Data Processing
Steps in Computerized Data Processing:

1. Data Preparation and Collection


1. Data pertaining to a particular
transaction of a business activity
must first be collected using
Source documents.
2. Input Recording
1. Data are encoded into a storage
medium using the source
documents.
Input recording is a critical stage in
data processing since this is the
point where in data are stored and
are made available for processing.
3. Processing

Using an application program, the


computer processes the stored data.
The process may include one or more
of the following steps : retrieval,
updating, calculating, summarizing,
sorting , storing and report
generation.
4. Output Reporting and Storing
The processed data are then
converted into useful information,
usually in the form of printed reports
or stored in a storage medium such
as magnetic tape or disk for use and
retrieval at the time needed. The
printed reports are sent to the user
and will be used as source of
information either in processing
business transactions or making
decisions.
Personnel Involved in Data Processing:

1. Systems Analyst

- also known as Analyst, project


leader or a systems specialist.
- Is responsible for everything, from
the analysis of data to the
implementation of a data
processing system.
- Is also prepares the specifications of
the requirements needed to solve the
problem. Includes : file organization,
record formats, access method, file
relationships.

2. Programmer

- Responsible for writing the


programs required within the
system that the systems analyst
designed.
3. Data Encoders/ Data Entry
Operators
- Handles the entry or encodes data,
ensures the accuracy and
reliability of data.
4. Computer Operator
- Is responsible in monitoring the
daily operations of the computer.
He involved in the actual handling
of the machine while programs are
being executed.
Console

- Is the term used to refer to the


display terminal consisting of a
monitor and keyboard used in
communicating with the
computers.
Some computer operator’s
responsibilities :

1. Loading and Unloading of programs

2. Mounting and labeling of tapes and


disk files
3. Putting paper on printer for
printing output reports and
4. Setting up the printer and other
peripherals.
