Phase 1 - Project Proposal 1.1 Project Description and Background In todays generation, modern technologies are developed.

These modern technologies have changed our lives and help our economy grow. Computers and the software that create computerized systems have become a part of our society. With the help of computers and this software, most business organizations had become successful. This is one of the factors that affect the success of an organization. This is the reason why business organizations must have a computerized system that can help make their business transactions with good quality in a short period of time. As members of the society, our team had made the decision of helping a business organization with the help of a computerized system in making their business transactions in an easy and convenient way. The system that we are about to develop which is a Web-based Reservation and Billing System is classified as an Information System which is under Transaction Processing System. Transaction Processing System is one of the information systems that records transaction information which are involved in an organization. Transaction Processing Systems (TPS) are computer-based versions of manual organization systems dedicated to handling the organizations transactions. TPSs collect, store, modify, and retrieve the transactions of an organization. [WIKI2011] 28th Street Bar and Restaurant is founded by Ms. Noreen C. Musni and Ms. Lisette Marcelino on the 28th day of September, 2009. The store is being managed by Ms. Richelle De Vera. It is located at the Ground floor, Lakeview Arcade, Ususan, Taguig City. The location is beside Lakeview Manors Condominium. The said establishment has

thirty (30) employees which are composed of two (2) chefs, ten (10) waiters, three (3) utility men, twelve (12) caterers, two (2) more waiters acting as ushers and one (1) manager. 28th Street Bar and Restaurant has an air conditioned bar with a stage where bands and guest performers perform. They also have their function hall in which their catering services are held if the customer wishes to do it in the establishments location. The said establishments bar can accommodate approximately fifty (50) persons. On the other hand, their function hall can accommodate approximately fifty (50) persons. 28th Street Bar and Restaurant operates throughout the year. Starting from the month of December to June is their peak season and July to November is their off peak season. The study was designed to automate the handling of reservation, computation of billings and report generation. This study is focused on accepting reservations from clients online. This also includes the information about the establishment.

1.2 Project Business Rules The 28th Street Bar and Restaurant offers services such as catering and delivery. They have their function hall that the customers can use for different occasions such as seminars, parties, meetings, birthdays and wedding receptions. It has the capacity of 50 persons. The 28th Street Bar and Restaurant uses manual operation in their everyday transaction. 28th Street Bar and Restaurant also offer catering services in different events and occasions like JS Prom, Conferences, Birthdays, Weddings and etc. The average number of clients that inquire to the company is twenty five (25) clients per day. Then the average reservations made by clients are twenty (20) clients per week and fifty (50) clients per month. The average number of customers that visit their establishment is thirty (30) customers per day, one hundred fifty (150) customers per week and one thousand (1000) customers per month. Inquiry Private individuals, government employees and different organizations who make their reservations use the telephone and fax as their means of communication with 28 th Street. Customers can also go to the establishment personally to inquire or avail services. Reservation in Catering Services A deposit of fifty (50 %) percent is required upon signing of the contract and balance should be paid two (2) days before the event. The caterer must be notified three (3) days before the event if there will be any changes. The mode of payment of 28th Street is through cash or credit card. Cancellation of the said event should be made seven (7) days before the function date subject to a twenty (20 %) percent fee. Any cancellation

made in less than seven (7) days will be subjected to forfeiture of the full amount of the down payment. Other incidental charges are to be settled right after the function in cash. The function has four (4) hours maximum use and in case of overtime, additional five hundred pesos (500) per hour will be charged. Also, only one extra menu from the client can be served for free. Billing In their billing system, the person in charge has to collect all the order slip made by clients to compute the clients statement of accounts. This causes delay in computing the accounts of the clients and updating the bills if the client wants to check their balances.

1.3 Statement of the Problem After conducting research, interview and observation to the organizations environment and work place, the proponents found out several vulnerabilities that occur during the current system which consists of the following: 1.3.1 General Problem How to develop Online Reservation and Billing System that would speed up the process of reservation and billing system, to provide the clients easy access for inquiries and also to reduce the workloads of the 28th Street personnel? 1.3.2 Specific Problem How to develop a module that would accept reservation via online?

