Information for Recommendation and Ordering of Books

The following information and guidelines have been formulated to facilitate the procurement of books recommended by members of the library against Main Library grants. 1. Books would be considered for procurement against recommendation by the members (faculty and students). Recommendation for book procurement by members will be considered against the notional grant for their department. Hence, all recommendations by members may please be routed through their respective department Chairman. 2. Subject to availability of funds, all books will be procured by the Library by ordering them from vendors offering the best discounts and who are willing to supply them in reasonable time. The list of vendors and their best discounts, publisher wise, is compiled by inviting offers from them at the beginning of the year. 3. Faculty may choose to review books for possible recommendation, supplied by any vendor and also recommend the books for procurement indicating the availability with that vendor. However, in view of the vendor selection policy mentioned above the recommended books will be ordered only from the vendor offering the best discount. 4. Book recommendations should include title, author, edition, publisher, year of publication, cost and location of book (at Main library or Dept. library). In case the book is available in several forms like hard bound, paper back, Indian Edition etc., the recommendation should include the preference. Normally the library would go for the most cost effective option. 5. Recommendations would be considered for further processing only if adequate funds are available against Main library grants for the department which originates the request. 6. In case of expensive books, out of print books and books of print on order category, the decision to process the recommendation would be made by the committee after exercising due diligence with regard to usefulness of the book for a wider audience. 7. Books prescribed for courses listed in the scheme of instruction, may be procured by the library only on specific

recommendation by the instructor and if they are not already available in the Library. Wherever available, cheaper Indian Editions of the book will be procured. 8. List of Recommendations considered for ordering would be sent to the top few vendors who are offering the highest discount, asking them to indicate the availability, price and delivery schedule and the willingness to execute the order. The default period stipulated for books delivery is 4-6 weeks. 9. Order is placed on the vendor offering the best discount and agreeing to deliver in the stipulated period. 10. Once ordered, the vendor is expected to honor the price and delivery schedule. In case the vendor fails to comply, Library reserves its right to cancel the order in consultation with the faculty who recommends the title. Performance of vendors with regard to their responsiveness to book orders and timely delivery will be monitored and vendors who are not responsive may not be considered for future requirements. In case of books to be procured against grants other than the standard Main Library grant, the recommending faculty needs to clearly indicate the budget head and also ensure commitment of adequate funds towards the cost of the books at the time of recommending, to ensure payment when the books are delivered. The Library may not be able to accommodate requests to buy the delivered books against library grant in view of non availability of funds under the originally indicated budget head.
