Shoper 9 Interface with Tally.ERP 9


Introduction
Shoper 9 can post the accounting and closing stock details to Tally.ERP 9 to assist in the general accounting procedures followed by the organisation. The posting process can be done in different ways according to the environment and requirements of the organisation. Some of the common working processes of the different types of organisation are taken as examples and different scenarios of interfacing Shoper 9 to Tally.ERP 9 are explained in this document.

Scenario 1
Acme stores, Bangalore has one computer for Shoper 9 POS billing. The store has to maintain accounts and inventory in Tally.ERP 9.
Install Tally.ERP 9 on the same system. Refer to Appendix for the configurations to be done on Tally.ERP 9.

Requirement
At the POS counter, payments received from customers are in different forms. Such as: cash, credit cards, discount coupons, credit notes, etc. How do I get reports for each group and individually view the payment received? There are packing charges, courier/ postal expenses, home delivery charges, freight charges etc., which are included in the customers bills as add-ons after tax. How do I include these in my financial reports? I require HSN based statutory reports. How do I generate these reports?

Solution
You can post these payments recorded in Shoper 9 individually to Tally.ERP 9 and generate the required reports in Tally.ERP 9.

Select Post Paymodes Individually

You can post these charges recorded in Shoper 9 individually to Tally.ERP 9, and generate the required reports in Tally.ERP 9. You can post inventory details with the HSN codes recorded in Shoper 9 to Tally.ERP 9, and then generate the required reports in Tally.ERP 9.

Shoper 9 Interface with Tally.ERP 9

Requirement
I want Tally.ERP 9 company to be updated automatically with the data entered in Shoper 9, at the end of the day. My auditor has taken a copy of data from Tally.ERP 9 for auditing purposes. So, I would like to stop the data posting from Shoper 9 to Tally.ERP 9.

Solution
The data from Shoper 9 can be transferred to Tally.ERP 9 after the day-end process in Shoper 9. You can stop the posting of data from Shoper 9 to Tally.ERP 9 by deactivating the mapping process in Shoper 9. Later, when required, you can reactivate the mapping process in Shoper 9 and the posting will continue from the last posted date. You can collectively post the entire sales bills of the day as a single sales voucher into Tally.ERP 9. However, Sales bills, which are not credit payments, will be sent as part of a cumulative voucher. Credit sales will be posted only bill by bill to Tally.ERP 9. You can map Shoper 9 to post sales bills individually to Tally.ERP 9.

I require every sales bill generated in my POS counter to be available individually in my accounts statements generated from Tally.ERP 9. I would not want to record the sales return in my accounts statements generated from Tally.ERP 9. I would like to know the sales return in my accounts statements generated from Tally.ERP 9. I require every purchase made in my store, entered in Shoper 9 to be available individually in my accounts statements generated from Tally.ERP 9.

Requirement
I would not want to record the purchase transaction entered in Shoper 9 to be available in my accounts statements generated from Tally.ERP 9. I would not want to record the Purchase return in my accounts statements generated from Tally.ERP 9. I would like to view the Purchase return in my accounts statements generated from Tally.ERP 9. I would not want to record the Receipts / Payments transaction entered in Shoper 9 to be available in my accounts statements generated from Tally.ERP 9. For my accounting and statutory purpose I require only one Receipts / Payments voucher for a day to be posted in Tally.ERP 9.

Solution
You can map Shoper 9 not to post purchase transition to Tally.ERP 9.

Mapping Option
Select No Posting in Purchase field under the head Transactions to be sent

You can map Shoper 9 not to post purchase return bills to Tally.ERP 9. You can map Shoper 9 to post Purchase return bills individually to Tally.ERP 9. You can map Shoper 9 not to post Receipts / Payments transition to Tally.ERP 9.

You can schedule the synchronizing process for the day end in Shoper 9 and also collectively post the entire Receipts / Payments voucher of the day as a single Receipt / Payment voucher into Tally 9. However, cumulative postings will remove bill references when posting to Tally 9. You can map Shoper 9 to post Receipts/ Payments voucher individually to Tally.ERP 9.

