DEFINITION OF THE PROBLEM

Manual System Ministry of Education Registers Students, Teacher, and Courses taken in all
regions in the country as country wise but this system is manual and it is time consuming and very
lazy, this system is more prone to errors and sometimes the approach to various problems is
unstructured.

Technical System With the advent of latest technology if we do not update our
system then our business results in losses gradually with time. The technical systems
contains the tools of latest trend i.e. computers printers, which are almost available in
there but not used as needed. The systems with this technology will be very fast,
accurate, user-friendly and reliable.

TECHNICAL SYSTEM

Need of MOE Database

A few factors that direct us to develop a new system are given below -:
1) Faster System
2) Accuracy
3) Reliability
4) Informative
5) Data Entry and report retrieving from any where to any place

FEASIBILITY STUDY
Feasibility study is to check the viability of the project under consideration. Theoretically various
types of feasibilities are conducted, but I have conducted three type of feasibilities explained as
under.

ECONOMIC FEASIBILITY
According to now the manual scheme of system operates much cost of the system this cost
comprises Salary of much Staff, stationary, including (huge shelves), building etc. But the new
system will Get rid of much about those, Hence the new system is economically feasible.

CHALLENGE FEASIBILITY
As we aware of the developed county’s such important organizations doesn’t use this ambiguity
bulky and ridicules system cause of retrieving data from such system is hard and getting harder and
harder day after day, thus the new system is bravely feasible.

OPERATIONAL FEASIBILITY
The new solution is feasible in all sense but operationally it is not. The new system demands the
expulsion of much staff from the organization. It creates an environment of joblessness and fear
among the employees. It can lead to an indefinite strike in the organization also. So the
management must take corrective actions prior in advance in order to start the further proceedings.
SYSTEM ANALYSIS
This was the most important phase of my project life cycle. It had connected my maximum time
.The block diagram given bellow depict various fact which were understood by one during the
analysis phase.

DATABASE
In this phase initially I had observed the system by visiting to Somaliland Ministry of Education
and a and view High Schools in order to observe how they register Student, teachers, and courses
and what details they takes from the above three entities respectively the above diagram is an
implementation of that observation and some adding’s of mine.

After getting solution my queries I have to them I rapidly started studying database structure used
in the existing system. In this connection I had come to know about various master files as.

Teacher Registration: First _Name, Middle_ Name, Last_ Name, Gender, Region School_
Name Subject, Salary_ Grade.

Teacher’s Data: First _Name, Middle_ Name, Last_ Name, Gender, HT, DHT, Qualification,
Institute, Year, Major, Manor, Num_of_Teaching _ Classes, Subject, School, Region,

Student Data: First _Name, Middle_ Name, Last_ Name, Gender, Class, Year and etc,

Schools Registration: School Name, Region, Arabic/English_ School, Public/Private_ School

School Data: School Name, Region, Year, Number of Students in Standard wise, Total, etc...

The big different between Teacher Registration and Teacher Data and also School Registration and
School Data is school and/or Teacher registration is where they register the schools and/or the
teachers which come under the laws and principles of the Ministry of Education but Teacher and/or
Schools data is twice a year assessment and data collections that Ministry of Education collects data
from the Registered Schools thus the parent key should be in the Teacher and/or Schools
Registration tables and the Dependent keys should be the vice-versa.

Some Various Teacher’s Salary_ Grades and Number of Students in Standard wise are shown
below respectively.

S/N Salary Salary in Figures

Grade (Without
Deductions)
1. A 423,800
2. B 345,800
3 C 266,400
4 D 156,000

System Design

In this phase initially I had designed Entity Relationship diagrams of the project, in order to identify
various entities, relation ship set, entity set, attributes and link attributes The Diagram should
process as under.

After this step I should try design the physical design database of the new system and normalize
the tables in order to motivate the data Integrity

The symbols of entities are shown bellow.

Some logics and in Somaliland Secondary Schools:

 Every Student Must Have Multiple Courses (Mandatory Many)
 Every Course must be assigned to multiple Students (Mandatory Many)
 Every teacher must teach to multiple students (Mandatory Many)
 Every teacher must have at least one Course (Mandatory One)
 Every course must be assigned to at least one Teacher (Mandatory One)
