0. Prior to the session - Workshop
Preparation

Prior to the session, MIKA team is expected to prepare the below items:

Decide Attending staff from MIKA team

Master Data related to template attached in section 10.2

Business Process Details and Process Flows related to:


Creation/Maintenance/Display Org.units and Building units authorizations.

Forms related to the corresponding session.

Note: Reports will be reviewed in two specific sessions, one for PA reports and
the other to review the PM ones.

What the workshops are:

The workshops:

are design workshops, for designing a computer system.

aim to gather MIKAs requirements

get the business/process owners to validate the acceptability of the


SAP solution

will analyze the TO-BE business processes.

will give a high-level understanding of the SAP process and screens.

Consultant is guiding you through the system functionality to fulfill


your requirements.

Your inputs are a must. We want to hear you.

We need your involvement as well as you to be a decision taker


player.

Workshops are not training sessions

The TO BE process should have been prepared prior to the sessions.


4.1. Use of the Building Structure

Inpatient cases can be assigned to rooms and bed locations, in the Clinical
Workstation using Drag & Drop.

Outpatient visits can be assigned to treatment rooms, which can be planning


objects in the outpatient clinic management.

Rooms and bed locations can be used for scheduling bed assignments

Surgeries, e.g. during inpatient case, can be assigned to operating theatres

4.3.2 Building Unit Categories

The building structure represents the spatial reality of the organizational units. In
order to create this physical representation of your hospital you should maintain
the building units categories first. (Action Item 1)

Indicators:
R: Building Unit is a room
B: Building Unit is a bed location
W: Indicator for OR Workstation
Typ: Internal Building unit type
H: Activate locking of Building Units on
an hourly basis.
4.4. Building Unit Categories Hierarchy

Note that you are defining the relationships between the building unit
categories deciding the possible relationships between link between the
different building unit categories: (Action Item 2)
5. BU Technical Number Ranges

Technical number ranges are required in SAP at the time of creation of many several objects.
The code for the corresponding object will be asssigned based on this number ranges.
You have the option of using internal number ranges (number or alphanumeric is
automatically assigned by the system) or external number ranges (number or alphanumeric is
assigned by the user).

6. Building Units Blocking Reasons

Here the blocking keys and texts are defined. By specifying these keys, you can
block building units for a period of time. Building units that are blocked for a
period of time are not available for assigning patients to rooms or bed locations:

Unit categories Assignment

In order to maintain relationship between building units and organizational units,


you need to predefine in the system the possible assigments between Org . And
Building Units: (Action Item 5)
8. Building Unit Facilities

You can store facilities for each building unit when maintaining the building
structure. In doing so, you can limit the validity of the facilities to a given period
only. (Action Item 6)
9. Building Unit Accommodation categories

Defining the accommodation category will help to categorize the type of room in
which a patient is accommodated. (Action Item 7)
10. Building Unit Planning Characteristics

Defining the accommodation category will help to categorize the type of


room in which a patient is accommodated. (Action Item 8)

Patients cant be assigned to blocked units.


Patients can be assigned to beds with a different gender indicator, but system will issue a warning