I require every Receipt/ Payment voucher generated in my POS counter to be available individually in my accounts statements generated from Tally.ERP 9. I am a dealer of groceries, hence I do not require any tax to be recorded in my accounts statements generated from Tally.ERP 9.

You can map Shoper 9 such that no tax component is posted to Tally.ERP 9.

Select No Tax in Post Tax field under the head Transactions to be sent Change the Tally.ERP 9 settings to reflect the same and reselect the company in the mapping screen.

Requirement
I am a Composite dealer; I do not collect taxes from the customer. I would like to file my returns as a composite dealer. I am a regular VAT dealer; I collect taxes from the customer. I would like to file my returns as a regular VAT dealer. Do I have an option to select the naming formats of accounting masters in Tally.ERP 9?

Solution
You can map Shoper 9 POS for VAT composite dealer. Then, Tally.ERP 9 will generate Composite VAT returns as per your requirement. You can map Shoper 9 POS for VAT regular. Then, Tally.ERP 9 will generate regular VAT returns as per your requirement In Shoper 9, you have an option of selecting different naming formats of the masters to be created in Tally.ERP 9, during the mapping process. You can select a format from the following: 1.MasterName_MasterCode 2.MasterCode_MasterName 3.MasterName Yes, you can prefix or suffix a string or code to the masters names which is getting posted from Shoper 9 to Tally.ERP 9.

Can I prefix or suffix a string or code to the masters names which is getting posted from Shoper 9 to Tally.ERP 9?

Select Shoper/ Shoper_CompanyCode / CompanyCode/ Custom in Ledger Format field under the head Accounts Names in Tally.ERP 9. Select Auto Create Masters when Posting

During my day to day activities, new masters would be created in Shoper 9 POS. Is it possible to create all the new masters not available in Tally.ERP 9, automatically during the posting process? Can I have my purchase tax breakups (such as Cess, additional Tax, etc.) in my Tally.ERP 9 accounting reports? Do I have an option to preview and alter the ledger name, tax classification, etc., of the masters that are going to be created in Tally.ERP 9?

Yes, You can auto create masters in Tally.ERP 9 while posting data from shoper 9 to Tally.ERP 9.

Yes, you can get the breakup of purchase tax in Tally.ERP 9 accounting reports.

Select Purchase Tax Breakup and define the tax breakups.

Yes, you can preview and alter the ledger name, tax classification and first alias of the masters that are going to be created in Tally.ERP 9.

Scenario 2
Acme stores, Bangalore have one computer for Shoper 9 POS billing. The owner of the store has to maintain accounts and inventory in Tally.ERP 9 on a computer at his residence.
Install Tally.ERP 9 on the computer at the residence. Refer to Appendix for the configurations to be done on Tally.ERP 9.

Requirement
I have one computer for POS billing installed with Shoper 9 in my shop. I have another computer in my house where Tally.ERP 9 is installed. I do not have an internet connection at my home. Can I post the transaction recorded in Shoper 9 POS to Tally.ERP 9? Do I have an option to select the date from which I want the account to be posted from Shoper 9 to Tally.ERP 9? I have one computer for POS billing installed with Shoper 9 in my shop. I have another computer in my house where Tally.ERP 9 is installed. I have an internet connection at my shop as well as at home. Can I post the transaction recorded in Shoper 9 to Tally.ERP 9 thru internet?

Solution
You can post the data recorded in Shoper 9 to Tally.ERP 9 by an offline posting process.

Select Offline Posting under Advanced Settings

Yes, you have an option to select the date from which you want the account to be posted from Shoper 9 to Tally.ERP 9? Yes, you can post the data recorded in Shoper 9 to Tally.ERP 9 using the online posting process.

