Reference Collection Evaluation and Consideration List A. General Media Center Analysis To begin the reference collection analysis, I ran reports from the on-site catalog, Library Pro, in order to see what records would surface. I put in the key word, reference, and the reference collection came up with different terms. The media specialist told me that in the past, there had been different media clerks who had entered the descriptive information in different ways, so the data might not be accurate. This concerned me because I didnt feel like I could just go by the list that was generated. I decided to take the list and cross-check it with the books that are actually on the shelves. The process of cross-checking took much longer than I had anticipated. There were those issues where some reference books that were listed in the report were not actually on the shelves. For example, there was a whole set of encyclopedias, Grolier Student Encyclopedia (1990), listed in the report, but I looked all over the media center for them, and they were not anywhere to be found. The media specialist told me after I looked for a while that those should no longer be on the list, so she kept the information I had generated and was going to go back and delete that set from the collection. There were two other sets of encyclopedias that were shelved within the Dewey section. At first, I had trouble locating them because I was

looking within the reference area, but the media specialist told me that the sets were shelved within the Dewey section. A set of Childcraft 2004 encyclopedias were shelved in the Dewey section per the Childcraft sales representative recommendations. Also, a representative from World Book suggested that the World Book Building Blocks of Science also be shelved into the circulation within the Dewey sections. After going through the reference sources, my media specialist told me that she was going to submit the MARC records to Bound to Stay Bound for a collection analysis. I decided to wait on this report for evaluating the rest of the reference sources. After looking at the Social Studies standards from K-5, I noticed that many of the grade level standards require students to acquire knowledge about famous historical figures. My supervising SLMS said that she tries to keep the biography section up to date with those people listed in the standards. I decided to focus on the biographies along with the reference sources for my evaluation.

B. Collection Description The Bound to Stay Bound analysis reported that the library collection has a total of 14,732 individual MARC records, of which 11,373 had valid Dewey classifications. Based on the BTSB Collection Analysis, the biography section comprises 7.30% of the collection and the reference section comprises 1.35% of the collection. The average copyright date throughout the entire collection is 1996 and the earliest copyright date is 1912. The average copyright date for the references section is 1995 and for the biographies is 1998, with the lowest date for the biographies being 1943. The majority of the biographies, 462 to be exact, had a copyright date of 2000>.

We have a need to add some current reference materials to the collection, so I decided to meet with the library media specialist to look at what older materials needed to be weeded before beginning my consideration list. I went back to my weeding sources and reviewed the recommendations of weeding reference materials. According to Julie Italiano from the Infopeople Project, supported by the U.S. Institute of Museum and Library Services, the reference collection requires some special considerations when weeding. Since more and more references are being used as electronic resources instead of being used in print, it has become more difficult to decide which print reference sources are chosen to keep in the collection. Reference sources in print are much harder to track for usage since they are not included in the circulation records (2006). Many of our standards require that children use print resources, so the need to keep them in the collection is beneficial. According to the list I generated of available reference sources, there are some sources that need to be weeded according to lack of usage and age. Some of the books listed, dictionaries and encyclopedias specifically, are not even shelved within the references section in the library. They are shelved in an area that is not available to the students, such as the conference room and a storage room, so the media specialist and I agreed that those books needed to be weeded from the shelves and possibly be given to teachers for use in their classrooms. Some of the older dictionaries were in a corner, and when I pulled them from the shelves while completing my cross-check with the generated list, I found dust and cobwebs on them, so this was a big clue that they are never used. Those books have also been suggested for weeding because of lack of use and age. You can see my generated list of resources, with those books which need to be weeded, posted on my portfolio page.

D. Consideration List and Budget Summary Within the BTSB collection analysis was a compiled list of recommended titles. After looking at the list and discussing needs of the reference collection with my supervising media specialist, I generated a consideration list to help supplement our collection. The materials list contains print resources and Internet/multimedia resources. The print resources list is prioritized and the materials highlighted in yellow are the suggestions made by the library media specialist for inclusion. The Internet/multimedia list contains two recommendations, World Book Online and Power Media Plus. The World Book Online is currently a subscription at Lavonia Elementary, so I made the recommendation that the subscription be continued. The library media specialist highly recommends that the library continue to purchase World Book Online because it is a very effective online tool for information acquisition. It has easy to read articles and the teachers and students both find that it meets their needs for research purposes. The Power Media Plus would be an excellent addition to our online resources because of all it offers. The wide variety of audio clips, videos, print resources, and many more features make it worth the money. It includes standards-based multimedia, so this makes it more marketable to teachers. This resource is made for teachers by teachers. My consideration list, including the print resources and Internet resources, totals $3507.20.
