Application

5.3. VSO #88489 ONLINE SPORTS COURSE ENROLMENT RESPECTS PREREQUISITES


If a Sports Course has prerequisites, it is not possible to enrol on the course if the member has not completed
them.

The following message will show when you select the participant:

This can be overridden by enrolling the member in FOH or Back Office by a user with the correct security tokens.

5.4. VSO #91280 CVV REMOVAL FROM STORED CARD PAYMENTS

If a member has a stored credit or debit card, they will no longer be asked for the CVV number when making a
payment. If the card is not stored, they will be asked for the CVV number as normal.

6. UMBRACO

6.1. VSO #86578 ACTIVE DIRECTORY ACCOUNTS/LOGIN INTEGRATION FOR UMBRACO

Legend Active Directory is now linked with Umbraco logins. If the user’s account is deactivated in Legend Active
Directory, it will also deactivate their log in for Umbraco.

7. SUPPORT PORTAL

7.1. VSO #89924 REMOVAL OF RESET LEGEND PASSWORD OPTION

The Reset Legend Password option for the UK and Ireland customers has been removed. To reset Legend
passwords, a Support Ticket must be logged, and a member of the Support Team will assist.

8. BACK OFFICE CONFIGURATION

8.1. VSO #88364 CURRENCY SYMBOLS IN BACK OFFICE


Back Office can now be configured to display the appropriate currency symbol for your location. GBP will be set
as standard, if you wish to change your currency symbol, please contact Legend Support with your chosen
currency.

Note:
• This will only change what is displayed in Back Office and will not change any applications such as FOH,
emails or Online Services and it is only configurable at an enterprise level.
• For customers where the currency symbol comes after the price such as ‘1,00 €’ any input fields will be
displayed as ‘€1.00’

8.2. VSO #88363 TIME DISPLAY SETTINGS ARE RESPECTED IN BACK OFFICE

In Back Office you can now specify if you want the time to be 24-hour clock or 12-hour clock. You can also
specify if you wish to show durations as minutes or hours and minutes. If you wish to configure this, please
contact Legend Support.

The time formats are as follows:

• 06:00 PM
• 6:00 PM
• 18:00

24 hours clock and minutes are the default.

8.3. VSO #88362 ‘CLUB’ IS CONFIGURABLE IN RENTALS, SPORTS COURSES & CUSTOMER
MANAGEMENT
The word ‘Club’ is now configurable in Back Office, so you can use your own terminology. To configure this,
navigate to Configuration > Stock Text > Object Names.

The ruleset is as follows:


• If it's just the word 'Club' then use 'DefaultFacilityTitle'
• If it's a label such as 'Home Club', 'Current Club', 'UsageClub' then use 'DefaultFacilityTitle'
• If it's as part of a sentence such as 'Your home club is in York and your member number is 12345' then
use the lower-case version 'facilityTitle' (club)

9. EVENT MANAGEMENT

9.1. VSO #89894 ADD FIELDS TO CONTRACT COMPARISON MERGE FIELDS

The additional merge fields have been added to Contract Version Comparisons:

9.2. VSO # 89159 CONFIGURE JOB TITLE IN CONTACT RECORD FOR ORGANISATION

Job Titles can be configured in Back Office and applied to Contacts in an Organisation.

To Create, View or Edit a ‘Job Title’ the user must have the security token BO_CAN_MANAGE_JOB_TITLES
assigned.

Select ‘Configuration’ >> ‘Job Title Configuration’ under ‘Features’.

The ‘Job Title Configuration’ page is displayed with any configured ‘Job Titles’ and the action ‘Create’.
Select ‘Create’ to display the ‘Create Job Title’ modal. Enter a Name and select ‘Submit’.

On selecting ‘Submit’ a success message is displayed with the text ‘Job Title Created Successfully’.

When closed, the new Job Title will be displayed in the list of configured ‘Job Titles’.

Selecting the ‘Edit’ action next to the Job Title will allow you to edit the ‘Job Title’.

