Workshop Facilitator’s

Briefing

TradeNet Pre-Production Roll-Out Planning Workshop

September 22, 2017
Workshop Objectives
1. Align all implementation components to ensure the secure and
efficient deployment of the Tradenet.gov.ph system to a production-
ready state from system features, system administration, security,
and orchestrated deployment;
2. To raise and resolve, or provide a solution strategy, on all roll-out
related issues;
3. To provide the venue for the post-production (operations) teams to
gain a full appreciation of all technical and operational elements that
need to be considered and addressed to ensure the highest level of
availability (or system uptime) of the Tradenet.gov.ph system;
4. To provide the functional on-boarding team with a full appreciation of
the intricacies and full capabilities of the system and its supporting
infrastructure;
5. To provide an explicit point where all parties converge to share
knowledge, and provide the essential inputs to unify the messaging
and communication strategies based on factual information; 2
What Knowledge Will Be Shared By Each
Team Component
• Detailed presentation of respective components;
• An enumeration of unresolved issues from the perspective of each component
(related to production readiness and post-production support of the platform);
• An enumeration of risks (what could potentially derail the production readiness of the
system) from the perspective of each component;
• An enumeration of critical-to-quality pre-requisites from the perspective of each
component (policy and agreements, budgets, people/staffing, training, maintenance
and support);
• An enumeration of technology integration requirements
• An enumeration of change management/solution integration requirements
• A checklist of accomplishment (self-measurement) in relation to fulfilling contractual
agreements and those value added activities essential to move the system into a
production ready state;
• An enumeration of critical dependencies;
• A credible timeline and schedule (current as of the date of the workshop)
3
Shared Goal

Deliver a production-ready system by December 15, 2017

4
Expectations From Facilitators
• Drive the conversation towards achieving the shared goal of delivering
a production-ready system by December 15, 2017;
• Moderate the discussion to facilitate the understanding of challenges
but driving them to craft solutions not dwell on potential roadblocks;
• Steer the group to arrive at a consensus and generate commitment;
• Compile and consolidate issues at the end of every workshop day from
the different groups into a single and cohesive delivery and risk
management report (must be completed by 8pm of the current day);
• Send the workshop secretariat (Jeff Narciso, Johrel Maximiano,
Angelica Bundalian) a copy of the consolidated delivery and risk
management report – workshop secretariat will provide a central
shared folder (google drive) and provide access to all participants;