Select the date in the Post From field under Advanced Settings

Enter the Map Name, Server IP and Port No. of Tally.ERP 9, and select the Tally.ERP 9 Company Name to which Shoper 9 data has to be posted. Note: Tally.ERP 9 machine must have a public IP

Scenario 3
Acme Apparels, Bangalore have five POS billing counters in its store. The owner of the store has to maintain accounts and inventory in Tally.ERP 9 on a stand alone computer at his residence.

(Hint: one POS server installation, Tally.ERP 9 on the server machine similar to case1)

Install Tally.ERP 9 on the computer at the residence. Refer to Appendix for the configurations to be done on Tally.ERP 9.

Requirement
I have five POS billing counters with Shoper 9 in my store. I have one computer in my house where Tally.ERP 9 is installed. I would like to know the transaction of each POS billing counter separately in Tally.ERP 9? Additionally, for my accounting and statutory purposes, I require combined reports in Tally.ERP 9.

Solution
If you require details of individual POS counter then you have to map individual POS with individual Tally.ERP 9 companies. i.e., say, POS1 sync. to Tally 1 POS2 sync. to Tally 2 POS3 sync. to Tally 3. To generate reports for the whole store you will have to create a Group Company in Tally.ERP 9.

Scenario 4
I have three branches located at different locations in Bangalore and each branch has 3 to 5 POS billing counters with Shoper 9. I have one computer in one of the stores with Tally.ERP 9.

(Hint: Multiple Shoper POS server installation, no HO. Tally.ERP 9 on a different machines same as case 2.)

Requirement
I would like to know the transaction of each store separately in Tally.ERP 9? Additionally, for my accounting and statutory purposes, I require combined reports in Tally.ERP 9.

Solution
If you require details of individual stores, then you have to map individual stores with individual Tally.ERP 9 companies. i.e., Store1 sync. to Tally 1 Store2 sync. to Tally 2 Store3 sync. to Tally 3 To generate combined reports you will have to create a Group Company in Tally.ERP 9.

Mapping Option

I would transfer stock from one store to another store when there is an urgent requirement. It is recorded in Shoper 9 at the stores. Can I have reports of stock transfers in my Tally.ERP 9 reports?

Yes, you can have the reports of stock transfer from one store to another in Tally.ERP 9. The transfer-in and transferout details will be available in Tally.ERP 9 for statutory reporting.

Scenario 5
I have three branches located at different locations in Bangalore. Each branch has 3 to 5 POS billing counters with Shoper 9. Each branch manager takes care of Accounting, Inventory and Statutory requirements of their stores. Hence, Tally.ERP 9 is installed on all the managers computers at there respective stores. I have one computer in my house with Tally.ERP 9 installed on it.
(Hint: Multiple Shoper POS server installation, multiple Tally.ERP 9 - Tally.ERP 9 to Tally.ERP 9 sync.)

Requirement
Will the managers be able to take care of Accounting, Inventory and Statutory requirements of their stores?

Solution
Yes, The managers will be able to take care of the requirements of their stores. If the manager requires details of individual POS counters in Tally.ERP 9, then you have to map individual POS with individual Tally.ERP 9 companies. To generate reports for the whole store you will have to create a Group Company in Tally.ERP 9. Or If the manager does not require details of individual POS counters in Tally.ERP 9, then you can map individual POS with one Tally.ERP 9 company, from where he can generate the reports for the whole store in Tally.ERP 9.

At my residence, I have a computer with Tally.ERP 9 installed on it. I would like to have the reports of each store separately in Tally.ERP 9. Additionally, for my accounting and statutory needs I require the combined reports in Tally.ERP 9.

If you require consolidated reports of all the stores together, then you have to synchronise Tally.ERP 9 of each store with one Tally.ERP 9 company on your system at home. i.e., Tally 9 Store1 sync. to Home Tally 1 Tally 9 Store2 sync. to Home Tally 1 Tally 9 Store3 sync. to Home Tally 1

Scenario 6
I have 15 branches located at different locations in Karnataka. Each branch has 5 to 9 POS billing counters. Some of the branches have Shoper 7.2 and some have Shoper 9. Our Head office is in Bangalore. The Head office decides the prices, sales promotion schemes, discounts, etc. of the stores. It also monitors the Accounting, Inventory and Statutory requirements of these stores. Hence, Shoper 9 HO and Tally.ERP 9 are installed at the Bangalore Head Office.

