Student Nomination Process to come on

Exchange to ESADE
(2011-2012)

Dear colleagues,

We are pleased to announce that the nominating procedures for Exchange Students
coming to ESADE on Academic Year 2011-2012 are now open on ESADE’s Intranet.

YOUR LOGIN INFORMATION :

information. Upon reception of this message, and after you logged in successfully, we
advise you to change your password for security reasons.

NOMINATING YOUR STUDENTS :

Please nominate your students on our intranet. We do not accept the nominations per
e-mail.

 Nomination deadline for students for FALL 2011: 1st May 2011
 Nomination deadline for students for SPRING 2012: 15th September 2011

You will need the following student information:


• Full name (the same as appears in student’s passport)
• Gender
• Nationality
• Address (street name, number, postal code, city and country)
• Telephone number
• E-mail
• Date of birth, city of birth, country of birth
• Passport ID
• Term of Exchange (Fall term 2011, or Spring term 2012)

Please go to www.esade.edu and then check Intranet in the top menu. When you login
with your username and password provided, you can find Nominations on the left
menu.

For those universities who have agreements with ESADE for various programs
(Undergraduate, Master, CEMS, Law students), we would ask you to please make sure
you nominate your students in the appropriate programme.

Please fill in the required documentation for each of your nominated students carefully
to ensure a rapid reception and processing of the information. Always provide a
passport number for your students as Identification document. Only Spanish IDs or
resident card numbers are accepted in the ID card option. Please do not use imaginary
number for passport ID, as it can create double records in our system.

Once all fields are completed, please submit your nomination. Once the nomination is
validated, an email will be sent to each of your students with detailed information about
required documentation as well as a password and login username to access ESADE’s
intranet.

AFTER THE NOMINATION

After your students are entered into our system, their password and login username will
be generated. They will have access to an ESADE email account, and to ESADE’s
intranet.

Your students’ acceptance letters will be processed within approximately 10 days.


Once the acceptance letter is received, the Registrar’s Office will send to the student
an e-copy of the document together with Welcome letter and the originals will be sent
to the attention of the Exchange Coordinator at your Institution.

With their email and password, they will be able to access ESADE’s Intranet and within
our website, they will be able to do the following:

 Upload their passport-sized and passport-style photographs (white or neutral


background) onto our system. This is something that maybe sounds trivial, but it
is in fact VERY important. At the new campus, access is limited to students and
staff, who are identified with the “ESADE TUI Card”. This card has a micro-chip
and a photograph. No card will be issued, and therefore, access will be denied,
to any student without photograph.
 View all necessary documents online, such as Learning Agreement, Personal
Data Sheet information, etc.
 View a current course list with a link to the courses description. Course Offer for
2011-2012 is still in progress.
 Register for their Courses during Open Enrolment time
 Register for the Spanish Crash Course, available to all incoming exchange
students.
 Make changes to their registration during Add/Drop period – during the first 2
weeks of the Term

REQUIRED DOCUMENTATION

We require that each student provides us with:

 Copy of Passport / ID Card that is provided in nomination.


Please provide passport that will cover full period of stay
 Passport-sized photograph.
Photos should uploaded onto ESADE’s intranet by the students once access
is granted. Photos are required to obtain ESADE’s TUI card without which
students will not be able to access the campus.
 Resumé/ Curriculum Vitae
 Official Transcripts from Home University
 Proof of Insurance and Insurance contact number in case of emergency
 Learning Agreement, signed by student and home University

REGISTERING TO COURSES

Students will be able to check the course description on intranet, together with the
timetable. The system only allows one automatic overlap, as attendance to courses is
mandatory.

The online registration will be open on the following dates:

 Fall 2011 students – Open enrolment time: 7th- 18th July 2011
 Spring 2012 students – Open enrolment time: 10th- 21st November 2011

The system works on a first-come, first-served basis. Please remind your students
that, if interested in attending any seminars at ESADE, they must register for them at
time of regular registration.

Arrival to ESADE:
It is very important for students to check the calendar and start date of the courses they
have registered for. Some courses can start 2 weeks, before the official term start date
and students should arrive to Spain on time.

Orientation week will be organized during the Spanish crash course.

Changes to registration:
Students will be able to change their original registration to courses during the first 2
weeks of the Term, following the general rules.

Workload
ESADE required workload for a semester is 30 ECTS.

Transcripts
One copy of student transcript will be sent directly to the exchange coordinator of the
home university approximately two months after the Term. For students who are on
exchange at ESADE for one year, the home university will receive the transcripts at the
end of the one year exchange program.

SPANISH LANGUAGE COURSE

ESADE offers all incoming exchange students a complimentary Spanish Language


Crash Course during the first 2 weeks prior to the beginning of their classes.

The details for 2011-2012 will be available online as from end-April, under Exchange
Information on ESADE’s Intranet.