The ‘Edit Job Title’ modal will be displayed. Edits to the ‘Name’ field can be made and submitted.
A success message is displayed when the edit is completed.

9.3. VSO #79660 JOB TITLE IN CONTRACT RECORD FOR ORGANISATION

Job Titles can be assigned to a Contact when viewing an Organisation’s Contacts. When viewing the Contact
Details page, the column ‘Job Title’ is now displayed.

Job Titles can be assigned during the addition of a new Contact to an Organisation. Select ‘Associate A New
Contact’ >> ‘Create Contact’.

The dropdown ‘Job Title’ displays all configured Job titles.

Select a ‘Job Title’ and complete all mandatory fields and select ‘Submit’. See the ‘Create Contact’ modal closes
and the Contact details are populated with the new Contact and Job Title.
Note: The Job Titles displayed in the dropdown can be filtered by typing in the Job Title field.

To change an assigned Job Title or add a Job Title to an already assigned Contact select ‘Actions’ >> ‘Edit
Contact’. Edit Contact is displayed with the ‘Job Title’ dropdown displayed.

9.4. VSO #90253 POSITION TITLE AVAILABLE AS A MERGE FIELD FOR COMMUNICATION

Job Titles can be included in correspondence to customers through merge fields. The relevant documents will
require the merge fields adding and to be uploaded to the ‘Schedule Types’ in Back Office >> Event Management
>> Schedule Types.
Select the action ‘Select File…’ and select the relevant file. ‘Select Upload’ and ‘Save Changes’.

10. SPORTS COURSES

10.1. VSO #65561 AGE SEARCH FOR SPORTS COURSES IN BACK OFFICE

It is now possible to search for a Sports Course by age to narrow down your results.

Under Advance Search there is a new Age field.

10.2. VSO #88866 ADDITIONAL FIELDS IN BACK OFFICE SPORTS COURSE SEARCH RESULTS

The Sports Course search results include the age range of the course and waiting list details:
Note:
• ‘Not Applicable’ will show for an empty waiting list or courses configured with ‘Any course which meets
criteria’ waiting list type.

10.3. VSO #87158 BULK RESOURCE MANAGEMENT

Bulk changes to resources allocated to Sports Courses can be applied using the Bulk Resource Management
feature. To do this select the check boxes against the relevant courses >> select the Bulk Actions dropdown >>
select ‘Bulk Resource Management (Selected)’.

The Bulk Resource Management page will display a folder structure of the relevant Clubs, Resources and Sector
combinations for the selected Courses.

To select the Resource or Sector(s) you wish to change, expand the relevant folders and select the radio button
for the Resource or Sector combination. Only a single radio button can be selected for each operation. A
Grouping of Sectors can be selected in a single operation as in the image above.

Note:
• If a Resource has no Subtypes expanding the folder will display a radio button with the Resource name
only
• Only Courses with the selected Sector combination will be updated. Other Courses in the selection with
different Sector combinations will not be updated.

Example: If 10 Courses from the Advance Search Screen are selected for Bulk Resource Management. The sector
combinations applied to the selected courses are:
Lane 1
Lane 1, Lane 2 and Lane 3
Lane 2 and 3

Selecting the Lane 1 Radio button I will update Courses from the original selection that have only Lane 1
assigned. The courses with Lane 1, Lane 2 and Lane 3 will not be included in the update despite also having Lane
1 as an assigned sector

On selecting a Resource to change the ‘Next’ action will become available. Select ‘Next’ to navigate to the
second step of the process and select the Resource or Sector(s) you will move the courses to.
The folder structure is again displayed for all clubs the user has access to. Selecting the folder will expand to
show all Resources configured to the selected club. Selecting a Resource folder will expand further to display all
configured Sectors. Any number of Sectors can be selected under a folder however all selections must be from
one Resource folder.

Select ‘Next’ to move to navigate to the ‘Planned Change Summary’.

Note: Other Folders are available to view but Sector check boxes are read only if a Sector has been checked
under another Resource.

