Project Definition

Spray is an Australian company that sells perfume and aftershave for both men and women.
They currently have physical retail premises in Sydney, Melbourne and Brisbane. After
serious consideration and market research, Spray has decided to launch the business into the
online world.

AF Designs has been employed by Spray as a Web Developer to plan, design, build and
implement a secure, functional and dynamic e-Commerce website to promote and sell their
large range of perfumes and aftershaves.

AF Designs has a budget of $6,500.00 to complete the project and a contract with Spray to
maintain the website on a weekly basis.

The website for Spray is required to be completed and launched online by June 8th 2006 in
conjunction with their online marketing plans.

Scope Statement
Nature of Business
Spray is a business selling perfumes and aftershaves to consumers at lower prices than the
major retailers.

Target Audience
In theory, customers of Spray online could be anyone, who uses the Internet and buys
perfumes and aftershaves. While Spray would not discourage anyone from purchasing at their
online shop, Spray’s online target audience will be male and females aged 18 – 35 years.

Market research has shown that this is the age group that most commonly purchases perfume
and aftershaves online, whether for a gift or themselves.

Business Objectives
 To expand the business.
 To increase the customer base.
 To increase profits.
 To provide products to customers in areas of Australia where Spray do not have a
physical retail premise.

Website Objectives
 To promote perfume and aftershave products range.
 To sell products online.
 To provide information about their products.
 To provide information about their retail premises.
 To inform customers of sales and special occasions.
 To answer customers questions and feedback.

The website will have several important features and content.

Design Goals
There are several designs goals that Spray would like to achieve on their website.
 Colour Scheme: The core colours are black, white and grey with splashes of bright
colours such as pink, blue, yellow and green.
 Spray wants the website to be fun, modern and trendy.
 Uncluttered pages and good use of white space.
 Use of silhouette imagery of people and perfume bottles across the website.

Budget
Spray has allocated a budget of $6,500.00 for AF Designs to complete the e-Commerce
website. This figure is based on 130 hours at $50.00/hour and does not include maintaining
the website. Spray has allocated a further budget of $800.00 a month based on 16 hours at
$50.00/hour for AF Designs to maintain the website.

Spray believes that contracting AF Designs to maintain the website is more economical than
training or employing staff and buying the required software for website updates to be
completed internally.

Spray has already made web-hosting arrangements and has secured www.spray.com.au as
their web address. Their web hosting is suitable to the size of this project and meets the
minimum security level requirements. This is not included in the website budget.

Spray has allocated a separate budget for Marketing the website which is not included in the
budgets for setting up and maintaining the website.

Assumptions
 AF Designs is a web developing business and therefore has legal copies of the
required software including Dreamweaver, Flash, Photoshop, Illustrator and all other
programs needed for the design process.
 AF Designs already has the hardware required to complete this website project.
 Spray will provide all content and product images but AF Designs will be required to
design all other graphics required for the website.
 The preparation stage is not included in the budget hours as this is a requirement of
AF Designs to set up before the project work starts.

Risk
As an online business that frequently transfers secure information across the Internet, there
are many risks areas Spray should considered and manage. Some of these risk areas include:
 Security – In order for an e-business to provide “peace of mind” to its customers it
must ensure that there are no loopholes in the security system.
 Database – It is important for a business to consider who has access to the customer’s
personal information and make certain that the best methods of storage are being used.
 Payment Processing – A business needs to know how secure the eCommerce
software is and what happens at every step of an online transaction, in order to obtain
if there are any security risks.
 Customer fraud and Credit Card fraud – It would be imperative for an e-business
to know what safeguards exist against e-fraud, how it can be avoided and how to
handle an e-fraud attack.

I have only listed 4 areas of risk that will be need to be accessed by Spray before their
ebusiness goes ahead. This doesn’t mean that Spray only has 4 issues to deal with, there are
going to be many more risk areas that need to be investigated.

Business Proposition
Spray’s business and marketing plan in relation to the website is listed below:

Business Plans
Start small and slowly grow big. While Spray is new to the internet, they already have a chain
of retail Stores and understand what it takes for a perfume business to work. They have
noticed a void in the market for online Australian perfume shops and see it as good business
opportunity. Spray understands that the business will not be an instant success and below is a
brief guide of how they see the online business slowly progressing over the next 48 months.

o 1 - 6 Months – Attract potential customers to the website.


o 7 - 12 Months – Aim marketing at new customers and existing customers.
o 12 - 24 Months – Expand the product range to suit the expanding customer
base.
o 24 - 48 Months – Look at new ways to market the website and products. Ask
customers what they would like to see from Spray. Find ways to keep
customers coming back over and over again.

Marketing Plans
Having an online website isn’t enough! Spray needs to have a good marketing plan in place to
ensure the website is working and that is getting the most out of it. The below marketing
strategies will be aimed at the target audience - males and females aged 18 – 35 years
 Competitions – Spray will run several competitions throughout the year as an
incentive to buy perfume online. These competitions will be advertised on the website
as well as in magazines (see below) and in store.

 Offline Magazine Adverts – Spray will place full-page adverts in magazines aimed at
the customer base target age group. For example Spray may choose to run a campaign
in men’s and women’s magazines such as FHM and New Woman. They will advertise
the website, specials, competitions and specials occasions.

 Loyalty Program – The loyalty program will be advertised on the website, in store
and on other advertising material. This will be aimed at encouraging customers to
become members by highlighting the following benefits;
 Emailed details of member’s bonuses throughout the year.
 Buy 5 perfumes get free postage.
 Buy 10 perfumes and get your next one free.
 Extra Discounts.

After the first six months of trading online, Spray will evaluate how the e-business has
developed and then determine the next move.
