Information on application to Ajou student exchange program for 2011 Spring semester

1. Schedule of application process(the schedule is subject to change)

 Go to (http://www.ajou.ac.kr/english/intro/main.jsp)
 The system requires the application to be complete. If the
applicant does not fill out all the necessary information or does
not upload required documents, the application is not accepted.
 Make sure to save application form while you are filling out and
click “submit” when complete
 The applicant must remember 1) Name 2)Date of birth 3)Email
address for log-in to the system
By Nov. 30 Required documents sent to Ajou -Self-introduction essay
2010 -Passport copy
-Official transcript
-One recommendation letter
- One file of photo to be uploaded on the application system
※ All the documents can be submitted by online system or email
By Nov. 30 The number of students who will

By Dec. 10 Nomination Letter for housing
2010 grant sent to Ajou University  According to the notice from Ajou University with the number of
students, home university need to fill out given nomination letter
with information of students who will receive the grant
 If not sent by this date, Ajou University will regard the student is
giving up housing grant
By Dec. 17 Letter of acceptance sent to -Admission package will be sent to home university
2010 home coordinator -Students can apply for VISA with the letter
-Additional documents(submit after the student is admitted)
 Housing application form
 Resident consent form
 Health Record (tuberculosis test)
 A copy of Health Insurance
 Insurance application (send the form to purchase insurance
in Korea/if you do not have any insurance)
 Arrival Information Form (for airport pick-up service and
housing arrangement)
By Jan. 20 Deadline for Additional documents All the additionally required documents should be sent to Ajou

 The student may experience serious trouble for administration
without submitting additional documents
In Feb. Course Registration  The schedule will be confirmed later
2011  The applicant must fully understand that the final course list
may differ from previous semesters
 The course registration is for limited number of seats per
course and the applicant may not register all the courses

Feb.23~24 Arrival/Airport pick-up service
2011 Entrance to university housing facility  Application for pick-up service is necessary: fill out “Arrival
Form” and submit it
 Dormitory and other housing facilities are available for entrance

Mar.2/2011 Beginning of academic schedule  Classes begin


Mar.29/2011 1/4 of semester  The students arrive in Korea later than this date cannot get
any grade or credit for courses.

2. Important notes for admission process


A. Ajou University needs to have all the necessary documents to admit a student to the exchange program(Nomination
letter for Housing Grant, Self-introduction essay, Passport copy, Official transcript, One recommendation letter, A file
of photo for computing)
B. Nomination letter for Housing Grant is especially crucial to admit a student to the program. Please refer to “3.
Housing” section.(please use the form given by Ajou University)
C. Once the student is admitted, admission package including “Certificate of Admission” will be sent to home
coordinator.
D. With the “Certificate of Admission”, the student needs to apply for D-2F VISA at Korean embassy(consulate) in home
country.
E. If the student cancels the application for the program, please give Ajou University a notice in short time.

3. Housing
A. Types of housing at Ajou
 On-campus housing: 2 or 4 bed room at the dormitory
 Off-campus housing: a flat shared by 4-6 students. 8 min. on foot from the campus.
B. Application for housing
 The students are required to send “Housing Application Form” together with other documents after they receive
admission package.
 The students will be placed either at on-campus or off-campus housing depending on the capacity of all the
housing facilities.
 We do not accept “Housing Application Form” by email or fax. The form needs to be sent by post.
C. Benefit of housing for partner universities of Ajou: very important
 The inflow of exchange students to Ajou University has shown drastic increase for the past semesters
 Due to budget issue and change of university policy, Ajou University will decide the number of students
from partner universities for housing grant in the academic year 2011
 Please do not confirm if a student gets housing grant until Ajou University notifies the number of students
for the grant to you
 There will be many factors to be considered in the decision of the number and please understand the
process for housing grant
 The number of students for housing grant will be notified to home universities via email by given
schedule.
 The benefit of housing fee lasts for one semester. If the student hopes to extend his/her program at Ajou,
the student is required to pay for housing fee for the extended semester(s).
 In case you offer housing grant for exchange students from Ajou University, please let me know before
Ajou University confirms the number of students for housing grant.

4. Courses offered in English


A. The final list of courses offered in English for each semester will be announced about 1 month before the beginning of
semester
B. The list of courses offered in English in the academic year 2010 can be found the international website of Ajou
University. But, the courses offer may differ from semester to semester.

5. Course registration
A. Exchange students will register courses by on-line registration system.
B. Course registration period will be announced in July 2010.
C. Course change/drop period will follow course registration period.
D. Maximum credits taken by exchange student: 19 credits(1 credit= 16 class hours in a semester)
E. Course list: due to the regular academic schedule of Ajou University, the final course list is confirmed 2 months prior
to the beginning of the semester(January for spring semester/July for fall semester).
F. Due to the limited number of seats per a course, the student may not have all the preferred courses.
G. Student should understand his/her course selection may differ from original plan.
