ASSIGNMENT ON INFO TECH TOOLS (DATABASE AND PRESENTATION SOFTWARE) 1. OUTLINE THE STEPS FOR CREATING A PRESENTATION USING A BLANK SLIDE

y Click on start y Click on program y Click on Microsoft office y Click on power point y Click on blank presentation y Click ok y Choose the blank slide y Click ok

2. WRITE SHORT NOTE ON THE FOLLOWING TABLE A Table is a primary building blocks of any access database which store data. The design view of a table allows the user to build or modify the structure of the table. It consists of two panes. The top pane of the windows list the individual fields in a table, the type of data the field can store and the description of the fields. The bottom pane shows the properties of the current field selected in the top pane. QUERY

Query is an art of asking question of the data store in the table of your database. A query is a question that you ask of the data stored in the table of your database. FORM A form is a type of a database object that is primarily used to enter or d isplay data in a database. You can also use a form as a switchboard that opens other forms and reports in the database or as a custom dialogue box thats accepts users input and carries ou an action based on the inputs. REPORT A report is an effective way to present your data in a printed format. It is an object used for printing or displaying on screen the information from the database.

3. DISCUSS THE APPLICATION AREAS OF DATABASE Business: such as banks, insurance companies, stock broking firms. It is found useful for keeping inventories, financial information and personal data. Education: for keeping academic records, booklist, research data, mailing list. Home: for keeping finanacial records, mailing lists, recipes, inventory of household items

4. WHAT IS A QUERY DESIGN SCREEN A Query design screen is a graphical user interface which allows the user to ask question of data stored in the database. 5. DISCUSS THE FOLLOWING DATABASE MODELS HIREACHICAL: In a hierarchical database, the fields or record ar e arranged in related groups resembling a family tree. The lower level records are called child records and are subordinate to the higher levels records ( parents record). NETWORK It is similar to hierachichal except that each child record can have more t han one parent RELATIONAL It consists of a number of two dimensional arrays of data items. Its is made up of rows and column. The relational database relates or connects data in different files through the use of a key field or common data element OBJECT ORIENTED An object oriented database uses objects software written in small reusable chunks, as elements within database files.

6. EXPLAIN HOW TO ANIMATE CLIP ART y Click on insert

y Select clipart y Insert clipart y Click slide show y Select custom Animation y Choose desire effect option y Choose desire timing option y Click preview y Click ok y Save

7. EXPLAIN HOW TO ANIMATE TEXT y Insert text y Highlight text y Click slide show y Select custom Animation y Choose a desired effect option y Choose desired timing option y Click preview y Click ok y Save

8. WRITE SHORT NOTE ON THE FOLLOWING DATA

Data is a collection of raw facts FIELD Field is a unit of data consisting of one or more characters. A field is a collection of related characters RECORD Record is a collection of related fields FILE File is a collection of related record

9. DIFFERNTIATE BETWEEN DATABASE AND PRESENTATION SOFTWARE Database is an organized collection of related integrated files. It is an organized pool of data. Eg Microsoft access. Presentation software is a computer software package used to display

information, normally in the form of a slide show. It typically includes three major functions: an editor that allows text to be inserted and formatted, a method for inserting and manipulating graphic images and a slide-show system to display the content. E.g Microsoft power point

10. EXPLAIN HOW TO INSERT CLIPART y ON THE MENU BAR y Click on insert y Select picture y Select clipart

y Choose an image y Click insert y Click ok

11.EXPLAIN HOW TO INSERT TRANSITION ACTION ON A CURRENT PRESENTATION y Click forward or backward arrow y Click slide show y Select slide transition y Choose desire slide transition y Click apply to all y save

12. EXPLAIN HOW TO PRESENT SLIDE SHOW y Click on slide show y Select view show y Click ok

13.WHAT IS THE FUNCTION OF DBMS y It allows the users to create the structure of the database y It allocates storage of data

y It allows for easy retrieval of data and cross referencing of separate data items through the maintenance of indices y It provides an interface with user program y It provides security for the data in the database y It keep records of the data and its usage in the database. y It allows the users to query the database.

14. WHAT ARE THE ADVANTAGES OF KEEPING A DATABASE y It allows for easy cross refrence of related items y It enhances quick decision making y It guarantees authentic information y It reduces cost and time of developing new application y It reduces duplication of records and efforfs y It promotes data integrity by eliminating data redundancy 15. WHAT IS SORTING AND EXPLAIN DIFFERENT TYPES OF SORTING Sorting is the art of arranging records in a particular order usually ascending and descending order. TYPES y Simple sorts y Complex sorts Simple Sorts is when you sort in form of view, datasheet view, or page view, which means you can sort all records in ascending and descending order. Complex Sorts is when you sort in query design view, the advance fi lter/sort window, report design view, page design view, pivot table view. This means

you can sort records in ascending order in some fields and descending order by others.

16. WHAT IS FILTERING AND EXPLAIN DIFFERENT METHODS OF FILTERING IN MICROSOFT ACCESS Filtering is an act of displaying on the screen the number of records in the table that meet a given criteria. METHODS OF FILTERING IN MICROSOFT y Filter by selection y Filter by exclusion y Filter by form FILTER BY SELECTION: Is a technique for filtering records in a form, datasheet or data access page in which you retrieve only records that contains the selected value. FILTER BY EXCLUSION: This method excludes all records that do not match the content of the selected field FILTER BY FORM: Is a technique for filtering data that uses a version of the current form or datasheet
