Temporary Event Coordinator Cranbury, NJ Exempt Type:

Reports To: Director, Events

Temporary Full Time

Event Coordinator will be responsible for planning and managing events and promotions. The Event Coordinator will be in charge of coordinating all the details required to ensure an event runs smoothly and successfully. The right person must have the ability to work independently and willing to work occasional evenings and weekends.

Primary Activities and Responsibilities: Event Planning and Production


Assist with negotiations for space contracts and book event space, order supplies and equipment, make travel arrangements, order event signs, and other event related materials as needed Aggressively gather information on each project to achieve quality event productions. Conduct research, make site visits, and find resources to help staff make decisions about event possibilities. Hire, Trains and Manages event/promotion staff as well as coordinates with preferred staffing agencies Propose new ideas to improve the event planning and implementation process. Serve as liaison with vendors on event-related matters. Close out all events as required, which include end of event recaps detailing event(s)

Event Administration
Assist with preparing budgets and provide periodic progress reports to staff directors for each event project. Keep track of event finances including check requests, invoicing, and reporting. Prepare and modify event contracts as requested

Develops project plans


Coordinates projects Communicates changes and progress Completes projects on time and budget Manages project team activities. Provide project status updates on a regular basis Provide event recap presentations as needed

Identifies and resolves problems in a timely manner


Gathers and analyzes information skillfully Develops alternative solutions Works well in group problem solving situations Uses reason even when dealing with emotional topics.

Qualifications: Bachelors degree from an accredited institution, preferably in marketing, public relations, business or communications or relevant job experience. 1 to 2 years of work experience required

Knowledge and Skills: Organizational and time management skills Excellent communication skills, including writing, proof reading skills and speaking. Excellent interpersonal skills both in person and by phone, with high professionalism. Fantastic customer service ethic and high expectations for quality. Ability to manage multiple projects and work assignments from a variety of staff. Ability to accomplish projects with little supervision. Ability to work under pressure and within tight deadlines. Ability to be a self-starter, be attentive to details, and work independently Ability to negotiate effectively Ability to establish rapport and relationships with individuals at all levels internally and externally

Job Requirements: Travel up to 50% Prepared to work long hours and occasionally evenings and weekends Proficient using the latest versions of Microsoft Word, Excel, PowerPoint, Access, email and web searches. The applicant selected for this position may be required to successfully complete a background check. Passing results must be received prior to start date in new position.

Physical Requirements:
Frequent computer terminal/keyboard use Sit, bend, and squat as needed Reach above shoulder level Ability to lift 30 lbs.
