Spartan Catering is a division of Spartan Shops, Inc. We are the only cater-
ing service whose primary goal has been to serve the San Jose State University
campus community since 1958. Our professional culinary staff can customize
amazing menus by seamlessly blending restaurant quality cuisine and impeccable
service. Our friendly staff is at your service to ensure the success of your event.

We hold ourselves to the highest standards, and support continual improvement


and innovation in all we do. Our success is achieved by being grounded by our
mission, aspiring to our vision, and being vigilant in maintaining our values.

Planning Your Event
During the earliest stages of planning your event, please call us to reserve your event
date, approximate number of guests, time, and type of service needed. We prefer all
orders to be placed two weeks prior to your event.

Once you have received a contract from us for your review, please sign and fax the
contract to confirm your order. A final guest count is due by 12:00pm three business
days before your event. Once guaranteed, the attendance cannot be reduced.

Payments
On-campus departments must provide us with a Procurement Card, a P.O. #, Tower
Foundation Account number, or a General Fund number prior to your event. We can-
not process your order without one of the payment methods listed above.

On-campus Student Organizations must provide us with a credit card, student organiza-
tion check, or Associated Students check by 12:00pm three business days prior to your
event.

Outside organizations must provide us with a 50% deposit, either by check or credit
card, one week prior to your event. The balance is due by 12:00pm three business
days prior to your event.

Themed Menus
Let our team of professionals create a themed meal for you. Ask about your favorite
Italian Feast, English High Tea, Mardi Gras Feast, St. Patrick’s Day, Cinco De Mayo
Fiesta, Hawaiian Luau, Oktoberfest. We can also cater your own special events, such
as birthdays, weddings, or anniversaries.

Service Time
Spartan Catering will deliver your food promptly at your scheduled time of service, and
will return at the scheduled time of pick up. Should your event run late and our staff is
required to make an additional trip, a $20 charge will be added to your bill for each
return trip.

Tables and Chairs


Please confirm if your event location comes equipped with tables and chairs, as
Spartan Catering does not supply these items. If needed, we can arrange for a rental
company to deliver tables and chairs for an additional charge; however, set-up and
breakdown of equipment is the responsibility of the client. You may opt to have the
rental company set up and breakdown your equipment for an additional charge.

Food Policy
Food ordered but not consumed at a catering function cannot be removed from the
location in which it is served, except by the catering staff. This policy is standard for
the catering industry and exists, in effect, to protect you and your guests, as food that
is mishandled is very susceptible to foodborne illnesses. Due to Spartan Shops policy,
state health code regulations and liability issues, guests are not permitted to take any
perishable food or beverages from a catering event. No credit will be given for un-
used food or under-attended events. Spartan Catering will not be held responsible for
any food removed from an event.

Alcohol Policy
Spartan Shops is the only vendor approved by the University Police Department (UPD)
to provide alcohol service on campus. Due to the highly restrictive state laws for
alcohol service, all catering clients must adhere to SJSU’s alcohol policies. In the event
a group violates these policies, Spartan Catering reserves the right to close a bar at
anytime based on their discretion, and to decline future alcohol services to that group.

Requests must be received at least two weeks prior to your event. Please contact the
sales office to discuss fees and services for alcohol requests.

Sales Tax and Fees


A 14% service charge is applied to all food and beverages. An 18% service charge is
applied to all sit down, served meals. All service charges are subject to an applicable
California sales tax in accordance with California Regulation 1603.F Taxable Sales of
Food Products.

On-campus orders receive delivery free of charge. There is a $25 delivery fee for all
orders delivered off-campus.

Sustainability
Spartan Catering is committed to San Jose State’s goal of becoming a more sustain-
able environment. Spartan Catering is doing its part by using green disposable ware
at all of its functions, using environmentally friendly dish detergents, less packaging,
recycling 98% of its waste and sourcing local fresh produce whenever possible.

Selecting a Menu
We have selected the most popular dishes for the menu. However, our culinary team
would love to create a custom menu for your event. Often, it is difficult to gauge the
number of attendees at your event. We strongly recommend that you decide the menu
during the earlier stages of event planning and adjust the head count based on RSVP
or other criteria. Our services include served meals, buffet meals, receptions, coffee
breaks, picnics, and a la carte menu planning.

Providing a Guarantee/ Notice of Cancellation


Spartan Catering will email you a contract of the event for your review and approval.
Please sign and fax the contract prior to the event. A final guest count is due by 12 pm
three business days before the event. Once guaranteed, the attendance cannot be
reduced.

Events or menu items may be cancelled one week prior to the event at no charge to
the client.

Delivery Fee
There is a $25.00 delivery fee for off-campus orders.

Missing Equipment
Clients are responsible for safekeeping of all catering equipment dropped off at your
event. Any equipment lost or damaged will result in additional charges. Additional
charges may also occur if the equipment is not available at the designated pick up
time.

Reserving a Location
Spartan Catering welcomes the opportunity to serve your event anywhere on and off
campus. Catering venues are scheduled through different offices on campus. Here are
some of the popular locations:

Confirmation of the room availability and any facility fees associated with the room,
are the responsibility of the client. Also, please include an
additional hour before and after the event to the room reservation for set up and break-
down purpose. Set up for Served Meals or large events may require up to 2 hours of
set up and 2 hours of breakdown time.

Please order trash cans and recycling bins from FD&O at 408-924-1990. More infor-
mation about restrooms for any outdoor events may be available through FD&O.

Equipment
Spartan Catering can rent equipment for your event. Please confirm the table and chair