Clients can place their reservation personally, through phone and fax. With such procedure, clients from far places are placed at inconvenience since they have to make a long distance call that is expensive on their part. Clients who make reservation through phone basically inquire about the information such as catering rates and the events at their bar. How would the system monitor the availability of reservation in terms of catering?

Reservation manager could not easily verify if the chosen date and time are still available since he has to check first the calendar book every time there is a client who wants to make reservation. He has to check the date and time to be reserved by the client if it still vacant for reservation. In checking the date and time, he has to scan the calendar book one-by-one according to the request date and time of the client. After that, he will

calls the temporarily client for verification if they were still interested about their reservation. Thus, manual process of monitoring the availability could give chances for overlapping of reservation. This happens especially during peak season. Also, in providing information for every reservation inquiries tends to slow.

How to create a system that would fasten the computation and updates of initial and final bills of the clients?

The generation of billing statement is manually done. Every time there is a client who wants to check his statement of accounts earlier, it is not immediately given because he has to collect first the order slips made by the client and compute it. This causes a delay in computations of statement of accounts of the clients.

1.4 Statement of Objectives The proponents of the system, after deliberately defining the problems and other relevant vulnerabilities that occurs during the normal transactions of the chosen organization in their manual system, have been able to state their goals in attaining the solutions to the organizations current problem. 1.4.1 General Objectives To develop Online Reservation and Billing System for 28th Street Bar and Restaurant that would speed up the process of reservation and billing system, to provide the clients easy access for inquiries and also to reduce the workloads of their personnel.

1.4.2 Specific Objectives Create a website that will introduced and promote 28th Street Bar and Restaurant to the public. To develop a module that would accept reservations via online. To develop a module that would monitor the availability of reservation. To create a module that would hasten the computation and updating of the initial and final bills of the clients. To design a module that would allow generation of reservation and reports.

1.5 Significance of the Study To the Client and the Organization: This study shows the organization the different and common problems the organization has in, dealing with its present system that they are using. It also shows the different ups and downs of the system might have, and how/why the system should be change/converted. This will also help to encompass the different occurring problems which the organization encounters in dealing with their manual system. By understanding the different kinds of problems the system might have, the department/person that specializes/assigned in that field can now find a better way to make the system more effective and fix it gradually. In addition, by the use of this study, the organization would be aware of what the client might like as an improvement in using the system. In that way when the improvements and changes have been done, the user and the organization can now have better communications and arguments can be avoided. To the developers / proponents: In a wider prospect, the proponents of the system can gain essential knowledge with regards of the proposed system and the different entities involve and inclusive within the creation/development of the system. Understanding of this system will be a great help within the knowledge of the proponents aspect that is derived from the certain core on how ideas were conducted in relation with the system to be created. To the subject: In compliance with the subject, the full understanding of this system is very important in order to derive into a certain idea for creating, and improving the payroll system. Specifically, each collective principles that the subject would foretell co-relates with the study of the system as well as for the students (proponent) development in the assumption of analysing system and its design.

1.5 Project Scope and Limitation The study only deals with doing the Website, Online Reservation and Billing for 28th Street Bar and Restaurant. Any other transactions relevant to the system will not be included. Scope: Improved Services The idea of the proposed system is to improve the existing system's services, in order to: - Increase employer, employee and customer satisfaction - Provide the quality - Create a controlled information management environment - Make user's easiness with the transactions involving reservation and billing. - Better Performance - Desired flexibility - User-friendly, easy to navigate, and able to cope with some other circumstances like errors in inputs, etc. Fast response New system will just be a one-click fast response auto-update software/program application.

- Ability to support changes. - Every new data will be easily/able to be updated in the system. - Ability to maintain and improve the quality of services. Stronger Controls Online Reservation and Billing System will have more advantage with the old manual system with faster billing computation and report output. The proposed system will have stronger controls. Controls like unique ID, various levels of user access and option will be added. It is developed with features used to provide ease in searching and updating records such as a search feature, add, delete. The system has the ability to compute for the total net income of an employee by adding the bonuses to the gross income and deducting the taxes and fees from the gross income. Using an online system for the 28th Street Bar and Restaurant makes the system easier and accessible to different types of users. This will also help the organization be known by their services and products offered. Limitation: The system is limited to designated officials in the payroll department since it will be incorporating a security measure.
