STATEMENT OF WORK Receptionist
Overview The Receptionist works under the direct supervision of the Director of Management & Operations and is responsible for greeting people as they come into the main office and serving as the face for Peace Corps/Mozambique. Duties will include answering the main telephone lines, receiving visitors, receiving and sending faxes, and varied administrative tasks. This position requires a pleasant disposition, a great degree of energy, flexibility and organization. This is a fulltime position with working hours as detailed in the staff handbook. Duties and Responsibilities Front Office Presents a professional and welcoming image of Peace Corps/Mozambique. Understands the operations of the office and is able to provide information about the same over the phone or in person to Volunteers/Trainees, service providers, vendors, visitors and staff. Handles requests and complaints in calm & professional manner. Exercises tact and diplomacy in dealing with visitors. Runs a smooth and efficient front office, assures that office phone lines are answered during business hours in smooth and efficient manner and makes sure phone lines are covered in their absence. Receives and distributes mail after date stamping each piece the day it arrives. Keeping track of staff that are in and out of the office. Administrative Support Providing secretarial support (drafting, translating, preparing correspondence & reports) for the Country Director, Director of Management & Operations, Programming, Training, Safety/Security, and other staff, as requested. Serves as PC/Mozambiques Timekeeper: organizing staff in the timely submission of bi-weekly timesheets ensuring that all submissions have been made at the end of each pay period, receiving and filing leave request forms, reconciling time summary (PC-57) forms for all PSC staff, ensuring prompt submission of Embassy timesheets for FSN, and responsible for reporting on annual leave balances on a quarterly basis. Assists the DMO in collecting time and attendance sheets from other administration staff. Maintains conference room schedules and ensures they are not double booked. Receives, as Acceptance Point Clerk medical supplies and coordinates initial inventory and transfer to Medical Unit. Assists with photocopying and binding printed materials, as necessary. Performs general clerical tasks and other duties as assigned. Receive incoming Volunteers mail and packages and coordinate with Mail Handler for safe keeping and distribution. Update the large PCV whereabouts map in the PC office lobby.

Directing official correspondence to appropriate staff members and receiving and routing other mail and faxes to appropriate staff, via staff boxes. Maintaining the staff whereabouts board, bulletin board and PCV site map. Assisting in the organization of office-related events, conferences and seminars.

Other Makes recommendations for improved communication and efficiency to senior management. Occasionally services as Country Directors Executive Assistant. Any other duties as assigned by DMO. Be an occasional money handler. Travel within Mozambique as business needs require. Qualifications Education: University degree from a reputable institution. Experience: One to two years reception or administrative experience. Language: Fluent in both written and spoken English and Portuguese. Job Knowledge: Understanding of how an international agency operates and the levels of responsiveness, integrity and professionalism that are required. Skills and Abilities: Demonstrated ability to work in multi-task environment with limited supervision; able to use Microsoft Office products.
