Administration Module

Overview

The Administration module has one cloned application. This chapter provides an overview of new actions added to the Organizations (Oil) application. For more information, refer to the applications help. You also can refer to the IBM Maximo Users Guide for more information on any standard Maximo application. The Administration module contains the following cloned application:
Application Oil & Gas Function

Organizations (Oil)

Specify oil and gas options for work orders.

Organizations (Oil) Application

Purpose You use the Organizations (Oil) application to set up the organizations and sites to use with Maximo. You must define at least one organization and one site. For each organization you specify a number of properties including the following: Base currency Item and company sets GL clearing account Address codes for organizational units, including sites, that you can use on Maximo records By configuring Maximo with multiple organizations and sites, your company can run Maximo in multiple facilities all from the same database. Each site can access its own site-specific data and leverage data that is common across sites. Rather than installing multiple instances of Maximo, each with its own database, a company can install Maximo once, with different sites all accessing the same database via a Web Browser. The Maximo architecture enables different organizations and sites to keep some parts of their operations separate, while sharing others. For example, different facilities can share purchase agreements and vendors, and share and transfer items, while keeping work order and job plan data separate. Organizations and sites are logical divisions of a company determined by what types of operations are performed at different locations, and what data can be shared among them.

1-1

Organizations (Oil) Application Organizations An organization is a major division of a company that contains one or more sites. Sites belonging to the same organization must use the same currency and share the same options for work orders, equipment, labor, and certain other types of data. A site is a subdivision of an organization that can track inventory and other data separately from other sites. Certain types of information are unique to a site and not visible to other sites within the organization. Within the Organizations (Oil) application you set defaults for a wide variety of options relating to Maximo applications or groups of applications, such as work orders, inventory, purchasing, PMs, assets, and so forth. You access these options from the Select Action menu. The How Do I topics in the Organizations (Oil) help cover all these options. You can also access the help from the associated dialog boxes. Refer to the corresponding help topic for information on a particular action. Oil & Gas options let you perform the following tasks: Specify oil and gas options for work orders Load asset specification and failure code data NOTE In the various dialog boxes you use to set application options, you sometimes have to select a site and sometimes you do not. If you have to select a site, then the setting applies at the site level. If you do not select a site, then the setting applies at the organization level, except for system and set level autonumbering, and for settings in the System Settings dialog box.

The Assets module contains the following Oil & Gas-specific applications:
Application

Assets (Oil) Locations (Oil)

Associate regulations with assets. Associate regulations with locations, reference physical locations in a plant, and specify attributes for locations.

Assets (Oil) Application

Purpose You use the Assets (Oil) application to create and store asset numbers and corresponding information, such as parent, location, vendor, up/down status, and maintenance costs for each asset. Tabs in the Assets (Oil) application let you build the asset hierarchy, an arrangement of buildings, departments, assets, and subassemblies. You can associate a regulation you created in the Regulatory Compliance (Oil) application with an asset using the Regulations tab. The asset hierarchy provides a convenient way to roll up maintenance costs so that you can check accumulated costs at any level, at any time. It also makes it easy to find a particular asset number.

Locations (Oil) Application

Purpose The Locations (Oil) application lets you enter and track locations for assets and organize these locations into logical hierarchical systems or network systems. Using hierarchies or systems of locations and specifying the location for assets on the asset record provides the groundwork for gathering and tracking valuable information on the history of an asset, including its performance at specific sites, as it is moved from location to location. With locations organized into systems, you can quickly find a location on the Drilldown page, and identify the asset at that location. The Locations (Oil) application lets you perform the following industryspecific tasks: Associate a regulation you created in the Regulatory Compliance (Oil) application with a location. Reference physical locations in the plant. Specify many attributes for each location via the Location Details and Operating Context tabs. 2-2

Condition for Work (Oil) Application

Condition for Work (Oil) Application

Purpose You use the Condition for Work (Oil) application to identify the condition or state an asset must be in for someone to work on it. The state might be as simple as running, stopped, or isolated. Or, it might be more complicated, such as being part of a group of plant assets that must be shut down for preventive maintenance. Also, you can identify work that can be performed by someone on an reactive basis if the asset's status changes. After you create a condition for work, you can associate the condition for work with a job plan or work order. The Condition for Work application lets you identify work that must be performed by someone on an asset when it is scheduled to be in a particular operational status (for example, shutdown or operational).

Tabs

Prioritization Matrix (Oil) Application

Prioritization Matrix (Oil) Application

Purpose You use the Prioritization Matrix (Oil) application to build priority matrices. Priority matrices help you to ensure that someone performs work with the highest priority on an asset before work with a lower priority. Maximo uses the reason for the work, the priority of the asset or location, and function (for example, maintenance, drilling, or inspection) to build priority matrices.

Tabs
The Prioritization Matrix (Oil) application has the following tabs: List Reason for Work The List tab is found throughout Maximo applications. For more information about this tab, refer to the IBM Maximo Users Guide and the help. For information about fields, place the cursor in the field and press Alt + F1.

Reason for Work Tab

You use the Reason for Work tab to enter, view, and modify detailed information about a reason for work record. After you create a reason for work record and its status is ACTIVE, you can associate it with a job plan via the Job Plans (Oil) application or work order via the Work Order Tracking (Oil) application. The reason for work is used in conjunction with the priority and function associated with an asset or location to determine the priority of someone carrying out the work. Maximo calculates the priority by using a priority matrix. Reason for Work Tab

Job Plans (Oil) Application

Job Plans (Oil) Application

Purpose You use the Job Plans (Oil) application to create, modify, or delete job plan records. A job plan is a detailed description of work to be performed for a work order. You can copy job plans to PM records, routes, and directly to work orders. After a job plan becomes a work plan on a work order, you can modify the work plan without affecting the job plan. Job plans generally contain tasks (procedures), along with lists of estimated labor, labor hours, materials, services, and tools required for the work. To ensure that work on an asset is performed in a safe manner, you can add work assets and associate safety plans that can be used when work is performed. You can specify which organizations or organizations and sites can use the information on the plan and/or its tasks. If you do not specify this information, the job plan can be used in any site of any organization. The Job Plans (Oil) application lets you perform the following industryspecific tasks: Associate a regulation that you created in the Regulatory Compliance (Oil) application with a job plan. Associate a condition for work that you created in the Condition for Work (Oil) application with a job plan. Associate a reason for work that you created in the Prioritization Matrix (Oil) application with a job plan.

Routes (Oil) Application

Routes (Oil) Application

Purpose A route is a list of related work assets, which are considered "stops" along the route. These route stops represent assets or locations. Routes simplify building hierarchies of work orders for inspections. You can use a route in the following ways: Apply the route to a preventive maintenance record to generate work orders for all work assets listed as stops on the route. Apply the route to a work order and generate child work orders for each work asset listed as a stop on the route. The Routes (Oil) application lets you perform the following industry-specific tasks: View condition for work information associated with a job plan on the route record in the Route Stops section on the Route tab. View reason for work information associated with a job plan on the route record in the Route Stops section on the Route tab.

Preventive Maintenance (Oil)

Purpose You use the Preventive Maintenance (Oil) application to create, modify, and view preventive maintenance plans for work assets and locations. PM records are templates for work orders. On a PM record, you schedule job plans to be performed for preventive maintenance work. Maximo then generates work orders from the PM. If a condition for work record created in the Condition for Work (Oil) application is associated with a job plan on the PM, the condition for work is displayed on the PM tab in the Condition for Work field. You can also group PMs into hierarchies that model your asset hierarchies and generate sequenced work order hierarchies.