(Hint: Single Shoper HO - Tally.ERP 9 interface, intra-state)

Requirement
I would like to generate accounts, inventory and statutory repots of each store separately in Tally.ERP 9? part from that, I would require combined reports in Tally.ERP 9 to decide the prices, discounts and schemes.

Solution
You have to synchronise all the Shoper 9 POS locations with Shoper 9 HO. If you require details of individual stores, then you have to map individual stores from Shoper 9 HO with individual Tally.ERP 9 companies. i.e., Shoper 9 HO Store1 sync. to Tally 1 Shoper 9 HO Store2 sync. to Tally 2 Shoper 9 HO Store3 sync. to Tally 3 To generate combined reports, you will have to create a Group Company in Tally.ERP 9.

Some of my branches have Shoper 7.2 and some have Shoper 9. Can I interface Shoper 7.2 locations with Shoper 9 HO? If it is possible, then when I interface Shoper 9 HO with Tally.ERP 9, will there be any difference in the transaction or reports of the Shoper 7.2 locations compared with Shoper 9 locations?

Yes, you can interface Shoper 7.2 locations with Shoper 9 HO. Only Shoper 9 data will be transferred to Tally.ERP 9 during the interface process. Shoper 7.2 data will be available at Shoper 9 HO and it has to be manually entered in Tally.ERP 9.

Scenario 7
I have 150 retail outlets located in different parts of India having Shoper 7.2 and Shoper 9. Our Head Office is in Bangalore. The Head office decides the prices, sales promotion schemes, discounts etc. of the stores. It also monitors the Accounting, Inventory and Statutory requirements of these stores. Hence, Shoper 9 HO and Tally.ERP 9 are installed at the Bangalore Head Office.
(Hint: single HO - Tally.ERP 9 interface, inter-state)

Requirement
I would like to generate accounts, inventory and statutory repots of each store separately in Tally.ERP 9?

Solution
You have to synchronise all the Shoper 9 POS locations with Shoper 9 HO. If you require details of individual stores, then you have to map individual stores from Shoper 9 HO with individual Tally.ERP 9 companies. i.e., Shoper 9 HO Store1 sync. to Tally 1 Shoper 9 HO Store2 sync. to Tally 2 Shoper 9 HO Store3 sync. to Tally 3 Note: For generating Statutory reports in Tally.ERP 9, you will have to configure each retail outlet in accordance with the state where it is located.

Is it possible that my branch office in each state can file returns of all the retail outlets in that particular state? At Bangalore Head Office can I generate consolidated reports for each state?

Yes, it is possible. The branch office should have Tally.ERP 9 installed and all Shoper 9 POS should be individually interfaced with Tally.ERP 9. Yes, You can generate consolidated reports for each state by creating group companies in Tally.ERP 9. For example: Tally Tally Tally Tally Tally Tally Tally Bangalore Bijapur Mysore Tumkur Dharwad Shimoga Udupi

Appendix
Ensure that the following configuration in done in Tally.ERP 9. Install Tally.ERP 9 and create a company. Configure Tally.ERP 9 and upload the Shoper9_ERP.tcp file Edit tally.ini file to add the lines: clientserver=<type>, where type should be client. serverport=<port number>, use a port number between 9000 and 15000 User TDL = Yes tdl=<path>\shoper9_T92.tcp file if you are using Tally.ERP9 rel2.x or shoper9_T93.tcp file if you are using Tally.ERP9 rel 3.x where path is the location of the tcp file In Tally.ERP 9 Enable VAT in F11: Features > F3: Statutory & Taxation Ensure that Accounts with Inventory is selected during company creation. Ensure Integrate Accounts and Inventory is set to No.