Details of the current Resources the Course has assigned are displayed under the ‘Moving From’ header for
review. Below are the details of the Resources the course will be ‘Moving to’. When happy with the selection
select ‘Validate’.
Selecting ‘Validate’ will check for Resource conflicts or issues. Where there are no conflicts an information
banner will display to confirm this.

An email address is required to proceed and confirm changes. A success message will be sent to this address. If
any issues occur during the update details of these will be emailed to this address.

On Selecting submit the update will start. When completed a Success banner is displayed.

Conflicts can occur when one or more of the Resources or Sectors are not available due to another booking at
the same time. Any courses with conflicts will be listed after the validation is completed.
The user can proceed with updating the Courses and is required to enter a valid email address. All Courses with
conflicts will be changed to the Created state. The email confirming the outcome of the Update will contain links
to any Course that contains a conflict so this can be addressed and tracked.

10.4. VSO #89502 BULK COPY OF SPORTS COURSES

To process a Bulk Copy Operation search for and select the Sports Courses you wish to copy. Select ‘Bulk Actions’
and select ‘Bulk Copy Courses (Selected)’.

The course that occurs earliest in the selection acts as an ‘Anchor Date’. An ‘Anchor Date’ is the date the
selection will use as a start point for the other Courses to be offset against. This allows a user to select a day of
the week to begin copying a range of Courses to and should be considered when making the selection.

Example: The selection includes Courses with Start Dates on April 23rd, 25th, 26th, 27th and 30th. April 23rd is
the ‘Anchor date’ in this example as it is the earliest in the selection. The remaining Courses have an offset
assigned in relation to the Anchor date – 25th Offset +2, 26th Offset +3, 27th Offset +4 and 30th +7

The Bulk Copy Courses page will display with the field ‘Copy to Day Commencing *’ and ‘Email Address *’.

To set the date to copy the selection of Courses to, a Target Date must be selected. The date will be the date the
‘Anchor Date’ is applied to and all other Courses have their offsets applied to.

This can be any future date and doesn’t have to be the same day of the week as the Anchor course currently
occurs on. When the day of the week will be different this is displayed in the Target Anchor Date and a warning
is displayed on screen.
An email is required to proceed and will have a record of the Bulk Copy sent to it on completion. Select ‘Validate’
to check for issues and view a list of the Courses with the date and day of week they will be copied to.

Example: Using the Offsets from the earlier example, our Anchor date of Tuesday 23rd April and offsets on 25th
Offset +2, 26th Offset +3, 27th Offset +4 and 30th +7. Selecting the ‘Copy to Day Commencing*’ field and
selecting Monday 1st July the first course will be copied to Monday 1st. The remaining courses will be offset
against this date and set to 3rd, 4th, 5th, and 8th respectively.

Select ‘Submit’ to process the Copy. A Success banner will be displayed with a list of the Copied Courses
displayed and links to the Courses.

Selecting the Course link will open Course edit page in a new tab. An email containing the links is also sent to the
email entered earlier.

Note: Currently the Bulk Copy Feature is only available for Term Based courses. Any Continuous courses
included in the selection will not be copied. A Warning will be displayed when a selection includes a Continuous
course.

10.5. VSO #86582 CANCELLATION REASON SELECTION IN SINGLE AND BULK CANCELLATION
ACTION

To capture a reason when cancelling an enrolee from a Sports Course, the configuration setting ‘Enable Course
Booking Cancellation Reasons' must be set to enabled. This can be found in Legend Back Office >> Configuration
>> Sports Courses >> Settings and requires the security token.
'SC_CAN_TOGGLE_BOOKING_CANCELLATION_REASONS' to be applied to a user’s security group.

This default setting is disabled.

When this setting is enabled, users will be prompted to select a Cancellation Reason when Cancelling an Enrollee
from a Sports Course.

The Cancellation Reasons displayed are those configured to include the Assigned Application ‘Internal Sports
Course Cancellation’.

When processing the Cancellation through the Cancel Booking workflow, on the ‘Course Cancellation Additional
Settings’ page the user is presented with a Cancellation Reason dropdown list of configured Sports Course
Booking Cancellation Reasons. Select a reason and select the Submit action.

