Norwegian People's Aid (NPA) is a Norwegian INGO working in Myanmar since 2004. We support several local partners in Myanmar, and have a focus on livelihoods, rural development, and capacity building to local organizations both in rural and urban areas. We have a hard-working and friendly team of 13 staff members, and we are looking for a Myanmar national to fill the post of Admin/Logistic Officer. The Admin/Logistic Officer works under the day to day supervision of Finance and Administration Manager and in an Admin and Finance team of altogether seven people. As the Admin/Logistic Officer for NPA Myanmar the employee must have thorough knowledge of, and strictly adhere to, the guidelines, procedures and routines of NPA and is responsible mainly for procurement procedures, inventory management and control mechanisms. In addition to the daily responsibilities for supervision of cleaner and in close collaboration with the Logistic Assistance, to support admin, finance and program according to their needs. The Admin/Logistic Officer will represent NPA Myanmar and is consequently required to conduct her/himself respectful and professional manner in accordance to the NPA Code of Conduct.

Duties and Responsibilities Office administration Have the overall responsibility to implement and maintain the NPA filing system, Ensure that NPAs communication and IT equipment are operational at all times, and that proper communication procedures are followed (letters, faxes, e-mail and phone). Responsible for procurement procedures, inventory management and control mechanisms. Ensure to record the whole procurement process for each item and support preferred supplier list in accordance with NPA guidelines. Make sure that relevant letters, reports etc. are translated, either internally or by consultants.

Track all NPA leases and recommend renewals in a timely manner. Identify optional lease agreements to the best interest of NPA when requested by the FAM. Ensure that all NPA houses are provided with consistent services and utilities. Control needs for household, Stationery, First Aid Kits, and other necessities and arrange for refill Responsible for all travel arrangements including visa, d-form, accommodation, etc Assisting the Logistic Assistant with keeping the transport schedule in the reception area updated. Draft contracts for service providers and consultants upon request. Track payments of regular services (such as telephone, internet and other utilities) to ensure timely payments are made. Ensure that guests to NPA Myanmar are received in an appropriate manner, both those visiting NPA Answering phone calls and transferring within NPA office. Make arrangements for meeting as requested. Share responsibility for partner transfer and arrangement for workshop/ training coordination.

Liaison Following up on visas for NPA staff and visitors, in close cooperation with FAM designated as responsible for Government liaison. Liaise with External Consultants, Auditors, and Government department, UN, ASEAN and other NGOs. Communicate and cooperate with the FAM regarding all administrative matters.

Fixed Assets Ensure that the office fixed asset list is maintained, including tracking of all assets and monthly physical counts in addition to retaining warranty information in collaboration with the Admin Assistant Have the overall responsibility for the recording of borrowing list and quality assures all materials before releasing and after receiving of materials. Weekly tracking with Admin Officer and HR officer will facilitate on counter check of borrowing list twice a month. Policy and procedures Participate in the revision of the NPA guidelines, regulations etc. Draft internal or external memos related to Finance and Admin matters QUALIFICATION & EXPERIENCE University Degree preferably in Management, Public administration or relevant combination of academic qualifications. Preferably five years experience in administrative and/or Logistics management working with NGOs and/or private contractors Ability to act independently to identify and analyze problems and recommend effective solutions. Experienced user in Microsoft Excel, Word, and windows-based accounting software High level of both spoken and written English 2

High level of social communication skills and good skills in team-work Ability to motivate and engage your team to provide the best possible support to the organisation and its partners Flexibility and positive attitude with a good sense of humour!
