The document outlines a 5-step process to address problems with inefficient administrative procedures for student workshop enrollment at Universidad Ricardo Palma. Step 1 identifies the main problem as inefficient use of administrative procedures. Step 2 involves understanding the situation through identifying variables and a why-why diagram. Step 3 proposes an action plan of publishing schedules, inscription on set student days, and emitting student lists to teachers. Step 4 recommends specialized supervision during enrollment and simple supervision after. Step 5 suggests establishing norms to maintain control and avoid future problems related to roles and behavior.

UNIVERSIDAD RICARDO PALMA FACULTAD DE CIENCIAS ECONOMICAS Y EMPRESARIALES ESCUELA DE ADMINISTRACIN DE NEGOCIOS GLOBALES STEP 1: IDENTIFYING THE MAIN PROBLEM
There are not enough vacancies for all the students. There are inflexible schedules and a lot of workshops that are not convenient for the students. Lack of information for students and administration personnel. There are not attendance lists for teachers and students. There is a bad service by the people in charge. When the inscription starts in the office, a mess is formed because there are lot of students and nobody can control the list nor the students. This inefficient process is always the same, every cycle. With the two principal problems we obtained from the Pareto Diagram we started working with the Selection Matrix, in this point we contrasted the impact of the problems in the variables giving us that the main problem is: MAIN PROBLEM: Inefficient use of administrative procedures. STEP 2: UNDERSTANDING THE SITUATION:
At this stage we already identified the main problem, to be able to control the process we selected the variables (ANNEX 5). After that we used the WHY WHY Diagram (ANNEX 6) to interpret the whole situation of the workshops enrollment process. This helped us to understand the situation of the problem, concretely the most important causes of the situation that we are analyzing. STEP 3: ACTION PLAN
Opening of the workshops Publish of the schedules on the school, on the inscription guide and on the intranet of the students Inscription on established days per student Emission of the list of students to the teachers Start of classes STEP 4: SUPERVISION
We concluded that our process needs specialized supervision during the process but simple supervision after the enrollment; the reason is that during the process the system is more vulnerable to collapse or have any kind of problems for the quantity of students enrolling at the same time, than after which is not in use anymore. STEP 5: NORMS
The last step for our process now is establish norms in order to maintain the control and avoid future problems related to roles and behavior of the students and the people in charge of the process. With this we are looking like a result less people trying to enroll when they do not have to as well people in charge knows what they are allow and need to do.