Note: When Booking Cancellation Reasons are enabled a selection must be made to proceed with cancelling the
Enrollee from the Course.

You can also record a Cancellation Reason when Bulk Cancelling Sports Course Enrollees. When processing the
Bulk Cancellation workflow, on the ‘Cancellation Summary’ step the user is presented with a Cancellation
Reason dropdown list of configured Sports Course Enrollee Cancellation Reasons. Select a reason to be assigned
to all selected Enrolees and Submit action.
Note: When Booking Cancellation Reasons are Enabled a selection must be made to proceed with the Cancel the
Enrollee.

10.6. VSO #87148 OVERRIDE FOR CANCELLATION ADMIN FEE IN BULK CANCELLATION

A Cancellation Admin Fee can be waived during a Bulk Cancelation by setting the Override Cancellation Admin
Fee dropdown to ‘Override Cancellation Admin Fee To Zero’.

This requires the security token SC_CAN_WAIVE_CANCELLATION_ADMIN_FEE when selecting ‘Submit’ or for a
user with the token to enter their details to authorise the override.
If the Admin Fee is overridden a Member Event is raised in Membership Management with the Code
‘SC_CAN_CRG’

11. TASKS & CUSTOMER MANAGEMENT

11.1. VSO #88923 GROUP JOINING.

It is now possible to create a Head Member and any Linked or Add On members in one go.

When creating a new prospect, a new button will be displayed at the bottom of the page ‘Join As Group’

This will take you to the Group Joining page and this is where you’ll create the head member.

Note: Any agreements that do not support Add On or Linked members will not show in the drop downs.

Once an agreement has been selected, it will display the max Linked and Add On members, ask for Bank
Information if required, and will work out the fees for the Head Member.
Note: If you have Enhanced Tax enabled it will display the tax name, if you have Legacy Tax enabled no name
will be displayed as shown above.

Once all the head members agreement details have been completed click Next. The user should complete any
User Defined Fields and any medical information. Here is also where you can add Bolt-On Services. You can also
click the member’s name at the top it will also take you to the same screen.

When completed, click Create Head Member at the bottom of the screen.
The following loading screen will show:

Once complete the following message will show:

When you click ‘Continue’ the buttons at the bottom of the page will change.

Note: You can stop the joining process here and just have the head member. You will need to use the single
joining method to link or add on additional members. It will also mark the head member that they have not
signed their agreement.

‘Add Additional Contact’ will create a brand-new member.


‘Add Existing Contact’ will load a search screen and will return lapsed members and prospects.

When adding an additional contact, you can inherit the head members address by selecting the ‘Use Head
Member Address’.

When you have reached the max amount of Linked or Add On members the add additional member buttons will
no longer be available, and will display as follows:
You can view any member by clicking their name at the top of the page.

When viewing the member, their name will be highlighted and the rest will be greyed out.

You can also view a member by clicking ‘View’ under the Members section. The member you are currently
viewing will be highlighted. You can see a quick break down if they are Linked or Add On, the agreement they
are on and the total fee for the member. Here you can also delete a member by clicking ‘Delete’:

When you are ready click ‘Join As Group’. A confirmation message will show.

Once you have clicked 'Yes' it will go and save all the additional members, and the following modal will show:
If there are any issues such as a missing mandatory field the following message will show:

Once the save has been completed a summary page will load. Here you can mark that the agreement has been
signed, assign a task to the head member and state if any member requires any documents.

Clicking ‘View Member’ will take you to the Head Member.

PROMO CODES: Each member can have their own promo code applied to their agreement.
Example:
Gold Members’ get 50 % off joining free.
Students’ get no prorate fee.

The head member, John, wants to be on a Gold membership and his son qualifies for a student membership,
and both agreements have a promotion. The promotion for John can be applied, and his son can also benefit
with the Student discount as is promo is applied to each member.

Group Joining is disabled by default, if you wish to have Group Joining enabled please contact Legend Support.
